Personal Assistant to Chief Executive Officer • • • Dynamic working environment Exciting renewable energy company Varied and diverse role A fantastic opportunity exists for a motivated person to fill the role of Personal Assistant to the Chief Executive Officer (CEO) of an ASX listed technology development company operating within the renewable energy sector. In the role you will be required to use a high amount of initiative and well developed communication skills to provide administrative management. The position is based at Carnegie’s corporate head office in North Fremantle. Ideally the candidate will be tertiary qualified, or experienced in a similar role in technical or engineering environment. Experience in a corporate environment will be well regarded. About the Role This role provides support to the Managing Director, Board of Directors and, in conjunction with an executive assistant, the Senior Management Team as well as overseeing the day to day management of a small but dynamic office. Handling corporate communications the successful candidate will provide an avenue for internal and external parties to communicate with the CEO. In addition, this role is responsible for the co-ordination of office infrastructure and management of office support contracts. Main areas of responsibility include: • Frequent coordination of travel, accommodation and international meeting schedules • Proactive diary management, prioritising and following up on all relevant matters in a timely manner • Planning and execution of internal and public events, including hosting members of parliament, international dignitaries and shareholder meetings • Ensuring HR processes are managed effectively • Document creation, formatting, review and issue • Coordinate administrative functions for board meetings including board packs, PowerPoint presentations and travel as required • Liaise with office support suppliers to ensure smooth operations for the office • Manage the PA to COO to ensure coordination of related activities • Review PR documents to ensure consistency and relevance to the company communications strategy The ideal candidate will possess: • Previous experience in an administration or personal assistant role with a tertiary level qualification • Excellent verbal and written communication skills • The ability to show judgment, think independently and demonstrate common sense • A professional, positive and friendly approach to all duties including challenging situations • Established task management and prioritisation practices • Strong document creation and formatting skills with MS Word and PowerPoint • Fluent in the use and functionality of MS Outlook for email and diary management • Ability to listen to the concerns of others and ensure appropriate action is taken to resolve issues in a timely manner This is an excellent opportunity for the right candidate to join a unique company that offers an outstanding working environment in an exciting and rapidly growing field.
