WELCOME LETTER
Dear Exhibitors,

I take this opportunity to welcome you to this 31 edition of India International Jewellery Show (IIJS 2014).
Like each year, the show will be spread over a sprawling 46,000 sq. mts. and with a little more than 1800 booths that
will be occupied by an estimated 900 exhibitors from India and Overseas. This year, we the show has received a
phenomenal response from our esteemed exhibitors and retention of space has been 99.5% with a marginal addition
of new companies.
The show has grown exponentially with participation of leading companies and successfully attracted trade visitors
both National & Overseas thus making it truly International. The show brings together traders & suppliers who are
able to liaise and transact business with their potential associates and create ample business opportunities under one
roof. I think with the revival of US economy, new government in the country, stabilization of diamond prices and
reduction in gold prices, the industry can surely look at better times ahead.
Over the years, IIJS has evolved as a prominent sourcing event in India providing an extensive business platform for
across-the-board of our B2B trade. The show helps us to successfully showcase the true caliber of our mammoth
industry and simultaneously reinforces the credibility; hence it has become essential for every member in the industry
to participate in India's premier gems & jewellery show.
The show has witnessed a significant increase in the footfalls with more than 35,000 jewellers attending from 875
cities/towns across India and presence of about 1500 overseas visitors from 85 countries during the last edition.
Thanks to the pre- show marketing efforts, we expect more quality attendees to visit the upcoming edition.
The exhibitor manual is updated each time with all the necessary information to facilitate the exhibitors on important
guidelines, forms, deadlines, contact details, agency services etc. Time & again, we have improvised the services and
facilities for our exhibitors with each passing year including Venue facilities. We request you to carefully read the
contents of this manual and submit the mandatory forms to receive all essential services that has been packaged for
your smooth participation. If you still have a query, the IIJS help desk will be more than happy to assist you. We truly
anticipate that you will continue to have a pleasant experience at the show.

Revision of construction days
Exhibitors are requested to refer to the given below timings for start booth construction. ORGANIZER will strictly
not allow dumping of booth construction material or start construction work before the specific dates as
mentioned in the time table below. If found, then the exhibitors would be charged heavy penalty or/and
construction work will be stopped immediately without further notice.

Mezzanine booth exhibitors get additional 1 day for construction.
2. Additional Entry / Exit Gates in Hall No 1: Additional entry / exit points of Hall no 1 has been opened through
the cargo gate. This can be used by exhibitors & visitors through-out the show dates.
OTHER IMPORTANT POINTS TO NOTE

Stall Allotment Letter:
It is mandatory for the contractors/exhibitors to carry Stall Allotment Letter while taking possession of their booth
space as Stall Allotment Letter WILL NOT be issued at the venue. The stall allotment letter can be downloaded
from the exhibitor manual after filling details in Form No 2 of the online Exhibitor Manual

Timings for Entry of Display & Printed Material:
All Items like computers / printers / display material / trunks / water jars / brochures /flyers etc. will ONLY be

allowed during setup period i.e. 2 days before the show opening (15 & 16 July, 2014). Outstation &
International exhibitors are requested to take note of this and avoid being inconvenienced at the show.
3.
Entry of Food items inside halls:
As a special facility, Exhibitors will be permitted to carry ONLY dry fruits, chocolates, cookies, cakes & biscuits,

soft drinks in bottled/canned, water in packed condition between 08:00 am to 10:00 am from 15 to 21 July,
2014. Please note there will be no further extension on the listed food items and stipulated time.
Please note that extensive menu spread of Jain Food will be available at cafeteria
4.
No Octonorm Structures for Raw Space Exhibitors: Exhibitors who have opted for RAW Space will not be
permitted to construct their booth in Octonorm structures. Raw Space Exhibitors have to construct their booth
only with materials like Maxima, Wooden Ply wood, etc.

IMPORTANT RULES & REGULATIONS – CONSTRUCTION & ELECTRICAL GUIDELINES
I.
Construction Guidelines for Mezzanine & Raw Space Exhibitors:-
1)
Raw Space only: – Includes bare floor space for exhibitors who wish to design & build their own stand. Design
and material for construction of individual booths has to be arranged directly by the Exhibitors. ONLY Power
connection will be supplied by organizers. Construction of Mezzanine & Raw Space Booths will not be permitted
without prior approval from organizers on structural, architectural & electrical plan to be uploaded in Form No 2
of the online exhibitor manual. Carpet will not be provided for raw space & Mezzanine booth exhibitors.
2)
Raw Space cannot be converted to Shell Scheme: Exhibitors who have applied for Raw Space will not be
permitted to convert it into shell scheme/built-up booths
3)
Compulsory Use of LED Lights for Raw Space: ORGANIZER has adopted Go Green Energy Saving Solutions,
where it’s more about Environment & Energy saving. Why Go for Green Energy – Saving Solutions. Green
products reduce Costs, Energy Consumption and CO2 Emissions. Green Energy – Saving Solutions offer a
Significant Environmental Improvement in one or more of our Green Focal Areas – Energy efficiency, Packaging,
Hazardous Substances, Weight, Recycling and Disposal, and Lifetime Reliability.
During IIJS, ORGANIZER will be using more of LED lights inside Maxima Stalls & instruct Raw Space Exhibitors to
use the only LED lights. LEDs use 90% less energy than incandescent (CFLs use 60%-80% less than incandescent,
and halogens use 20-30% less).

Exhibitor can also use CFL bulbs, Metal Halide of 70 Watt, Energy Saving lights, etc for stalls.
5)
Mezzanine Floor / Raw Space cannot take support of “Roof Truss, Pillars, A/c ducts, ceiling etc. inside halls”. And if
found heavy penalty, as may be decide by the organizers, will be imposed on the exhibitors and support will be
removed. Any additional charges, if any, incurred for removing such support will have to be borne by the
exhibitors
6)
All empanelled & private contractors of Mezzanine booths & Non-Mezzanine 8 unit booths have to pay
compulsory refundable security deposit amounting to ₹ 50,000 /- per exhibitor which can be adjusted against late
construction charges, if any.
7)
All types of Spray Painting of stand panels with oil based paints and any inflammable materials inside the halls are
strictly prohibited. Any exhibitor found using the same will be immediately stopped to do so and will not be
offered any extra time for completing their work which has been lost due to the discontinuing of the work.
8)
Air Conditioning for Mezzanine Floor: Due to height constraint, A/C ducting cannot be brought inside the
Mezzanine floor; therefore exhibitors have to make arrangements for air circulation & ventilation. However,
please note that use of personalized Air Conditioners/Air Coolers is not permitted.
9)
Due to the limited construction period, the use of pre-fabricated components is recommended. Exhibitors must
ensure that pre-fabricated components being used adhere to all Fire Regulations. All construction material must
be fire resistant
10) Welding on the floor of the exhibition halls for booth construction is strictly prohibited due to fire hazards.

Welding will be permitted to only mezzanine booth exhibitors on 5 & 6 July 2014.
11) Nail grouting on the floor is strictly not allowed.
12) Plaster of Paris (POP), civil work, melamine polishing or carpentry work is strictly prohibited inside the halls. The
decision on type/quality of material being used, as per the architectural/engineering consultant appointed by The
Organizer, will be final. In case the restricted material are being used, penalty of ₹ 25000 will be imposed.
13) The area of the booth must not exceed the allotted area i.e., 1 inch within the marked allotted area. The fascia
names should not protrude in the aisle beyond the stall limits.

14) The height of the booth must not exceed 2.5m/8.2ft. Please note that the Organizers reserve the rights to
dismantle any booth, which exceeds the maximum specified height of 2.5m/8.2ft. However, this is not applicable
for exhibitors with Mezzanine booths and the exhibitors of Island booths, who have taken prior permission from
the Organizer, projects of the Organizer & special sponsored booths
15) During the construction & exhibition period, exhibitors must ensure that their materials / furniture / exhibits are
not kept in the aisles / gangways for smooth functioning of safe placement & vehicle movement etc. Obstructing
items are liable to be removed without giving any notice / warning.
16) Signboards, arches, lighting equipment, flags, furniture pieces or exhibits should not protrude into the aisles nor
extend beyond the rented space. Exhibitors should note that carpets covering their own booths should be limited
to the booth space. The organizers reserve the right to use aisles for booth number plates and other materials.
Stand construction is confined to their booth space only.
17) Items like neon lights / artificial grass & similar decorative materials are not allowed to be used in Booth
Construction or display during the show.
18) No person is allowed to climb on cable tray, ducts and purling
19) Any decoration or exhibit must not obstruct fire-fighting equipment and facilities, such as fire extinguishers, fire
hydrants, sprinklers, emergency exit signs, etc. Also, Exhibitors must make sure that exhibits are not left in / near
these areas.
20) Hanging of decorative materials such as banners or wires from the ceiling of the exhibition halls is strictly
prohibited.
21) Exhibitors will be held liable and will be fined for any damage caused to the exhibition site, by them, their agents
or contractors. Please note that for any damages, the Organizer will charge the exhibitor concerned to the extent
of the damage caused.
22) Organizer reserves the rights to stop the construction if any deviation of rules & regulations found during
construction
23) Dumping of booth construction material or to begin construction work before the specified dates in the time
Table mentioned above, will not be permitted. If found, then the exhibitors would be charged heavy penalty
and/or construction work will be stopped immediately without any notice.
24) The construction materials to be offloaded within the periphery of the allotted stall. The materials found in the
aisle or any other stalls would be taken away by the house-keeping team & Organizer will not be responsible for
the loss.
25) LCD/LED TV and other display equipment’s to be installed at the booths: Exhibitors who will be installing LCD/LED
TV or other display equipment’s in their booths are requested to indicate the position of those display
equipment’s in their booth design to be submitted with Form No. 2 to the Organizer. Exhibitors should ensure
that their LCD/LED TVs are inside the boundary of the booths & flushed along the walls & do not project outside
26) Any decision of the organizer’s architect on the exhibitor’s booth construction work will be final and binding.
27) The Organizer will not be responsible for any loss of exhibitor’s or contractor’s material before, during or after
the show which includes construction and dismantling period

28) On completion of Construction of booths by 10:00 pm on 13 July, 2014. All Exhibitors must obtain the
Completion Certificate from the design team & interior consultants of the organizer, which will only be issued to
those Exhibitors who have complied with all Rules & Regulations related to booth construction and planning.
Exhibitors are requested to collect and endorse their booth Completion Certificate from their respective service
booths.

BOOTH HEIGHT FOR ISLAND BOOTHS
The height of the standard booth is 8’ ft. 2” Inches (2.5 mts.) including the flooring of the booth, but the exhibitors of
Island Booths can extend the height of their booths up to 11 ft, on payment of the following charges as per their
requirements and prior approval from the Organizer.
Note: Please note that the height extension is for branding purpose ONLY with prior permission from the
Organizer. The same will be permitted on submission of a written application on company letterhead along with the

BOOTH HEIGHT FOR MEZZANINE BOOTHS
Please note that all mezzanine booths will be allowed maximum height of 16 feet ONLY including the base platform of
the booth. No any further Increase in height will be allowed
Please note that Organizer’s Service Managers will be duly checking the heights of each & every booth in the
respective halls. In case of any violation of the height norms, the same will be notified and penalty equivalent of the
rate for the increased height will be charged unilaterally by the Organizers to the particular exhibitor/s.

Construction Guidelines for Multi-Exhibitor Mezzanine (MEM):1)

The entire structure of multi exhibitor’s mezzanine booth/s would be prefabricated by GJEPC contractor .
No further modification in prefabricated booth will be allowed.
Any types of Décor (Flower Décor, Toran, Fancy Lights, etc.) on Fascia are not allowed for Multi Exhibitor
Mezzanine Booths.
Exhibitors are not permitted to use their own furniture and lights.
Branding not permitted any area other than the space designated by the Organizer
Exhibitor may apply for additional stand fitting services if it is required & it’s within design specification.
Mezzanine level exhibitor can avail of display showcases around staircase area at ground level. The number & size
of the showcases will depend on the design specification to be provided by the design team.
Mezzanine level exhibitors will have to order SAFE & place under staircase at ground level on the area marked by
design team.
Basic electricity of 1000 watts per booth will be provided to each MEM exhibitor.
MEM additional furniture rates
Any additional requirement for furniture has to be applied online in Exhibitor Manual through Form No 3 on or before

21 June 2014. Onsite request will be provided based on availability & subject to additional surcharge of 50% on the
rates mentioned below:

III.
Construction Guidelines for Shell Scheme Booths:1) Shell Scheme Cannot be converted to Raw Space
Exhibitors who have taken Shell Scheme Stall cannot convert their stalls into Raw Space.
2) Customization in shell scheme is not permitted (for e.g. NO Ply wood frame / structure inside shell scheme, NO
Extra Lighting fixtures, etc.). If found, then Organizer has the rights to stop construction and close the booth
3) For any extra furniture requirements, kindly refer to Form No. 3. It is strongly recommended that any extra
furniture requirements should be ordered well in advance to avoid the surcharge as well as non-availability of
required furniture. On site orders should be avoided & will only be accepted based on availability of the ordered
furniture or fixtures.
4) Exhibitors must strictly adhere to the timelines provided for decoration of the booths
5) Branding is permitted only on the panels of the booth. Branding Medium should only be Eco Solvent SelfAdhesive Vinyl only.
6) Flex Backdrop framing, Pasting, nailing, hammering on the panels & the exhibition venue is strictly prohibited &
any damage, repair/replacement cost will have to be borne by the exhibitor.
7) Fascia: Corner booths will have fascia on both / all sides facing aisle with fascia boards carrying the Exhibitor’s
name. Where Exhibitors are occupying 2 or more adjoining standard booths, the partitioning panels in-between
the booths shall not be erected unless requested by the Exhibitor.
8) A uniform size of fascia will be provided to all the Exhibitors. Please check Form No. 1, to ensure that the correct

name of your firm appears on the fascia. If Form No.1 is not received by 13 July 2014, then the name as
appearing in the application form will be used for fascia.
9) Please note that the fascia name for Indian Exhibitors in the Jewellery Section will be exactly as per the Company
name mentioned in their membership form. For Overseas Exhibitors & Machinery section, it will be exactly as
mentioned in the application form. No Changes are allowed.
10) Other than Company name “NO” other name is permitted on the fascia and any other external area of the
booths. The brand names can only be displayed on the internal area of the booths and not outside of booths.
11) Number of Signage’s for the booths will be provided to each Exhibitor by the Organizers. Exhibitors must adhere
to the specifications of putting up this Signage’s.
12) Construction Timings & Schedule – Shell Scheme
Exhibitor using the Shell scheme booths should report to the site & commence their Booth’s decoration / windows
display work as per the timings given below:

MACHINERY EXHIBITTORS (SHELL SCHEME)
Compressed Air & Water for Machinery Exhibitors (Hall No.2)
Exhibitors who will apply for compressed air / water supply connection will be provided with outlets for the same near
the space allotted to them. The application for compressed air / water connection needs to be received by the

Organizer by submitting Form No. 11, latest by 21 June 2014.

Organizers will provide temporary compressed air connections to those exhibitors, who apply or the same online by
st
filling Form no. 11 before 21 June 2014. Exhibitors are not permitted to use their own compressors / water
connections. Exhibitors will have to arrange the connection to the machines from the source provided at their own
cost.
There is no drainage facility provided in the exhibition halls. Hence exhibitors will be required to make special
arrangements to collect and dispose off the waste water. Exhibitors may seek assistance from the official housekeeping
agency for this purpose. The service booth of the organizer in the Machinery Section (Hall No. 2) may be contacted for
the same.
Additional items for Machinery Booths
i) Three phase power connection will be provided to all machinery section exhibitors on formal request.
ii) For Basic Entitlement of furniture, kindly refer to Table 1 for Shell Scheme.
ELECTRICAL GUIDELINES
As per Maharashtra State Electricity Board Regulations, to keep an optimum level of electrical consumption, exhibitors
are requested to remain strictly within the parameters of the Electricity Entitlement for their booths as specified in this
manual.
It may be noted that Organizer will be monitoring the power consumption of each exhibitor. A detailed action plan in
this regard is as follows:
Electrical guidelines for your electrical contractor, your electricity requirement for booth, charges and
procedure for billing of connection and extra consumption
For the convenience of Exhibitors and also the maintenance of electrical equipment during the exhibition, it is
suggested that the following specific colors of wires should be used for all types of electrical connections in the
booths.

An inspection team comprising of representatives from the stand contractors, the Organizer and Electrical
Consultant will be authorized for recording the power consumption of each of the booths.

The electrical inspection will be carried out during the construction phase i.e. from 5 – 13 July, 2014 & also

during the show i.e. on all the 5 days of the exhibition i.e. from 17 – 21 July, 2014. Booth Completion
certificate would be given only if the guidelines have been adhered to & if the consumption has exceeded the
stipulated limit, then the exhibitor would have to rectify the same during the construction phase. Yet, if the same
is not rectified until the final inspection during the exhibition period then exhibitor is liable to pay the penalty as
mentioned in the below section under Extra Power Consumption. Also the Booth completion Certificate & the
Safe Keys will not be handed over to the defaulting exhibitor.
3.
Power consumption will be recorded in duplicate copies of Power Consumption Sheets. A specimen of the same
is enclosed for reference at Form No.20.
4.
All exhibitors are requested to assist the inspectors when they come to inspect the power consumption in their
respective booth/s.
5.
The exhibitors are required to countersign the power consumption sheet once the inspection is complete and the
duplicate copy of the sheet will be left with the exhibitor for their future reference and tallying with the bill of
excess electricity consumed, if any.
6.
Please note that if no representative of the exhibitors will be available to assist or clarify to the inspectors when
they come to inspect the power consumption of their respective booths, then the decision of the inspection team
will be final and binding on that exhibitor. However the inspection team will leave a duplicate copy of the Power

Consumption Sheet with the booth. For further clarifications, if any, the exhibitor may always consult with the
Organizer’s Service Managers present at the service booth for his/her section ONLY during the exhibition. No
clarifications will be entertained AFTER the show with regards to consumption of electricity.
7.
A penalty of 100% percent over the basic rate as described in Table 3 under Extra Power Consumption will be
levied in cases where the inspection team finds that the exhibitor has consumed excess power over and above the
declared consumption. Please note, in case of any dispute arising out of the above requirement the consultant’s
judgments will be final & binding on the contractor.
8.

Organizers will be providing power connection with MCB distribution board up to the exhibitor’s booth. The

a. Exhibitors are requested to make the payment for the same on or before 21 June 2014 along with the space
application form. If payment in made through Cheques / DD, then it should be drawn in favor of “The Gem &
Jewellery Export Promotion Organizer”
b. In case of loss/ breakage/pilferage of MCB, a fixed penalty charges of ₹ 5,000/- for each MCB will be payable
by the exhibitor.
c. All exhibitors must appoint a licensed electrical contractor for carrying out the inte rnal wiring within the
booths & must submit a photocopy of the contractor’s license to the Organizers. The contractor must appoint
a licensed supervisor on site for executing the electrical work. For Stall lighting work, the Stall Contractors shall
have electrical license valid in the state of Maharashtra.
d. For entire Stall lighting Stall Contractors shall use PVC insulated 1100 V copper wire.
e. For lighting circuit the wire shall be 3x2.5 sq.mm PVC insulated copper wire. For 16A power point, 3x4 sq.mm
PVC insulated copper wire shall be used.
f. For each exhibitor the incoming power will be provided only at one point by means of MCB in every stall by
the Organizer through their licensed electrical contractor. Beyond MCB wiring shall be through conduit or
casing capping by Stall Contractors / Shell Contractors as the case may be.
g. Entire Stall wiring shall be done properly without any type of joints.
h. Wire shall be terminated using crimping lugs.
i.
Entire installation shall be done in a safe manner.
j.
The load connected to power point shall be suitable for the socket.
k. It is mandatory to use only ISI mark material for doing the electrical installation.
l.
All Electrical installation must be properly earthed.
m. Lights / Power plug points will be provided strictly as per the type of booth allotted. See Table 1 & Table 2 .
Under the heading “Basic Booth Equipment”. The electricity consumption charges for the CFL lights
mentioned in the Table are included in the participation cost paid at the time of booth booking.
n. Each booth will be provided with electrical connections and will be allowed a maximum consumption of 1,000
watts.

o. Electricity of higher voltage, 3 phases will be supplied subject to prior arrangements with the Bombay
Exhibition Center (BEC) / Reliance Energy authorities. Electricity, whether from mains, batteries or generators,
shall be supplied only through the official contractor.
9.
Exhibitors are strictly advised NOT to directly draw electricity from the Bombay Exhibition Center (BEC),
Distribution Boxes. If detected, these would be immediately disconnected by the Bombay Exhibition Center (BEC)
/ Organizer’s electrical engineers. The Organizers as per the Exhibitors requirement (up to the stipulated
maximum load) will supply electricity. Form No. 17 must be filled up for specific electricity requirement and it

must reach the Organizer latest by 21 June 2014.
10.
The Organizers’ electrical engineer will check all electric fittings and circuits. Please also read the section on
EXTRA ELECTRICAL CONSUMPTION carefully (for the stipulated maximum load).
11.
EXTRA POWER CONSUMPTION
Extra electrical consumption above the basic entitlement will be charged @ ₹ 1,000/- per extra 100 watts.
Exhibitors are requested to note that while ordering for additional light bulbs and plug points from the stand fitting contractors they would be charged separately for electricity. The price indicated in the Stand Fitting
Services Form (Form No. 3) does not include the electricity charges, which will have to be paid to the Organizer
@ ₹ 1,000 per extra 100 Watts. The above electricity charges would also be applicable to exhibitors constructing
their own booth/s.
Due to limited availability of electricity at the venue, exhibitors should not exceed their entitlement of electricity
and additional load as per the Table given below:

Exhibitors may please note that floodlights & halogens for lighting purpose are strictly NOT ALLOWED
as they are a fire hazard and reduce the effectiveness of air-conditioning thereby causing inconvenience
to all.
14. The organizers reserve the right to assess the safety and consumption of electricity at each booth.
In view of the prevailing power situation, in the state of Maharashtra, the heat generation due to lights and electrical

conditioning and the final consumption of electricity. Hence, it has been decided by the Organizer that lights with
high radiation (high heat generation) will not be permitted to be installed in the booth.
It has been found that poor quality lights used by exhibitors, which omit hazardous, ultra violet (UV) radiation, which is
harmful to eyes, skins and general health of human beings. Hence, the exhibitors are requested to strictly use the
permitted UV Resistant electrical lights and fittings as described below (or equivalent ones with the same
specifications), which are tested and of good quality make like GE, Philips, Osram & etc.
LINEAR BEAM HALOGEN LIGHTS OF WILL NOT BE PERMITTED TO BE IN ANY OF THE BOOTHS. EXHIBITORS
ARE REQUESTED TO CHECK FROM THEIR SUPPLIERS AND ENSURE THE USE OF METAL HALIDES INSTEAD OF
THE LINEAR BEAM HALOGEN LIGHTS.
All circuit diagram & electric diagram of booth should be submitted online in form no.2 Booth Design /

Please note that the booth Construction period will be from 5 July to 13 July, 2014 (as per the table mentioned
above). All the manpower of the vendors/contractors thus registered by the Exhibitors will be provided with special
entry passes to work on the exhibition floor during the construction period. Each pass will cost ₹ 50/- Passes will be
issued on submission of the names of the personnel in advance on receipt of written request from the respective
"Registered Vendors/contractors". The passes may also be issued onsite by the respective Service Managers in the
respective Halls during the booth Construction period at the same cost. The vendor’s/contractors passes cannot be
exchanged and will be issued upon written request of the authorized personnel of the "Registered
Vendors/Contractors" only.

However, the rule for work & passes with penalty fees during the days of booth construction i.e. 14 & 15 July
2014, remain unchanged and as per Article of "Booth Construction Timing" of the Exhibitor’s Manual. Vendor /
Exhibitors will have to pay charges on site for permission to continue construction. In absence of “NO
PAYMENT” construction work will “NOT BE ALLOWED”.

Note:

 On payment of the above-mentioned amount (Charges for construction of booth beyond 13 July, 2014), a
one-time pass will be issued which will be valid for that day only.
 Entry on this pass will be restricted to 8 people per Exhibitor per slot/day, no replacement of these passes are

 Payment or declaration for payment in the prescribed format may be done by the exhibitors / authorized
representative of the exhibitor concerned. The same should be made at the Organizers on site office located in
the respective halls.
 The contractors/vendors will ONLY be allowed to construct boo th for which the payments are made for

Procedure for Dismantling:

Penalty for Dismantling:
Security Deposit will be forfeited of Exhibitor’s, if they “Fail” to meet the deadline for dismantling of their stalls

by 09:00 pm on 23 July 2014. There after the organizers will dismantle the booths without any notice and
cannot be held liable for any loss thereof. In case the Organizer has to dismantle the booth due to delay in
dismantling on part of exhibitor, any additional charges incurred will be borne by the exhibitor
BLACKLISTED VENDORS
It may be noted that none of the unregistered vendors/agencies and their workers including the following black listed
agencies of NESCO (BEC) would be permitted to work on the exhibition floor:

COMMON RULES AND REGULATION
All Exhibitors must strictly adhere to the following rules and regulations :
1. For those exhibitors who are in the Jewellery section in Hall 1, 5 & 6 they can only display goods as per their
designated sections. If any other goods are displayed then the Organizers reserve the right to close down that
particular booth without any notice to the Exhibitor.
2. Loose stone section: Exhibitors of this section will be allowed to exhibit ONLY Loose Stones (i.e. loose Diamonds
& loose Gemstones & Synthetics). No other section exhibitors will be permitted to display loose stones other than
in the loose stone section. Any exhibitor not complying with this rule will be liable for closure of their booth by the
Organizer.
3. All the exhibitors would be provided with fire extinguishers on returnable basis during exhibition period. Exhibitors
are liable to pay penalty charges for loss of fire extinguisher at the rate of ₹ 2,500/- per extinguisher.
4. The official Safe providing agency M/s. Godrej Boyce & Co has been instructed to handover keys of the individual
Safes only to the concerned exhibitor, on production of the booth completion certificate.
5. Breakfast facility will be available for exhibitors in the early morning hours (08:00 am to 10:00 am) at special
cafeterias at the venue during the show days

participation at future projects & activities of Organizer.

Use of obscene images/mannequins in the exhibition is strictly prohibited.

Booth should not be left unattended at any time during the Exhibition.

Smoking & consumption of Pan / Tobacco is strictly prohibited in the entire Exhibition Area, which includes all
Exhibition Halls, Cafeterias / Coffee shops, Seminar hall, Registration Area and Business Centre.
e.
Blatant or competitive display of rates is not permitted.
f.
Loitering & gossiping / speaking loudly in the aisles are strictly prohibited.
g.
Projection & Playing of loud music strictly not allowed which may cause any obstruction to the neighboring
booths. Organizers reserves the right to disconnect or discontinue any audio-visual presentation or other
equipment, which is detrimental or offensive to others.

Rules and Regulations
 All the exhibitors are requested to take a note that no personal safes would be allowed other than the
safes from the authorized agency appointed by the Organizer at the exhibition.
 No strong room facilities will be available at the venue.

i Godrej Safe Rental, Operations & Return of Keys:
For hiring a Safe from Godrej, exhibitors must fill in and send Form No. 9 for Safe Rental. Orders for the Safe/s

It is to be noted that for all exhibitors of the Jewellery sections who opt for safe rental from Godrej, an indemnity
bond has to be signed and submitted to the Organizer’s office within 3 working days after submission of the form
as per the applicable deadlines mentioned in form list. The Safes would only be handed over on submission of
this affidavit cum indemnity bond. Please refer to the format and take a print of the same on a ₹ 200/- non
judicial Stamp Paper and submit it to the Organizer office by due date as mentioned above in online forms

Exhibitors need to provide 1 passport size photograph and specimen signatures of the two authorized persons
who will be responsible for collection of safe keys (Form No. 9) In case of loss or theft of keys, these authorized
personnel will have to apply for a new key in writing.

Submission of Layout of Godrej Safe Placement: Exhibitors must submit the booth layout giving the location of
safes to be placed in position. Doors (with door opening position) and spaces within the booths should be
planned, constructed and marked on the layout to allow free positioning of the safes that have been ordered.
Godrej will deliver and place the safe in the booth as per the layout submitted.

Exhibitors will be charged additionally for shifting of Safes after placement of safes as p er submitted booth layout.
The Organizers will not be held responsible for adhering to any changes thereafter. The charges applicable will
be ₹ 6,000/- for models 26 & 41 defender & ₹ 7,000/- for 61 defender to be paid to the official safe

Collection and Deposit of Safe Keys:
Safe keys will be handed over ONLY to the authorized person/s, from the exhibiting company. Verification of the
authorized person will be done jointly by Godrej and the Organizer at the service booths, which will be located in
each section of the respective halls. Kindly check if the name/s and photograph/s of the person/s that will be
responsible for collecting the Safe Keys from Godrej have been submitted. (Only these persons will be authorized

Exhibitor’s vehicles are allowed to park their cars in the specified parking area only from 15 to 21 July, 2014 by
displaying IIJS 2014 car parking sticker prominently on their car screen. Each exhibitor will be entitled to get
Complimentary Car Parking stickers (as given below in Table 4) for parking their cars in the Exhibitor’s Parking Area.
Exhibitors should order the applicable number of Car sticker by filling up Form No. 4 along with the Car registration
number.
All the exhibitors are requested to paste their stickers on the front wind shield (from inside) which has to be visible to
the security personnel. This is mandatory for all the exhibitors.

Code of Security Level I comes into effect from 5 July, 2014 wherein all persons entering the Halls will need
wrist bands. The wrist bands can be obtained from respective service booth on payment of prescribed charges.

Security Level II comes into effect from 14 July, 2014 onwards wherein entry into BEC Complex is strictly
restricted. No exhibitors, or stand-fitting contractors or cars are allowed to enter the exhibition halls without an
official badge issued by organizers. Exhibitors should order the required number of badg es by filling up Form No.
7.

BADGE ENTITLEMENT
Each exhibitor will be entitled to get free Exhibitor Badges and Additional Badges with Charges as per the “Table”
given below for personnel managing their booths. Exhibitors are requested to submit online Form No. 7 with the
names of their personnel who will be present during the exhibition at their booth/s, together with one recent colored
passport size photograph, enabling the organizers to issue photo identity badges. Exhibitors should note that without
a proper photograph on the badges, no one will be allowed to enter the exhibition halls & man the booths.

Temporary Maintenance Badges (Only issued in case of Emergency from 17 to 21 July, 2014)

Only 2 Temporary Maintenance badges (Valid only for 2 hours from the time of issue between 17 and 21 July,
2014 will be issued to the Exhibitors for the emergency works related to carpenter, electrician from 10:00 am to 6:00
pm. These badges will be issued only in case of contingencies after proper verification and will be issued by the
Service Zone Managers based on his/her assessment of the situation.
Exhibitor will be charged ₹ 500/- per Temporary maintenance badge along with ₹ 1,500/- as Refundable
Security deposit. Badges will be confiscated and the security deposit will be forfeited, if anyone is found inside the
halls beyond two hours from the time of issue of badge.
LOSS OF BADGES:
Duplicate badges will be issued to the exhibitors for the loss of badges. The badges will be provided IN PERSON to the
same person who has lost his/her badge. A formal application on the Company’s letterhead for issue of duplicate
badges needs to be submitted. Issue of duplicate badges will be done at a charge of ₹ 500/- per badge.
EXCHANGE / REPLACE OF BADGES:
Exhibitors can exchange / replace maximum up to 2 badges @ ₹ 500/- per badge. For exchange of badges, exhibitor
needs to submit the earlier issued badge which needs to be exchanged along with the written request on the
Company’s letter head stating the reason for exchange.
Exchange / Replacement of badges can be done only after completing the entire badges quota.

Misuse of badge/s: The entry badge is strictly personalized and non-transferable. Anyone caught trying to forge the
badge or force entry will be liable for persecution
SHUTTLE BUS SERVICES
Bus Shuttles will be provided to Exhibitors from the official hotels to the venue and back, at specific timings. Exhibitors
may check with the respective hotels for the same.

OFFICIAL PHOTOGRAPHER
Exhibitors should utilize the services of the official photographer appointed by the organizers for their requirements.
Exhibitors are strictly not permitted to bring their own photographers / cameras inside the Bombay Exhibition Center
(BEC)
All exhibitors requiring photographs should place their orders at the press lounge in hall no. 1, by filling out an order
form. Payment must be made at the press lounge at the time of placing the order. The negotiated rates will be
informed in due course
BUSINESS CENTRE AND CONFERENCING
There will be a Business and Communication Centre in Hall 1 which will house facilities like Meeting Rooms, Fax,
Photocopying Machines, Internet, etc. Facilities can be availed of on a chargeable basis.
FIRST AID
Basic First Aid facilities are provided in all the Halls. An ambulance will also be present at the venue in case of an
emergency outside Hall 2. During the construction & dismantling period First Aid booth will be located on the
mezzanine floor of Hall 2 at the Organizer’s Office. During the show the booths will also be located in Hall 1 & 5.

Any exhibitor who wants to clean the interiors of their booths needs to apply for the same by submitting Form No. 16
to the Organizer. The Housekeeping personnel will be cleaning the inside of the booths only in presence of the
exhibitor’s representatives.

Elaborate round-the-clock security arrangements including Electronic Surveillance have been made at the venue.
