1. Living in Australia and Victoria
Living in Australia
Australia is a land of contrasts - sweeping golden beaches, coral reefs rich with marine life, tropical
rainforests, mountain ranges, vast grazing lands and sparse deserts. One of the oldest
continents, Australia is the only country to occupy an entire continent.
As Australia is surrounded by the Indian and Pacific Ocean, Australia is home to many
animals and plants that are unique to its ecosystem.
Victoria – Melbourne
Melbourne is the capital of the State of Victoria and is built around the shores of Port Philip Bay. The
city itself, laid out in a large rectangle and boasting a lively and cosmopolitan pulse, sits on the northern
banks of the Yarra River, about five kilometres from the bay.
Melbourne is a multicultural city and is considered to be one of the most liveable cities in the world.
Apart from this, Melbourne is a very safe city by world standards. The crime rate is low and it has
excellent emergency and hospital facilities.
Melbourne enjoys four distinct seasons every year - spring, summer, winter and autumn. Melbourne
does not have a specific wet season - it can rain at any time of the year. Sports and other outdoor
activities are possible at all times of the year. Further information on Melbourne is available at

From fashion and sports, to theatre and cultural events, there are many exciting and interesting
activities you can do while living in Melbourne. If you want more information about attractive places to
visit, Melbourne’s Tourist Information Office is located at Federation Square, opposite Flinders St
Station. This office is open 7 days a week and offers information about Melbourne and Victoria. You
can also get the information from the Melbourne’s Tourist website at www.tourism.vic.gov.au.
Sport and Fitness in Melbourne
Melbourne is the sporting capital of Australia. Every year Melbourne hosts several major sporting
events --- Tennis Australian Open in January, the F1 Grand Prix in March, and the AFL Grand Final in
September as well as AFL matches throughout March to September.
There are also many sport and fitness facilities such as pools and gyms located around Melbourne.
There are many fitness centres close to UIT; for example, Fitness First located in Melbourne Central
and the historic ‘Melbourne Public Baths ‘on the corner of Swanston and Victoria Streets. If you are
interested in playing sports or joining a sporting club, Student Services Officer at UIT can help you to
find a club that suits your interest.
Airport Transfer
Public Transport does not operate from Melbourne Airport. Passengers instead may travel via taxi or
Sky Bus service to get to their destination. Alternatively, you can use Airport Transfer offered by UIT. It
will cost you $110/ one way. This includes the cost of collection from Melbourne Airport and drives you
directly to your home in Melbourne. Please take note that UIT requires at least 3 days’ notice before
your arrival.

UIT Location and Public Transport
UIT is located at 398 Lonsdale Street Melbourne. We recommend to students that they do not drive to
the Institute as the cost of petrol and parking can be very expensive and inconvenient.
The closest train station to UIT is Melbourne Central Station. This station is located
on the corner of La Trobe Street and Elizabeth Street. Its only takes three minutes to
walk to UIT from this station.
Trams travel along Elizabeth Street making it easier for UIT students to get to the
Institute. Take any tram along Elizabeth Street and ask the driver to drop you off at
the stop nearest to Lonsdale St. The Melbourne transport provider Metro has
prepared a pamphlet to help you with fares and other public transport information.
This pamphlet is provided with this Student Manual and copies are also available on
campus. If you have any questions about ticket prices, timetables or locations,
please see us at the Reception or visit this website: www.victrip.com.au.
Driving around Melbourne
In order to drive in Australia, you must have either an Australian Driver’s License or an International
Driving Permit. If the International Driving Permit or License is not in English, you must carry a certified
translation. Cars drive on the left side of the road in all states of Australia.
Victoria has very strict driving laws. When driving, you must always wear your seat belt and ensure that
all passengers would also have their seats belts fastened. We also recommend that you do not drink
and drive. It is very dangerous and if you are caught by the police, you could lose your driver’s license.
Victoria also has speed limits which all drivers must follow. You must not go over the speed limit by
more than 3kmh.Speeding incurs heavy fines and you may also lose your driving license.

Driving outside Melbourne
If you are going out of Melbourne for a weekend or during term breaks, remember to always have a
map (such as the Melway Street Directory) of the area you are travelling to. Before you leave, tell
someone where you are going and when you will be back. Always carry plenty of water when going on
a long trip. You should also go to a police station before driving, just to check if there are any road rules
in Australia that you are not familiar with. Finally, if your car breaks down, stay with your car and do not
walk off to find help as this is the preferred advice from State Emergency Services, and staying with
your car allows you to have shelter against rain, or Australia’s harsh sun.
If renting a car, make sure that the only person who drives is the person who has signed in as the
registered driver - otherwise your insurance may not cover you if you meet an accident. Although, it is
not against the law in Australia to drive a car without insurance, however, we strongly recommend that
you secure car insurance.

Smoking
Smoking is not permitted in public places, including airports, restaurants, pubs or bars, cinemas and
shopping centres. This is the law in Victoria so please observe the signs on the front of all buildings.
UIT also has a non-smoking policy that prohibits smoking anywhere in the building, including toilets.
Students should not smoke at the front of the building.
Water Restrictions in Melbourne
Melbourne often experiences water restrictions, which means that we all need to minimise our water
consumption. Please do not leave a tap running whilst you are brushing your teeth or washing the
dishes, and try to limit showers to 3-4 minutes. It is important not to use a hose to wash your car; as an
alternative you should use a bucket. You may also wash your car at a Car Wash, which uses clean
recycled water that is good for the environment.
2. Facilities and Services available on campus
UIT Location and Facilities
UIT is situated in the Central Business District of Melbourne between Queen Street and Elizabeth
Street at 398 Lonsdale Street on Level 4. The closest train station to UIT is Melbourne Central.

Administration Office
UIT Administration can help you about all the facilities and services on campus. If you are not sure
where to go or who to ask about anything on campus, ask our friendly and helpful Administration staff
at the reception desk. If you require a letter for Immigration, you need to give the Administration staff at
least 2 days’ notice before you require the letter.
Student ID card
You will receive your student ID card during orientation. You should carry your ID card with you all
times while on campus. Please note that if you lose your student ID card, there will be $10 charge to
have it replaced.
Student Support Officer
Being an international student is exciting, but it can also be challenging. The Student Services
Department at UIT is specifically designed to help you while living and studying in Australia. The
Student Support Officers (SSO’s) are always available for you to gain advice on both academic and
personal issues.

The SSO’s also offer professional and confidential advice in the following areas:







Public Transport
Accommodation; information on your rights and responsibilities as a tenant
Legal issues such as going to court
Resume preparation
Job search support and workplace rights and responsibilities (remember that international
students on Student Visas cannot work more than 20 hours a week)
Police powers in Australia, and your rights when dealing with police.
Counselling and welfare service - Student Support Services Officer is able to make
appointments for these services
Another service available from this office is information on future careers, or further study after you
finish your course at UIT. Please make an appointment or drop-in at the office. Please be aware that
some courses have early closing dates and pre-requisites so it is important to see us to get your
application and pre-requisites organised.
Reasonable Adjustment
The Disability Discrimination Act uses the principle of reasonable adjustment, which is also called
reasonable accommodation, to ensure that people with disabilities are treated equally. This means that
'reasonable' adjustments must be made wherever possible; to meet the needs of a student with
disability or with other learning needs.
At UIT, we can do the following to assist with your requirements for reasonable adjustment:
 Make teaching and assessment materials and methods more accessible.
 Use teaching and assessment methods that suit most students may hinder access for
some students with a disability. UIT is able to present information through a range of
methods to assist students with a disability.
 Adapt the physical environment and equipment to better suit the student with disability.
 providing additional time for student to practice the assessment tasks
 presenting questions orally for students with literacy issues
 asking questions in a relevant practical context
 adapting machinery and equipment to make it more easy to use
 presenting work instructions in diagrammatic or pictorial form instead of words and
sentences
 simplifying the design of job tasks
If you require more details about reasonable adjustment, please speak to your Teacher or the Student
Services Officer.
Accommodation
Our SSO’s can also help you to find accommodation that suits your needs. The two kinds of
accommodation that the Institute can help you with are:
1. Rental Accommodation: If you require help regarding the accommodation, you must notify the
Institute in advance about your interest to rent an apartment, flat or house. You will also need
to inform the Institute of what type of arrangement you want e.g. shared or single
accommodation, etc. Single shared accommodation usually costs $190/ week and Twin shared
accommodation costs $140/week.
Please be advised that most of the properties are unfurnished and you may have to
buy your own furniture. Rental properties are normally leased for a minimum of 6 –
12 months. You will need to pay a bond for the property, which usually amounts to
4-weeks rent in advance. This is returned to you when you leave and after the agent

or the owner has inspected the property. You will also be expected to share the costs of expenses
like electricity, gas and phone bills with your housemate. Therefore, make sure you make an
agreement with housemates as to how these expenses will be shared. Finally, make sure that your
name has been removed from the lease after you move out from the rental property. If your name
is left on the property, and if something occurs at that property, you will still be held responsible
even though you no longer live there.
2. Home Stay Accommodation: You may choose to live with an Australian family during your
time in Australia. If requested, the Student Services Officer can arrange for you to stay with a
family who will provide you with 2-3 meals a day, and cover electricity and other bills. However,
you are liable for your own telephone bills and personal needs. Home stay is a good choice if
you want to improve your English. UIT charges a home stay placement fee of $200. Home stay
will approximately cost $260 for single and $230 for twin share per week. You will need to pay
upfront between 2-4 weeks, but this will vary between home stays. You will be informed about
all the upfront cost involved before you move into the accommodation. These charges are
current as of 1 January 2013 and subject to change.
Library facilities
UIT provides a library of material that students may borrow in addition to material they may find on
the internet. The library is located next to reception on level 4 398 Lonsdale St Melbourne. There
are resources for English students, self study material, resources for Business and Multimedia.
There are also computers PC’s and Mac’s for students to browse the internet and study. The
service is monitored. There is also software installed on all computers to monitor illegal sites.
Computer Access
The Computer Rooms Lab1 and Lab 2 are located on level 4 398 Lonsdale St
Melbourne, have high-quality computers for your use. These computers are made
available to help you do your assignments/assessments and to enhance your
learning. All UIT students will receive a computer log-in and password during
orientation. If you experience any difficulty in logging-in the computer, please see
reception.
You are expected to use this resource in a responsible manner, it is NOT a facility for you to download
music and video, and surf in appropriate or illegal sites. The service is monitored. There is also
software installed on all computers to monitor illegal sites for students under 18.
Printing, Photocopying and Internet Usage
All UIT students are allowed access to the printer, photocopier and internet facilities for reasonable
study use. The cost of printing and photocopying per page is shown below. Please see reception to
recharge your printing account. The minimum amount for recharging your printing account is $ 10.00.

Student Common Room
Students are encouraged to use the facilities available in the Student Common Room. This area is
comfortable for student to relax and meet other students. There are tables’ and seats for you to eat
your lunch and for you to relax during your break. There is also a small kitchen area, complete with a
sink, several microwave ovens and tea and coffee facilities. Remember, this is your area – please keep
it clean. There is also a television to listen to news and current affairs.

Your Student results and training activity You can access your results and training activity online by
logging onto the student Management System portal from the www.uit.edu.au website. You can also
enquire at the reception about your results and attendance status. If you want anything from your file,
the staff member can photocopy it for you.
Course Credit and Recognition of Prior Learning
Recognition of AQF Qualifications (Credit Transfer)
All potential students are informed that their AQF (Australian Qualifications Framework) Qualifications
and Statements of Attainment will be fully recognised by UIT. If you are seeking national recognition for
AQF Qualifications and/or Statements of Attainment awarded by another recognised training
organisation, you must either present the original documents for photocopying or appropriately verified
copies of original documents. The copies will be kept in your student file. Original, verified AQF
Qualifications and Statements of Attainment will be fully recognised.UIT offers the opportunity to apply
for credit transfer on enrolment.
The Credit Transfer Policy will identify relevant learning acquired through:


Study towards formally recognised qualifications (academic programs and courses undertaken at
an Australian university or overseas university, VET Institution or other Registered Training
Organisation)
Accredited courses offered by professional bodies, voluntary organisations, enterprises, private
educational institutions, trade unions and government agencies
AQF Qualifications and Statements of Attainment unable to be verified will not be recognised and you
will be asked to provide further verifiable evidence if possible.
Recognition of Prior Learning (RPL)
RPL involves the formal acknowledgement of your skills, irrespective of how and where the skills were
acquired. The process involves identifying your skills and knowledge acquired through formal and
informal training and education, work and life experience and matching them to course competencies.
All requests for a recognition assessment must be made through your Director of Studies; however, the
final decision as to whether recognition will be granted or denied will be made by the Director of Studies.
To apply for recognition of prior learning, you need to complete the RPL application form available on
the Institute website at www.uit.edu.au or at administration. Please remember to include all relevant
evidence with you application. Your application will not be considered if you do not supply all the
necessary evidence. Please ensure you include all current and relevant evidence with you application.
There is a fee of $60 per unit for RPL.
If you are applying from overseas and will be on a student visa, the electronic Confirmation of
Enrolment (eCoE) will be reduced depending on the number of units you will no longer study due to
course credit or RPL. When RPL is granted, the remaining course load for you will be full-time to
comply with your student visa condition. If you are already studying and are on a student visa, the
Department of Immigration and Border Protection (DIBP) will be informed immediately after you
complete your course.
Intake Dates
UIT offers students wishing to study ELICOS the opportunity to start on any Monday during term time.
VET students can start on the first week of every month except during Christmas.

Institute Fees
Fees must be paid by the due date prior to the commencement of relevant semester. Students who
unable to make payment by the due date must see the Accounts Officer one week prior to the due date.
If fees are not paid by the due date, no student will be allowed to re-enrol unless there are exceptional
circumstances that are proved by written evidence and submitted seven days before the fee due date.
Students with any overdue fees or fines by the assessment start date will not be allowed to sit for
assessments. Students who have any unpaid fees at the conclusion of their course cannot be awarded
any results or certificates until all fees are fully paid.
Invoices are printed for Students when payments become due. Payment will be due two weeks from
the issue of the invoice. Late payment of fees will incur a penalty of $50 per due date of the fee owed to
the Institute. The invoices will be issued according to the student intake dates. All Fees including late
fees and any other payments made by credit card will incur a further 2.5% surcharge.
In the event a student abandons the course after commencement, all fees due are payable to the
Institute upon demand. The table below mentions all the possible fees. UIT may to change the fees at
anytime throughout the year.

Refund Policy
All refunds will be considered under the Universal Institute of Technology Refund Agreement. You will
need to submit an application for the refund to be considered. Please keep a copy of the Refund
Agreement in the event that you need to refer to it in the future. There is no guarantee that an
application for refund will be granted. As a matter of policy, Universal Institute of Technology agrees to
refund, within 28 days, without deduction, all fees where Universal Institute of Technology cancels the
course; where the commencement of the course is postponed for more than two weeks or where
sanctions are imposed on the Institute.
If the student’s initial visa has been cancelled, provided proper documentation can confirm such
cancellation, a full refund of fees, less the enrolment fee will be refunded. Without proof of refusal from
the Australian Government a refund will not be granted. A request for refund in writing and proof of visa
refusal from the Australian Government must be sent to the Institute no later than four weeks after visa
refusal. Documentation received after this date will incur a cancellation fee of AUD$500 in addition to
the enrolment fee.

Incidental fees are all other fees apart from Tuition Fees and Enrolment Fees. For example Material Fees
or Airport Pickup. ONLY the “unspent” amount will be returned. If the cost of the service or material has
already been incurred this will NOT be refunded.
Fee refunds for special circumstances (illness, family circumstances) may be agreed, on an individual
basis, at the discretion of the CEO

For RPL, the minimum fee is $60.00 will cover most situations, however where extra work is required by

for any refund due. This will be subject to the providers refund policy.
All date calculations are based on the date the form is received by UIT, not the date the student completed
the form (if different).
Note: Refunds of any monies received by the Institute on behalf of the student for services other than
tuition fees must be requested from the company delivering the service and students will be subject to
that company’s refund policy.

PROCEDURE






The process is started by the student completing and submitting a Refund Application Form (ST03).
This form will be reviewed for completeness and the date received and by whom is entered on the form
The form is passed to Finance to review current payment status and amounts owing / in credit are
recorded.
The student file is checked together with the Student Management System to confirm the dates and
calculate refund based on the table above.
Before the refund can be issued it must be approved by the Director of Operations.
ALL documentation relating to a refund (whether granted or not (must be filed in the student file.
3. Nature of Guarantee
UIT is committed to ensure that once students have started studying their chosen qualification or course,
provided they continue to meet all of their responsibilities as students, they will be assured completion as per
the training plan. UIT will also guarantee training and assessment of the highest quality as outlined before
enrolment.
International Students
In the event that UIT is unable to honour this commitment, it will provide a release letter to the student so that
they can complete their training with another RTO.
UIT will also issue a Statement of Attainment for any units successfully completed by the student.
4. Your Responsibilities as a Student

Legislation
In order to comply with regulatory requirements, UIT must inform you of your legislative obligations.
They are as follows:
Equal Opportunity Act 1995 and Racial and Religious Tolerance Act 2001
In Victoria, racial discrimination is illegal in the areas of education, employment, goods and services,
accommodation and land, sport and local government. For purposes of the Victorian Act, "race"
includes colour, nationality or national origin, descent, ancestry, and ethnic origin or ethnicity. The
Act also makes it illegal to discriminate against a person that has a relative or associate who is of a
particular race. Racial and religious discrimination are also illegal in Victoria. The most serious form
of racial and religious discrimination is a criminal offence.

Migration Act 1958
This Act applies to students as it allows the Immigration department to automatically terminate a
student visa 28 days after a notice is sent to the student under Section 20 of the ESOS Act if the
student has not visited Department of Immigration and Citizenship (DIBP). Students are advised to
visit DIBP within 28 days of a Section 20 notice if they wish to remain on their student visa.
Occupational Health and Safety Act 2000
This Act applies to students that they authorize the Institute to certain policies, procedures and
actions. For example, the Act requires the Institute to ensure that students are provided with safe
environment for training and assessment while on the campus. Students are to be advised that such
policies and procedures are not subject to the discretion of the Institute and are required by law.
Education Services for Overseas Students Act 2000 (ESOS Act)
This Act applies to students in that authorize the Institute to certain policies, procedures and actions.
For example, the Act requires the Institute to report those students who have not comply with
student visa conditions relating to attendance and academic performance to DIBP. Students are to
be advised that such policies and procedures are not subject to the discretion of the Institute and are
required by law.

Training Organisations who appear on the CRICOS (Commonwealth Register of Institutes and
Courses for Overseas Students) Register are governed by the ESOS (Education Services for
Overseas Students) Framework which consists of a number of pieces of legislation including the
ESOS Act 2000 and the National Code of Practice for Registration Authorities and Providers of
Education and Training to Overseas Students. These laws are in place to protect overseas students
and to uphold high quality standards of education within Australian Education Institutes.

ESOS Framework: ESOS stands for Education Services for Overseas students. It acts out
and regulates the legal structuring governing delivery of education to Student Visa holders.
eCoE: the Confirmation of Enrolment or eCoE is a document that Universal Institute of
Technology creates on PRISMS for a prospective Student Visa holder when the student
has signed their Acceptance of Offer. The student uses the eCoE as proof of enrolment
when applying for their Student Visa.

CRICOS: CRICOS stands for Commonwealth Register of Institutions and Courses for
Overseas Students. It is a registration of institutions that offer courses to Student Visa

Overseas Student: This term is used in the ESOS Framework which means an
International Student who has a Student Visa. The ESOS regulations only apply to these
students.
International Student: A student who is not a citizen or permanent resident of Australia, or a
New Zealand citizen, and who must pay the international student fee for their course.

International Students usually have Student Visas, but may have one of a range of other
visas.
Enrol: the words "enrolled" and "enrolment" are used in the ESOS Framework in the broad
sense to mean that a student is undertaking a course.
National Code: The National Code aims to set standards and procedures that institutions
which provide education to Student Visa Holders must oblige by. The National Code of
Practice for Registration Authorities and Providers of Education and Training to Overseas

Suspend: in the ESOS Framework, "suspend" is used to mean any break in studies, for
whatever reason, whether it is initiated by the student or the institution. Defer: the term
defer means to postpone studies to a later time.
The Australian Government wants overseas students in Australia to have a safe, enjoyable and
rewarding place to study. Australia’s laws promote quality education and consumer protection for
overseas students. These laws are known as the ESOS framework and they include the Education
Services for Overseas (ESOS) Act 2000 and the National Code.
Protection for overseas students
As an overseas student on a student visa, you must study with an education provider and in a course
that can be found on the Commonwealth Register of Institutions and Courses for Overseas Students
(CRICOS) at http://cricos.deewr.gov.au/ CRICOS registration guarantees that the course and the
education provider at which you study meet the high standards necessary for overseas students.
Please check carefully that the details of your course including its location match the information on
CRICOS.
Your rights
The ESOS framework protects your rights, including:

The right to receive, before enrolling, current and accurate information about the courses, fees
modes of study and other information from your provider and your provider’s agent. If you are
under 18, to ensure your safety, you will be granted a visa if there are arrangements in place
for your accommodation, support and welfare.

Your right to sign a written agreement with your provider before or as you pay fees, setting out
the services to be provided, fees payable and information about refunds of course money. You
should keep a copy of your written agreement.

Your right to get the education you paid for. The ESOS framework includes consumer
protection that will allow you to receive a refund or to be placed in another course if your
provider is unable to teach your course.


Relevance of ESOS National Code to International Students
The ESOS structure is only relevant to International Students who hold a student visa and are referred
to as overseas students.
Study Load
An International Student may only study full time. International Students who have a Student Visa must
complete their course full-time within the expected period unless a waiver of circumstances is made
(refer to Student Visa conditions).
Student Visa Conditions
Visa conditions must be upheld by Student Visa holders. Any breaching of conditions may result in
cancellation of your visa; hence, you may have to leave Australia.

Important Conditions
- The Student Visa holder is obliged to remain enrolled in a course registered on the Commonwealth
Register of Institutions and Courses for Overseas Students (CRICOS)
- The Student Visa holder must be financially stable to fund travel, tuition and day-to-day living expenses
for themselves, their partner and dependent children for their length of stay in Australia.
- Satisfactory course progress must be shown by the Student Visa holder as outlined in UIT policy.
- Health insurance must be maintained by the Student Visa holder and their family members if any.
- The Student Visa holder has seven days to inform UIT of their address on arrival, and within seven
days of any change of address.
Pre enrolment information
Standard 2 of the National Code requires Universal Institute of Technology to give students
comprehensive information about their course prior to acceptance of an offer. Refer to Pre- Enrolment
Policy.
Under 18 students
UIT offers the English for High School course to students less than 18 years of age but not under 13.

Contact Details for students
UIT will maintain in the student database a list of contact details for students and for the parents of
younger students (or other nominated relative), guardian and local address (which should be the
guardian or home stay) of each student.
Initial information will be collected through the application form. Students will be informed at orientation,
through the Student Manual & Orientation Guide and repeated throughout their course that if any of
these details change, they need to notify the college immediately (ideally before the change occurs).
Not doing so will be considered a serious disciplinary matter.
The Director of Studies (VET) will ensure that regular checks are conducted (at least 6 monthly) to
make sure that data is complete and current.
If teachers, counsellors or other staff suspects that an under-18 student may have changed address or
telephone number without informing the college, they are expected to inform the college.
Anti-Bullying and Anti-Abuse Policy
UIT does not tolerate bullying or abuse of any kind.
Being bullied should never be regarded as being ‘character building’, ‘just part of growing up’ or
something to ‘get over’. All incidents of bullying or abuse should be reported, and the victim should
never be left to ‘stand up for him/herself’.
What is bullying and abuse?
Bullying and abuse may take many forms, including:
 physical bullying;
 verbal, psychological and social bullying, such as name-calling, unwanted teasing, gestures, threats,
creating and/or spreading rumours and social exclusion;
 sexual bullying/abuse, such as unwanted touching, innuendo or worse
 harassment or discrimination of any form
These actions and behaviours could be conducted in person or electronically (‘cyber-bullying’).
These problems can often lead to serious issues such as severe loss of confidence, lack of academic
progress and absenteeism. Psychological problems may continue later in life.

Bullying and abuse can be hard for teachers, guardians and other adults to detect as it is often
intentionally hidden from them, and victims are often reluctant to report it. This is especially the case
with overseas students as they may not be familiar with ways of reporting bullying, and the fact that it
often occurs in a language that the teachers don’t understand can make it easier to hide. Further, the
problem often gets worse when the perpetrators feel that the behaviour is either being ignored or not
noticed by adults.
Reporting bullying and abuse
Every staff member who regularly comes into contact with students aged under 18 should be aware of
the possibility of bullying and should feel free to discuss possible incidents with teaching staff,
counselling staff and the Director of Studies.
If bullying is suspected or witnessed by a member of staff, it should be reported to the Academic
Manager. Students are advised through their Orientation, the Student Handbook and by regular
reminders by teachers that if they see or suspect bullying, or are bullied themselves, they should report
it. They have several options for reporting – they can do so to their teacher, another teacher,
counselling staff or the Academic Manager (ELICOS)/ Director of Studies (VET). They should be
reassured that the college will support them if they feel bullied.
Homestay parents and guardians will also be advised that if they suspect that bullying is taking place,
they should report it to UIT immediately.
Dealing with bullying and abuse
All incidents of bullying should be dealt with as soon as possible after the event or the reporting of the
event. Generally, the class teacher will be responsible for this, though the Counsellor, Academic
Manager and/or other teachers will become involved in appropriate circumstances, for example if the
teacher has limited previous experience of dealing with bullying/abuse. It may be appropriate that the
person dealing with the problem is of the same gender as the victim.
The victim of the bullying/abuse should be reassured, and should also be informed about the action that
has been taken. Checks should also be made that the behaviour has stopped; if it hasn’t, further action
is necessary.
Appropriate actions will vary depending on the nature, severity and frequency of the incident(s) and
include, but are not limited to, the following:
making it clear to the bully/abuser that the behaviour will not be tolerated encouraging the bully/abuser
to see the matter from the victim’s point of view punishment such as detention during breaks or after
school, or loss of privileges writing a letter of apology to the victim referral to the counsellor (specialist
counsellors and/or translators may be brought in if appropriate) in severe or repeated cases,
suspension or expulsion (note that this may result in the student having to return home due to the
cancelation of visa) monitoring of the student
All cases must be reported to the Director of Studies/Academic Manager, who is responsible for
ensuring that records are kept.
At the Director of Studies/Academic Manager’s discretion, a letter should be sent to the parents and
guardian of the perpetrator explaining the situation and specifying the actions taken. It may also be
appropriate to contact the parents and guardian of the victim. As each situation is different, this should
be decided on a case-by-case basis, placing the victim’s welfare as a priority.
Electronic access for students under the age of 18
UIT understands that electronic access by students to information plays an important part in their
education. However, such access presents challenges in that students may attempt to access content
that is not appropriate for their age group.

For this reason, appropriate software is installed on college computers available for use by students
under 18. This software limits access to potentially unsuitable websites, masks profanities and logs
internet use amongst other features.
Additionally, students under the age of 18 will only be allowed to use college computers when there is a
member of staff in the room who is charged with actively policing computer use. This will cover the
possibility that some students may know how to circumvent the software, and also mean that someone
is available to help if problems occur.
Accommodation for Students Aged under 18
Deciding suitability of accommodation and homestay
This policy applies whether the accommodation is arranged through an agency or directly by the college.
Even where an agency is engaged, it remains UIT’s responsibility to ensure that standards are upheld,
that the accommodation selected is suitable throughout during of study, and that all persons living at the
accommodation are suitable including that all persons over the age of 18 hold current working with
children checks (WWCC). Records of the inspection will be kept on file; homestay agencies are
expected to provide such records. Even where inspections are carried out by third parties such as
homestay agencies, UIT may institute its own inspections.
All accommodation must be inspected and the host family must be interviewed to ascertain their
suitability for looking after younger overseas students before accommodation is approved. This may be
done by the homestay agency or by UIT. Points that will be looked for during this inspection and
interview include:
 checking that the sleeping, living and study arrangements are suitable for a student under the age of
18; for example, that the room has suitable facilities including a desk where homework can be
completed comfortably;
 checking that the homestay family are familiar with the needs of people of the age and gender being
considered, are sympathetic to the needs of overseas students, fully understand the implications of
taking in a student under the age of 18, and are willing to take on welfare responsibility;
 checking transport arrangements from the homestay; if UIT is not readily accessible by suitable
public transport from the homestay, the homestay family must commit in writing to providing safe
transport that ensures the student can maintain full attendance at the college, take advantage of
extra-curricular activates and can have a normal level of social interaction with peers.
All persons over the age of 18 living in the homestay at the same time as the under-18 student must
show a current Working With Children check card; this should be kept current during the period that the
under-18 is staying in the accommodation.
All homestay providers will be comprehensively briefed about their responsibilities, who to report issues
to and what is expected of the children by the college (including the fact that full attendance is
compulsory and that daily homework is expected). A college timetable will be provided as well as a copy
of the student handbook, including college rules.
Monitoring of welfare arrangements
Follow-up inspections and interviews for all accommodation will occur at least quarterly.

Students will
Any complaints or negative comments from students about their accommodation should be reported to
the Student support officers and followed up. The Student Support Officers or their delegate will have
an informal chat with under 18 student at least every two months to check that their living arrangements
have not changed and are still satisfactory.
Homestay families may also be contacted from time to time to ask whether they have any concerns.
This will also occur when a student is absent or repeatedly late from school without satisfactory written
explanation from the homestay; in addition, such written explanations may be verified by a phone call to

the homestay. Students will be encouraged to report any problems with their homestay, however minor
they perceive them to be, to their teacher, a counsellor or the Student Services department.
Should a teacher or other member of staff hear any comments from students about issues with
accommodation or which suggest they may be staying somewhere other than the homestay without
approval, these should be reported to the Student Services officer at the earliest opportunity.
Changes to accommodation while the college has official responsibility for a student's welfare
Changes to accommodation must be approved in advance by the college, and must only involve
accommodation that has been approved by the college according to section 2 above. Such changes
must be notified to DIBP through PRISMS.
If a student moves out of their accommodation without the prior approval of the college, UIT is legally
required to notify DIBP, and this may lead to cancellation of the visa. Students will be advised of this
during orientation, but will also be advised that if problems occur in their approved accommodation, they
should inform the college immediately, and the college will take whatever measures are necessary to
ensure the welfare and safety of the student.
Welfare counselling requirements
UIT will ensure that a nominated person is available for welfare counselling of students. Experience in
the counselling of children is preferred for this role; ideally the person would also have experience with
issues affecting international students.
Details of the nominated person, including name as well as times and location the person is available,
will be clearly signed on the noticeboard and in the classrooms usually used for EHS. That person will
talk at orientation about his/her role, and will also visit classes to ensure that students continue to know
who the counsellor is and to talk about any general welfare issues that may be relevant to the EHS
student body as a whole.
Mode of Study
UIT only provides fulltime classroom based training and assessment to international students. UIT does
not have distance education or arrangements with another registered provider, person or business to
provide the course or part of the course.

Deferring, suspending or cancelling study
The UIT Deferment, suspension and cancellation policy and procedure provide the processes for
students to defer, cancel or suspend their studies. It is available on the UIT website:

Students are not permitted to postpone commencement or suspend studies except on grounds of
illness, (supported by a doctor’s certificate) or other exceptional compassionate conditions beyond the
student’s control, such as bereavement.
If a student defers, suspends or cancels their study, this may affect their visa. The student should
contact DIBP for advice before making any decisions. DIBP makes the final decision as to whether the
reasons for postponement are acceptable. DIBP may cancel visas if a student is granted leave to go
home but does not leave Australia or does not return by the agreed date.
Students may also have their enrolment suspended or cancelled due to misbehaviour which can also
be grounds for cancellation of studies.
Students have the right to appeal a decision by UIT to defer, suspend or cancel their studies and UIT
will not notify DOE via PRISMs of a change to the enrolment status until the internal complaints and
appeals process is completed.
Students applying for deferment or suspension of studies need to fill out the appropriate form available
from one of our SSO’s. UIT will then inform DIBP where the application is considered. This must be
supported with evidence to UIT. There is no assurance that an application to defer or suspend studies
will be approved.

Tuition Protection Service at UIT
Under the Tuition Protection Service (TPS) framework, UIT has a statutory obligation to report to the TPS
Director and the Secretary about provider and student defaults. This is the first layer of tuition protection for
students.
Students







Should read their written agreement carefully before signing it - it is a legal contract.
Ensure the agreement is clear on the number of study periods in the course, how the fees are
distributed throughout the course for each study period and the difference between tuition fees and
other types of unprotected fees such as accommodation.
Should be aware of any conditions or deductions from a refund they may incur if they do not
commence or complete the course (this is called a student default) or where their visa is not approved.
Keep a copy of all receipts for money they have paid to a provider.
Ensure their provider gives them a record of all study completed at each stage of their course.
Let their provider know as soon as any of their contact details change.
If an international student is referred to the TPS following a provider closure and wants to accept an
offer of a place with an alternative provider, the student will have to meet any additional academic and
fee requirements of the alternative provider, if higher than the original provider.

English Only Policy
UIT’s English-Only Policy has been established to help you maximise your English language practice
during your studies and stay in Australia.
At UIT, we believe that it is important for our students to speak English at all times while on campus.
Being immersed in an English-speaking environment will give you the opportunity to improve your
English skills. This is why we actively enforce an "English Only Policy" on our campus.
We reward students who observe our English Only Policy
If a staff member hears you speaking English outside of class time, they may give you a “UIT Star card”.
If you receive a UIT Star card, please write your name and student number on it and put it in the green
ticket container at Reception. UIT Star prize draws happen regularly (like a lottery) and the winning
students will receive rewards for speaking in English.
If a student breaks the rules of the English-Only Policy, he or she will receive a penalty:
Penalty #1: The student will receive a first verbal Warning (Yellow card).
Penalty #2: The student will receive a second verbal Warning.
Penalty #3: The student will be suspended from the college for one day and will be recorded as absent.
The student will need to meet with the Academic Manager.
Penalty #4: The student will not be permitted to remain at UIT. The student will need to meet with the
Academic Manager.
Maintaining Discipline
You are expected to maintain good conduct while you are studying at UIT. Disruptive behaviour such
as the following are not tolerated at UIT:

















Disrupting the learning of others
Preventing staff members from performing their duties
Endangering the health and safety of staff or students
Wilfully obstructing or disrupting any activity, class or examination
Wilfully carrying out behaviour that may be detrimental to the health and safety of other
students or staff
Any form of harassment, whether based on gender, race, age, sexual preference or religious
belief
Wilfully damaging or wrongfully dealing with any Institute property, or the property of any
person attending or working at the Institute
Assaulting or attempting to assault any person within UIT
Drunken and/or disorderly behaviour on campus
Being under the influence of prohibited drugs and/or substances
Trespassing or knowingly entering any place within the premises of the Institute which is out of
bounds to students
Making a false representation as to a matter affecting student status
Breaching rules including plagiarism relating to conduct of assessment
Any indictable offence which impinges on Institute operations
Possession of prohibited or dangerous articles
Not observing lawful directions given by an UIT staff member
Damaging Institute property

Not paying fees
If it is found that you have committed any act of misconduct, the Director of Operations will discuss with
you the UIT’s policy on handling such misconduct and an appropriate penalty will be given to you. It
should be noted that some offences may be sufficient grounds for automatic expulsion.
Plagiarism Policy
Plagiarism is the copying or imitation someone else’s work or ideas without acknowledging its original
source. This includes, but is not limited to obtaining information from books, the Internet and from fellow
students.
Universal Institute of Technology treats Plagiarism as cheating. Cheating and Plagiarism are serious
offences, and will be treated seriously. Universal Institute of Technology imposes severe penalties on
students who cheat and plagiarise.
How to avoid Plagiarising?
To avoid Plagiarising, it is essential to acknowledge all sources in all assignments submitted for
marking. Acknowledgement may be in the form of footnotes, endnotes or any other textual references.
A reference list must be included at the end of an assignment if any acknowledgements have been
made within the assignment, including sources that have been referred to but not cited within the
assignment.
The words of another writer must be placed in quotation marks/inverted commas. These words must be
followed by the author’s name, the source (book, web site etc.) and page number of the source. The
author’s complete details should also be included in the reference list at the end of the assignment.
Please refer to the Student Reference Manual supplied with the Student Orientation Guide for
information about citing sources. It is also a serious act to help another student to plagiarise written
work. This includes lending another student work that you have completed so that it can be copied and
submitted as the other student’s own work. Universal Institute of Technology treats these instances as
seriously as Plagiarism and will impose severe penalties on students found to be assisting other
students to cheat and plagiarise.
Penalties for Plagiarism
Penalties for Plagiarism can be significant. If a student is caught doing any of these things, they receive
an Automatic Reprimand Failure for that assessment. They will receive 0% (Not Satisfactory), pending
resubmission of that assessment. They will have to resubmit that assessment and the Director of
Studies may revise the assessment to protect its integrity (for example, they may make it a test).
Resubmission is only possible where the reassessment will be completed before the relevant unit ends.
You may appeal if you feel you’ve been accused incorrectly.
Plagiarism can put you in breach of your visa conditions and may be subject to a Department of
Immigration and Citizenship (DIBP) investigation. UIT may exercise the option of reporting the
Plagiarism to DIBP for review of the student’s visa.
Assessment Procedures
Common Assessment Rules:
In all assessments, the following rules must be remaining to:
 Students are not permitted to bring unauthorised aids or documents into the designated
Assessment site. Examples include mobile phones, unauthorised notes, unauthorised
calculators or unauthorised textbooks. An aid or document can only be authorised by the
Director of Studies/ Academic manager.
 Students are not permitted to communicate with anybody during an assessment, apart from the
Assessors to have legitimate questions answered

If you miss an Assessment
If you miss a scheduled assessment you are required to provide proof of Legitimate Absence within
three (3) working days after the official exam date, or in exceptional circumstances, proof of Legitimate
Absence must be provided as soon as possible:





Proof must be provided to the Director of Studies/Academic manager.
If the proof is not provided within the time period, then the student will receive an unsatisfactory
outcome.
The Head of Department/ Academic manager sets the date of the new assessment.
No supplementary assessments will be scheduled without proof of Legitimate Absence.
If Legitimate Absence is rejected, the student can appeal to the Director of studies
Students must contact the Institute as soon as they become aware that they will not be able to attend
the scheduled assessment.
Access to Records and Certificates and Statement of attainment
All students have the right to access their records at no cost to them; however students should
complete a Request for Transcript form to obtain their certificates and or statement of attainment at any
time during their course or at the completion of the course. Please allow up to 10 days for processing.
Note that if any fees and charges are outstanding for the units that the certificate or statement of
attainment is requested for, it will not be issued unless it is cleared. Any such requests can be made at
the reception.
Bullying and Discrimination at UIT
All students are responsible for their own behaviour. All forms of bullying, harassment or discrimination
are not acceptable. All students who believe that they have experienced bullying, harassment or
discrimination are encouraged to make a report by using the Universal Institute of Technology
Complaints Policy and Procedures.

5. Studying on a Student Visa
All students have responsibilities while studying. Students on a student visa have additional
responsibilities. You are required to study full time if you are on student visa. Universal Institute of
Technology is authorised to obtain from other educational institutions and relevant institution details of
your enrolment, academic record and examination results. The information made by you may be made
available to Commonwealth and State agencies and the Fund Manager of the ESOS Assurance Fund,
pursuant to obligations under the ESOS Act 2000 and the National Code.
Change of Contact Details
It is an obligation of any student on a student visa to notify UIT, within 7 working days, of changes on
their contact information. Contact details include your address, either postal or residential and your
phone numbers, including home and mobile numbers. You must also provide UIT with an Emergency
Contact in case of an emergency. If any of your details change, you can update it by filling-out a
Change of Personal Details Form at Reception.
Travelling outside of Australia
Deferment or Suspension of enrolment can only be granted in exceptional circumstances e.g. serious
family reasons. In such cases you must complete an Application for Deferment or Suspension of
Enrolment form and provide relevant evidence e.g. a death certificate. This form is available from
Reception and must be submitted to the Director of Operations for assessment. Simply buying an
airline ticket does not mean UIT will grant permission for deferment or suspension. Once permission is
granted, please make sure that you carry the UIT permission letter with you when you leave and return
to Australia as proof. Please note that if you leave Australia without permission and do not have this
letter, you may be refused permission to re-enter Australia.
Student Transfers
All student visas are granted with the 'No Change of Provider' condition. This means that international
students must stay with Universal Institute of Technology the first 6 months of their principal course. If
the student is enrolled in a package of courses, they must stay with the institute for the length of the
prerequisite courses, and then the first 6 months of the main course. In addition Universal Institute of
Technology will not knowingly enrol a transferring student from another education provider prior to 6
months of their principal course being completed. This policy does not apply to students who have
already completed 6 months of their principal course.
Circumstances where student transfer is allowed within six months





the original registered provider has ceased to be registered or the course in which the student
is enrolled has ceased to be registered;
the original registered provider has provided a written letter of release;
the original registered provider has had a sanction imposed on its registration by the Australian
Government or state or territory government that prevents the student from continuing his or
her principal course; or
the student has no outstanding fees owing to Universal Institute of Technology
any government sponsor of the student considers the change to be in the student’s best
interest and has provided written support for that change
Transfers to Universal Institute of Technology

Onshore international students who are bound by “No Change of Provider” condition, and wish
to enroll in a Universal Institute of Technology course, must submit a release letter from their
current provider before the institute will issue an eCoE.

An Admissions Officer may use the Universal Institute of Technology application form, PRISMS
or a copy of the student’s visa in the passport to ascertain the principal course and whether
they satisfy the 6 month ruling.
Transfer from Universal Institute of Technology to another provider

Onshore international students who are bound by “No Change of Provider” condition, and wish
to enroll into a course at another provider must submit a Transfer Request Form along with a
valid letter of offer from the other provider to the Student Services Officer for consultation in the
first instance
 Where the student still wishes to proceed with the transfer request the transfer request form
along with offer letter is forwarded to the Finance area for consideration.
 A transfer will only be granted under the circumstances listed at 4.1 and a letter of release will
be provided within 10 working days of the transfer request being lodged with the Finance
department.
 Where a release letter has been granted, the Admin Department will submit a course variation
through PRISMS using the ‘transferred to another provider variation’. A copy of course variation
is to be placed in students file.
 Where a release letter has been granted, it will be issued at no cost to the student and will be
advised that the student need to contact DIBP to seek advice on whether a new student visa is
required.
 Where Universal Institute of Technology does not grant a letter of release, the student will be
provided with written reasons for refusing the request within 10 working days and will be
informed of his / her right to appeal the decision, in accordance with Student Complaints and
Appeals procedure.
 Students will not be granted a release letter, where it would be detrimental to the student.
Records
 Universal Institute of Technology will maintain records of all requests from students for a letter
of release and the assessment of, and decisions regarding, the request on the students file.
Completion of study within expected duration
Student Visa holders are responsible to complete their studies within the period specified in their eCoE
unless certain exceptional and compassionate circumstances applied.
Should the student choose to study less than a 100 per cent load in a particular teaching period, they
must ensure that completion of their course will end at the expected time.
If there is early completion of a course by a Student Visa holder occurs, Universal Institute of
Technology must report this to the Department of Immigration and Citizenship where the duration of the
student’s visa will most possibly be reduced. Please refer to Completion within expected duration Policy.
Maintaining Satisfactory Attendance (English Language students only)
Standard 11 of National Code requires Universal Institute of Technology to systematically monitor
students’ attendance. UIT adopts a proactive approach in notifying and counselling students who are at
risk of failing to meet the attendance requirement, for English students of this level is 80% of timetabled
sessions. For further information please refer to Attendance Monitoring Policy for English Language
Students.
It is a requirement of the Immigration Department that you attend at least 80% of your scheduled
classes. If your attendance is at or below 90%, the Institute will be given your First Warning Letter. This
letter reminds you of your responsibility of complying with you visa condition relating to satisfactory
attendance. If you persist on being absent in class and your attendance percentage falls at or below
85%, you will be given your Second Warning Letter. For both the first and second warning, the student
will be invited for counselling by the Student Support Officer. If you are unable to attend the counselling
session, you must contact the Institute to reschedule. You will not be given the opportunity to

reschedule this counselling session after the date it should have occurred. This is why you must
provide current contact details to the Institute.
The purpose of the counselling session is to help you attend class and to discuss any problems with a
professional counsellor in a safe, confidential environment.
International students whose attendance has not improved by their second review will be sent a Notice
of Intent to Report Due to Unsatisfactory Attendance. The student may appeal the decision to report
him/her for unsatisfactory attendance.
Coming Late to Class
It is essential that you turn up on time for class. Students arriving late for more than 15 minutes are not
allowed to attend the class for that particular session. They can, however, attend the next session if
arriving on time.
Academic Requirement
Students are expected to achieve satisfactory academic outcomes in every study period.

A study
You may be in breach of your Student Visa if your academic result is considered to be unsatisfactory by
UIT. DIBP documentation states, “For a course that runs for at least a semester, a satisfactory
academic result must be achieved for each term or semester, whichever is the shorter.”
Policy on Satisfactory Course Progress for students:
If a student has not demonstrated competency in consecutive assessments (At a minimum, where the
student has been unsatisfactory or is deemed not yet competent in 50% or more of the units attempted
in any study period) during one school term, they will be contacted by the Admissions/Student Services
Manager to discuss strategies for competence in the future. The student may have to re-take units or
re-submit outstanding or unsatisfactory course requirements as a consequence.
If a student has not demonstrated any competency by the end of two consecutive school terms, the
student will be notified in writing that they must demonstrate competency in a majority of units for the
second consecutive study period or UIT will be obliged to report them to the DIBP for breach of study
visa conditions. This notice will also inform the student of accessing formal complaints procedures
within 20 working days of the receipt of the letter.

Intervention Policy
Universal institute of Technology provides appropriate, learner-focused student academic support and
intervention to optimise achievement of learning outcomes as well as satisfy the provisions of
Standards9 and 10 of the National Code 2007. Coherent processes including attendance/academic
monitoring are established to identify and refer at-risk students. The intervention strategies to which
students are referred to may include:










Assistance with academic skills such as essay & report writing, meeting assessment
requirements and research skills
Attending a study group
Counseling with the Student Services Department for assistance with personal issues affecting
course progress
Opportunity for reassessment
Mentoring by the teacher or nominated student
Referral to external organization for assistance
Reduction in course load
Undertaking a review of the students results
Attending additional classes
Combination of above methods.
Outcomes, actions and agreements of the intervention meeting signed by both the Student Services
Officer and the student will be given to the student and a copy kept on the students’ file.
Reporting Students to the Immigration Department
Students who fail to meet the requirements of their visa must be reported to DIBP. UIT will inform DIBP
of failure to comply with visa requirements students will have 28 days to report to Immigration. If the
students fail to do so, their visa will automatically be cancelled.
It is important to ensure you always advise UIT of your current contact details. If we do not have your
details and you are reported to DIBP, they will not be able to contact you which may mean you will be
illegally staying in Australia.
Failure to pay tuition fees by the notified due date will result in you being withdrawn from your course.
Students who have any outstanding fees at the conclusion have no right to receive their results or
certificates.
Medical Insurance
All international students must have a current health cover for the whole duration of their studies. It is
your responsibility to ensure that your cover is current. If your health cover is not current, you will be in
breach of your visa. Although the preferred health insurance provider of UIT is BUPA, you may choose
to use another health insurance company. Please bring your card to the Student Services Officer to be
photocopied and kept in your file. Keep your card in a safe place, and if you lose it, please inform UIT.

*Family includes the student, the spouse of the student and any dependent children of the student up to
18years of age who have been authorized to enter and remain in Australia with the student and residing
with the student. Other family members are advised to purchase Overseas Visitors Cover.
Living Costs
Students will be liable for all living costs. As a guide, DIBP estimates the cost of living in Australia
around AUD$18,000 per year. Students must be aware that they are to finance these costs in addition
to tuition fees and health insurance cover.
From 1 January 2012, the basic rate of living costs under the Migration Regulations increased from the
previous rate of $12,000 per year. Under these regulations, prospective student visa applicants and
their family members must have access to the following funds to meet the living costs requirements:




$18,000 per year for the main student
$6,300 per year for the student’s partner
$3,600 per year for the student’s first child
$ 2,700 per year for every other child; and where required
School Age Dependants
There are requirements for compulsory school attendance for children or dependents of international
students. In Victoria it is compulsory for children to attend school until the age of 16. The choice of
schools includes public schools, private schools and religious schools. People over the age of 16 can
continue to attend school until they have completed year 12.
The Institute is dedicated to a Family-Friendly Policy; committed to designing flexible arrangements as
required for students with children, and to providing support services that facilitate students to reach
their study goals and balance these with their family responsibilities.
If you are an international student with children there are a number of issues that you must give
consideration to prior to bringing your family to Australia, such as childcare and school fees and
additional living costs. Unless you are the recipient of an Australian Government scholarship (such as
IPRS or AusAID) you will have to cover your child/children’s school fees, even if enrolling them in an
Australian Government school. The following are approximations of the costs of Government School
Education in Victoria, per student, per year:

Permission to Work
When you are granted a student visa, you and your dependent family members will already have
permission to work automatically included with your visa.
International students who have a Student Visa with Permission to Work may work up to 20 hours per
week during scheduled class weeks, and full time during holiday breaks. If you work beyond the
required number of hours, DIBP may cancel your enrolment. International students who are granted
permission to work should immediately apply for a Tax File Number (TFN) from the Australian Tax
Officer (ATO) www.ato.gov.au

Tax File Number
All workers in Australia need a Tax File Number (TFN). When starting a new job, you need to inform
your employer of your TFN by completing a ‘Tax File Number Declaration’ form. International students
pay tax which is automatically deducted from their earnings (the Pay As You Go or PAYG system.) For

international students need to apply for their tax return through an accountant.

Sick /First Aid
If you ever feel ill during class, please notify your teacher and they will refer to Reception where one of our
trained First Aid Officers will assist you. A First-Aid kit is also available at reception.
Emergency Procedures
Study the exit map on the wall of your classroom. If there is a fire: An alarm will ring.
 Follow your teacher to the allocated EXIT. You have to leave the building quickly, so please
leave your books and bags behind.
 Walk calmly out of the building and refrain from excessive talking.
 Your teacher or a fire warden will take you to the assembly point. You must go to the assembly
point and have your name marked off the Class Roll.
Every six months the College conducts a fire drill. Do not be alarmed when this happens.

Suggestion Boxes are located in the Student Services Lounge and near the library, along with Suggestion
Forms for you to fill out if you wish.
Surveys and Interviews
Regular surveys and interviews are conducted by UIT to gather your perception of the quality of service we
provide. Please be as honest as possible when responding to a survey or during interviews. Your responses
will help towards improving our services and the overall quality of our work.
Lost Property
Any items found in the College will be taken to Reception to be placed in the Lost Property box. If you lose
something in the College, check with Reception to see if it has been handed in. Any items not claimed after
three months will be donated to charity.
Security
Please do not leave any of your valuables on Campus unattended. Here are some tips on how to keep your
belongings safe:

Keep your bags with you when moving from room to room, particularly during breaks.

Please do not carry large amounts of cash. Always be careful with purses, wallets, cash and
credit cards. We recommend you get an Australian bank account, so that you can secure your
money there.UIT is not responsible for the security of personal belongings.

Complaints and Appeals
We hope you will be happy and everything will go well while you study at UIT. However, if you do have a
problem with the services provided, a staff member, another student, or any other issue while you are a student
at UIT, we have a process in place to support any claim or appeal. Please try to talk to the other person first –
this is often the best way to resolve an issue. Please see the process below:

Note: If you need support then you can take a friend with you to any meeting.
Complaints Mechanisms
A concern becomes a complaint when it is reported to a person in authority at UIT, and requires action
or response according to the UIT Complaints Policy and Procedure. A complaint can be about a facility,
a condition, a person or people. The Institute’s Complaints Policy and Procedure provides two ways to
raise a complaint or concern - Informal or Formal.
If you have a concern or problem, please speak with your Teacher or Receptionist to discuss your issue.
If you cannot resolve it, they will refer you to the Student Support Officer. If the issue is still not
resolved you will be referred to the Director of Studies. In most cases where the situation isn’t a minor
issue of misunderstanding, all UIT staff members you approach will always bring you to the Student
Support Officer. The Student Support Officer or the Director of Studies will actively (and informally)
assist you in your problem, but if it cannot be resolved, the Formal procedure will begin.
To enable the Formal procedure to start, students must complete a Complaints and Appeals Form
outlining their issues, providing as much detail as possible including (where relevant) actions to be
taken to resolve the issue. The complaint can be handed in to Reception or emailed to:
[email protected]. If the complaint is made verbally (for reasons of special circumstance i.e. disability),
the Director of Operations must summarise the Complaint and/or Appeal in writing and have it signed
by the person making the complaint.
UIT will investigate the student’s concerns: investigation will involve contacting the party/parties
against whom the complaint was made and allow him/her to respond in writing in relation to the
complaint. Alternatively a meeting will be arranged with the parties involved where students have the
right to appoint an independent nominee to attend all discussions.
If the student is not satisfied with the outcome or resolution of any given complaint, they can lodge an
Internal Appeal and if a student is still unsatisfied with the results of this appeal, they are able to appeal
externally. UIT recommends LEADR to students as they provide a mediation services. The Overseas
Students Ombudsman (OSO) also provides access to independent mediators at no cost to the student.
Please note that your complaint will be treated confidentially and that you will not be penalised
in any way if you decide to raise a complaint, either informally or formally.
Appeals
If you are not satisfied with the decision made by a member of UIT staff, you can appeal that decision.
Appeal procedures cover the following areas:

Failed results: The Director of Studies assesses this appeal.

Unsuccessful Recognition Applications: The Director of Studies reassesses this appeal with
any further information you can now provide.

Unsuccessful Applications for Extensions: The Director of Studies assesses this appeal.

Automatic Reprimand Failures: Either the Director of Operations or The Director of Studies –
whoever didn’t assess the Automatic Reprimand Failure before –assesses this appeal.
In each case, the procedure is relatively the same:

Take the result, decision, or unsuccessful application to the appropriate staff member.

Fill out a Complaints and Appeals form, which you can get from Student Support Officer or the
Director of Operations.

The Student Support Officer or the Director of Operations assesses the situation, including why
the original decision was made, and asks you why you think the original decision should be
changed.

If the Student Support Officer or the Director of Operations believes there is no basis for
overturning the original decision, it will go no further. If the staff member believes there is a

basis for overturning the original decision, the original process, whatever it was, is performed
again by the staff member you’re now dealing with. From this, a new decision is made.

They will also tell the original staff member about the new decision.

All documents relating to the Appeal are kept in the student file and the details recorded in the
Complaints and Appeals Register. If the appeal is confidential, a detailed diary note may be
kept in the Student Welfare files, with a reference placed in the student file, Student Database
and the Complaints and Appeals Register.
