SAMPLE GMAIL EMAIL
(Sent to PS Initiator and “reports to” person)
Hello,
As the hiring manager or initiator of the hire transaction for this employee, this information is being
provided to you so that you can decide whether it is appropriate to forward to the new employee. Please
keep in mind that it may not always be appropriate for the employee to use the email account (in
representation of the University) or to use Learning Management systems in advance of their hire date.
Thank you,
The NC State Onboarding Center Staff
Welcome
Hello John Wolf, we hope you're excited about joining the NC State University community! Due to your
specific job duties, you're being provided with access to several university services prior to your start
date. Information about these services and how to access them can be found below.
Should you have any questions about accessing these services/systems, please contact me using the
contact information provided at the end of this email to request assistance.
You should have received an earlier email with information regarding your new Unity ID and password
that is needed to access IT resources and services provided by the University. If you have not received
this email, please the Unity Account section below.
Your NC State Email Account
Your new NC State email address has been created with the address [email protected]
completing the password change for your Unity account, you can access your new email account at
http://mail.google.com. Log in with your email address (listed above) as your username, and your Unity
password.
When using your email account for university business, all relevant laws related to public records and
information will apply. The university has approved a recommended tag line to add to employee signature
blocks for university business e-mail communications. The language is as follows:
"All electronic mail messages in connection with State business which are sent to or received by this
account are subject to the NC Public Records Law and may be disclosed to third parties."
Please enable the tag or signature line function on your email account and add this or a similar tag line
before transacting university business with your email account.
Learning Management Systems
Should you need to access our Learning Management Systems to prepare for courses before your start
date, you may access either the Collaborate Learning Management System or the Moodle Learning
Management System by using your Unity id as the username and your Unity password.
For information regarding which of these systems to use or assistance with using these systems, please
contact your hiring manager.
Unity ID
Your Unity ID is JCWOLF.
If you previously used this account as a former employee or as a student, the account has been reactivated
for your use, with the same password. If you have problems logging in, please call the OIT Helpdesk at
515-HELP to have the password reset.
If you are new to NC State University, this new account has been set up with a default password that
you'll need to change, using the following instructions:
Default Password
Your initial (default) Unity password is an 8-digit number composed of:


the last four digits of your Campus ID number (yours are 0372) plus...
the four digits of your birth month and day
For example, if your Campus ID number ends in 1234 and your birthday is January 31, then your initial
password is 12340131. Should it become necessary to reset your password at a later date, it will be reset
to this default combination of the last four digits of your Campus ID number and the four digits of your
both month and day (once you have your Wolfpack One Card (your campus ID card), you can find your
Campus ID number immediately following the letters "NCSU" on your card).
Changing Your Default Unity Password
Your default password is not secure and is for temporary use only. Anyone who knows your Campus
ID number and your birthdate can figure out your default. Once you receive your default password be
sure to do BOTH of these two things immediately :
1. Create a new password.
Go to Unity Password Change Tool and use the requirements and recommendations there
to create a strong, secure password. Make sure you are the only one who knows it.
2. Create authentication information.
Go to User Identification and Authentication and create three questions and answers. Help
Desk consultants will use these if you forget your password and then call in to have it
reset.
NOTE: If you do not create these beforehand, then you will have to take a photo ID to
the OIT Walk-in Center to have your password reset.
Best regards,
The NC State Onboarding Center Staff
