Emailing Receipts to MyTravel To submit your MyTravel travel and entertainment receipts via email, please follow the steps below. Any questions should be directed to our Travel Help Desk at [email protected]. Overview of steps: 1) 2) 3) 4) 5) 6) 7) 8) 9) 10) Generate your barcode coversheet in MyTravel. Save the barcode coversheet as a PDF to your desktop or file share. Do not print and scan it. Collect any electronic receipts and save them as a PDF to your desktop or file share. Scan any additional paper receipts and save them as a PDF to your desktop or file share. Draft a new email to: [email protected] In the subject line, put the word “receipts”. No other words should be in the subject line. Attach the barcode coversheet PDF – this must be the first attachment on the email. Attach any additional PDFs with your supporting receipts. Ensure that the body of the email is entirely blank. No signature, message, or any text at all. Send the email. After a few minutes, you should receive an auto-reply that the electronic fax was received. The autoreply from the fax service does not mean the receipts loaded into MyTravel. Assuming the barcode is read properly, the receipts will generally be loaded into MyTravel a few minutes after the fax confirmation. Standard notifications already being sent from MyTravel are unaffected by this service. Required software: At this time, the solution has been tested with the following approved configurations: Windows-based PC, using Firefox (version 30 or greater) Windows-based PC, using Chrome (version 35 or greater) Windows-based PC, using Internet Explorer (version 11 or greater) Mac OS-X, using Chrome browser (Safari browser is NOT supported) Adobe Acrobat Pro (version 11 or greater) You are also welcome to utilize free iPhone and Android apps to create PDFs from your phone camera (CS Scanner is a good one). This will not work for the barcode coversheet, but is helpful for scanning paper receipts while on the road and storing them for later submission to MyTravel. Common Issues and Causes: 1) I received the autoreply from the fax server, but my receipts are not available in MyTravel after several minutes of waiting a. Do not print your coversheet. Save it as PDF and attach the PDF to your email b. Do not include a Signature or Background in your email c. Do not use Landscape mode when saving or printing coversheets 2) I never received the autoreply from the fax server a. The subject line must be “receipts”. Nothing more, nothing less.
