New Mexico Procedures for PARCC PBA Data Review The procedures in this document describe procedures for conducting data reviews for spring 2015 Performance Based Administration (PBA) of PARCC. These reviews will take place in PearsonAccessNext (PAN) and in the PED’s Student Online Assessment Prep portal (SOAP). Please note that dates for the step 1 of the review is different for computer-based testing (CBT) and paper-based testing (PBT). A similar review will occur for End-of-Year (EOY) PARCC administration, for which specific dates are forthcoming. Note that, for CBT, step 1 for EOY data review in PAN may occur immediately, and step 2 for EOY data review in SOAP will occur in late May. For PBT, step 1 will occur in June/July and step 2 will occur in July. Step 1: Mark Tests Complete, Close Test Sessions, Mark Voids, and Mark NonTested Reason Codes in PearsonAccessnext Complete all tasks in the document New Mexico Procedures for Closing PARCC Test Sessions (http://ped.state.nm.us/ped/NMPARCCDocs/Step-bystep%20Guide%20for%20Closing%20out%20PARCC%20Administration%20Final.pdf). CBT: These procedures should have been finished by April 10, a date previously published by PED. All procedures must be complete by 8:00AM on Monday, May 11, at which time PED will pull a student test update file extract. Changes made after that time will not be captured. DO NOT, under any circumstances, change your data in PAN after this time. PBT: Paper test booklets should have been returned to Pearson by April 3, 2015. If you have not shipped your paper PBA materials, do so immediately. Once they arrive at Pearson, paper test booklets are scanned and student data is input to PAN. Local Education Agencies (LEAs) should complete the tasks outlined in New Mexico Procedures for Closing PARCC Test Sessions immediately. However, please note that not all paper tests have been scanned. Please continue working on these procedures until all of your paper tests are in the system. The final day for Pearson to scan PBA tests in Friday, May 29. All procedures in New Mexico Procedures for Closing PARCC Test Sessions must be complete by 5:00PM on Monday, June 1, at which time PED will pull a data extract. Changes made after that time will not be captured. DO NOT, under any circumstances, change your data in PAN after this time. Step 2: Data Review in SOAP After PED extracts data from PAN and completes the initial data clean-up, LEAs must conduct a final post-test data cleaning process. This process will be identical to the data review for the Standards Based Assessment (SBA). LEAs must indicate the appropriate test for unresolved duplicate tests, correct student IDs, and indicate rationale for out-of-grade level testing. NOTE: BIE PARCC assessments will NOT be included in the SOAP data review. CBT and PBT: PARCC PBA data review in SOAP will occur from Wednesday, June 3 – Friday, June 5. PED will pull a data extract at 5:00PM on Friday, June 5. DO NOT, under any circumstances, change your data in SOAP after this time. If, after data cleanup, a student has duplicate tests and the inaccurate one is NOT voided, we will use the student’s most complete test. If a student has more than one test that is complete or mostly complete, we will use the first attempt as the valid test. Step 3: Resolving Rejected Test Records Rejected test records are identified when there is a discrepancy between demographic information bubbled on a paper test form and test information in PAN. If you have rejected test records, PED’s Data Planning and Analysis (DPA) bureau will contact the district or state charter Test Coordinator directly. If you are not contacted, you have no rejected test records.
