Once in the main appropriate registration table for your qualification All students graduating with a Diploma are to arrive dressed in their hired gowns (hire details provided further on). No jeans, sneakers, jandals, t-shirts, miniskirts, inappropriate casual clothing or footwear is to be worn. Graduands are welcome to wear traditional customary attire (e.g. puletasi for our Samoan students, sari for our Indian students, hanbok for our Korean students) or suit and tie, a nice dress, ironed pants and shirt, etc. Diploma students who will be wearing a gown as part of their regalia are advised to dress lightly. Please do not bring any large bags with you as there is no place provided to store your possessions. In addition to your family and friends, there will be many guests attending from various industries to celebrate your achievements, so please represent your family, friends, Campuses, New Zealand Career College and yourself by looking your best. Student Graduation Information Guide page 3 HIRING OF ACADEMIC DRESS: Diploma students ONLY Students graduating with Diplomas - Please wear your regalia (academic dress) to the ceremony. You will not be able to participate in the ceremony without this. You must be wearing academic dress (gown and stole according to your discipline and faculty colour) to attend the ceremony. You will not be able to participate if you do not wear the appropriate academic dress. Please see below for your relevant qualification’s academic dress requirements. Business School academic dress requirements: Gown and Burnt Orange Stole (sash) Diploma in Advanced Business Management (Level 6) Education School academic dress requirements: Gown and Forest Green Stole (sash) Diploma in Early Childhood Education (Pasifika) (Level 5) Academic dress must be organised prior to the graduation ceremony. It is your responsibility as a student to arrange your academic dress. Please note that academic gowns are worn open at the front when choosing your outfit for graduation day. How to Hire your Academic Dress (also known as Academic Regalia). Please contact Out ‘n’ About Graduation Regalia to arrange at time for fitting, collection and payment for your gown and stole hire. Please ensure that this is arranged well before graduation (note they are physically based in central Auckland). Payment is to be made directly to Out ‘n’ About for your Academic Dress Hire and Bond fee. Costs range from $40 ($30 for gown, $10 for sash) depending on the dress requirements of your qualification and there will also be a bond fee of $100.00 which is payable before collection and refunded after safe return of gowns. Please note that Out n About do not have Eftpos facilities so hire and bond fees can be paid via cheque, cash or online only. Should you have any queries please contact the hireage company directly on the details above. 2. Collecting your academic dress Out ‘n’ About have advised that NZCC students can be accommodated on Wednesday, 29th October from 9am-5pm, Thursday, 30th October from 9am-5pm or Friday 31st October, 9am-1pm for fittings, payment and collection. Please do not leave your gown collection to the last minute. 3. Returning your academic dress Hired regalia must be returned straight after the graduation ceremony to Out ‘n’ About at the graduation ceremony venue (on graduation night at the Dorothy Winstone Centre Return stand). Out ‘n’ About will not be open for returns on Sunday. Once all of your hired items have been successfully returned on graduation night your bond will be refunded to you. Academic Dress Hire Outlet: ‘Out n About’ Map From Auckland city centre - Right off Mt Eden Rd towards Three Kings or left off Dominion Rd after Balmoral shops. REGISTRATION YOU MUST REGISTER TO PARTICIPATE: No registration = no name on list = no participation. Upon arrival at the Auckland Girls Grammar School parking is available through gates 2 and 4. All graduating students are to arrive at the main entrance to the venue found at gate 2 to register. Please locate the registration table specific to your graduating qualification. Look out for the following signs and tables in the entrance foyer. National Certificate in Health, Disability and Aged Support (Level 3) Certificate in Health Care Support (Level 4) National Certificate in Electronics Technology (Level 2) National Certificate in Early Childhood Education and Care (Level 3) Certificate in Early Childhood Education (Level 3) Certificate in Early Childhood Practice Centre Based (Level 4) Diploma in Early Childhood Education (Pasifika) (Level 5) Diploma in Advanced Business Management (Level 6) Please take your Student ID card or other ID with you, so registration staff can identify who you are. It is important that you register before going to the graduating students’ assembly point. Student Graduation Information Guide page 5 DRESS/STAGE REHEARSAL Please ensure you arrive wearing your appropriate academic dress that you have hired. After you have completed the registration, please make your way to the student assembly point for further instructions. PLEASE DO NOT BE LATE or you will miss out on important information and seating. You will be informed on where to enter, stand and exit on the stage before and after receiving your certificate. There will be over 600 people attending the graduation event so please: Be on time to familiarise yourself with the walking procession, ceremony programme etc and to ask any questions you may have. Please ensure you are on time to avoid any embarrassment or disappointment. All graduating students are to register at 5.45pm and be at the graduating students’ assembly point (this is in the assembly area down stairs to the main entry point) by 6.30pm. Graduating students will be walking down across the front of the stage to officiate the start of our graduation celebration at 7.00pm. The Stage Manager will direct you accordingly for lines and seating. Please listen during dress rehearsal and during graduation for directions. SEATING ARRANGEMENTS Graduating students will enter the hall after academic staff and according to your allocated seating. Please remain in your allocated seating for the graduation ceremony (receiving your certificate). If you have children, please ensure they are seated (and remain seated) with family or friends until after you have graduated on stage. They are not to sit with you. Your cell phone must be switched off. Please ensure any small handbags you have, are placed under your chair. The seat you will be allocated during stage rehearsal will be the order in which you will walk during the graduand procession and also the order in which your name will be read out on stage. We are expecting over 200 graduates from across the Auckland City, Manukau and Waitakere campuses. You will be graduating in groups according to qualification, so classes from different campuses will be combined. Therefore, it is important that you remain in your allocated seat so that your name is announced in the correct order on stage. FOOD There will be light refreshments and finger food available at the end of the ceremony. We do aim to keep within our graduation ceremony time frames, however it is advisable that you and your guests have something to eat before attending the event. We would also recommend that you bring a water bottle with you should you need it. CHECK THAT YOUR NAME AND CONTACT DETAILS ARE CORRECT Please ensure we have your correct details by checking with your Campus Administrator or by checking your completions letter and Record of Learning made available to you. Make sure your first, middle and last names are in the right order and if anything is incorrect please contact your Campus Administrator immediately. Names that have been used on our Student Management System for your enrolment and verified with the Ministry of Education’s National Student Index database will be printed on your Record of Learning (already released for student pick up or forwarded on request) and Qualification. Requests for name changes should have been made at your enrolment or prior to your programme end date using proof of primary identification (passport, birth certificate or change of name by deed poll document). If you feel there has been a major error please send a request after graduation to your Campus Administrator to follow up with Head Office. Student Graduation Information Guide page 6 TICKETS We have included two complimentary tickets for your guests. Students graduating on the night do not require a ticket. Should you wish to purchase extra tickets for your family and friends to attend the ceremony, these must be purchased from your Campus Administrator. Additional tickets will go on sale from Friday, 12th of September on a first in, first serve basis. Numbers are limited and there will not be any door sales on the night. You will not be able to reserve additional tickets. The cost for extra tickets is $10 per ticket for adults and children over 6 years old. Children under 6 are free. Please ensure adult supervision is provided at all times. Please have your guests bring their tickets along to the ceremony to gain entry - there will be door staff and no guests will be admitted without a ticket. We may wish to use photos from the event for marketing purposes (e.g. marketing materials, website, advertising, etc). If you have not already signed the marketing consent section of the graduation application form to give NZCC permission to use your photo showcasing our graduates, please contact your Campus Administrator prior to graduation. CAR PARKING A limited amount of parking is available at Auckland Girls’ Grammar School. You are to enter through Gate 2 and 4. Please carpool where possible. Please ensure you know your way to the venue before the night to avoid arriving late. You can get driving instructions from Google Maps. Note: As graduation is taking place in the central city, traffic may be an issue so please give yourself plenty of time to get to the venue. HEALTH AND SAFTEY If you have epilepsy or any condition which may be aggravated by photosensitivity, please advise us on [email protected] before the day of the graduation. Our venue for graduation has many stairs. Please consider this when choosing your footwear on the night. If you choose to wear high heels please be mindful of your own health and safety. Please note that smoking is prohibited within the school grounds and buildings. Although all care has been taken to ensure the information in this document is correct, please note that there may be last minute changes to the programme or any other information in this information pack. Please ensure you arrive on time to receive any updated information on the night before we begin our graduation celebrations.
