Volunteer Instructions

2015 RHS POST GRAD PARTY
VOLUNTEER INFORMATION
We cannot thank you enough for volunteering for what promises to be a wonderful night filled with memories for the Class
of 2015. We have put together some helpful information regarding the party. Please read the information below and
RSVP to our email address that you are set.
The party starts on Friday, June 19th, 2015 at the Ridgefield Parks and Rec Center on Danbury Road. We ask our volunteers
to wear a white shirt and black pants/shorts. This helps the kids recognize the volunteers easily. Our theme this year is
Casino Night so feel free to customize your outfit with themed items.
Parking for All volunteers is at Fairfield Bank on the corner of Farmingville and Danbury Roads (across from the Shell gas
station). A yellow school bus will run continuously from the bank to Parks & Rec to transport volunteers. To ensure the
graduates’ safety, only they will park at the Rec Center. There are only 199 spaces, half the number of graduates, so they
will be carpooling as well. Please do not take a spot from a graduate.
The Party runs from 10-4:00. Shift 1 volunteers should arrive at 9:30. Shift 2 volunteers should arrive at 12:45. Please
allow a little extra time for the shuttle bus. When you arrive, check in at the volunteer desk to your left as you enter the
building. You will be given a name tag with your job assignment and we will direct you where to go. Committee chairs are
identified by the tiger button we are wearing.
Feel free to help yourself to the food, drinks and of course, coffee. If you need a break, let one of the committee people
who will be walking around know. Floaters have also been assigned to relieve volunteers for short breaks.
We thought we would give a little background on how the evening works, especially for those of you who are volunteering
for the first time. Our graduating seniors will begin to arrive at 10:00 PM. After they have been breathalyzed, they sign in
at the entrance and are given an envelope with Tiger money (our version of Monopoly money). They will then begin to file
into the transformed rec center. The object of the evening, besides having the time of their lives, is to play games and win
Tiger money. The kids use this money to put their names in for prizes that they would like to win. The more money they
win, the more times they can enter to win. You earn money just by playing the game, winning gives you more. Games are
located throughout the halls, gym, multipurpose rooms and the pool. For those working on games, the dollar amounts
awarded are posted at each game so the kids and the volunteers know what the game is worth. There are prize drawings
throughout the evening, you will know when they are happening because the halls and gym suddenly become clear and the
kids all mill into the large rooms across from the pool where the disc jockey, food and prizes are located.
Below our specific instructions regarding each job assignment:
FOOD OR AUCTION: You will be directed to the large room across from the rec pool viewing area. This is where the food
and auction area is located. The committee chairs for these areas will be there and will explain your role. Food Committee
chair is Lori Bova and KC Peckham. Auction Committee chair is Patty Hellirigel and Sharon Phelan.
GAMES and POOL: Your specific game assignment, ie. Money Cube, Black Jack, Boxing, Money Hut, Floater, etc., will be
given to you at check in along with directions. The committee chair for Games is Allison Dyson.
DOOR CHAPERONE: Door chaperones will man the front entrance doors or the doors that open to the parking lot from the
large multipurpose room we use for our food, disc jockey and auction room. The role of a chaperone is to 1) make sure the
that kids that are not seniors do not try to enter 2) if a senior wins a prize during the night or needs to go to their car for any
reason that you escort them to and from their car even if they are leaving the party early (although only a very few of the
kids leave early because you have to be present to qualify for the grand prize drawing which happens at the end of the
night), 3) keep an eye open for any behavior that would interfere with the mission of the party which is to keep the kids
safe while celebrating, 4) remember that these are 18 year olds, they may want to come outside to talk or have a smoke so
give them some wiggle room and 5) If they are leaving for good, please ask them if they have officially checked out with the
checkout volunteers. They must do this before leaving. Steve Scott is your contact point for this job.
STUDENT CHECK IN: You will be directed to the check in area where Loren Capezzuto-Brewi will provide you with
instruction.
BAGGAGE: You will be directed to the check room area where Lisa Pass and Ellen Rossini will provide you with instruction.
VOLUNTEER CHECK IN: Come to the volunteer check in area to the left after you enter the building. Anamaria Weston and
Stephanie Wheeler will provide you with instruction.
TAKEDOWN: Come to the volunteer check in and you will be directed to see Patrice Lordi and Michelle Sullivan for
instruction.
Remember, please RSVP to [email protected] so that we can make sure you have received our correspondence.
