THE COMPANY
HELEXPO is the national exhibition agency of Greece. It is the largest organizer of exhibitions,
conferences and cultural events in South-Eastern Europe and is located in Thessaloniki. It
operates as an S.A. company entitled “TIF - HELEXPO S.A. HELLENIC ORGANISATION OF
INTERNATIONAL EXHIBITIONS, CONFERENCES AND CULTURAL EVENTS”.
HELEXPO has the exclusive right to use Thessaloniki International Exhibition Center, which
covers an area of 180,000 square meters, “I. Vellidis” and “N. Germanos” Congress Centers,
located in the city center, and “HELEXPO Palace” Attica Exhibition and Congress Center, which
is located in the heart of Athens and is the best equipped center in the exhibition sector in
Greece; the Center was ceded to the Organizing Committee of “ATHENS 2004”, in order to be
used for the needs of the 2004 Olympic Games. In addition, a building plot spanning an area of
40,000 square meters was recently leased in the greater area of O.A.K.A. (Athens Center for
Olympic Sports) for the erection of a new 15,000 sq. m. exhibition center.
HELEXPO also has the exclusive right to use the trademarks of all sector exhibitions.
Thessaloniki International Fair (TIF), a General Fair of global prestige organized by HELEXPO
every September, is one of the most successful and long-running exhibition institutions. As
of 2004, TIF has evolved into a Targeted International Exhibition of specific Commercial and
Cultural Thematic Directions, in order to operate as an “incubator” for the development of new
sector exhibitions and new services and events. The 1st TIF event was held in 1926; today,
TIF comprises the most important economic and cultural event in Greece and the broader geographical region of South-Eastern Europe.
The exhibition calendar of HELEXPO includes approximately 20 international sector exhibitions
annually, characterized by an ever-increasing pace of development; the number of trade visitors
from the countries of new markets keeps increasing as well.
HELEXPO, either as part of its sector exhibitions or independently, organizes national, regional
or international conferences and day meetings. Its conference activities include some of the
largest conferences held in Northern Greece, the most important being the World Council of
Hellenes Abroad.
Furthermore, HELEXPO offers its facilities and services to other agencies for organizing
exhibitions and conferences and complements its exhibitions with various satellite cultural
events, the top ones being those organized during Thessaloniki International Exhibition held
every September.
Thousands of exhibitors from Greece and dozens of other countries from all continents
participate in the exhibitions of HELEXPO. Its facilities are visited each year by more than
2,000,000 visitors. The international trade prestige and efficiency of HELEXPO have become its

INSTALATION & SET UP INSTRUCTIONS
Dear Exhibitor,
In this booklet you will find information concerning technical facilities
and equipment that can be provided as well as useful information that will
make your arrival and setup in your exhibition stand smooth, quick and
easy. Please send us your request for technical facilities and equipment
on the forms provided, in due time, enabling us to make the necessary
preparations for better service to you. Aiming to meet the needs of
exhibitors’ best, HELEXPO has installed Exhibitor Aid Offices within the
Pavilions; therefore, exhibitors are requested to contact the person in
charge during the exhibition for any information and technical support
that they will need for the construction and smooth operation of their
stand.
INSTALATION & SET UP
At his arrival, the exhibitor or his permitted representative in the exhibition space
receives his showroom space from the Floor Manager of his Hall.
For special constructions of Type 1 (trace on ground) essential condition for the receipt
of space, is the submission of solemn statement for the good and sure operation of
constructional work and electrical installations accompanied from Electrical Drawing
of installation a copy license of the electrician installer.
In order to construct two - story stand the application should be submitted to HELEXPO
15 days before the construction period of the exhibition. The request should be
accompanied by a static study, as well as, a formal engineering declaration for the
safety of the display. HELEXPO will check the study and will approve or propose any
amendments.
The exhibitor has the ultimate responsibility for the exhibits and the machinery must
take all the necessary safety measures regarding static and operation.
The maximum height of exhibits is determined by the Operation Rules of the exhibition;
nevertheless, the minimum distance between the tallest point of the construction and
the building’s false ceiling may not be less than 10 cm. Excluding pavilion 2 and 8
(grand floor and story) as well as pavilion 6, in which the distance of the construction
must be 50cm from the ceiling.
Exhibition area construction must be aesthetically pleasing on both sides, particularly
in regard to aspects adjacent to other exhibitors’ stands.

EXHIBITORS DEPARTURE
Fuse boxes, fire hydrants, water supply wells, electricity supply installations, etc.
located at specific areas may not be covered, so that they may be easily accessible in
case of malfunction or new connections.
Concrete construction, building, local and general excavation works, holes, etc.
are forbidden at HELEXPO facilities or in regard to HELEXPO property/materials.
The deterioration of the above implies a monetary fine which will be imposed to the
exhibitor following a cost of the technical service of Helexpo.
All exhibition area decoration and layout works have to be completed one (1) day
before the exhibition opens.
DEPARTURE
When the Exhibition ends, exhibitors, having fulfilled their financial obligations at HELEXPO Accounting Office, receive a validated permit to remove their exhibits. Upon
departing from HELEXPO, they must submit this permit to the Pavilion Supervisor.
The dismantling/removal of exhibits must take place by noon of the day following the
final day of the exhibition.
Exhibition area construction materials must be removed within two (2) days after the
final day of the exhibition. In case the exhibitor leaves any construction material at the
end of the dismantling period in the exhibition area, then he will be charged with the
cost of the removing.
Furniture provided to exhibitors by HELEXPO is collected on the evening of the final
day of the exhibition.
HELEXPO bears no responsibility in the case of loss, damage, etc. of exhibits during
the dismantling of the exhibition, as guarding services are limited exclusively to
building installations. For this reason, it is recommended that small exhibits or any
items located at exhibitors’ exhibition areas (e.g. laptops, computers, TV sets, etc.)
should be removed on the evening of the final day of the exhibition.

TECHNICAL FACILITIES AND EQUIPMENT
FOR STANDARD BOOTH
The rent of Type 2 exhibition stand (with equipment) except for Kosmima and Book Fair, included
the following facilities: partitions, fascia with exhibitor’s name, the stand number, carpet, one power
point/16sq.m., 10 spotlights/16 sq.m., power consumption, one desk, three chairs and one small
table, regardless of the total dimensions of the stand.
In case that the exhibitors ask for alternation of his/her allocated Standard Booth (T2, standardized
constructed stand) to ground trace T1 (non-constructed) or for partial modification of the Standard
Booth in less than 5 days from the opening of the fair, he/she is charged for the ground trace (T1
non-constructed) utilization with € 15.90/m2 (VAT not-included)
Cal Power for Standard Booth
No third parties are permitted to make any electrical installations within the Type 2 exhibition stands.
Exhibitors may request additional lighting by submitting the inquiry form (see pg. 22).
Water Supply - Drainage
The water supply and drainage connection including connectivity hardware with the terminations of
the pavilion, plus the respective works, costs 60 €. In this price, are included all materials like piping,
wiring, water consumption and work, as well as, the disconnection of the devices at the end of the
exhibition. The ends of the devices must have the following presuppositions:
Water supply: 1/4”, 3/4”, 3/8” Drainage: 1 1/4.
This service is not available on floors and mezzanine.
The application must be submitted at least 15 days before the opening of the event.
Medical Aid
HELEXPO provides first aid at the Infirmary of Pavilion 7 for exhibitors and visitors throughout the
duration of the exhibition.
Parking
Cars and vehicles are not permitted to enter HELEXPO installations during exhibitions. Therefore,
you are kindly requested to rent a parking space in time. Please contact the HELEXPO Cashier.

• HELEXPO is the sole responsible for the establishment of the suspension points from the roof of the pavilion and
the surrounding areas, as well as, the certified-authorized partners.
HELEXPO reserves the right not to fulfill requirements that fall under constraints regarding roof requirements or safety
reasons.The request should be submitted to HELEXPO, 15 days before the construction period of the exhibition
and should be accompanied with a detailed plan and a declaration letter. The plan shall include entire suspended
equipment, places, weights, power points, dimensions, heights and description of the materials. HELEXPO will
examine suspension plan for feasibility and will approve or indicate any changes.

PHONE SERVICES / INTERNET CONNECTIONS
Digital telephone connection with an Alcatel 5010 device
This is the basic telephone connection for those exhibitors who require voice communication.
The apparatus is of ISDN technology and has keys, voice-over hearing and 5 keys for special
functions. This apparatus cannot be connected with other apparatuses.
Analogue telephone connection with a Siemens 802 device
This is an apparatus for clients who wish to connect it with their own equipment (fax, modem,
computer). The line is compatible with the digital lines of the Hellenic Telecommunications
Organization and is provided with a first class telephone apparatus with a keyboard.
Supply of ISDN telecommunication
This service provides ISDN apparatuses to clients who wish to interlink them. It is provided in
four-wire circuit (ISDN S/T interface), without an apparatus. It does not connect to the Internet.
Internet access (connecting your PC or laptop to the internet)
Connection speeds of at least 2Mbps with static IP. Requirements: Your PC must have a Network
Interface card. Unlimited use with access to all services.

GUARDING SERVICES
Exhibition area guarding
Apart from general guarding of exhibition areas, HELEXPO provides special guarding of your
exhibits at a charge of 11.00 €/hour. The service is provided by a company that is the exclusive
associate of HELEXPO for guarding/security services.
SANITATION SERVICES
HELEXPO provides general and special sanitation at exhibition areas and exhibits.
• General sanitation includes cleaning of exhibition areas, regardless of type (using vacuum
cleaners), special floor cleaning, waste collection from bins, emptying of ashtrays at least once
a day.
• Special sanitation includes cleaning and maintenance, throughout the duration of the exhibition,
of exhibition areas, regardless of type or construction, cleaning of equipment (offices, tables,
chairs, etc.) excluding exhibits.

Electrical Equipment
• The exhibitor are obligated to receive electric-power from the standardized electrical panel placed by HELEXPO, in
accordance with the requested volume of electrical power in KWs.
In case the exhibitor places his own panel after one of HELEXPO’s, the panel must be equipped an escape relay.
• The electrical panel of HELEXPO (single or three-phase current) will include the necessary power cable and the
movement- lighting protection (escape) relay.
• The single phase current electrical panel will also include 3 micro automated fuses of 16A each.
• The three-phase current lighting panel will also include 6 micro automated fuses of 16A and of 20A.
• The single phase current lighting panel will be provided for up to 3Kw (with main fuse 20A) except for special cases
like a single phase current electrical apparatus.
• For over 3Kw lighting, a three-phase current electrical panel will be installed according to the requested volume of
power (i.e.3 x 25, 3 x 40, 3 x 63).
• For special cases, when a large volume of power is required, the exhibitor must inform the Technical service of
HELEXPO in time.
• The labor and equipment costs for single or three-phase current for movement or lighting is as follows.
• From 1KW up to 36KW at 20€/KW
• From 36KW up to 66KW there is a discount of 20%
• From 66KW and over, there is a discount of 30%.
The discount refers to the extra Kw from the initial 36Kw.
• For outdoor spaces, the exhibitor must place the electrical panel to a watertight location.
• In case of partial or complete damage to the electrical panel, the exhibitor will be charged the costs of the repairs.
The exhibitor, before his departure must inform the floor manager for the removal of the electrical panel.
• In case that the exhibitor will not comply with the above instructions or receives unauthorized electrical power and
does not deposit a certified and complete electrical plan, HELEXPO reserves the right to immediately seize his power
supply without any notice.

1. The electrical current outlet provided for lighting purposes, terminates either
to a plug or a connection tube nearby the switchboard and are equipped with a
protection relay of 30mA.
2. The electrical current outlet provided for machinery purposes, terminates to a
switchboard and is equipped with a protection relay of 300mA.
3. The lighting equipment that is described on the adjacent page as well as the
exhibitor’s connections, are for exclusive use with aluminum constructions.
4. The KW supply is included in the prices of lighting equipment.
5. The KW supply is not included for the lighting equipment connection and must
be ordered separately from the Technical Facilities and Services booklet, on a
mandatory basis.
6. The exhibitor’s spot lights must bear either a jack plug or a connection tube on their
ends, need to be earth (ground) wired and generally be in a very good working
order.
7. The KW debit is calculated on a basis multiple of 1kw on a price multiple of 1kw.
