This document will guide you to successfully complete the registration. Once you have registered, you will need the Electronic Invoice Manual to learn how to submit electronic invoices. 1.2 How to Use this Manual Please read the manual carefully and ensure to comply with it. The manual uses the following components: Screen shot Illustrates the explanation. Please note that some screen shots may not match the address information, the currency or other business details for your case. The screen shots have been optimized for display on a monitor. Printing the screen shots in color will lead to better results than printing the screen shots in black & white. Deutsche Bank Global Sourcing eInvoicing Help | How to Register in ASN | Version 1.1 | November 2009 3 2 Electronic Invoicing 2 Electronic Invoicing The platform Deutsche Bank uses for Electronic Invoicing is the Ariba Supplier Network (ASN). The ASN provides a shared eBusiness solution that automates and streamlines the Electronic Invoicing process by connecting multiple systems and processes. Electronic invoicing is the preferred method to submit invoices to Deutsche Bank. To submit invoices electronically, your company will have to be registered on the ASN. The information in this Manual How to Register will help you register if you are not already registered. Please note that fees may be levied by Ariba when you become an active supplier on the ASN. Deutsche Bank is not liable for any fees levied by Ariba. For details please refer to the Ariba Membership Program: http://www.ariba.com/suppliermembership/en/smp_pricing.cfm and section 4.1: Ariba Pricing. 2.1 Policies and Compliant Electronic Invoicing To support the implementation of Electronic Invoicing, we would like to remind you of our policies: Our standard terms and conditions have been updated to reflect that invoices can now be submitted electronically. Vendors need to submit complete and compliant invoices otherwise they will be rejected Once registered on eInvoicing, after a grace period Deutsche Bank will only accept invoices submitted electronically; paper invoices will be rejected 2.2 General and Technical Ariba Supplier Network (ASN) Queries If you have questions regarding the Ariba Supplier Network that cannot be answered in this Manual, please go to the Ariba website: http://www.ariba.com/supplier/faq.cfm You may also contact Ariba by completing an online web form. Please note that the relationship with Ariba is owned by your Company and not by Deutsche Bank. The ASN also provides an online tutorial Getting Started on Ariba Supplier Network (duration 7 minutes, ZIP 4.3 MB), which includes account registration and configuration. Please note that the online tutorial shows registration and configuration pages of a slightly different layout. The information in this manual supersedes the information of the tutorial if they are in conflict. To open this online tutorial, please refer to the tab Tutorials within the Help@Ariba section. Click Help from within an Ariba application, e.g. from the Ariba Homepage https://service.ariba.com/Supplier.aw/. 3.1 Process Overview Start the New Supplier Registration: Go to https://service.ariba.com/Supplier.aw/ then click “Register as a New Supplier”. A registration wizard guides you through the following steps. Step 1: Company Information Enter your company name, aliases and company registration number or business registration number. ASN uses this Information to ensure that your company is not already registered. Customers, including Deutsche Bank, can view this information after they locate your company in a search. Step 2: User Account Information (Account Administrator) Specify contact and login information for the person who will be responsible for maintaining your ASN account. Step 3: Review and Submit Review the information you have entered. Read the Ariba Terms of Use and indicate that you accept them. 3.2 Registration Step by Step 3.2.1 Start the New Supplier Registration Deutsche Bank suppliers may elect to register on the ASN to enable future Ariba Purchase Order (PO) and invoice transactions with Deutsche Bank. 1 If you have elected to register on the ASN, go to the ASN web site https://service.ariba.com/Supplier.aw/ and click on the “Register as a New Supplier” hyperlink. A registration wizard will walk you through the online registration process. Please note All entry fields marked with an asterisk (*) are mandatory fields. Do not enter any dashes. 6 Select the goods and services your company provides (Commodities) by clicking the Add button. Postings made by buyers will be matched to you based on the commodities you select below. You will receive email notification of business opportunities when a match is found. 4 5 6 Screenshot 03: New Supplier Registration, Step 1.2 7 Within the commodity selection, enter a keyword and click the Search button. 7 Screenshot 04: New Supplier Registration, Step 1.3 8 Select the applicable commodity and click the Add button. 9 Continue with this process until you have selected all relevant commodities. You can delete commodities from your list using the Remove button. Click the OK button to continue with the registration. Check the provided search results whether your company is already registered. Otherwise, click the Continue Registration button to proceed. 10 Screenshot 06: New Supplier Registration, Step 1.5 Please note Ariba Supplier Network uses the information provided to check whether your company is already registered. You may use an existing account or create a new account to invoice Deutsche Bank. Please contact the Ariba help desk to make sure you understand the ASN membership fee implications should you create a new account or use an existing account. Please note that you should advise Ariba of all ASN ID’s that you use to invoice Deutsche Bank so that Ariba apply a single maximum membership fee; if you do not do this, Ariba may levy a maximum charge per ASN ID Customers, including Deutsche Bank, can view this information after they locate your company in a search. The Company D-U-N-S number (see Screenshot 3) is a nine digit number to identify the corporate location of your business. To look up or obtain your number visit www.dnb.com. Ensure you have gathered all the necessary data about your company. You cannot save the application form in a ‘progress status’. 3.2.3 Step 2: User Account Information (Account Administrator) Within registration step 2, user account information is completed including contact and login information for the person who will be responsible for maintaining your ASN account. 1 In this section, all fields are mandated 2 The default currency is US Dollar/ USD. If your default currency is something other than USD, please select the relevant country currency by clicking on the Select Currency button. Use the drop-down box to navigate to the currency you will invoice in and select it from the list (scroll down the pages if needed). The password must be at least eight characters long and must include numbers and letters. The page shows: A summary of the information provided during step 1 and step 2 (see Screenshot 8). The Ariba Supplier Network terms and conditions (see Screenshot 9). When you are finished click the checkbox, indicating that you have read and agree to the ASN terms/conditions and the ASN membership fee 2 Click the Continue button. 1 2 Screenshot 09: New Supplier Registration, Step 3.2 Deutsche Bank Global Sourcing eInvoicing Help | How to Register in ASN | Version 1.1 | November 2009 11 Registering on the Ariba Supplier Network 3 3.3 After Registration 3.3.1 Notify Us of Your Account Registration On completion of your ASN registration, please complete the following tasks which will allow you to submit invoices to Deutsche Bank via the ASN: Please notify [email protected] via email and provide your assigned Ariba Network ID (see section 3.3.2) and registered supplier name in ASN, contact person’s name, email, telephone, time zone / working hours. Deutsche Bank will send a Customer Relationship invitation to you via the ASN. This establishes an ecommerce relationship on the ASN between your firm and Deutsche Bank. Once you approve this relationship (default is set to automatically accept), electronic ordering and invoicing will be enabled on the ASN between your company and Deutsche Bank. You will receive an email indicating you are fully enabled in for electronic invoicing and that all future invoices should be submitted via ASN. Please note that Deutsche Bank will continue to process paper invoices for a short grace period, after which time Deutsche Bank will only accept electronic invoices. ASN will assign you a username and password to access your account in the future. Make sure your username and password are kept in a secure yet accessible place. 3.3.2 To View Your Ariba Network ID (ANID) Go to https://service.ariba.com/Supplier.aw Log onto site using the User Name and Password you created when registering. 1 You are now on the ASN home page (home tab). 2 Your Ariba Network ID will be displayed. This service can also support catalogue suppliers who need assistance with catalogue formatting and validation. Please note that EDI suppliers are required to subscribe to this service.
