SET UP / TRADE SHOW / DISMANTLING INSTRUCTIONS
SET-UP
taking possession of the stands : thursday, january 22nd, 2015 from 8.00 am to 12.00 pm
PRESS STAND / BOOKSHOP / EQUIPPED STAND
You have an individual booth. This means that you are formally requested to be present for the set-up period of the
show in order to set-up your booth (putting away publications, tidying-up, displays) and to collect your badges at the
exhibitors’ desk of your hall.
We would like to remind you we are not responsible of your booth and you are requested to take full charge the delivery
of your magazines.
A member of your staff has to be present on your booth in order to receive your publications, to sign the delivery slip and
then to put them away in the counter which is provided for this matter.
Any palet which is not properly put-away on or in front of your booth on the night before the show will be
automatically dumped for security reasons.
SAFI is not responsible for your publications.
EMPTY PACKAGING AND STORAGE OF MATERIALS
You can call AGILITY to manage your empty packages and your magazine stocks during setting up, for the duration of the
exhibition and during dismantling of your stand.
SECURITY OF THE STANDS
We remind you that the risks of theft are present during their set-up and dismantling days and at night before the show
opens to the public. Exhibitors are required to supervise thier stand during the show’s opening hours. When goods or
property are left without supervision and theft occurs during exhibitor opening hours, they are not covered by the exhibitor
policy.
During set-up and dismantling periods, please try to avoid leaving your stand (material, tools, boxes,...) without any
supervision. During the show, if you want to secure your stand, you can close it with a net.
PRESS KIOSK
To all concerned publications whom have a presence on the Press Village kiosk, you are kindly asked to prepare 200
to 250 copies of your last issue and deliver them to AGILITY, from the 9 th of December to the 19 th of December
and from the 5th of January to the 20 th of January 2015, last date, to the address here below:

Please make sure there is always someone present on your stand during the opening hours of the show, so that
the “Village Presse” works successfully.
IMPORTANT
No decorative item, article of furniture, lightning or sign board may extend beyond the limits of the stand.
It is stricly prohibited to post, nail, screw, drill or paint in or on “Village Presse” equipment.
HANDING OUT OF ADVERTISEMENT, ANIMATION
The handing out of advertising documents or objects outside the limits of the stand is strictly prohibited.
PHOTOGRAPHING THE STANDS
It is strictly forbidden to monitor the exhibition visually (camera, video camera or cine camera, mobile phone equipped with
a camera…).
The organizers reserve the right to confiscate any film, videotape or recording device brought into the exhibition without
a written permission from the organization, and/or to delete photos taken into the exhibition without a written permission
from the organization. Any person who ignores this regulation will be able to be excluded. Exhibitors who wish to have their
stand photographed must apply to the Show Office stating the name and address of their photographer, who will then
obtain a special permission
MISCELLANEOUS
Please note : Entrance to the show is forbidden to any person not wearing a personal badge including children. DISMANTLING
Dismantling is permitted from 6.00 pm to 12.00 pm on January 27th, 2015.
Dismantling beforehand is formally prohibited.
ATTENTION: Your stand area must be handed back in its initial state. Any wear or damage discovered after dismantling
will be repaired and charged to the exhibitor. Strips disappeared will be charged to you. When you leave, the keys of the
counters must be left on the locks.
We remind you that we are not responsible for parcels or magazines left on your space during set-up.
Our cleaning service will clear your space during this time and you will be billed for this.

u Head to the automatic gate at the Exhibitor Parking Entrance; enter your parking ticket to open the barriers.
Important
Once your parking ticket is printed at the automatic machines, keep it behind the windscreen of your vehicle.
- With one PDF code bar, you can print one parking ticket.
- With the parking ticket you can enter and get out as many times as you want.
- Only one vehicle can enter with one parking ticket. Depending from your purchase, the parking ticket can be
valid for the 5 days or one day of the tradeshow.
- You can purchase a 5 or a 1 day parking ticket.
- Instead of the printed PDF, you can scan the code bar through your smartphone, or you can digit your code on
the machine keyboard.
Rules and Regulations
- The Provisions of the Highway Code must be complied with on the Exhibition Centre property.
- Parking is prohibited on all roadways, next to buildings, and in fire lanes, subject to towing and impounding.
- While the exhibition is open, only tourist vehicles and LUV with a pass affixed to their windscreen and a magnetic card
will have the right to enter the exhibitor parking areas.
Advice
- Remember to lock your vehicle, and do not leave valuable objects in it.
- Affix your pass to your vehicle’s windscreen to facilitate controls and improve traffic flows.

• In case of fraudulent use it may be confiscated, and the exhibitor is liable to a civil fine of 160 € without prejudice to any

Transport / handling / storage of empties
You have the opportunity to call one of the handling services available in the Paris Nord Villepinte exhibition centre for
dealing with your empty packaging, during the set up and dismantling of your stand.
Your empty packaging will be stored in the handler’s warehouse during the exhibition.
Regarding dismantling, the entrance of your small empties will be allowed in the halls on January 27th, 2015 from
6.00 pm onwards, only through manual transportation.
The access of your large empties will be allowed in the halls, from 7.00 pm onwards, with forklifts, following the Security
Regulation set up and controlled by our Security Coordination (BUREAU VERITAS).
A checking procedure for packaging exiting the halls is set up in all the halls. The aim is to ensure that no exhibitors’
products leave the halls in packaging that is supposed to be empty, thus reducing the occurrence of thefts in the halls.
For this purpose our safety teams need to be able to check the contents of all packaging leaving these halls.
To make it easier for you, you can ask the security firm in charge of your hall to come to your stand and check all of your
packaging directly before it leaves. This packaging will be marked and may then be removed from the halls immediately
without waiting at the hall exit gates. Please inform your stand fitter and handler so that they can contact the security firm
directly.

Fire safety precautions at exhibitions
1. GENERAL OBSERVATIONS
Very important
Certificates of foreign origin will not be taken into account. Only official reports from French qualified laboratories
will be accepted but, a transposal decree establishes equivalences between the Euroclasses and the former M
classification.
Safety precautions against risks of fire and panic resulting from it inside buildings open to the public have been stated in the
decree of June 25th,1980 (General regulations). The decree dated November 18th, 1987 stipulates the special precautions
to be applied within exhibition halls. The following text is made up of extracts from these regulations so as to facilitate their
comprehension.
The Security Commission is very strict as to the set-up and installation of stands (stability, construction material, decoration,
electric fittings and so on). All decision taken by this commission during its inspection -which will take place the day before
or early in the morning of the opening day- will have to be carried out immediately. All stand installations must be terminated
by the time of this inspection visit. The exhibitor or his representative is obliged to be present on the stand and should be
able to produce all official reports as concerns the fire resistance/reaction of any material applied. Any non-observation of
this regulation might result in the removal of material or the interdiction of opening the stand to visitors.
All projects of a certain importance receive the approval of the person in charge of fire safety in all exhibitions. All plans
and technical information in this respect should be passed on to the organizers of the show at least one month before the
opening of the event.
During the installation period, the person in charge of fire safety will supervise the application of the security regulations
mentioned hereafter. In addition, all further information regarding fire safety and security may be obtained from:

Framework of stand construction / partition walls and bulky furniture
Any material of categories M0, M1, M2 or M3 (1) is autorized for construction purposes of stand framework, wall partitions
as well as for the construction of bulky stand furniture and fittings (case, bar, counter, shelves and display shelves separating
screen, and so on).
Standard classification of wood based materials (Decree dated June 30th, 1983).
The following materials are deemed to fall under the heading of category M3 materials:
u non resinous solid wood of thickness greater than or equivalent to 14 mm,
u resinous solid wood of thickness greater than or equivalent to 18 mm,
u panel derived from wood (plywood, boarding, particle and fibre woods) of thickness greater than or equivalent to 18 mm.
ATTENTION
It is strictly forbidden to place any equipment whatsoever over the alleys (structure or identification banners,
gangway, etc.)
A transposal decree establishes equivalences between the Euroclasses and the former
M classification
Until the revision of the fire safety regulations incorporating the Euroclasses is officialized, a table published in the Official
Gazette establishes the equivalences between the regulatory requirements expressed with the M classifications and the
Euroclasses already applied to products.

Wall coating material
u Wall coating
Coating (pure textile fabrics or plastic coatings) must be of category M0, M1 or M2 (1) and may be applied and fastened by
hooks. Different coatings (fabric, paper, plastic films), very thin (maximum 1 mm), being of medium or high inflammability,
must be glued on the whole surface on to supporting material M0 only.
Equipment on display may be presented on stands without observation of the regulation related to fire safety. However,
if this exhibited material is used to decorate the partition walls or false ceilings and if they represent more than 20% of
the total surface of such elements, the regulations do not apply to exhibitions or stands of interior decoration where such
textiles and coating material are specifically exhibited.
u Curtains / Hangings / Muslins
Curtains, hangings and muslins may be left hanging loose, if they are within the categories M0, M1 or M2 (1). However, the
same are forbidden on entry or exit doors of stands, but will be allowed on doors for use inside stands.
u Paints and varnish
The use of glycero-nitrocrellulosic paints and varnishes is strictly for-bidden above all if they are considered to be easily
inflammable.
u Coating of floors, podiums, platforms, steps
Any such coating must be made of material in an M4 category and solidly fixed. Coatings, horizontal or not, of podiums,
platforms and steps which are higher than 0,30 m and of a surface more than 20 sq.m, may be made of materials of
category M3. If their total surface is inferior to 20 sq.m, the corresponding coatings may be carried out in materials of
category M4.
ATTENTION
For carpeting classified M3 or M4 and laid on wood, please take method of laying into account. Fire resistance
notices must state «Suitable for stretched laying over any M3 support».

Items of decoration
u Suspended elements
Suspended decorative elements or coverings hanging loose (publicity panels having a surface bigger than 0,50 sq.m,
garlands, any light decoration item, and so on) must be carried out in material of M0 or M1 classification.
The use of name board signs or publicity panels written out in white letters on a green background is strictly forbidden, as
these colours are reserved exclusively for indications of Exit or Emergency Exit gates.
u Candles
We remind you that lighted candles and lamps are expressly forbidden on the exhibition.
u Flower decorations
Floral decorations made out of synthesis materials should be limted. If not, only plants and artificial flowers made out of
flame resistant cloth or fabric of category M2 will be authorized. These rules do not apply to exhibitions and stands where
such items are specifically exhibited.

Regarding any real plants, there should be a preference for peat soil which should stay permanently moist.
u Furniture

Awnings / ceilings / false ceilings
Stands covered by ceiling, false ceiling or an awning, as well as stands with a raised floor level, should have a total covered
surface inferior to 300 sq.m. If the surface is superior to 50 sq.m, the stand should be provided with appropriate fire
extinguishers, permanently attended to by at least on person in charge of fire safety during any presence of the public
within the building. Safety lighting is organised in autonomous blocks
u Awnings
Awnings will be authorized under the following conditions:
u They must be made of material to be classified as M0, M1 or M2 (1) inside buildings provided with an automatic fire
extinguishing device by water (2),
u Inside buildings without such an automatic fire extinguishing device by water awnings must be made of cloth classified in
category M0 or M1. They must also be fixed in a solid and effective manner so as to stop their falling down and be carried
by a crossed network of steel wire, each grid mesh should be maximum 1 sqm
u Ceilings and false ceilings
Ceilings and false ceilings must be of material classified in category M0 or M1. It will however be accepted that 25% of the
total surface of these ceilings or false ceilings will be of material of category M2. Ligths and lamps are included within this
percentage. But, if the ceiling or false ceiling is made up of openworked or net material they may be within the M2 category,
but only if the unbroken (continiuous) surface is less than 50% of the total surface.
Anyhow, the suspension device and the fixations of such ceilings and false ceilings must be of material classified in
category M0. When there is a coating of insulating material in these ceilings and false ceilings it must also be of category
M1 material.
Fireproofing
At any time, the person in charge of security shows may demand exhibitors to produce the guarantee of the degree of fire
resistance of any material applied on their stands, either by official reports or certificates. All coatings, coverings and
material meeting the requirements of security are sold in specialised shops, where the quality certificates as regards the
classification of fire resistance may be obtained.
By means of different procedures or applications, any material which normally would be of medium or high inflammability,
may obtain the flame resisting qualification of M2. These procedures would be: inflammable liquid spraying, brush
application of a paint or special varnish or immersion in a special bath solution. These operations of fireproofing may be
performed by:
u decorators, who must be able to provide all information regarding the treatment of the material,
u an officially qualified person or contracting company who may issue a homologated certificate giving the following
specifications: nature, surface and colour or the coating/covering treated, product applied, date of working operation,
stamp and signature of the work operator. Officially qualified companies will normally be found on exhibition premises and
may perform such operations on behalf exhibitors during the period of installation of the shows.

3. ELECTRICITY
Electric installation
Any electric equipment or installation on stands should be protected at the very source from excess and earth fault current.
All metallic masses should be interrelated and also related to the earth connection of the connection panel on the stand.
All current connections should be placed inside derivation boxes.There should be easy access to all disconnection devices
at any time.
Electric supplies
All electric supplies should correspond to French and European standards specifications in force.
u Electric cables
Electric cables should be insulated so as to be able to support a minimum voltage of 500 volts; a voltage that, for
instance, the cable H-03-VHHH (scindex) would not guarantee. Only cables with a separate cable covering for each wire
conductor should be used; all wire conductors should then have a common protection covering.
u Wire conductor
Any wire conductor profiled under 1,5 mm is forbidden.
u Electric apparatus
Any electric apparatus classified in category 0 (2) should be protected by a device for nominal decompounded current
equal to 30 MA maximum.
Electric apparatus classified in category I (2) should be connected to the protection conductor of supply lines.
Electric apparatus classified in category II (2) provided with the sign
are recommended.
u Multiple plugs
Only socket adapters or multiple cases off a fix adapter cap (moulded multiple socket assembly) will be authorized.
u High voltage light sign boards
High voltage light sign boards which are positioned within the reach of visitors or staff working on the stand, should be
protected, above all the electrodes by means of a screen made of a material that may be classified at least in category
M3. The power cutoff should be clearly indicated and all current transformers positioned so as to be of no danger to any
passing person. Their presence might be indicated by a warning sign board «DANGER HAUTE TENSION» (Danger high
voltage).
u Halogen lamp (standard EN 60598)
Stands luminaries which incorporate halogen lamps must:
u be placed at least 2.25 metres from the floor,
u be placed away from all inflammable materials (at least 0.50 metre from wood and other decorative materials,
u be solidly attached,
u be fitted with a safety screen (glass or fine tin mesh grid) providing protection against effects due to a possible explosion
of the lamp.

4. EMERGENCY DEVICES
All emergency devices must stay clearly visible. At any time there must be free access to any emergency device (fire
hydrants and stand pipes, fire plugs with hose and spout, telephones, fire extinguishing cartridges, smoke outlet controls
and so on).
u Fire plugs with hose and spout
On stands which are equipped with fire plugs with hose and spout there must be a free passage of 1 meter from the
closest hall gangway for public passage on to this safety device; no material or exhibits must be in the way. It is strictly
forbidden to cover up the device by any fabric or panelling.
5. GENERAL INSTRUCTIONS
It is forbidden to stock any cases, wood, straw, cardboard boxes and so on on stands or free passages close to stands.
A daily cleaning is necessary to remove dust and rubbish from all stands and structures.
All such garbage resulting from the daily cleaning should be removed every day and brougth outside the exhibition premises
before the opening to the public.

All persons wishing to enter the halls must have an exhibitor’s badge to be collected from the exhibitor’s reception desk in
their hall the January 22nd, 2015 from 8.00 am to 10.00 pm.

All utility or heavy goods vehicles will be subject to an identification and registration procedure in order to gain access to the
unloading zones alongside the halls.
This registration procedure may be carried out in 2 different ways:
- registration via internet, indicating the details identifying the vehicle, the driver, the place of delivery and information
concerning the receiving stand. You will receive an email enabling you to register your vehicles.
- registration at the site, in the P10 parking area, Prouvé building.
After registration, all LUVs and HGVs will be identified and time-stamped:
2 hours for vehicles under 3T5
4 hours for vehicles over 3T5
Access to the halls is possible from 7:00 after inspection, identification and time-stamping.
Vehicles will then be directed to their unloading areas, positioned so as to allow free traffic circulation in the logistic zones.
They will then be able to unload in the time allocated to them.
u For LUVs
As soon as they have finished unloading, they must vacate the unloading zone. They then have several options:
- leave the Paris Nord Villepinte Exhibition Centre
- park in the storage parking area until the end of the show (PVUL Parking area - free)
- purchase an exhibitor’s parking pass for LUVs enabling you to park in designated parking spaces close to the halls.
u For heavy vehicles
As soon as they have finished unloading, they must vacate the unloading zone. They then have 2 options:

During the show, only vehicles with the following access badges will be allowed to enter the Paris Nord Villepinte Exhibition
Centre:
- Exhibitor’s Parking Badge passenger vehicles
- Exhibitor’s Parking Badge LUVs
- Official’s Parking Badge
- Press Parking Badge
- Visitor’s Parking Badge
All vehicles without a parking badge in position behind the windscreen, all vehicles that are not parked in designated parking
places, all utility vehicles that use a passenger vehicle parking badge, are at risk of being towed away and impounded.

u Passenger Vehicles Procedure
On January 27th, 2015, passenger vehicles with parking access badges will have free access to the exhibitor parking areas.
All vehicles without parking badges will be directed to the P1 visitor parking area.
Light Vehicles will not be able to approach the halls or access the loading zones.
u Light Utility Vehicles Procedure
LUVs parked in exhibitor parking areas and possessing parking badges will be given priority for vacating their parking areas
and accessing the halls.
All LUVs entering the Paris Nord Villepinte Exhibition Centre on Tuesday, January 27th, 2015 without parking badges will
be directed to the PVUL Parking area situated at the entrance to the exhibition centre. Release of these LUVs from the
free storage parking area will start once the paid Exhibitor LUV parking areas located around the halls have been vacated.
LUVs are the only vehicles permitted to enter the logistic zones before access is allowed to heavy goods vehicles.
u Heavy Goods Vehicles Procedure
Heavy goods vehicles parked at the Paris Le Bourget Exhibition Centre will be permitted to start moving towards and enter
the Paris Nord Villepinte Exhibition Centre at 8:00 pm. They will then be parked in a storage parking area to wait until they
can access the halls. These HGV will be the first to approach the halls after the LUVs. This will begin around 10:30 pm.
The release of the other HGVs present at the Paris Nord Villepinte Exhibition Centre will follow, and will be possible after the
HGVs from Bourget have vacated.
The vehicles will be permitted to enter the loading zones following the same procedures as applied during installation. The
vehicles will be positioned according to the availability of spaces and to optimise traffic circulation in the logistic zones.
In parallel, vehicles present in storage parking areas will be released gradually as space becomes available in the logistic
zones around the halls.

IMPORTANT NOTE
LUVs wishing to access exhibitor LUV parking areas close to the halls during the show must have a LUV parking badge
and a magnetic pass. These 2 documents must be displayed permanently behind the windscreen, clearly visible, to
avoid the risk of the vehicle being towed and impounded.
LUVs can also be left onsite during the show free of charge, in the PVUL storage parking area located at the entrance
to the Exhibition Centre only. Any vehicles parked elsewhere will be impounded.
No HGVs are allowed to remain at the Paris Nord Villepinte Exhibition Centre during the show.
HGVs are forbidden in the exhibitor parking areas. If a vehicle remains longer than planned within the logistic zone, the
driver will be called by the control office and asked to move the vehicle, failing which it will be impounded. A sticker will
also be placed on the windscreen to notify the exhibitor that the vehicle is to be impounded.
The exhibitor must go to the PCC (centralised control room) (phone +33 (0)1 48 63 30 49 – access via visitor reception
desk in Hall 1) to recover the vehicle and pay the impounding charge, 200 € for a passenger vehicle or LUV and 300
€ for HGV.
All unloading zones must be vacated before the opening of the show, Friday morning. To ensure this, the impounding
service will be in operation every day.
The presentation of an exhibitor’s parking pass does not authorise vehicles to enter the unloading areas. They are valid
only while the show is open and allow the exhibitor to park in the exhibitor parking areas.
