Stampede 2015 Timeline Release Date : November 1, 2014 2 Information is subject to change. License Agreement & Accompanying Documents If Accepted... You will receive notification that your application was successful in late January. In early February, you will receive a License Agreement via email that encompasses all accepted booth applications under your company name. This Agreement will act as your contract between your company and the Calgary Stampede. This document will need to be signed and returned to the Midway Programming team within two (2) weeks. If the document is not signed and returned within the two (2) week period, the offer of space may be rescinded. You will also receive a vendor handbook, free-draws and give-away from, Calgary Fire Department requirements, Alberta Health information, a customs guide and non-resident information. This information will need to be read and shared with your staff that plan to be onsite during the Stampede. A ‘Service Order Confirmation’ will also be sent for your booth(s), and it will show a detailed description of your fees owing, as well as, the products you have been licensed to sell in your booth. Release Date : November 1, 2014 3 Information is subject to change. Non-Resident Guidelines If you are a non-Canadian resident, planning on exhibiting at the Calgary Stampede... Once licensed, you may be required to obtain a Work Permit, Labour Market Opinion (LMO) and a Labour Market Impact Assessment (LMIA) for yourself and any workers that will be traveling with you. The Canadian Temporary Foreign Worker program has been undergoing changes over the past year, please visit www.cic.gc.ca for the latest information, changes and details regarding the program. Once licensed, the Midway Programming team will provide more details and assistance in understanding the Temporary Foreign Worker program. This can be a lengthy process, so it is highly recommended that you begin the process as soon as you receive your License Agreement. Temporary Importing Temporary importing of commercial goods If you intend to bring commercial goods into Canada for sale at the Stampede, be aware of applicable rules, regulations, costs and documentation requirements. If licensed, we suggest you contact a border broker specialist for specific information, concerns or questions you may have that are unique to your business. Temporary importing of equipment Goods being exhibited in Canada (ex. attractions or concessions equipment) without intent for sale, may qualify for a temporary import into Canada. Regulations governing temporary imports have changed significantly in the last few years. Each import is treated on a case-by-case basis. Therefore, it is important for you to contact a customs broker or Canada Border Services Agency once licensed, and well in advance of your arrival. Product Pricing The prices for goods and services sold at the Stampede are to be posted in Canadian dollars. If purchases are processed through a U.S. banking system, you will be required to convert the prices to USD before processing and ensure the customer is aware. Release Date : November 1, 2014 4 Information is subject to change. Ordering Services for the Booth Online Orders Services for your booth or company will be ordered through an online website. If you’re accepted, you will be given access to the website approximately in March 2015. The website works similar to many online shopping tools, by selecting quantities of items that you need, adding them to a ‘cart’ and then proceeding to a checkout for payment. You will also have the option for paying at a later date, but in order to get the advanced rate, you must pay for them by May 29, 2015. The website will provide a quick and efficient way for you to select and pay for items that you will need including: Electricity Plumbing Telephone & Internet Gate Passes Parking Pass Requests Storage Requests Motorhome Lot Space Banner Hanging Release Date : November 1, 2014 5 Information is subject to change. Insurance Requirements If you are Licensed, part of the License Agreement is a Liability Insurance Requirement. You will be asked to provide a Certificate of Insurance as part of the License Agreement as evidence that you maintain Comprehensive General Liability (CGL) insurance with a minimum limit of $2,000,000.00 for each occurrence. The only acceptable aggregate within the CGL limit is for ‘products and completed operations’ liability. Your CGL insurance must name both the City of Calgary and the Calgary Exhibition and Stampede Limited as ‘additional insured’. Your insurance provider must be licensed to do business in the Province of Alberta. If your provider is not licensed to do business in Alberta, we have a preferred supplier and their contact information will be provided with the License Agreement. If accepted, you will begin to receive this newsletter in your email inbox. These newsletters contains information that you and your on-site supervisors need to review, including: Links for online service ordering, the Alberta Health Home Study tool and move-in sign ups. Reminders regarding move-in and event procedures Updates regarding Stampede programs You can also sign up to become a Stampede Insider for the latest Stampede news, advance ticket opportunities, exclusive contests and more! Stampede Bucks If you are licensed, you will be required to accept Stampede Bucks (up to $1,000 per transaction) at cash value of $5 per buck for products and or services being offered at your booth. We strongly believe that the Stampede Buck program generates an incremental spend on Park. The program ensures that guests are committing to attend the Stampede, come rain or shine, and are guaranteeing a spend of at least $50 on products/services on Park. It is also understood that because the Bucks are purchased in advance, our guests are more likely to spend over and above the $50 value when on Park because they are less likely to include the Bucks when considering the total amount of cash they are willing to spend during their visit. Your support and investment in the program assists the Calgary Stampede with keeping our promise of value offerings to guests. A limited number of Bucks are printed each year, and are only offered to a select market group of COSTCO members, while quantities last. You will be able to redeem these Bucks with the Midway Programming team in our show office for $4,50 per $5 Buck. All Bucks must be redeemed through a daily reporting process, and cannot be re-used; please be considerate of your fellow vendors. Audits will be conducted on booths to ensure Bucks are being accepted and redeemed. Release Date : November 1, 2014 8 Information is subject to change. Alberta Employment Standards The Calgary Stampede is an extremely busy and hectic ten days for those businesses and concessions that setup on Stampede Park. Most businesses end up hiring at least a few temporary employees for the duration of the Stampede. Through past experience, we have determined that frequently claims arise from the employer’s belief that because these employees are hired on a very casual or temporary basis, they are excluded from many of the benefits that are guaranteed to other more permanent employees. In fact, most of the benefits described in the Employment Standards Code of Alberta, with few exceptions, apply to all employees within this Province no matter how casual their employment relationship is with their employers. To interpret or apply the law, you must consult the Employment Standards Code and Employment Standards Regulation at http://work.alberta.ca/employment-standards.html Alberta Health Standards Please be aware that if your intent is to cook food for sale, sampling or demonstration purposes, you are required to meet all Alberta Health Services (AHS) regulations. You may be required to submit a booth layout plan to AHS and take a Food Handlers course and undergo booth and staff inspections. You will also be required to comply with all regulations, and AHS will have final say over what is required for operation. You are required to have a triple sink at your location and be placed on a drain (indoor vendors) if you are selling, sampling, or demonstrating cooking. Calgary Fire Department Please be aware that your booth will be inspected by the Calgary Fire Department to ensure you are meeting all fire safety requirements. The interpretation and enforcement of laws and regulations will be conducted by the Fire Marshal, and must be complied with. Release Date : November 1, 2014 9 Information is subject to change. Concessions & Exhibits Committee Programs Concessions & Exhibits Committee The Calgary Stampede Concessions & Exhibits committee is a volunteer committee that evaluates and photographs each booth location for prestigious awards in multiple categories. Booth presentation, professionalism, cleanliness, customer service and year-round business conduct will be evaluated. Nominees and winners will be invited to an awards reception hosted during the final weekend of Stampede. Hosting Program The Hosting team welcomes and assists vendors during the move-in process by helping new vendors find their way around, direct them to the Midway office, and helping with general questions on processes and procedures. Best New Food on the Midway This program is entering it’s sixth year, and all vendors with new food products are welcome to enter a new food item to be taste tested by some of Calgary’s media personalities. The winner will be presented with an award on Sneak-a-Peek and bragging rights for the rest of the show! We challenge you to submit your crazy and unique food ideas with your application to take part in the Best New Food on the Midway competition. CS Foodies—Take a Bite Outta Stampede This program is an awards program for food vendors, where foods are sampled and rated in different categories, like best food on a stick, best beverage and best value item. The winners of these categories are announced daily from the official Calgary Stampede social media sites and a trophy and booth decals are presented to the winning vendor.
