Managers Manual
2013 - 2014
Thank you for volunteering as team manager for the 2013-14 season. Team managers are
vital to the success of the team as well as the club and directly impact the positive
experience of players and parents.
The primary role of the team manager is to oversee team administration and serve as a
liaison between the coach, the club and parents. You will be able to delegate some
responsibilities to other parents and are encouraged to do so. Team manager duties include:
 Communicate information to parents
 Support the coach by directing all questions regarding player selection, player
positions, and playing time to the coach.
 Respect privacy of players and parents on your team. Managers may have access to
confidential information about players and their families. It is important to keep this
information in confidence.
 Laminate and maintain player/coach passes
 Maintain team binder, which will contain all required team documents
 Recruit a team treasurer to assist with team finances to include preparation of the
team budget, maintain team checking account, and collection of team fees.
 Attend monthly manager meeting
 Register and check in team for all tournaments
While team managers have many responsibilities for the team, there are some roles the
managers are not expected to handle:
 Do not take on the responsibility of handling parent complaints. Parents should feel
free to communicate any concerns to the coach, Director of Coaching and/or
Executive Director.
 Do not make any decisions in regards to rosters or guest players. These decisions are
the responsibility of the coach.
 Although managers are required to report players who are delinquent in team fees,
only club staff can pull a player’s card and prohibit player participation.
This manual along with information presented at manager meetings and distributed through
emails will assist new mangers in learning the process and allow returning managers a good
review. Please take the time to review this manual. If you have any questions or need
assistance, do not hesitate to contact Kim Masten,
[email protected], or Julie Barnard,
[email protected] .

Birth Certificate
SCU/MP and all team managers will retain a copy of the player’s original birth certificate.
Player proof of age must be available at the game site at all times. Please keep a copy in
your team binder. Teams participating in State Cup will be required to present birth
certificates as part of team registration. Prior to the start of the season, managers should
review player’s name and date of birth on the birth certificate and the team roster. Any
discrepancies need to be reported to club registrar, Kim Masten.
Booster Club Information
SCUFC-MP has a great support system in the Booster Club. SCU/MP Booster Club holds three
weekends of tournament play through the year and contributes funds to all parts of our
program. The Booster Club is composed of officers and members from each program. The
Booster Club meets monthly. Meeting times and locations are posted on the club website.
For more information, please contact the Executive Director, Matt Job at
[email protected].
Names of current Booster Club members are posted on the club website, under Quick Links,
About Us section.
Cancelled Games & Training
Cancellations will be made at the discretion of the home club or field designee. When
SCU/MP cancels a game or training on our fields, it will be posted on the SCU/MP website,
www.scunitedmountpleasant.com. Most league games and clubs try to cancel games at
least 2 to 4 hours prior to game time. SCYSA leagues will post cancellations on their website.

Volunteer Opt out Fee
$100.00 per season/ per player
Each family has the option of volunteering 4 hours per season/per player at the club
tournaments or paying the opt-out fee. Families with multiple players do not exceed
8 hours volunteer time per season or $200 per season in opt-out fees. Fall opt out fee
must be paid by September 1. Spring opt out fee is due by February 1. See Volunteer
policy for more detailed information (see pages 33-35).
Club Website
Our club website, www.scunitedmountpleasant.com, likes to recognize SCUFC-MP individual
player and team accomplishments. Managers should send tournament finalist & champion
photos to our web designer, Matt Parmer, at [email protected]. Please
include event information, team name, roster, and guest players with photos. Encourage
your team to check the website regularly for club announcements, upcoming events, and
additional information regarding club policy, staff, etc.
Coaches’ Travel Reimbursement
Paid coaching staff is to be reimbursed for travel to tournaments and league games outside
of the low country area. Reimbursement is to include lodging, meals, and mileage. The
coach must submit a completed Travel Reimbursement Form (see page 13) to the team
manager/treasurer. Coaches need to submit reimbursement form in a timely manner
following reimbursement events. SCU/MP reimbursement scale and form must be used.
Forms are posted on the website under Club Forms. Weekend tournaments are considered
a 2 day per diem. Reimbursement is provided for travel to games and tournaments outside
the low country area and to paid coaches only. There is no reimbursement for games or
events held in the low country. Games in Charleston, Dorchester, and Berkeley counties are
considered local. Head coach and assistant coach should ride together and stay together
in hotels (with the exception of coaches of opposite sex, or coaches traveling with
immediate family members such as wives). If two coaches are attending an event, and one
of the coaches has brought along family members, that coach is responsible for their own
lodging cost.
Code of Conduct
In order to participate in our program, each player and parent is required to agree to the
SCU/MP Code of Conduct (see pages 14-16). Parents will be required to sign the Team
Acknowledgement form indicating they have read, understand and agree to follow the
guidelines of the Code of Conduct. Team Acknowledgement forms will be emailed to
managers. Team managers will collect signatures prior to the distribution of team’s roster
and player cards.
Guest Player Roster
All guest players MUST be approved by the SCU/MP Director of Coaching.
Players requesting to guest play for another club’s team will be reviewed by the Director of
Coaching on a player by player basis. A player’s first priority is to their team and SCU/MP. If
a player chooses to guest play for another club without approval of the Director of
3|Page
www.scunitedmountpleasant.com
Coaching, he/she will be in violation of SCYS rules and will be subject to sanctions at the
request of the club’s director.
Once approval has been received from the team coach and Director of Coaching, an
official guest player roster will be completed (see page 17). Guest Player rosters will be
prepared by the club registrar. The Director of Coaching must sign as “coach” and the form
must be submitted a week in advance. Once required signatures are received, the club
registrar will submit to the state registrar for approval. You will need the guest player roster
stamped in order to properly register your team at the tournament event. The guest roster is
to be used in conjunction with the team’s official state or tournament roster. It does not take
the place of the official roster.
Insurance Cards
It is recommended that the team manager collect a copy of both sides of each player’s
insurance card for the team binder. In case of emergency in the absence of a guardian, this
could prevent payment issues.
League Application & Bond
Coastal League: Junior Academy teams will participate in the Coastal League. The club will
complete all team applications. In order to allow teams more time to collect money for the
team budget, the club will cover the application fee and the teams will reimburse the club
at the beginning of the season. Coastal league does not require teams to submit a bond
check.
PMSL (Classic) & SCSCL (Challenge): All U12 11v11 and Select teams play in SCYS league in
either the Challenge or Classic division. The Club will complete all team applications. Each
team’s application along with payment and bond check must be mailed together with the
club packet. In order to allow teams more time to collect money for the team budget, the
Club will cover the application fee and the teams will reimburse the club at the beginning of
the season. Teams will be required to provide a bond check. The bond check submitted in
the fall will carry over to the spring season. Bond checks are not cashed unless the team is
fined. Once the season has ended, SCYS will destroy the check.
Region III Premier League East: Challenge league State Champion and State Finalist qualify
to play in Premier League East. In some instances, a third or fourth place team could be
selected as a wildcard team. Qualifying teams will be notified and instruction will be
provided to complete the online PLE application. Once accepted, teams will be expected
to submit the application fee along with a bond check. In order to allow teams more time to
collect money for the team budget, the Club will cover the application fee and the teams
will reimburse the club at the beginning of the season. Bond checks are not cashed unless
the team is fined. Once the season has ended, SCYS will destroy the check.
Medical Release Forms
Each player is required to have a medical release form completed as part of the team
documents (see page 18). A new form must be submitted prior to each fall season.
Managers must have the original (no copies) with a notary stamp and original signatures.
4|Page
www.scunitedmountpleasant.com
Forms must be available at all times, during all events. Some tournaments may have their
own tournament release forms, which must be signed by parents prior to weekend play.
Monthly Manager Meetings
There will be monthly manager meetings throughout the fall and spring seasons. Each team
is encouraged to have representation. Meetings will last maximum one hour and will contain
important information. You will receive email reminders prior to the meeting. If a manger
needs additional assistance, individual meetings can be scheduled by contacting Kim
Masten.
Official Team Roster
Each Select team and U12 11v11 team will be issued an official SCYS team roster. SCYS will
not start generating rosters and cards until after August 1. The roster and player cards will be
printed at the same time. *Make several copies for your team binder. *Never give away the
original.* Xerox copies should be sufficient for tournament check in. All tournaments will
require this roster or a tournament roster. Managers should also have the official roster
available for all league games.
Junior Academy teams are rostered through SCYS as pools and will not receive an official
roster. Teams will receive Game Day rosters to use for league play. Each team will need a
tournament roster for each tournament. Managers must request a tournament roster prior to
each event. Please verify the roster with the coach prior to submitting the request as SCYS
charges for each tournament roster. These rosters must be approved by the State Registrar
and are specific to each tournament. All roster requests should be emailed to the club
registrar.
Out-of-State Players
If there is an out-of-date player on your team, please inform the club registrar. Before an outof-state player can be added to a team roster, an Interstate Permission form is required. The
parents must contact their state to request the required form. Most states post permission
forms on their website. The form and fees vary depending on the state. The player’s home
state will approve and forward the form to SCYS for approval by our State Registrar. Once
completed, the player will be added to the official roster. The team’s roster cannot be
printed until out-of-state permission has been approved.
An Interstate Permission form is also required for guest players who reside outside of SC. A
separate form is required for each tournament the player attends. Tournaments will require a
copy of the Interstate Permission form along with the approved Guest Player Roster.
Parent Coach Policy
 Team Budget: A coach with a player on the team is expected to pay his/her portion
of the team budget.
 Volunteer Hours: Paid parent coaches are required to fulfill the volunteer obligation
(See Volunteer Policy pages 33-35). If requested, their hours can be completed at a club
fundraising event rather than a tournament or Director of Coaching may schedule the
parent coach’s volunteer time.

Permission to Travel
Permission to travel is required for out-of-state tournaments and friendlies. Forms must be
submitted prior to the event. If you are attending a non-sanctioned tournament (see pages
19-20), you are not required to request permission to travel (US Club events).
If your team is traveling within Region III (Alabama, Arkansas, Florida, Georgia, Louisiana,
Mississippi, North Carolina, North Texas, Oklahoma, South Texas, and Tennessee), a Region III
Interregional Travel Notice form must be completed (see page 21). The manager will keep the
original and submit a copy to the SCYS State Office with the following:
 Check for $20 made payable to SCYS
 Copy of your team roster
 Copy of Guest Player Roster, if applicable
 Copy of the Permission to Host (located on tournament website).
The original is all that is required for tournament registration.
All travel to competitions with teams and organizations affiliated with US Youth Soccer and
outside Region III shall require completion of an Application to Travel (see page 22-23) and
should be submitted with the documents listed above. **This form will be signed and
returned to you. The original signed form will be required at tournament registration.**

Player & Coach Cards/Passes
A pass or card is issued to all registered players and coaches, which serves as the primary
means of identifying them at competitions. The pass must carry a current photograph of the
player, have a SCYS seal stamped on it, and be laminated (see page 24).
 SCYS does not require player or coach signatures on cards.
 Cards must be ready for the first scheduled match and must be available at all times.
 Failure to present cards at a SCYS league game will result in a forfeit and the team will
be fined $500 by SCYS.
 Team manager or coach must be responsible for player passes. One set of player
passes will be issued to your team. Do not let players or parents keep their passes.
 If a pass is misplaced, the team will be responsible for paying the replacement fee.
For a listing of SCYS fees, see page 25.
 If a player drops from the team, the player card must be turned in to the club registrar.
This is club and SCYS policy.
Player Injuries
Any player injured at training or a game must notify the attending coach. As part of player
registration, SCYS provides a medical insurance policy, which is secondary medical insurance
coverage.


SCYS medical coverage has a $1,000.00 deductible per occurrence, in
addition to your primary insurance deductible.
The claim form can be found on the SCYS website under Administrative ->
Insurance Information.
o The form must be completed by parent and coach.
o The form must be returned to the SC Youth Soccer State Office for
processing
Parents need to keep a copy of all documents for their records.
Practice Schedule
The practice schedule will be sent to coaches by email from the Director of Coaching.
Coaches make practice requests, but a majority of the schedule is made based on field
availability, integrated training, the coach and/or trainer, and age group. Practice time slots
will be 75-90 minutes.
Red Card Ejection Notice
Coaches are responsible for completing the Red Card Ejection Notice within 48 hours.
Managers should follow up to ensure the form has been submitted and keep proof that it has
been sent. Failure to file the Notice within 48 hours could result in a $200 fine. Once the
player has served the suspension, the same form must be resubmitted (see page 26-27).
Referee Fees
Referee fees should be included in the team budget for the season. Each team pays one
half of the total referee fees. As team manager, you are responsible for having the exact
amount of cash per referee prior to the start of each game. The following dollar amounts are
to be paid to each referee based on league. Please check your league website to confirm
you have the correct dollar amount per game.

Refund Policy
Following evaluations and team selection, players will be assigned to teams. Once a player
has accepted a place on a team and registered with SCU/MP, he/she will not be eligible for
a refund. Special circumstances may warrant a refund to include season ending injury or
relocation. A $35 processing fee will be deducted from those refunds.
According to South Carolina Youth Soccer rules, players who have made a financial
commitment to a club are considered registered to that club for the seasonal year as of July
1. A player cannot be released from a club until all financial obligations have been satisfied.
If a player chooses to leave SCU/MP before the end of the soccer year, ALL club and team
fees must be paid in full for the entire soccer calendar year – fall and spring seasons. A player
who chooses not to play prior to August 1 and has paid in full may submit a refund request.
Any request for refund or release of financial obligation must be directed to
[email protected] for Board approval.
If a player is transferring from SCU/MP to another club, the new club must initiate all transfer
paperwork.
Scholarships
Player scholarship applications and deadlines are posted on the SCU/MP website. A player
wishing to apply for a scholarship must complete an application and provide necessary
documentation to be considered. Scholarship applicants will be reviewed by a scholarship
committee composed of three Booster Club members and club operations manager.
Applicants and his/her information are considered confidential. Players may be awarded full
or partial scholarships. Any funds awarded to a player for team fees will be sent to the team
manager to apply towards the player’s portion of the team budget. Each player receiving a
scholarship will be expected to complete additional volunteer hours.

Team Budget
A budget is required for each team. SCU/MP recommends that you appoint a team
treasurer to take care of all team financials. The manager and treasurer must complete a
Treasurer/Manager Financial Agreement (see page 28). Team budgets are to include, but are
not limited to: tournament entry fees, coach travel expenses, league fees, league bonds,
state cup fees, referee fees, and miscellaneous expenses. These items need to be outlined
for the team to see (sample Budget Template page 29 – template will be emailed to managers).
The Mileage Reimbursement (see page 30) can be used to estimate mileage costs. Prior to
submitting the budget to the team, you MUST submit a copy of the budget to Kim Masten at
[email protected]. At the end of the season, the manager/treasurer
must submit to the team and the club a copy of the final budget. The team’s financial
information should always be readily available for parents to review.
All players must have their portion of the team budget paid in full prior to the end of the
season. Fall final payments should be received by November 1 & spring payments by April 1.
Players who are not paid in full by these dates must be referred to the club’s Business
Manager. Failure to pay the team budget can result in a player’s card being pulled and the
player cannot participate in league/tournament games until the balance is paid in full or
arrangements have been made.
Team Checking Account
Regions Bank is the club bank. Team checking accounts can be set up at 1200 Two Island
Court, Mt Pleasant (near Towne Center). A debit card will be issued for each team, which
can be used to reserve hotel rooms for coaches, access to cash for referee money, etc.
Account names should mirror the standardized team name plus gender. There are specific
guidelines for use of team checking accounts and a mandatory signing of an agreement
with the club ensuring each manager/treasurer knows the guidelines (see page 28).
Team Documents
Team managers are responsible for having certain paperwork in his/her possession at every
game and tournament. Each manager must assemble a team binder, which should travel
with the team at all games and tournaments. The following are required for EVERY player:
 Player and coach passes/cards – required for all league games and tournaments
 Roster – required for all league games and tournaments
 Birth Certificate –Required for tournaments and state cup.
 Medical Release (see page 18) Form must be completed with parent signature and
notarized. Requirement for tournaments and SCYS.
 Recommended – Copy of both sides of the insurance card (not required).
Team Fundraisers/Sponsorships
Guidelines are in place for team fundraisers (see page 31-32). All team fundraisers must be
approved by the Board by submitting a Fundraiser Proposal (see page 32).
9|Page
www.scunitedmountpleasant.com
Team Names
When completing league and tournament applications, team names should always be listed
in the following format:
 Junior Academy - SCU/MP Age (05, 04, 03, 02) Team name (United, Flash, etc.)
 Select - SCU/MP Age (01, 00, 99, 98, 97, 96, 95) Team Name (Elite, Palmetto, Crescent)
 Examples SCU/MP 03 Athletica, SCU/MP 95 Palmetto
Tournaments
Each manager is responsible for completing tournament applications by the assigned
deadline for each event. The team is responsible for paying the tournament entry fee. The
coach will advise you of the tournaments your team will be attending.
Deadlines for tournament applications are typically 30-45 days prior to the event.
Reminders for completing tournament applications:
 Verify the age group and level of play with your coach before submitting an application.
 If the tournament is using Got Soccer or Soccer In College, be sure to use the team’s
existing log in for registration. Contact club registrar for log in information.
 List the club & team name correctly. Team name as it should appear on schedules is
SCU/MP year team name (ex: SCU/MP 95 Palmetto). The club name is SC United FC Mount Pleasant.
 Our club is affiliated with USYS (US Youth Soccer).
 Always include cell phone numbers for manager and coach.
 If your coach has more than one team attending the tournament, you must indicate in
the Comments section the age group, gender, and name of his/her other teams.
 Some tournaments require information about previous tournaments. After each
tournament, it is a good idea to print out the final standings. Keep this in the team binder it will save time when completing applications.
Once the application is complete, you will automatically receive a Tournament Application
Confirmation email. This email should be forwarded to the team coach and Kim Masten
[email protected].
Many out- of-town tournaments require all teams to book hotel reservations through their
housing company. Failure to use the approved tournament housing could result in
disqualification from the event.
Tournaments will post or email the Accepted teams. At this time, the manager needs to
review the required documents listed on the tournament website. Each tournament requires
a team representative to Check In the team, usually on Friday night, by presenting all
required documents.
Tournaments hosted BY SCU/MP
SCU/MP is financially supported by our fundraisers. The biggest club fundraisers are the three
tournaments. Our event’s success and failures have a direct impact on fees charged and
services offered. Please remind your team that volunteer time will be completed during the
club tournaments.

not pay the opt-out fee. If a volunteer does not show up for his/her assigned volunteer shift
an additional $100 fee will be added to the opt-out fee for a total of $200. Any fees left
unpaid will be charged to the player’s account and participation will be suspended from
games and practices until paid in full. If the “no-show” occurs after the playing year, the

SCU/MP has two main types
of fees: club fees and team
fees. Club fees are applied
to all club players and paid
to SCU/MP. Team fees are
unique to each individual
team and paid to your team
manager.
TEAM FEES
Paid directly to team manager
Team fees are unique to each team and set by the
team manager and/or treasurer. The
manager/treasurer will prepare and distribute a team
budget for each season outlining the expected
expenses and payment due dates. Team funds will be
deposited into the team’s Regions Bank checking
account.
Team fees cover the following costs.
1. Tournament Entry
2. League Fees, including referee fees
3. Coaching Reimbursement Expense (for travel
tournaments and out-of-area league games only)
4. Miscellaneous expenses
Fee Explanation: Each SCU/MP team maintains their
own checking account, which is managed by a team
manager and treasurer. The team
manager/treasurer will be responsible to submit
payment to the league and tournaments in order to
ensure that their team will be accepted into the
league or tournament. All players are responsible for
the team budget. If a player cannot attend a
tournament or game, he/she is still responsible for the
associated costs.
Please note the amount that each family will be
responsible to pay for team fees will differ from team
to team based on the age group, level of play, and
scheduled tournaments.
OPTIONAL: Volunteer Opt-Out Fee
Paid during initial online registration or by mail to
SCU/MP
Any family that cannot or does not wish to participate
in the volunteer obligation can “Opt-out” of that time
for a fee of $100 per player per season or a maximum
of $200 per family per season. A family choosing to
pay the opt-out fee must submit payment prior to
September 1 for the fall season and February 1 for
the spring season.

SANCTIONS
SC United FC - Mount Pleasant Code of Conduct is an extension of the South Carolina Youth
Soccer (SCYS) guidelines. We at SC United FC - Mount Pleasant are proud to be a leader in
setting tougher standards in key situations, such as fighting and verbal abuse (foul and abusive
language).
Players receiving a red card will be ejected from the game immediately and will not be allowed to
participate in his/her team's next match. Repeat offenders could face further sanctions as
determined by the Director of Coaching or the SCYS.
Ejections for fighting or foul and abusive language:
 If the red card or second yellow card is definitely warranted, SC United FC- Mount Pleasant
player will sit out the remainder of the game, the next scheduled game, and possibly,
additional scheduled games. Note that the current South Carolina Youth Soccer rules
require that a player sit out only one additional game. Based on previous card history or
the action taken by the player, the Director of Coaching may decide to extend the number
of games that the player sits out.
Dissent:
 If the yellow is definitely warranted, SC United FC - Mount Pleasant player will sit out the
rest of the game. If the card is issued in the second half of a game, then the player must
sit out the first half of the next scheduled game.
Note that both of the above situations, the word “warranted" is used. This allows the Director of
Coaching and/or coach to use their discretion and make their own judgment as to the
appropriateness of the call.
Coaches/Parents/Spectators that are told to leave the playing area must leave the playing area
immediately, i.e., must be out of sight of the officials. If the Director of Coaching and/or SCUFCMP Board deems it appropriate, he or she will be banned from attending games for at least one
week.
AGREEMENT
Parents who agree to their child playing with SC United FC - Mount Pleasant, and players who
agree to play soccer for SC United FC -Mount Pleasant accept ALL the rules and regulations as
stated above and agree that all actions must lead to the successful fulfillment of these objectives.
Any violation of the Code of Conduct will result in action from the Director of Coaching and/or
SCUFC-MP Board.
Remember, the players, coaches, and referees will make mistakes, but the games are merely
games, which our children are playing for enjoyment and to learn the game of soccer. We can still
be competitive without crossing the line of decent behavior. We must not lose sight of the fact
that our children will follow our example and we should act accordingly.
The code of conduct was developed with the input from the South Carolina Youth Soccer code of
conduct, the United States Youth Soccer Association and SC United FC - Mount Pleasant Directors
of Coaching past and present.
Remember: We all represent SC United FC – Mount Pleasant.
PLEASE REVIEW THE CODE OF CONDUCT WITH YOUR PLAYER.
Parents will be required to sign the Team Acknowledgement form indicating they have read,
understand and agree to follow the guidelines of the Code of Conduct. Team managers will
collect signatures prior to the distribution of team’s roster and player cards.
