Authorised Officers (Business Owners) may wish for a contact officer (e.g. Service Director or Business Manager) to have access to QGrants to submit applications and claims on their behalf. The contact officer will need to register a QGrants login and use the “Link to an existing organisation” functionality. The business owner will then need to approve the contact officer access via QGrants. The contact officer will have access to perform the below functions: Create additional accounts Nominate and change bank accounts Manage your accounts Make an application for approval as a kindergarten program provider (KPP) Submit QKFS claims for funding (long day care services only) The authorised officer must note that once access is approved, the contact officer will have access to submit and change banking details for your organisation. It is your responsibility as the authorised officer to ensure that any controls you require, are in place. This guide provides you with steps on how to register a QGrants contact officer and link other organisations/services. How to register a contact officer account TRIM 14/5270 Page 3 Department of Education, Training and Employment STEP 1: Go to QGrants and click ‘Sign up here’. STEP 2: Complete your personal details, ReCaptcha and click ‘Register’. Note: Contact Officer to action only. Note: Your password must be between 8 and 20 characters with a combination of numbers and letters. Go to QGrants via https://qgrants.osr.qld.gov.au/portal STEP 3: Activate your account. STEP 4: Log into QGrants with your nominated email address and password. You will now receive the below message, an email will be sent to the nominated email address with a link to activate the account. Click on the weblink provided to activate your account STEP 5: When you log in for the first time, you will be required to provide basic details such as address and TRIM 14/5270 STEP 6: As you are registering an account you will not be able to create a relationship, simply click ‘Next’. Page 4 Department of Education, Training and Employment contact details. Simply complete the required fields and click ‘Next’ to progress . STEP 7: From the Summary screen click ‘Save’. TRIM 14/5270 STEP 8: You will now receive a message stating that your account has been successfully saved, click ‘Back’. Page 5 Department of Education, Training and Employment Linking an organisation and a contact person Once you have successfully registered your acount and have accessed the system you will see the following screen. Step 1: Select the Accounts tab and click on the ‘Link to existing organisation’ button. Note: On the Accounts tab you can create, edit and view details of your account and accounts you are linked to (e.g. you can create an account for your organisation/services and add additional contact people). Step 2: Populate the ABN for the organsation you wish to be linked to and click ‘Request Link’. Alternatively if your applicant ‘account id’ is known, you can enter this into the bottom field. Important Information: The authorised officer must note thatonce access is approved, the contact officer will have access to submit and change banking details for your organisation. It is your responsibility as the authorised officer to ensure that any controls you require, are in place. Step 4: The verification link from the email will open a logon screen in QGrants. The person responsible for the organisation should ‘Logon’ to either accept or reject the request. Step 5: The responsible person will either need to ‘Accept’ or ‘Reject’ the request.
