Optimizes IT Asset Investment and Ensures Licensing Compliance “With the advice they gave us, Oracle License Management Services helped us align ourselves with ISO rules. We value the peace of mind that comes with having an impartial, outside company, such as Oracle, review our license configuration and give us their best recommendations.” –– Luis Alberto Fernandez, Vice President of Operations and Technology, ACH Colombia S.A. ACH Colombia S.A. is one Colombia’s two institutions for financial clearing and automatic settlement services, serving 17 of the largest banks in the country. Its mission is to facilitate electronic transactions and information exchange between financial institutions and their customers in a safe and efficient manner. The company provides debit transaction, credit, payment, and online buying services for companies and businesses and manages the settlement of social security contributions and charges from special taxes. The company needed to create an effective and sustainable process to continually ensure compliance with software licensing and copyright requirements and align more closely to the international standard for software asset management, as established by International Standards Organization (ISO) 19770-1. ACH. Colombia managed its Oracle licenses internally, but a lack of centralized licensing information and difficulty in automating license management led ACH Colombia to seek a solution outside the company. Oracle License Management Services advised the company on best practices for managing its software assets, reviewed its installed licenses, and helped it negotiate a new unlimited license agreement (ULA), potentially saving the company up to US$1 million dollars. Challenges •• •• •• Centralize all enterprise application and technology licensing information to enable more efficient and accurate management of business-critical IT licenses Properly license all software products in every environment, such as production and contingency, to ensure compliance and maximize ACH’s investment in Oracle software assets Automate software licensing management to eliminate errors that can lead to system downtime and keep the company from providing its settlement, credit, debit, and payment services to banks and their customers Solutions •• •• •• Worked with Oracle License Management Services to get advice on best practices for software asset management, negotiate a new ULA with Oracle, and review installed licenses at the end of the first ULA licensing period for Oracle WebLogic Suite Implemented centralized management of Oracle software, allowing a more accurate and accessible view of all Oracle assets deployed by ACH Columbia and improving business decision-making capability Gained the ability to effectively manage the lifecycle of Oracle Database, Enterprise Edition with Real Application Clusters and Oracle Partitioning, minimizing the risk of violating the provider’s copyright 8 ACH COLOMBIA S.A. •• •• •• Achieved the company’s goal that, by the end of 2011, it would have no unlicensed or improperly licensed software, complying with copyrights and ensuring that all systems operate without interruption, ensuring continuous service to banks and their customers Reduced all risk of under licensing and unbudgeted IT costs by implementing a ULA Supported organization efforts to align more closely to the international standard for software asset management as required by International Standards Organization (ISO) 19770-1 Why Oracle “The transparency and confidence between our two companies-ACH Colombia and Oracle License Management Services-were the most important factors in our selection process,” said Luis Alberto Fernandez, vice president of operations and technology, ACH Colombia.” We truly value the professionalism and commitment of the Oracle License Management Services team, which enables us to optimize our IT asset investment.” Implementation Process Over a two month engagement, Oracle License Management Services worked with ACH to implement standard asset management processes in line with ISO 19770-1 and to transfer knowledge that has allowed ACH to develop sustainable business processes to ensure future license compliance. “In our company, we measure achievement with indicators and concrete figures,” Fernandez said. “Our achievement here was becoming certain that, by the end of 2011, we were fully in compliance with all licenses.” 9 ADNOC DISTRIBUTION Oracle Customer: ADNOC Distribution Abu Dhabi, United Arab Emirates www.adnoc-dist.co.ae ADNOC Distribution Decreases Licensing Costs by 40% and Increases Database Performance and Throughput to Support Organizational Growth Industry: Oil and Gas Employees: 7500 Oracle Products & Services: • Oracle License Management Services • Oracle Database 11g, Enterprise Edition • Oracle E-Business Suite • Oracle Financials • Oracle Human Resources “Working with Oracle License Management Services, we have reduced our licensing costs by 40%. We are fully compliant, and with our planned migration to Oracle Exadata Database Machine, we will benefit from increased performance and maximum support from Oracle.” –– Ali Abdul Aziz Al-Ali, IT Division Manager, ADNOC Distribution ADNOC Distribution is a United Arab Emirates (UAE) government-owned company that specializes in marketing and distributing petroleum products within the country. Established in 1973, ADNOC Distribution is one of the largest petroleum companies in the Arab Gulf Region, operating 220 filling stations and a vast network of convenience stores and restaurants across the UAE. The organization also offers regular car maintenance services, such as oil, filter, and lube changes. ADNOC Distribution plans to expand its services in the region. In addition, its domestic business is growing 10% to 15% annually, with annual filling station transactions on track to double from 100 million to 200 million within two years. ADNOC Distribution has been an Oracle customer for 15 years, and, following a period of growth, it wanted to ensure that it was fully licensed for its Oracle technology and applications, including Oracle Database and Oracle E-Business Suite. ADNOC Distribution wanted an accurate assessment and asked Oracle License Management Services to undertake a comprehensive review. ADNOC Distribution and Oracle License Management Services identified a clear path by consolidating eight Oracle databases into one Oracle Exadata Database Machine, to reduce its licensing costs by 40%. At the same time, Oracle Exadata would deliver the improved throughput and performance required to support with the organization’s growth targets. Challenges •• •• •• Ensure that the Oracle databases underpinning ADNOC’s back-office and retail applications have enough capacity to support planned growth within the UAE as well as expansion of the filling station, convenience store, and auto maintenance businesses into other regional markets Ensure that Oracle licenses are all 100% correct and up-to-date following rapid business expansion Guarantee license compliance to meet the requirements of a government-owned petroleum marketing and distribution organization Solutions •• Planned to consolidate eight Oracle Databases into one Oracle Exadata Database Machine X2-2 Quarter Rack to reduce licensing costs by 40%, while increasing throughput and performance to ensure enough capacity to support growth and expansion of the filling station, convenience store, and auto maintenance businesses 10 ADNOC DISTRIBUTION •• •• •• •• •• •• •• Reduced licensing costs for Oracle Financials by 35%, following the licensing review, which provided an accurate overview of employee use according to job profile and enabled an informed reduction in user numbers Ran a number of detailed scripts to gain a 100% accurate blueprint of all licensing and user numbers for Oracle E-Business Suite and processors for Oracle Database, rather than relying on approximate figures Consulted with Oracle License Management Services to agree how best to address a shortfall in the number of licenses Tightened security with more stringent user-access policies, only providing access for staff members who need to use a particular module according to their job profile, rather than by giving access to everyone in a particular department Implemented processes to run license-review scripts annually, rather than on an ad-hoc basis as before, to ensure that the organization remains 100% compliant in the future Enabled ADNOC Distribution to easily purchase and cross-charge licenses to a particular project or specific department as new employees join, with an accurate record of which licenses are used by whom Gained the ability to scale up to an Exadata X2-2 Half Rack in the future as the organization grows Why Oracle ADNOC Distribution has been an Oracle customer for 15 years and has a detailed roadmap for Oracle implementations over the next five years, leading toward Oracle Cloud Computing. ADNOC Distribution aims to become an Oracle IT Center of Excellence. To achieve this goal, it must be 100% compliant and follow Oracle best practices to utilize its licenses and products correctly to provide the best service to its customers. “Oracle License Management Services provides excellent advice on how best to use and to upgrade Oracle licenses. It is our duty as customers to be fully licensed, which in turn, helps Oracle to deliver improved products and services to its customers. The company’s core business is the production of marketable copper cathodes from copper concentrates, copper scrap, and copper recycling raw materials. Each year, it produces approximately a million tons of copper cathodes, which are processed into continuous cast-wire rod, shapes, rolled products, and special wire made of copper and copper alloys. Precious metals and a number of other products, such as sulfuric acid and iron silicate, round out the company’s product portfolio. Services Challenges •• •• •• Optimize Oracle license utilization and allocation subsequent to a company restructuring that involved outsourcing the data center Understand license ownership, rights, and limitations for Oracle products to align software requirements to actual business needs—fast delivery of high-quality copper cathodes to customers in the copper semis industry; the electrical engineering, electronics, and chemical industries; as well as suppliers of renewable energies, construction companies, and carmakers Modernize, simplify, and streamline license management to support company expansion of manufacturing and sales activities to new locations in Germany, Sweden, and Belgium, which help fulfill the continuous strong demand for copper cathodes in global markets— without incurring unnecessary license costs Solutions •• •• •• •• Engaged Oracle License Management Services (LMS) to review Aurubis’ software license estate, diagnose potential deficiencies in meeting regulatory mandates, and forecast license and budget requirements Identified unused, underused, or duplicated licenses that can be recycled or reharvested without impacting copper manufacturing, sales, and distribution activities to reduce Oracle software license costs Established a single source of 100% accurate information about Oracle Database, Oracle Real Application Clusters, Oracle Forms, and Oracle Reports licenses by utilizing automated discovery tools and scripts to analyze contract entitlements and current license utilization Gained the transparency needed to facilitate organizational changes—such as mergers, acquisitions, and opening new facilities—by improving the IT team’s understanding of the company’s Oracle license investment across 17 copper recycling sites, 32 sales offices, and four service centers, each with differing procurement procedures and overlapping contracts 12 AURUBIS AG •• Eliminated all financial, operational, and legal risks as well as unscheduled license costs by ensuring compliance with Oracle licensing models and contractual obligations Why Oracle “Aurubis has subsidiaries in 22 countries across three continents. Given the geographical spread, the high number of licenses involved and the depth of specific information needed, gathering this data manually or with a tool not specifically engineered for this purpose commonly leads to business interruptions and mistakes,” said Dr. Jörg Meyer, executive director IT services, Aurubis AG. “We consider Oracle License Management Services to be the most qualified expert to conduct a fully automated analysis of our current license usage and requirements, identify discrepancies, and deliver detailed recommendations on how to optimize our Oracle licensing estate and effectively manage Oracle licenses in the future.” 13 BEAUMONT HOSPITAL Oracle Customer: Beaumont Hospital Dublin, Ireland www.beaumont.ie Industry: Healthcare Employees: 3,000 Oracle Products & Services: • Oracle License Management Services • Oracle WebLogic Server • Oracle Database Beaumont Hospital Benefits From Efficient, Transparent License Management Beaumont Hospital, one of Dublin’s major public hospitals and a large academic teaching hospital, has 820 beds and provides emergency and acute care services across 54 medical specialties to a community of 290,000 people. The hospital is a designated center for cancer and a regional treatment center for several other disciplines, including gastroenterology, neurology, and organ transplants. Beaumont Hospital benefited from an Oracle License Management Services review to gain confirmation that it was correctly licensed for the Oracle Database 11i and Oracle WebLogic Server instances that support its epilepsy-monitoring unit and organ-transplant services. Prior to the engagement with Oracle License Management Services, the hospital was considering upgrading its database to Oracle Database 12c. Following discussions with Oracle LMS, Beaumont has begun evaluating the enhanced, built-in, workload resource management of Oracle Database 12c to help it meet the growing service-level expectations of patients and clinicians while reducing technology costs. Beaumont Hospital also benefited from the review by having a dedicated Oracle License Management Services consultant who was able to provide in-depth Oracle licensing knowledge and offer impartial, transparent advice on license management and Oracle licensing policies. Beaumont Hospital had used Oracle WebLogic Server for more than 10 years and purchased the licenses when BEA Systems owned the product. The hospital used Oracle WebLogic Server to build and deploy applications used to aid the diagnosis of epilepsy and capture data on patient brain function during a seizure. The scalability and resilience of Oracle WebLogic Server and Oracle Database also made it the technology of choice for storing critical data on organs available for transplantation and making this data available to medical teams. Following a meeting to explain the approach that the License Management Services Team would take Beaumont’s IT team was supplied with scripts to run on its three test environments and five production environments that were operating on two blades. Running the scripts was a straightforward process that took around one hour for each server and did not interfere with the team’s day-to-day activities. Oracle then analyzed the screen shots and files generated by the scripts. After the analysis, LMS confirmed that Beaumont Hospital was compliant. Why Oracle Beaumont Hospital was eager for the opportunity to have an expert evaluation of how it was using its Oracle WebLogic Server and Oracle Database assets to ensure that it was meeting its license obligations. The hospital’s IT team also benefited from the engagement with Oracle License Management Services to gain greater insight into how upgrading to Oracle Database 12c could reduce downtime and increase staff productivity. “The Oracle License Management Services engagement enabled us to be sure that we are fully compliant while giving us the opportunity to gain the knowledge needed to make informed decisions about upgrading to Oracle Database 12c,” said Mark O’Sullivan, senior database administrator, Beaumont Hospital. 14 BRITVIC PLC Oracle Customer: Britvic plc London, United Kingdom www.britvic.co.uk Industry: Consumer Goods Britvic plc Boosts IT Team Value Through Business-Centric License Management “Working with Oracle License Management Services has provided the IT governance team with a wealth of information relating to Oracle products and significantly added value to our business.” –– Jo Harris, IT Governance Manager, IT Shared Services, Britvic plc Annual Revenue: $1 to $5 Billion Employees: 3,500 Oracle Products & Services: • Oracle License Management Services Britvic plc is one of Europe’s leading soft-drink companies, with an enviable portfolio of market leading brands, such as Robinsons, J2O, Fruit Shoot, and Tango in Great Britain; MiWadi, Club Orange and Ballygowan in Ireland; and Teisseire, Fruité and Pressade in France. The company also has exclusive bottling agreements with PepsiCo in the UK and Ireland for global brands, such as Pepsi and 7UP. Britvic’s current operations comprise Britvic Great Britain, Britvic Ireland, and Britvic France. The group is completed by Britvic International and Britvic Worldwide Brands. Britvic International manages exporting products across more than 50 countries, and Britvic Worldwide Brands is responsible for Britvic’s international franchise business. Britvic benefited from an Oracle License Management Services review to build robust, transparent, streamlined processes for tracking the usage of Oracle software assets that underpin sales, order management, business planning, and management reporting. The company now maximizes the value of its software investments while ensuring continued compliance with license agreements. Britvic’s IT team requested assistance from Oracle License Management Services to gain a deeper understanding of license management for its Siebel Customer Relationship Management assets as part of an enterprisewide software audit. The company wanted to build a complete register of its IT tools, monitor usage to optimize business value, and enforce best-practice governance and control to ensure licensing compliance. Britvic had recently purchased Oracle Business Intelligence, Oracle Hyperion Planning, and Oracle Hyperion Financial Data Quality Management to generate timely performance insights and advance its strategy to grow sales and brand leadership. Oracle License Management Services proposed extending the license management review to include these solutions. Oracle License Management Services engaged experts from Oracle presales to help evaluate Britvic’s usage needs and match them to its licenses in the most cost-effective way. The Oracle teams conducted a live, onsite usage review of Britvic’s Siebel estate which showed the IT team how to map multiple user views to its license assets and understand best administrative practice to ensure efficiency and security. Britvic can now give Siebel users access to the specific sales, order, and lead management functionality they require while avoiding the risk of unintentional noncompliance. The IT team used scripts and worksheets from Oracle License Management Services to run on Oracle Business Intelligence, Oracle Hyperion Planning, and Oracle Hyperion Financial Data Quality Management to track usage and confirm license compliance. Oracle License Management Services and presales experts showed Britvic methodologies for incorporating software tracking into routine IT management to maintain an up-to-date picture of usage and ensure it continues to be consistent with its business needs and license assets. 15 BRITVIC PLC Britvic’s IT team has benefited from the review and Oracle License Management Services methodologies to better manage its IT assets and carry out service-cost modeling based on usage data. The team’s new insights into its underlying software assets enable it to identify service provision costs down to the user, process, site, and function level. This has made the IT team a valued partner for Britvic’s strategic decision-makers when planning technology purchases. Why Oracle Britvic requested a review from Oracle License Management Services to benefit from the team’s unrivalled knowledge of Oracle’s license processes and gain the skill sets required to streamline management of its Oracle estate. Although the company’s in-house monitoring tools provided an accurate view of usage, they were time-consuming and diverted resources from user support. The IT team wanted to introduce proven processes to improve monitoring efficiency while maximizing service quality. The review was designed around the IT team’s timelines to avoid disruption to day-to-day operations. “The experience of working with Oracle License Management Services was very positive,” said Jo McKenzie, license manager, Britvic plc. “Oracle put in place the right mix of skills from license management and presales, and its processes were structured and transparent. We had a single point of contact throughout and now have a dedicated Oracle License Management Services manager who can provide guidance on license management at any point in the future.” 16 CAJA POPULAR MEXICANA Oracle Customer: Caja Popular Mexicana Léon, Guanajuato, Mexico www.cpm.coop Industry: Financial Services Employees: 5,200 Oracle Products & Services: • Oracle License Management Services Caja Popular Mexicana Cuts License Management and Reconciliation Time by 70% and Optimizes Software Assets to Support Business Expansion “Oracle LMS has enhanced our understanding of Oracle’s licensing and pricing policies, made management of our PeopleSoft licenses simple and transparent, and eliminated risk of non-compliance.” –– José Miguel Palomares Mendoza, Director of Information Technology, Caja Popular Mexicana Caja Popular Mexicana (CPM) worked with Oracle License Management Services to streamline and simplify license monitoring and ensure compliance with its enterprise license for PeopleSoft Financials and PeopleSoft Human Resources. Working with Oracle License Management Services, it cut license management time by 70% and optimized software assets to support business expansion. Customer Success Story Caja Popular Mexicana (CPM), which was created by the merger of 65 credit unions in 1996, and has 430 branches in 22 Mexican states and an expanding network of ATM machines. Membership has grown from 150,000 to 1.7 million in 15 years due to the popularity of its affordable loans and financial services. CPM is now the largest co-operative in Latin America and one of the 15 leading financial institutions in Mexico. CPM’s revenue grew 51% in just two years and its employee base grew 10% in three years, which meant the credit union was exceeding usage of its enterprise license for PeopleSoft Financials and PeopleSoft Human Resources. Tracking usage to ensure compliance was the responsibility of CPM’s central technology team, which carried out twice-annual manual checks. Rapid business growth, senior management changes, continuous rotation of branchlevel staff, and the lack of an automated system to control were making it difficult for the IT team to reconcile up-to-date usage with license entitlement. The company knew it was at risk of breaching its contractual obligations. When Oracle License Management Services (LMS) made a routine call to CPM 90 days before the contract anniversary data, the company welcomed the opportunity for assistance in identifying and rectifying any license shortfall. LMS consultants provided spreadsheet-based scripts and intuitive, graphic-based data collection tools, which enabled CPM’s IT team to verify actual usage without diverting resources from day-to-day activities. The entire process was minimally intrusive, involved just two on-site meetings with LMS consultants, and was completed in three weeks, enabling CPM to bring its licensing into compliance. Before, during, and after the assessment, LMS worked with the IT team to train them in how to maximize their PeopleSoft assets and give them an in-depth understanding of Oracle’s license policies and pricing practices. CPM now uses LMS’ best-practice, tried-and-tested methodologies to track usage on an on-going basis and plan future license purchases cost effectively without compromising user or business needs. The company has significantly reduced the amount of time and effort that it spends on managing its license assets. “It used to take around three months and involve considerable input from the IT team to gather usage metrics for our PeopleSoft assets,” said José Miguel Palomares Mendoza, Director of Information Technology, Caja Popular Mexicana. “We can now complete the process in three weeks, which represents a time saving of 70%, while carrying on with business as usual.” 17 CEVA LOGISTICS Oracle Customer: CEVA Logistics Hoofddorp, Netherlands www.cevalogistics.com Industry: Travel and Transportation Annual Revenue: Over $5 Billion Employees: 50,000 Oracle Products & Services: • Oracle License Management Services CEVA Logistics Improves Efficiency and Reduces Costs with Global Software Asset Management “Our Oracle License Management Services’ asset management engagement was well planned, carefully structured, and professionally delivered. CEVA Logistics worked collaboratively with Oracle License Management Services to undertake a thorough assessment of its software assets and devise a comprehensive plan to drive efficiency by improving future asset management and control. CEVA sought to optimize asset management to ensure its full, software-license compliance and apply best practices across the organization. As a result of the asset management engagement, CEVA Logistics has gained full software license compliance and expects to achieve up to 30% in IT cost savings, meeting Gartner’s projections for a good asset management solution. With improved skills and knowledge of asset management practices transferred from Oracle during the project, CEVA’s software asset management team is now able to implement and deploy a sustainable software asset management program, globally. With one individual as a central point of contact for all software asset management, globally, CEVA has replaced localized processes with centrally managed, proactive software asset management processes which will be rolled out to all CEVA’s regions including Europe, the Middle East, Africa, Americas, and Asia Pacific. Implementation Process CEVA Logistics worked with Oracle License Management Services to undertake a thorough assessment of the organization’s asset management processes for Oracle solutions. The Oracle team met and interviewed approximately 25 team members in the procurement, finance, and information systems and services departments to obtain an accurate view of current practices. Oracle and CEVA quickly established a collaborative working arrangement to ensure maximum benefit from the project. Oracle gave clear guidelines on how CEVA should implement effective software asset management processes to improve agility, boost responsiveness, and drive efficiency. 18 CINTRA Oracle Customer: Cintra New York, New York www.cintra.com Industry: High Technology Annual Revenue: Under $100 Million Employees: 80 Oracle Products & Services: • Oracle License Management Services • Oracle Database Cintra Resolves Complex License Query Within 24 Hours, Avoids Delay in Customer Implementation “Oracle License Management Services enabled us to resolve a complex, urgent license inquiry in 24 hours via a single point of contact.” –– Seth Feeley, Vice President Sales, United States Office, Cintra Cintra, an Oracle Platinum Partner, helps organizations navigate the strategic, technological, and tactical complexities of database management. The company’s infrastructure services, proven blueprints, and best-practice processes help customers in all industry sectors reduce risk and accelerate time to market. Cintra used Oracle License Management Services’ channel advisory services to help it resolve a query from Oracle’s global pricing and licensing team as to whether a customer required hosting licenses or simply a standard full-use license. The application that Cintra had submitted suggested the customer might be using Oracle Database to provide a proprietary hosted solution accessible by external end users rather than just its own employees. The customer was eager to complete the license purchase within a few days and had a pre negotiated price with Oracle. Any delay to license approval risked impacting its ability to roll out a business-critical solution on time. It also had the potential to damage Cintra’s credibility and the customer’s relationship with Oracle. Oracle License Management Services examined the executive summary that Cintra had provided in support of the customer’s license application. After working with Oracle’s channel sales team and Cintra to understand the application architecture, Oracle License Management Services confirmed that ambiguous wording had led to the misunderstanding and confirmed that the customer required only standard full-use licenses. It resolved the issue in 24 hours, and the sale proceeded on schedule without the customer being aware of any potential problems surrounding licensing. Why Oracle Cintra requested assistance from the Oracle License Management Services channel team to resolve the license query as rapidly as possible and minimize the risk of delaying the customer’s implementation. Without channel team resources, Cintra would have had to call multiple Oracle contacts, which takes time and diverts attention from core sales activities. It also would have disrupted sales operations and delayed the purchase. “Oracle License Management Services saved us a huge amount of time and preserved the integrity of our relationship with the customer,” said Seth Feeley, vice president sales, United States Office, Cintra. “It provides an invaluable source of impartial expertise that helps both partners and Oracle expand their footprint in an organization.” 19 DADA S.P.A. Most important, the process gave us leverage within our organization to drive forward our new software asset management policy.” –– Neil McQuiston, Applications Development and Portfolio Manager, Durham County Council Customer Success Story Durham County Council provides a wide range of public services, including social services for children and adults, library services, highway maintenance and street lighting, waste management, and pest control, to approximately 513,000 residents. Formed in 2009 from the consolidation of seven district councils and one county council, the organization had more than 1,300 applications, many of which were disparate and redundant. Durham County Council wanted to consolidate and standardize its applications, optimizing what it spent on licensing to achieve both short and long-term financial savings. Oracle License Management Services conducted an Asset Management Services maturity assessment and provided advice and recommendations for saving money and reducing exposure to licensing issues. Durham County Council has consolidated its 1,300 legacy applications to 806 applications and is optimizing its investment in core applications, such as Oracle E-Business Suite, by training more staff on those systems. The council expects further consolidation in future and is building a centralized repository of software asset and license information. It also has written new policies and procedures to improve management control, including requiring the IT department to approve all new software purchases in advance, rather leaving these decisions to be made by individual departments, as before. The asset management assessment provided a good foundation for the future, and has enabled Durham County Council to adopt best practices for software asset management that will improve efficiency and reduce costs in the long-term. The organization’s IT department supports the city in providing a wide range of public services, from waste management and library services through to benefit administration and road maintenance. Gemeente Ridderkek has been an Oracle customer since the 1980s, using Oracle Database for a stable, reliable platform on which to run a variety of applications, including those for administering various benefit applications, drivers’ licenses, assistance for the disabled, and more. In addition, the organization runs its back-office financial application on Oracle Database. Gemeente Ridderkerk was selected by Oracle for a regular licensing review, and agreed to work with Oracle License Management Services partner Comparex to carry out the project. Comparex discovered that the organization had one license too many, and one too few, which was immediately rectified to ensure compliance. Gemeente Ridderkerk also gained valuable knowledge about the Oracle licensing processes which will help them to make more informed IT purchasing decisions in the future. “Our knowledge of Oracle licensing has improved enormously, and we are now much better informed for the future. We are currently talking to Oracle about licensing possibilities for operating shared services with other city administrations, and this review has provided us with an excellent starting point,” said René Hoogendoorn, IT manager, Gemeente Ridderkerk. Oracle Partner Gemeente Ridderkerk worked with Oracle License Management Services partner Comparex to undertake a detailed review of its Oracle licensing. The process, including four face-to-face meetings, took two months to complete, from initial agreement, through the final report. “We had worked with the Comparex consultant previously, so it was very beneficial to work with someone who already had a good understanding of our business. This was the first license review we had undertaken, and my initial reaction was one of concern, but Comparex did an excellent job of walking us through the process,” Hoogendoorn said. “I was very pleased with how the whole project was run, and in future, I would work with Comparex again. The process was clear, and the Comparex Oracle License Management Services consultant was very helpful and explained exactly what needed to be done. Overall, the license review left a good impression of Oracle and its License Management Services partner,” Hoogendoorn said. 24 HELLMANN WORLDWIDE LOGISTICS GMBH & CO. Challenges •• •• •• •• •• Streamline assessment of software usage and license consumption that required significant effort, considering that the organization uses more than 50 Oracle software products— from Oracle Database to Oracle Fusion Middleware—in hundreds of branches around the globe Ensure that the rapidly growing international logistics organization deploys the optimum combination of Oracle software and Oracle services to increase operational efficiency globally Eliminate regionalization of licenses across the Hellmann countries and manage all licenses centrally to improve software usage and efficiency Reduce total cost of software ownership Established transparent and efficient license management processes to maintain a clear picture of Oracle software use at all times Solutions •• •• •• Signed an Unlimited License Agreement (ULA) to increase convenience and ease of deploying Oracle software by enabling immediate use of any of the products contracted under the ULA Used Oracle License Management Services’ assessment expertise to conduct regular audits of the organization’s software deployments, which provide a comprehensive picture of software licensing status across the Hellmann countries and ease license management over the five-year contract Simplified the software acquisition process for Hellmann’s procurement officers by eliminating the need to manage and monitor license metrics, such as number of users, processors, and virtual environments, by bundling Oracle licenses under a single agreement and invoice—considerably reducing administrative efforts and expenses 25 HELLMANN WORLDWIDE LOGISTICS GMBH & CO. KG •• •• •• •• Enabled the organization to choose the most effective go-forward license strategy by tracking software use and its impact on total cost of ownership Increased global business agility in the time-driven transportation and logistics industry with the ability to immediately deploy new Oracle software according to strategic decisions, rather than contracting a mixture of complex licensing agreements across numerous products Helped to optimize use of the organization’s Oracle software stack by gaining valuable insight into inventory and asset management Diminished the likelihood of purchasing unnecessary licenses and the risks of noncompliance with contractual agreements—such as supporting more users or central processing units than licensed, using unpaid support for licenses, running unlicensed servers, or providing outdated usage metrics that do not take actual business realities into account Why Oracle Hellmann chose Oracle License Management Services for its proven global expertise to provide visibility into the company’s software assets, including how they are utilized and allocated; reduce the risk of unbudgeted or unnecessary software license expenditures; and fulfill contractual certification duties. 26 HESSISCHE ZENTRALE FÜR DATENVERARBEITUNG (HZD) Oracle Customer: Hessische Zentrale für Datenverarbeitung (HZD) Wiesbaden, Germany www.hzd.hessen.de Industry: Public Sector Employees: 800 Hessische Zentrale für Datenverarbeitung (HZD) Simplifies License Management and Optimizes Value from an Unlimited License Agreement “Oracle License Management Services has given us a blueprint for understanding, evaluating, and strategically managing our Unlimited License Agreement.” –– Martin Scheuermann, Storage and Back-Up Services Manager, Hessische Zentrale für Datenverarbeitung Oracle Products & Services: Customer Success Story • Oracle License Management Hessische Zentrale für Datenverarbeitung (HZD) provides IT services and solutions for local government organizations in the German state of Hessen. HZD’s customers include Hessen’s police, traffic, and environment departments and many smaller government agencies for whom it hosts systems, manages storage and security, and builds bespoke applications. Services HZD wanted to accurately assess the deployment and usage of its three-year Unlimited License Agreement (ULA) for Oracle Database and streamline the end-term declaration before entering into a new ULA. Oracle License Management Services provided usage measurement tools. After internal evaluation and adjustments to meet its security requirements, HZD implemented the scripts at its own data center and at customer sites, environments that ranged from small data repositories to complex virtualized environments. Oracle License Management Services’ automated tools replaced a lengthy manual discovery process that required each customer to enter usage data in a spreadsheet and submit it for central consolidation. HZD’s users were initially reluctant to switch from a familiar process to a new one but were quick to adopt the automated, user-centric tools, which simplified reconciliation and gave them greater visibility into their Oracle Database use. During the three-month engagement, Oracle License Management Services consultants assessed how HZD and its customers were using Oracle Database, options, and enterprise management packs and advised that switching from a Named User Plus to a processor-based license metric would be more cost-effective. Processor-based licensing would also give HZD greater deployment flexibility and simplify future usage tracking. HZD signed a three-year processor-based ULA for Oracle Database based on the usage data calculated during the assessment. The organization plans to re-use the Oracle scripts when it conducts a mid-term license assessment to compare actual usage against the business case and ensure it is using its license assets strategically to maximize benefit to itself and its customers. Why Oracle HZD wanted to replace a traditional, time-consuming discovery and reconciliation procedure with a streamlined, automated process that would deliver greater accuracy and visibility with less effort. “An Oracle Unlimited License Agreement is a big investment for any organization,” said Martin Scheuermann, storage and back-up services manager, HZD. “Oracle License Management Services has helped us maximize the value we generate from it and minimized the stress and disruption required to manage and monitor usage.“ 27 HUMANITAS SPA Oracle Customer: Humanitas SpA Milan, Italy www.humanitas.it Industry: Healthcare Annual Revenue: Humanitas SpA Reduces Costs, Establishes Firm Foundation for the Future with Licensing Review “Oracle License Management Services helped us to really understand Oracle’s licensing rules and the different types of licenses available. Its 160,000 customers include households, businesses, and public institutions in Västmanland County, as well as residential and corporate customers across Sweden. The company has a large Oracle Database estate. Twelve of its business-critical IT environments run on Oracle Database, including its enterprise resource planning system. The company’s IT department worked with Oracle License Management Services to review Oracle Database license status. An investigation showed that the company was underlicensed. Mälarenergi often purchased single Oracle Database licenses from system vendors that did not always have sufficient knowledge of Oracle’s licensing rules. Oracle License Management Services team helped the company to determine the correct number and type of licenses for its environment. Previously, every database ran on a physical server, and the company bought a license for each server. Now, Mälarenergi has licenses to run its databases in a virtual cluster. This means it can move more applications into the cluster without new Oracle Database licenses, something that would be needed in a physical environment. The virtualized approach delivers two important benefits: better performance and increased operational reliability. Therefore the new license situation has enabled a much more manageable IT environment. Why Oracle “With Oracle Database and the help of Oracle License Management Services, we have a strong solution in a virtualized environment. Our preference, moving forward, is to choose Oracle over alternative solutions,” said Stig Olaisen, CIO, Mälarenergi. 35 MIAMI-DADE COUNTY Oracle Customer: Miami-Dade County Miami, Florida miamidade.gov Miami-Dade County Optimizes Software License Assets and Gains Transparency into Requirements with License Management Review Industry: Public Sector Employees: 25,000 “Oracle License Management Services helped us better understand our licenses by clearly explaining metric definitions, minimum requirements, migration paths, and licensing policies. Spanning nearly 2,000 miles, it is home to 35 incorporated cities, including Miami, and many unincorporated areas. Miami-Dade County has a large Oracle footprint, which includes Oracle Database, Oracle SOA Suite, and Oracle WebLogic Server implementations. In 2011, Oracle License Management Services selected Miami-Dade County for a self-assessment that would document its use of Oracle products and solutions and ensure that it is licensed accurately. Due to the size of the county government and the number of departments covered by Oracle licenses, Miami-Dade was unable to validate its Oracle usage information without assistance from Oracle License Management Services. Its Oracle purchases over the span of a decade had resulted in a complex license inventory, which included many licenses with old product names and unclear metrics. Oracle License Management Services performed a license review for each department and consolidated the information into a comprehensive report. The review was a collaborative effort between Oracle License Management Services and Miami-Dade County to ensure that respective licensing records matched, and that the county had a thorough understanding of the licenses it owned and what was required to ensure compliance. Partnering with Oracle License Management Services enabled Miami-Dade County to better understand the status of its Oracle licenses through detailed explanations of metrics, minimum requirements, migration paths, and licensing policies. The license review process also helped the county to optimize use of its existing licenses, ensure compliance for current use, and have a clear picture of its assets as it evaluates future purchases. “Working with Oracle was collaborative and transparent,” said Sue Camner, database manager, Miami-Dade County. “We realize the value of going through the license review process and have continued to work closely to assess our license requirements and understand policies. With a population of 574,000 people living in 25 municipalities, the region is less-densely populated than other parts of the country. The province uses almost 80% of its land for agricultural purposes. Oracle technology serves as the foundation for the province’s main back office, and thus it is a critical part of the organization’s infrastructure. The province uses Oracle Database Standard Edition and Oracle Database Enterprise Edition to run a number of critical functions—including financial systems, facilities management, and mapping and other geographic applications. The organization had a goal to reduce costs across the enterprise by 25% between 2009 and 2015, and it required a detailed audit of all back office systems to determine opportunities for cost savings. It is one of the key players in the smart-grid area. S&C’s power systems services provide customers with a one-stop solution, from evaluation through implementation and long-term support. S&C’s products help to deliver electric power efficiently and reliably. Some are used to switch circuits, and others minimize damage to equipment in the event of a fault or reduce the area of an outage by automatically rerouting power flow. In addition, S&C’s sophisticated power-quality products help companies in crucial industries to deliver uninterrupted power for entire facilities. The company runs its core business processes on Oracle Database, Oracle E-Business Suite Release 12, and Oracle Fusion Middleware. As an industrial manufacturer, it is focused on optimizing efficiency and productivity, even when it comes to getting the most from its Oracle investment, including its licensing configurations. In 2012, S&C worked with Oracle License Management Services to review its Oracle licensed assets. “Since we have a large Oracle footprint spanning over two decades, we have many licenses to manage. It can be challenging to keep up with the latest licensing changes and how they impact S&C’s financials,” said Dev Rangarajan, manager, database administration, S&C Electric Company. “Our relationship with the Oracle License Management Services helped us to expand our understanding and awareness of how our licensing is deployed within our business. This information is now manually managed and reviewed on a regular basis at all levels of our organization to maintain compliance. Additionally, as a result of this process, S&C now proactively budgets expense and capital spending in advance, based on our understanding of the current license deployment and how our potential future growth could impact licensing,” said Mark Wood, vice president, information technology, S&C Electric Company. The company’s most recent Oracle License Management Services engagement delivered several important benefits. The IT team expanded its knowledge of licensing metrics and policies, which assists the company in understanding financial implications of future Oracle software purchases. Further, the engagement helped the company plan for a move to an Oracle Linux-based environment. “With the knowledge gained from Oracle License Management Services, we developed a realistic budget that was spot on and avoided any financial surprises during the implementation,” Rangarajan said. 44 S&C ELECTRIC COMPANY The team completed the review process in about five months and benefited from Oracleprovided scripts, which helped S&C to gather required information quickly and accurately. “The Oracle License Management Services team was easy to work with and willing to accommodate our schedule as we were in the midst of a new production rollout,” Rangarajan said. Following the successful engagement, S&C Electric joined an Oracle License Management Services advisory group to continue to expand its knowledge and contribute feedback for future customer-focused strategies. 45 SCOTTISH LEGAL AID BOARD Oracle Customer: Scottish Legal Aid Board Edinburgh, Scotland www.slab.org.uk Industry: Public Sector Employees: 300 Oracle Products & Services: • Oracle License Management Services Scottish Legal Aid Board Tracks Licenses in Hours, Not Days; Decommissions Unused Software; Gains Enterprisewide Visibility into IT Assets “Working with Oracle License Management Services has saved us time and money and greatly simplified the complexities of tracking software usage. I wish we had engaged with them years ago.” –– John McLeod, Head of Information Systems, Scottish Legal Aid Board Scottish Legal Aid Board is responsible for managing publicly funded legal assistance in Scotland for the Scottish Government. The board helps people who cannot afford legal representation to get the help of a solicitor, and sometimes an advocate, for their legal problems. Scottish Legal Aid Board participated in an Oracle License Management Services review and cut the time its IT team spends each year tracking licenses for its 250 Oracle E-Business Suite users from days to within one day. The board’s DBA team—which includes 1.5 full-time employees—can now integrate license management into day-to-day maintenance, saving significant time. In addition, the IT team can be confident that its Oracle software estate is properly licensed. Scottish Legal Aid Board had been using manual, in-house developed tools to monitor its Oracle E-Business Suite licenses, purchased 10 years ago. The Oracle License Management Services engagement discovered that DBAs had been using an outdated license management model to calculate user numbers, which meant the board was now slightly under licensed. The Oracle License Management team also identified unused licenses for Oracle Human Resources Intelligence and self-service applications that the board no longer needed, as they were now accessed under a license covering all Scottish government organizations. By decommissioning the unused software, Scottish Legal Aid Board minimized the additional license fee required to become fully compliant and gained complete transparency of its Oracle estate. Scottish Legal Aid Board benefited from a professional evaluation of its software assets and learned how to deploy licenses to best meet its needs and avoid unnecessary license liability. Using Oracle License Management Service’s customer-centric tracking tools, the board’s IT team has streamlined annual license reconciliation and can proactively plan future software purchases to meet the board’s efficiency goals while providing maximum value to tax payers. Why Oracle Scottish Legal Aid Board was selected at random by Oracle for a routine license assessment. “We welcomed the opportunity for an expert evaluation of our Oracle assets and the chance to modernize, simplify, and streamline license management,” said John McLeod, head of information systems, Scottish Legal Aid Board. “We were also eager to build a closer relationship with our most strategic technology provider.” 46 SCOTTISH LEGAL AID BOARD Implementation Process Oracle License Management Systems provided scripts and tools for the board to run against its Oracle E-Business Suite environment. DBAs ran the scripts and submitted the data to Oracle for analysis. The process required only a few hours of input from DBAs over a five-week period, and Oracle License Management Services consultants were available throughout the engagement to provide advice and guidance. “Oracle’s approach was open and straightforward, and the review was professional and pain-free from start to finish,” McLeod said. “The consultants gave us expert advice on how to map Oracle software to our needs and updated our understanding of Oracle license entitlements. Working with Oracle License Management Services has added value to our Oracle investments.” 47 STADTWERKE LEIPZIG GMBH Oracle Customer: Stadtwerke Leipzig GmbH Leipzig, Germany www.swl.de Stadtwerke Leipzig GmbH Eliminates Noncompliance Risks—Reduces Software License Costs by 20% Industry: Utilities Annual Revenue: Over $5 Billion Employees: 953 Oracle Products & Services: • Oracle License Management Services “Oracle License Management Services provided a fantastic service that was extremely reliable and flexible. Annual Revenue: Under $100 Million Employees: 40 Oracle Products & Services: • Oracle License Management Services • Oracle Database • Oracle Internet Application Server, Enterprise Edition • Oracle WebLogic Suite Oracle partner Symmetry’s bluQube solution is an innovative accounting platform, built on Oracle Database and Oracle Application Server that streamlines financial management for midsize organizations with between 10 and 300 users. In its main customer base of further and higher education institutions, bluQube is a market leader, with a 35% market share. Oracle License Management Services clarified Symmetry’s embedded software license agreement for Oracle Database and Oracle Application Server and simplified usage tracking and reporting for bluQube. Symmetry decided to enter into a prepaid agreement with Oracle for its embedded licenses. This would also enable the company to give new customers and additional users immediate access to the software by avoiding the delay in applying for licenses. Oracle License Management Services engaged with Symmetry’s technical team to discuss the company’s strategy for re-engineering bluQube as a browser-based solution. As a result, Symmetry has begun embedding Oracle WebLogic Suite into bluQube to deliver seamless interoperability, greater scalability, and real-time integration with its customers’ heterogeneous back-end systems. Symmetry’s embedded software license agreement with Oracle dated back to the late 1990s and reconciliation relied on the company faxing usage declarations of all bluQube customers and user numbers for each client. The company’s time-consuming internal tracking and auditing systems, combined with a 10% year-on-year increase in revenue, made it hard to maintain an accurate baseline of license usage. The Oracle License Management Services partner services team worked with Symmetry to build a complete list of bluQube customers and licenses purchased and showed the IT team how to streamline on-going monitoring and reporting. Symmetry completed the review in two months with minimal impact on the day-to-day workload of its technical staff. Symmetry now has a dedicated Oracle License Management Services senior consultant who can provide future license guidance and fast-track access to Oracle product development and technical teams. Symmetry benefited from the Oracle License Management Services review to increase its knowledge of Oracle’s licensing policies. The team’s partner-centric approach and transparent processes increased the company’s understanding of license entitlements and helped Symmetry build a strong foundation for optimizing license usage and management in the future. Symmetry now plans to embed Oracle Business Intelligence Enterprise Edition into future releases of bluQube to enhance reporting capability and give finance professionals and decision-makers self-service access to timely business data. Why Oracle Symmetry wanted to streamline license management and reduce time spent on tracking and reconciliation. The company also benefited from the Oracle License Management Services review to gain greater insights into other Oracle products that could enhance bluQube and help grow revenue and market share. 50 SYMMETRY “The Oracle License Management Services consultants were professional, pragmatic, and very commercially aware,” said Simon Kearsley, CEO, Symmetry. “The positive engagement with them led us to embed Oracle WebLogic Suite into our product and select Oracle Business Intelligence Enterprise Edition as the future reporting tool for bluQube. Under $100 Million Customer Success Story Oracle Products & Services: • Oracle License Management Services Valle Redondo S.A. de C.V. is one of Mexico’s largest producers of juices, nectars, wines, and ciders under its own labels and a leading manufacturer of in-house-label, fruit-based beverages for several retailers. The company owns 700 hectares of vineyards and has the capacity to process 35,000 tons of fruit each year. Valle Redondo brands, including Smile, Confrutta, Good 4 you, Happy Day, and Tree Top are exported to the United States, Central America, Asia, and the Caribbean. As Valle Redondo grew, its JD Edwards EnterpriseOne solutions, deployed a decade before, was on increasingly used to manage sales, accounting, financials, purchasing, inventory management, manufacturing, and quality control. Meanwhile, Oracle’s purchase of JD Edwards had produced changes in the licensing model, introducing additional complexity in reconciling software usage with license entitlements. Without dedicated resources to monitor use of its JD Edwards assets as it expanded, Valle Redondo had underestimated its licensing requirements. Oracle License Management Services engaged the services of one of its partners, who trained Valle Redondo’s IT team how to use Oracle’s data collection tools to track and capture usage activity. The engagement spanned four months and had little to no impact on the IT team’s ability to support business users. While initial findings revealed that user numbers had increased from 30 to 150 since implementation, Oracle License Management Services’ tracking scripts enabled the IT team to identify user duplication, reducing the actual number of users to 77. Valle Redondo purchased the additional licenses where needed and regained compliance. During the engagement, the Oracle LMS partner provided Valle Redondo with an in-depth understanding of Oracle’s licensing policies and how they apply to the company’s technology environment. The partner also supplied guidance on best-practice, software asset management and helped Valle Redondo set up continuous, pro-active usage tracking. Assigning licenses to new users has become part of the company’s on boarding process, and it now assigns licenses to others within the organization that are freed up when employees leave. The IT team can now also plan future software purchases proactively and in the most cost-effective way. Since the engagement, Valle Redondo has purchased additional licenses for Oracle Database management options to automate system administration and optimize database performance. The company is also planning to extend its use of JD Edwards EnterpriseOne and leverage its full functionality to realize maximize value from its investment. 54 WASHINGTON COLLEGE Oracle Customer: Washington College Chestertown, Maryland www.washingtoncollege.edu Industry: Education and Research Annual Revenue: $100 to $500 Million Employees: 500 Oracle Products & Services: • Oracle License Management Services • Oracle Database, Enterprise Edition Washington College Ensures Database License Compliance, Gains Support, and Opens New Opportunities to Leverage Technology for Campus Research “With Oracle License Management Services, we ensured we were in compliance with our software, gained support, and opened up opportunities to use Oracle Database in new ways to support research projects across the institution. With a student population of 1,400, Washington College is the only institution with permission from George Washington to use his name. Its heritage as the first college of the new nation lives on today in Washington College’s commitment to educating confident citizen leaders, poised to make the world a better place. Washington College was running two critical systems—its Blackboard learning management system and its CS Gold campus ID card system—on Oracle Database Enterprise Edition. The college had contracted its use of Oracle Database through a third-party provider that was not leading the college in the right direction, as the institution was not in compliance with its licenses, which could ultimately lead to support and performance issues with the systems that the college relied on daily to provide service to students, faculty, and staff. Washington College connected with Oracle License Management Services to rectify the issue. Working closely with a senior license consultant from Oracle, the college completed a successful licensing audit and ensured that it had the right license in place—enabling the institution to license the database out to users to support additional projects, like research initiatives. Why Oracle “We’re a small institution and funding is limited. I was truly happy to have a direct Oracle relationship. I could have had so much more support and help had I originally worked directly with Oracle to manage my licenses. Our representative from Oracle License Management Services was wonderful.
