The guest house and canteen under consideration can be inspected after taking prior appointmentfromtheconcernedofficer. REGISTRAR Terms&Conditions 1. The contract is for(1) housekeeping and cleaningservice of office/living space, toilets and upkeep of common areas including catering services to the guest house building(exclusively for boarders), (2) Regular Canteen/Catering Service for all ( including students, staff, teachers, guests) and (3) Security Service at Technology campusatSaltLake. 2. Scope of work is to provide maintenance, security and upkeep of common areas, cateringservicesintheGuestHouseandregulargeneralcanteenserviceeveryday. 3. Maintenanceshallincludedailysweeping,moppingandweeklywashingofthefloorsof theGuestHouse,bedroomsandattachedbathrooms,reception,dininghall,kitchenand commonareas. 4. Thecontractorhastoundertakecleaningandmoppingoffloorarea,cleaningoftoilets, cleaningofcots,sofas,carpets,sidetables,chairsandotherequipment,viz.computers, telephones,refrigerator,fans,cup,drinkingwaterglasses,lightfittingsetc.inallthebed rooms, VIP suites, guest rooms, dormitoriesand clearing of waste on a daily basis, upkeepofcommonareas. 5. Thefurnitureinalltheroomsshallbekeptdustfreeatalltimes.“Roomfresheners”shall beprovidedinallroomsdaily. 6. The contractor should possess a minimum experience of 5 years in up keepingand maintenance and managing of Guest House in any CentralGovernment/State GovernmentorPublicSectorundertaking. 7. Aregistrarfortheguestshastobemaintainedproperlyandthekeysoftheroomshave tobekeptinsafeandpropercustodians. 8. Bed sheets, pillow covers, towels, curtains, door mats, etc. are to be provided by the contractor. 9. Vacatedsuiteshouldbekeptreadyforoccupationatonce. 10. Curtainsmustbelaunderedandwoollenblanketsdrycleanedonceinamonthshallbe bornebythecontractors. 11. Thecontractorshallensureavailabilityofliquidsoapsinwashbasins,naphthaleneballs andtoiletpapersinurinalsandtoiletsandrefillingthesame,mosquitorepellentsasand whenrequired.Thecostoftheconsumableslikephenyl,soap,oil,cleaningacid,mops, toilet cleaners, room fresheners, tissuepapers and equipment like vacuum cleaner, buckets,mugs,dusters,etc.Usedforcleaningshallbebornebythecontractor. 12. Costofallconsumablesusedforanyotherservicescontractedforshallbefullyborneby thecontractor. 13. The contractor shall provide cooking service for breakfast, lunch and dinner to occupantsonrequest. Thecontractorshallkeepsufficientpaperteacups,sugar cubes, teabags,coffeepowder,milkpowdersachetsinreserveforthepurpose. 14. The contractor shall provide/arrange mineral water (chargable) to the Guests as desired. He shall keep reserve of mineral water in sealed bottle for thepurpose. Hot/colddrinkingwater(otherthanmineralwater)istobeprovidedfreeofcost. 15. Innocaseguestswillbeprovidedwithharddrinks. 16. The contractor shall be able to provide all kinds of food (Indian, Chinese and Continental)onrequest.Amenuchartmentioningthepricesofthefooditemswillhave tobesuppliedtoalltheoccupants. 17. Canteenservicehastobeprovidedtotheguestswhoarecheckinginatlatenight. 18. 24hourroomserviceshouldbemaintainedwithoutanyexcuse. 19. Fans, AC units, refrigerators to be cleaned once in a month. It has to be ensured that only guests use the facilities (TV, Fridge, etc.) in the GuestHouse. The kitchen shall alwaysbekeptclean. 20. Theutensilswillbekeptcleanwithstandardwashingpowder. 21. All carpeted areas, dust from doors, partitions, Venetian blinds, fabrics(Curtains), sofa sets,cushionedchairsetc.,shallbecleanedwithvacuumcleaneronceaweek. 22. Thecontractorshallmakeproperarrangementsfordisposalofwaste. 23. The contractor shall maintain a register of complaints received from theoccupants of guesthouseandredressthecomplaints. 24. Thecontractorshallmaintainproperrecordsofinandouttimingsoftheguests. 25. Electricpoints(lights,fans,AC’s,geysers,etc.)shouldbeswitchedoffwhentheroomis notinusetoconserveenergyandavoidfiremishaps. 26. The contractor shall be responsible for any pilferage, loss, theft, damage of utensils, furniture,electricalequipment,toiletfittingsoranyotherarticlefromtheguesthouse. 27. The contractor shall be responsible for safe custody and maintenance of all items handedovertohimintheGuestHouse. 28. AninventoryofalltheitemsavailableintheGuestHouse,room‐wise,shallbegivento thecontractor.Heshallhandoveralltheitemsintheinventoryandotherstockregisters atthetimeofterminationofthecontractinserviceablecondition. 29. Petty electrical and plumbing repairing/maintenance workincluding provision for spares/consumables/accessories are the contractor’s responsibility. But no major changesareallowedwithoutpermissionoftheappropriateUniversityauthority. 30. Alltheelectricalinstallations(likeA.C.,T.V.,Geyser,etc.)andfire‐fightingarrangements shouldbebroughtunderAMCwithappropriatepartiesthecostofwhichshallbeborne bythecontractor. 31. Cable connections along with maintenance and recharges will be the contractor’s responsibility. 32. ThecontractorshouldappointaresidentialManagerfortheGuestHousetosupervise thequalityofservicesrenderedtotheGuests.TheManager/Supervisorshouldsignand recordhisfindingsintheRegisterkeptattheGuestHouseforthispurpose. 33. Thecontractorshallemploysufficientnumberofstafftomeetalltherequirementsas statedabove. 34. Anyshortsupplyorinadequacywithregardtomanpower,consumablesandequipment employed by the contractor in the Guest House shall be viewedseriously. He shall employseparatepersonsforcookingjobs,cleaningjobandcaretakerjob. 35. ThecontractorshallensurethathispersonnelshallhaveIdentityCards,providedbythe contractorwhichshallbeworninsuchawaythatitisprominentlydisplayedandvisible sothatanypersoncanidentifytheindividualrepresentingthecontractor. 36. The contractor has toprovideuniform to all his employees and they must wear clean uniformproperly. 37. Thecontractorshallprovideallcleaningequipmentandcleaningmaterialswhichshall beharmlessandeco‐friendlyandshallinnowaydamagethefloorsandotheritemsby wayoffadingstain,forming,erodingetc. 38. Thecontractorisresponsibleforpaymentofmonthlysalarytothepersonnel. 39. ThecontractorissolelyresponsibleforthestatutorypaymentssuchasESI,PF,Bonus, Overtimework,etc.paidtotheconcernedauthorities.Proofsofsuchpaymentshaveto beproducedasandwhenrequired. 40. University authority reserves every right to reject your offer without showing any reason. 41. Incaseofanylossofproperty/belongingsordissatisfiedperformance,recoverymaybe madeoutofPerformanceGuarantee. 42. Thecontractorshallinsureallthepersonnelengagedforthisjobandsuchpolicyshallbe producedtotheDepartmentondemand. 43. All the persons provided shall be the employees of the contractor and all disputesbetween the contractor and its employees shall have no bearing on theDepartment. The Department shall not be responsible for any claims madeby such personsandshallnotbeliabletopayanyamounttoanyemployee/ex‐employeeofthe contractor.Thecontractorisfullyresponsiblefordisciplinedbehaviourofitsworkmen. 44. All chargeable rates to be given by the guests for the service they are provided with shouldbeclearlymentionedwhilegivingoffer. 45. Universitywillgetpreferencesforaccommodationbooking. 46. Canteenfacilityshouldbemaintainedbetween6.00amto9.00amforbreakfast,11.00 am to 3.00 pm for lunch and 8.00 pm to 10.30 pm for dinner. However, snacks, tea, coffee,etc.wouldbeprovidedanytimebetween10.00amto8.00pm. 47. Amenuchartforthepurposemustbedisplayed/servedproperly. 48. Thecontractwillbeonall‐inclusivebasis. 49. Newspapers / magazines / journals, etc. have to be kept in the office / reception and havetobeprovidedintheoccupiedguestrooms. 50. Anydamage,whatsoever,inrespectofthebuildingsandthefittingsorinstallationsis liable to be compensated by the party in cash (to be evaluated by the University authority),otherwise,itmayberealizedoutofthesecuritydeposit. 51. Thetermofthecontractisthree(3)yearswhichmayberenewedforanotherperiodon thebasisofperformanceandchargesmadefortheconsumablesandservices. 52. In no casethe employees ofthe approvedagency will be treated as the employees of theuniversity. 53. TheElectricityBillhastobepaidbytheapprovedvendor. 54. SecurityServicehastobeonround‐the‐clockbasis.
