Since 1932, the hardy staff of the Mount Washington Observatory (MWO) has been right there in the thick of it, living and working in the home of the World’s Worst WeatherSM. MWO advances knowledge and understanding of the natural systems that create earth’s weather and climate. This is achieved by operating its unique mountaintop weather station, collecting and analyzing weather data, performing scientific research, delivering educational programming, and interpreting the heritage of the Mount Washington region. Regularly featured in the national media, the “Obs” enjoys the good will and support of thousands of members, donors and fans across the country. General Description The Finance and Administrative Assistant performs a range of general accounting, clerical and administrative support functions for the Mount Washington Observatory (MWO) administrative offices. The Finance and Administrative Assistant reports directly to the MWO Business Manager. This position is part-time/year-round, based at MWO’s administrative offices above the Weather Discovery Center museum, which is located in the heart of the vibrant and beautiful village of North Conway, NH. While the majority of the Finance and Administrative Assistant’s duties are accomplished in the office, the job does require some local travel. He/She must have flexibility in his/her schedule and possess a current driver’s license and reliable transportation. This position is paid an hourly wage for 20-25 hours per week and provides the standard MWO benefits package for part time employees. Job Activities The responsibilities of Mount Washington Observatory’s Finance and Administrative Assistant include, but are not limited to, the following: Reception Answer general phone inquiries using a professional and courteous manner Direct phone inquiries to the appropriate staff members Reply to general information requests with accurate information Greet clients/suppliers/visitors to the organization in a professional and friendly manner Administrative Support Use of Word, Excel and Quickbooks software Retrieve and sort incoming mail, faxes, and courier deliveries for distribution Prepare and send outgoing faxes, mail, and courier parcels Answer the phone and forward voice-mail from the general mailbox to the appropriate staff member Office Equipment and Office Supplies – ensuring that the office is sufficiently stocked with supplies and managing office equipment such as the postage meter, copier and fax Code and file materials according to established procedures Provide administrative support to management and other staff as needed Finance Use of Quickbooks software to assist the Finance Department with daily data entry Distribute incoming bills to appropriate Managers for approval Filing of financial materials Administer petty cash Process and bank retail sales deposits and museum donations Process staff credit card accounts monthly ensuring timeliness and accuracy of information Month end duties as required Membership, Development and Board Support With the Executive Director, prepare supporting material for distribution to the board Order food and beverage for meetings as necessary Data Entry – occasional membership and fundraising data entry Events – providing administrative support when necessary Other Other tasks as assigned Like all MWO employees, the Finance and Administrative Assistant is an ambassador for this unique nonprofit cause and carries the responsibility of always being an excellent representative in the community Required Knowledge, Skills, Abilities and Personal Characteristics Excellent communication skills, bright disposition and positive attitude Excellent planning and organizational skills Ability to manage multiple tasks and prioritize Keen attention to detail Additional Knowledge, Skills and Experience Desired Experience with accounting software (QuickBooks preferred) a plus Knowledge of and or interest in Mount Washington and the outdoors is desired Accountability Accuracy of data entry Efficiency Working cooperatively and effectively with other staff members Knowledge of MWO programs to ensure effective communication with callers and visitors Education and Experience High school diploma or equivalent; Associate’s degree in business or accounting preferred 1 - 3 years of experience in clerical accounting Deep knowledge of typical office computer software, including Microsoft Word, Excel and Outlook Knowledge of generally accepted accounting and bookkeeping principles and procedures Contact To apply, please send a resume and letter of interest by the close of business on October 24, 2014 to: Julie Davis Business Manager Mount Washington Observatory P.O.
