Submission Guidelines
Year-1 students, i.e. full-time
students studying at the Department
who have not yet passed their
confirmations, are required to submit
a poster and present it at the
conference.
Year-2 students, i.e. full-time
students studying at the Department
who have passed their confirmations
but have not presented a paper at an
earlier edition of the PhD conference
series, are required to submit a full
paper and present the paper in the
form of an oral talk with slides at the
conference.
Other students studying at the
Department who do not fall into the
above two categories are encouraged
to submit a paper or a poster to the
conference. These include part-time
PhD students and external PhD
students who are currently visiting
the Department and will still be with
the Department on 6th May 2015. The
papers and posters submitted by
students in this category can be based
on work under review or just
accepted.

The Department’s 2015 Annual PhD Conference will be held on the 6th May 2015. As in previous
editions of the conference series, we will be awarding a number of prizes for
Best Papers (2 prizes, one for Year-2 Students and one for Other Students)
Best Presentations (2 prizes, one for Year-2 Students and one for Other Students)
Best Posters (2 prizes, one for Year-1 Students and one for Other Students)
In order to be eligible, you MUST submit your work as a paper or a poster and present it in person at
the conference. Please be aware that as part of your PhD Programme, we request mandatory
submissions from all first and second year full-time PhD students (see more details in the left
column), and optional submission from all other students (more senior students, all part-time students
and visiting students).
In principle, we expect you to submit a paper or a poster that has not been published or accepted to a
publication venue (e.g. journal or conference or book chapter), but it is acceptable if you submit a
paper still under review elsewhere or a poster reporting your published/accepted work. For paper
submissions, it is encouraged that the work submitted contains original research results that have not
been published elsewhere yet. For poster submissions, you can report your work in progress and your
future research plan, if you have not reached the stage of producing original research results yet. The
PhD Conference will not have a proceedings, so you still own all copyrights of your submitted work
which can still be freely submitted to other venues in future for possible publication.

Paper submissions can be submitted using any standard paper templates (e.g. IEEE or ACM twocolumn format) and the main body of the paper should not exceed 16 pages (including references but
not any appendixes).
Even if you elect not to submit a paper or a poster, you may still attend the conference to learn about
other students’ work poster. There will be two invited talks given by two speakers, one from academia
(University of Southampton) and the other from industry (IBM). There will be a buffet lunch as well
which is available for free to all registered attendees.
