www.pinkdollartours.co.nz Pink Dollar Tours Ltd (hereafter referred to as PDT) operates and facilitates national and international tours in good faith and for the mutual benefit of all parties involved. The following terms, conditions and limitation of liability under which PDT operates are to clarify responsibilities for you the Client and PDT and are detailed below. They are to be read prior to any bookings and / or deposits being made to secure a tour placement with PDT. The signing of the attached booking form confirms that you have read and understood terms, conditions and limitations of liability and accept them. This contract is not transferable. The terms, conditions and limitations of liability under which PDT operates are detailed hereunder: 1. Tours are organised by PDT 2. Tour Itinerary 2.1. PDT reserves the right to alter or change the itinerary, accommodations, carriers or coaches at any time for any reason what so ever including, but not limited to, road, weather or traffic conditions, non-performance of suppliers, industrial actions, operational conditions and requirements. All additional expenses incurred as a result of any delays, cancellations or alterations will be the responsibility of the client. 2.2. PDT can give no guarantees as to the exact arrival and departure times for carriers and operators used by PDT for their tour service. PDT will not be liable for missed connections with any other services and/or missed tour inclusions. PDT is not responsible for any failure on the part of our service providers such as airlines, coaches and hotels. 2.3. PDT or any of its representatives shall not be responsible for any delay, personal injury, property damage, or any loss, resulting from an act of God, labour stoppages, mechanical breakdown or participation in optional activities, any deviation, delay or curtailment of any kind, however caused. Additional expenses, if incurred under any circumstances, will be borne by the client. 2.4. PDT specializes in small intimate tour groups and as such relies on the suitability and cooperation of all participants. At the sole discretion of the tour leader, any one or number of participants may be excluded or rejected from further participation in the tour if it is deemed that such person/s are disruptive, incompatible or impinge on the enjoyment of other members of the group. In such circumstances there would be no refunds provided. 2.5. There is no refund for unused services. 2.6. Each tour is a complete package and a breakdown of costs will not be given. 2.7. Each client is responsible for applying for their visa where applicable; PDT will inform them of such times. 3. Booking and Payment 3.1. Any client special requirements should be notified to PDT at the time of booking. Any alteration or addition to a tour will incur a minimum charge of NZ$100. 3.2. PDT reserves the right to vary the price advertised or printed to cover any significant increase in airline fuel price, exchange rate, or other tour related tariffs and costs. PDT tours are price indicative until price confirmation. 3.3. Where a single client is willing to share accommodation with a fellow client, and if a client at any time during the tour considers the rooming partner to be unsuitable, PDT will, subject to availability and at the additional cost to the passenger, arrange single accommodation. If tour numbers are uneven, or there is nobody, willing to twin share, last person booking will be required to pay for single accommodation. 3.4. PDT requires the booking form and the deposit fee to confirm a placement on the selected tour. Upon confirmation of a place on the tour the balance of payment is required as specified. PDT reserves the right to cancel any booking where PDT has not received the balance of payment within the terms specified for the selected tour without refund of the deposit paid. 3.5. Deposit You will be required to pay a deposit at the time of booking. All deposits are non refundable. NZ Domestic Tours where travel is by mini-bus: Deposit of NZ$200. Domestic Tours including flights require a deposit of $500 Balance of payment is due 35 days prior to departure. If booking within 35 days of the tour departure date, full payment is required. All International Tours: Deposit of NZ $1000. Final balance of payment is due 75 days prior to departure. If booking within 75 days of the tour departure date, full payment is required. SPECIAL NOTE REGARDING PAYMENT FOR FLIGHTS – in order to secure your flights within allowed budget, seats may need to be purchased up to 6 months prior to departure. Once the deposit has been paid, a separate invoice will be issued to cover the full cost of flights before the final balance is due. Please be aware any money used to purchase airfares is non refundable and flight costs must be borne by the Client. We recommend that insurance is taken out at the time of booking. 3.6. All bookings are for the person or persons whose name/names are on the completed signed booking form and are not transferable. 4. Cancellation Policy 4.1. A minimum number of bookings are required to operate a tour and also to ensure an enjoyable small group atmosphere. Where sufficient numbers cannot be achieved, PDT reserves the right to cancel the tour. Where a tour is cancelled prior to departure, a full refund will apply. 4.2. NZ Tours: The Deposit becomes non-refundable after Booking. Once the total trip price has been paid, cancellation by the Client must be in writing. The percentage of refund of total trip price is as follows: 34 - 20 days prior to departure = 60% nonrefundable, less than 20 days prior to trip = no refund. Overseas Tours: The Deposit becomes non-refundable after Booking. After which the cancellation fees are as follows: 74 – 42 days prior to departure = 40% non-refundable, 41 –31 days prior to departure = 60% non-refundable, 30 – 0 days = no refund. Luggage Clients are entitled to one medium suitcase - maximum weight 20kg (unless otherwise stated) and one cabin bag - maximum weight 7kg. Surcharges apply for extra weight or overweight baggage on flights and are the responsibility of the Client. 6. Insurance 6.1. Prior to departure of the selected overseas tour, the Client agrees to take out comprehensive travel insurance, including but not limited to cancellation fees, loss of luggage, loss of deposit, medical treatment on tour and early return following personal injury or death of a relative. 6.2. PDT strongly advises that all Clients consider insurance to cover their booking/deposit fee for all tours, in the event of unforeseen circumstances leading to client cancellation. 7. Leadership 7.1. The tour is accompanied from New Zealand by our tour leader. In the event of unexpected circumstances it may become necessary for the tour to be lead within the destination country only, by a local English speaking representative. 8. Advertising 8.1. Tour PDT reserves the right to take photographs and/or videos during the tour and to ask for client comments which may be used for advertising the business. Clients not wishing their image or comments to be used shall notify PDT in writing prior to tour departure.
