Dear Exhibitor, This Exhibitors’ Technical Manual contains important information that is designed to assist you in preparing for the ERS/ISIAN 2014 Exhibition. Please read the information in this manual. It will take you very little time now and could save you a great deal of time later. The Exhibition will be held in conjunction with the ERS/ISIAN 2014 Symposium taking place on June 22 – June 26, 2014 at the Beurs van Berlage. The Exhibition floor plan (page 18) has been designed to maximize the Exhibitor’s exposure to the delegates with lunches and coffee breaks taking place in the Exhibition area. We recommend Exhibitors using Independent Booth Contractors to include a site visit in the planning process to assure a smooth and well planned set up. Please contact Mr. Barry van Doornmalen of the Beurs van Berlage at [email protected] to coordinate a meeting. Please forward this manual to everyone who is working on this project, including your stand builder, as it contains useful information about the symposium. Exhibitors are asked NOT to dismantle their stands before stipulated time. All stands must be completely removed by the stipulated time. The organizer and Beurs van Berlage will not take responsibility for loss or damage. Exhibitors must take full responsibility for items on their stand for the duration of the congress until everything is cleared from their stands. Any equipment, display aid or other material left behind on Thursday, 26 June, 2014 after 23:00 will be considered discarded and abandoned. Empty crates and packing material must be removed/stored after set‐up no later than 9:00 am on Sunday, 22 June, 2014. All aisles must be clear of exhibits and packing materials to allow for cleaning. It is the exhibitor’s responsibility to dispose all materials after dismantling. Any charges incurred for waste removal will be sent to the exhibitor. Please contact the Official Shipping agent for available storage options. (See Section 1: Contact information). Welcome Reception: You are invited to the Welcome Reception on Sunday, June 22, 2014 at 18:30 in the Exhibition area, (will begin as soon as the Opening Ceremony is over). Booth furniture and accessories are available for rent. Please refer to the enclosed catalogue and order forms at the end of this manual. Shell Scheme Package Shell Scheme Package includes the following:  Shell scheme frame (white walls in an aluminum frame of 2,50m x 1,00m) *  Basic lighting (1 spot of 80 watt per 3sqm booth)  Electric socket (3 KW)  Closed fascia panel with standard lettering **  Stand number and company name on each open side  Grey carpet  Cleaning of public areas and gangways  Exhibitors’ badges (see SECTION 6: Exhibitor Badges)  100 word company / product profile in the Final Programme  Invitation to the Welcome Reception for registered exhibitors (For illustrative purposes only) * Shell scheme booths located in the lower ceiling area comes with 2.38 meter high walls ** 20 characters, including spaces, may be written on your fascia for every one meter of fascia length. Please send your fascia text to Daan@a‐booth.nl no later than Friday, June 6, 2014. Please note: Corner booths are provided with two open sides and cleaning is not included with your shell scheme. If you require additional stand equipment (furniture, audiovisual equipment, etc.) and services, please contact the official stand contractors (see SECTION 1: Contact Information) or refer to the enclosed catalogue at the end of this manual. 8 Technical Information and Regulations for Shell Schemes Booths 1. All basic shell scheme booths will be designed and built by the Official Contractor. 2.
All booths are on rental basis. 3.
Exhibitors are not allowed to make any alterations to the structure of the booths or remove any integral parts from the booths. Exhibitors wishing to remove or change the location of any standard equipment (e.g. spotlights) within the booth should indicate clearly on the location plan and forward it together with clear instructions to the Official Contractor before Friday, June 6, 2014. 4.
No additional booth‐fitting or display may be attached to the standard booth structure. 5.
No free standing booth‐fitting or display(s) may exceed a height of 2.5 meters or extend beyond the boundaries of the site allocated. This includes company names, advertising materials and logos provided by the exhibitor. 6.
No tape, nail or fixture of any kind is allowed to be affixed to the partitions, floor, ceiling or fascia. Exhibitors are liable to any damage caused to their booth fixtures, fittings at the congress. 7.
All electricity power points installed are for machine use only, not for lighting. If the exhibitors or non‐official contractors bring their own lighting devices for booth decoration, they must submit all lighting distribution details and pay the light connection charges to the Official Contractor. 8.
Exhibitors requiring additional equipment should contact the Official Contractor no later than Friday, June 6, 2014. 9 Designer/ Independent Contractor Stands Technical Information and Regulations for Designer/Independent Contractor/Space Only Stands 
Exhibitors using independent contractors are required to submit the following for approval no later than Friday, June 6, 2014: 1. A scaled drawing (including elevation views) of the proposed booth to be built. 2. A list of all Electrical / gas powered devices / appliances to be installed in the booth. 
No free standing booth, fitting or display may exceed a height of 3 meters or extend beyond the boundaries of the site allocated. This includes company names, advertising materials and logos provided by the exhibitor. 
All exhibits are to be displayed so as to avoid blocking aisles, obstructing adjoining booths, or damaging the premises. 
Exhibitors are kindly requested to allow sufficient see‐through areas that ensure clear views of surrounding exhibits. 
Booth platforms / floors higher than 4.5cm are required to provide a ramp for handicapped access. This must be incorporated into the design of the booth and must be included in the booth space provided. 
Multi‐level structures are not permitted. 
The Organizers will NOT approve stands that do NOT comply with the accepted standards until the necessary changes have been made. Work cannot commence until the exhibitor layout is approved by the Organizers. 

All stands include electrical power up to 3KW. Exhibitors who need electricity over 3KW should order it from the venue. Please use the order form found in this manual. 


Loading will be through the loading dock of the Beurs van Berlage. Please see Map and Exhibition Floor Plans on following pages. Loading entrance SOUTHSIDE of the building (Beursstraat opposite to nr. 33): ‐ Maximum weight 1000 kg ‐ Loading and unloading are located in ‘de Grote Zaal’ ‐ Loading and unloading solely between 07.00 – 23.00h will be coordinated by Hermes. ‐ The size of the door for loading and unloading is 2m x 3m. ‐ Platform lift: 2.65m x 2.50m (1000 kg weight) ‐ Forklift cannot be used on the Beurs van Berlage floor Truck parking is best on the Prins Hendrikkade 20 for 55 euros per day. Municipal logistic regulations for trucks more than 7.5 tons are prohibited from driving during the following hours: Monday – Friday, 22:00 – 05:00 Saturday – Monday, 15:00 – 05:00 11 Pictures of the Exhibition Area 12 Deliveries to Venue The earliest date for large and small package deliveries to the venue is Saturday, June 21, 2014. Packages should be labeled accordingly (See shipping instructions at the end of this manual) Move in Saturday June 21st, Due to the Beurs van Berlage location only samll trucks can arrive to the location, no parking area and car stop is limited, therefore we highly recommend to send all shipment to the advance warehoue We did an onsite visit and we have the following findings: ‐

You can only enter the venue with manual equipment and rubber wheels. There are 2 small elevators, they can only be accessed with a 7.5 ton truck (10 meter) For vehicles longer than 10 meter you can only access during the times from 23:00 – 07:00 A special permit must be apply For additional shipping / delivery options direct to the venue, please refer to SECTION 9: Shipping, Tariffs, Material Handling and Shipping Labels. 13 Map of Loading Area See figure on the right for unloading and loading your materials. Parking 14 Route to Beurs van Berlage / the Bijenkorf parking garage From the south: From the Amsterdam ring‐road (A10), take the Duivendrecht exit (signposted ‘S112, Centrum’). At the roundabout, make an oblique right (S112) onto Wibautstraat. At the end of Wibautstraat, turn left at the large roundabout on Mr. Visserplein. Drive alongside waterlooplein and the Muziektheater/City Hall, cross the Amstel River and turn right. Continue alongside the Amstel River until you have to give way to the traffic on a larger road, then bear right (onto Rokin). Continue until you reach Dam Square. Ahead and to your right, you’ll see the tower of the Beurs van Berlage. Cross Dam Square and immediately after passing the Bijenkorf department store turn right into its parking garage (or if appropriate, drive to the goods receipt entrance of the Beurs van Berlage, on Beursstraat). From the north: From the Amsterdam ring‐road (A10), take the Volendam exit (signposted ‘S116, Centrum’). After passing through the IJ tunnel, continue straight on, following the signs to ‘Muziektheater’. Continue until you reach the large roundabout on Mr. Visserplein. Take the second right (the first is posted ‘no entry’), drive alongside Waterlooplein and the Muziektheater/City Hall, cross the Amstel river and turn right. Continue alongside the Amstel River until you have to give way to the traffic on a larger road, then bear right (onto Rokin). Continue until you reach Dam Square. Ahead and to your right, you’ll see the tower of the Beurs van Berlage.Cross Dam Square and immediately after passing the Bijenkorf department store, turn right into the parking garage (or if appropriate, drive to the goods receipt entrance of the Beurs van Berlage, on Beursstraat). Parking costs: day rate EUR 52 (vehicle maximum height 1.80m). 15 Route to ‘ANWB Parking Amsterdam Centraal’ and ‘Car Park De Kolk’ From the Amsterdam ring‐road (A10), take the Volendam exit (signposted ‘S116, Centrum’). After passing through the IJ tunnel, turn right at the traffic lights (signposted ‘Havens’) onto Prins Hendrikkade. Drive to the end of Prins Hendrikkade; this will take you past Centraal Station (central railway station), which will be to your right. At the first traffic lights after Centraal Station, you’ll see ‘ANWB Parking Amsterdam Centraal‘ to your right. If you turn left at the first traffic lights after Centraal Station (onto Nieuwezijds Voorburgwal), after a few hundred metres you’ll find ‘Car Park De Kolk’ on your left. Parking costs: day rate EUR 52 (vehicle height 1.90m). Prins Hendrikkade 20 The best place to park your truck is at the Prins Hendrikkade 20 (P1). Parking costs are EUR 55 per day and the vehicle height is 1.90m. All Exhibitors are required to be registered and will receive a badge displaying the exhibiting company’s name. Individual participant names will not appear on badges and may be used interchangeably between staff members. Two exhibitor badges will be given for the first 9 sqm and one additional badge for each 9 sqm thereafter. Additional exhibitor badges can be purchased for a charge of EUR 150 (including VAT). To order additional badges, please use the exhibitor badge order form on the next page. 

The Organizers will provide a security guard service in the exhibition hall during off‐show hours. Neither Beurs van Berlage nor the Organizers can accept responsibility for the security of the stands and their contents and for damage to, or theft of any goods. Exhibitors are fully responsible for the security of their stand and equipment. For ordering additional security, please refer to the contact details provided in SECTION1: CONTACT INFORMATION Stand Cleaning 

The organizers will arrange for general cleaning of the exhibition area prior to the opening of exhibition and daily prior to opening thereafter. For ordering daily stand cleaning, please refer to contact detail provided in SECTION 1: CONTACT INFORMATION Waste Removal 

Exhibitors are responsible for the removal of all refuse/ waste from the exhibition area. Any discarded waste, including promotional material, left behind will be removed by the Organizers at the expense of the exhibitor concerned. Parking Facilities 

Parking during loading and unloading is at the back of the venue. This is for loading and unloading ONLY. For additional information regarding the parking facilities, please look at the pages 14 – 17 regarding parking garage and costs. 24 Smoking 
The ERS/ISIAN 2014 congress is a non‐smoking congress. Disposal of Material 
It is obligatory to collect and dispose of all material during the breakdown or dismantling of the event. When the dismantling period is over, the exhibitor loses any right to claim for losses or damage to property left behind and any costs incurred by the venue in removing this property will be charged to the exhibitor. Damage to the Premises 
Exhibitors are liable for all damage caused to floors, walls and pillars during the installation, exhibition and dismantling period. No adhesive stickers and fixtures of any kind are allowed on floors, walls and pillars. Fire Insurance (compulsory) 

Exhibitors must be insured against fire. Fire Regulations (General). Stand material and fittings must be of non‐inflammable materials or impregnated with fire‐retardant chemicals. As a general rule, easily inflammable synthetic substances, foam polyester, and non‐fireproof straw and reeds are prohibited. Poster Hanging, Banners etc. 


You are obliged to have a public liability insurance that covers all injuries to persons and damages which might cover in connection with the exhibition. We also recommend that you have additional coverage against loss or damage to exhibition material during transport and during exhibition times. Please make arrangements for insurance coverage through your company’s insurer. Insurance (Compulsory) 


Neither the Organizers nor Beurs van Berlage, their representatives or agents will be held responsible for any loss or damage to exhibitor’s property. Exhibitors must take precautions to protect their property against pilferage. The Organizers do not provide insurance for exhibitors and their property. The exhibitor is responsible for his property and person and for the property and persons of his employees through full and comprehensive insurance, and shall hold harmless the Organizers for any and all damage claims arising from theft and those perils usually covered by a fire and extended‐coverage policy. Exhibitors are personally liable for all expenses incurred by the organizer or by third parties in regard to technical services provide. Promotional Activities 



All demonstrations or instructional activities must be confined to the limits of the exhibition stand. Advertising material and signs may not be distributed or displayed outside the exhibitor’s stands. Sound equipment must be regulated and directed into the stand so that it does not disturb neighboring exhibits. The Exhibition Management reserves the right to require the exhibitor to discontinue any activity, noise or music that is deemed objectionable. Special Effects 
Special effects lighting, live music, smoke and laser projection may not be used in the stands. No permission will be given for projection in the aisles or on the walls of the hall. The Netherlands 31 Courier Shipments It is not recommended to use a courier service for shipping your goods to the congress venue. In case of sending a courier shipment, please be sure to send us a pre‐advise with the full details of the shipment: courier company, number of pieces and tracking number. Shipments will be accepted in the show site by our representative starting from the first move in date. Shipments arriving before that time will not be accepted. Dangerous Cargo Exhibitors need to complete a special form for dangerous goods. These forms will be provided upon request and the completed forms should reach us before shipment is dispatched. There will be surcharge of 100% for handling this kind of shipment. Insurance All goods must be fully insured with all risk coverage. Insurance can be provided upon request. We regret that we can take no responsibility for goods after delivery to the exhibitors stand regardless if the exhibitor is present or not. Heavy & Oversized Shipments A heavy and oversized shipment applies to any single exhibit in excess of 1000 kg and 5 CBM that requires the use of a forklift mobile crane for installation. Exhibitors with heavy and oversized exhibits must inform us at least seven days prior to delivery.  Orders which are not accompanied by a fully completed coversheet will not be executed. This
will also apply to coversheets which are not dated and/ or undersigned;
 After receiving your order A-Booth exhibition services will send a conformation. This is also an
invoice for the requested services. Invoices must be fully paid BEFORE the exhibition opens.
If because of the time-schedule this is not possible A-Booth exhibition services is allowed to
request cash payment at the exhibition floor;
 Orders can be made at the latest at the last day available for construction and/ or decoration.
For orders made at the exhibition floor during build-up an extra (transport) amount can be
calculated. For these orders A-Booth exhibition services cannot guarantee that the requested
colour, model, seize or number is available. Orders made at the exhibition floor will be
executed at the following day, before opening of the exhibition;
 In case of payment by creditcard the total order amount will be raised with 6% administration
costs;
 All prices mentioned are on a rental basis, VAT excluded and, unless mentioned differently,
for the full exhibition period;
 For exhibitors based outside the Netherlands no VAT will be calculated if A-Booth exhibition
services is provided with their national VAT number;
 When after sending an order confirmation/ invoice the invoice address needs to be changed
(including the change of the person for contact or department), a procedure needs to be
started to obtain a purchase order or any other administrative number or any other essential
change in the necessary invoice information has to be made an amount of € 30,00 per invoice
will be charged for administration costs;
 When an order is cancelled during the period in which an early-order-discount is applicable, a
percentage of 10% of the price of the items concerned is charged for administration costs;
 When an order is cancelled after the early-order-discount has come to an end, no financial
restitution will be made.


In the grid below please fill in the detailed company or institution name as you wish to be mentioned at
the fascia panel of the stand. Except spelling, pay attention to the use of capital and under cast
characters. On 1 line appr. 20 characters can be placed. Extra characters will be charged € 1.85 per
character.
If this form is not send in, the name will be used as known by the organization and named in the list of
exhibitors.
As an extra order we can provide exhibitors with their company logo at the fascia panel or elsewhere
in the stand. Please send in an example to the e-mail address mentioned above and you will receive a
price-offer on a short term.
The offered price is based on the desired size and the number of colors in the logo. For the fascia
panel the maximum height is 27cm. When the offer is accepted an .eps outline extension is necessary
for the best result.
