Italian and foreign exhibitors are allowed to take part in the exhibition, as: -‐ Producers\sellers of embroidery, laces, macramé, custom jewelry, knitted goods, felt, quilting, patchwork, handbags, decoupage, sewing threads, coloured cloths, accessories, buttons, printings, related tools. -‐ Vate and public associations which deal with female art promotions,in particular those linked to this exhibition. The exhibition is open to the public on fixed days and times. ART. 2 APPLICATION – PAYMENT ON ACCOUNT Those who are interested in taking part in the exhibition must send in their application not later than 13th March, 2015, filling in the form in every part and duly signed. The application is an irrevocable contract and,with it,the applicant accepts all the rules of the general conditions,respects them and every other rule he may be requested to,for the success of the exhibition;in addition,the applicant shall have to respect the rules concerning the Palacongressi. The application must be sent in on payment of the account related to the participation charges,inclusive of I.V.A. by law. The applicant shall have to hand any document needed,on demand. The decision of the organisation cannot be censured;in case of non-‐acceptance (of the application),the organisation will communicate the reasons of its declination to those who will send a written request. In case of non-‐acceptance,the applicant will be refunded up to the sum he has already paid. The organisation will consider the applications sent later than 13th March,depending on the number of stands available. The organisation has the right to change the place of the assigned stands ( they are distributed on three different floors) and to reduce the assigned place; the applicant will only be refunded in case of a reduced area. The applicant whose application has been accepted (by written script) will have to pay in full, his\her total amount, within 20 March,2015,otherwise,the contract will be cancelled,the account taken and the assigned place available for somebody else. The application of a co-‐applicant may be authorised by the organisation only if the main applicant is ready to pay 50% more than the amount due on his\her part. ART. 3 PARTECIPATION Each stand,furnished or not.is completely in the hands of its exhibitor and it is forbidden to leave it in the hands of third parties,unless differently authorised by the organisation. The exhibitors must respect the times:during the opening times they shall have to let the visitors in,without any obstruction. Each exhibitor is given a personal card to let him\her in at any time;extra cards may be given( and paid for),on demand. In any case, those who are given personal cards must respect the rules and the exhibitors are responsible for them. The organisation has the right to change the conditions at any time for the success of the exhibition. The exhibitors must respect the rules in order to contribute to the success of the exhibition,not to cause any damage to the locals,to the furniture,to the elctrical\heating systems;they must not place any advertising materials outside their stands: this is to be respected by co-‐exhibitors,too,( the exhibitors are responsible for them). The organisation has the right to control and check the behaviour of the exhibitors and claim for damages. ART. 4 SETTING UP AND DISMANTLING OF STANDS Exhibitors must set up and dismantle according to the timetables. Staging: Thursday, April 9, 2015 from 9:00 am to 18:30 lunch break -‐ Dismantling: Monday, April 13, 2015 from 9:00 am to 18:30 pm. In case of delay,the organisation may consider the cancellation of the contract,will take the account and,eventually,claim for damages. During the setting up and dismantling of goods children under 18 are not allowed without a special written permit from the organisation. Only exhibitors and co-‐exhibitors will be allowed to enter the Palacongress for setting up and dismantling,provided they have their personal card;also, they are allowed to use the lifts of the building Goods and materials of any kind must be placed within the assigned space,up to m.2,50 high, and they must not be an obstacle to others. Only at the end of the exhibition exhibitors will be allowed to dismantle. The exhibitors are responsible for whatever materials and machine they handle,not given by the organisation. They must respect safety rules and fire rules,in particular; the installation of electrical devices or other machines is forbidden. The exhibitors with their own structures and furniture must number their own stands and place their signs (and posters). They will be responsible for any damage caused by the breach of the rules given by the organisation. The exhibitors must take care of their own assigned spaces during the times of setting up,dismantling and opening times. The organisation cannot be held liable for any damage caused by other exhibitors or common people\visitors. The exhibitors are responsible for any damage to the locals,equipment,furniture in use and must leave the space in the same conditions as it was before use; they will be charged for whatever expense needed after their use. Everybody must behave politely and respect the rules,both at the entrance and inside the premises: no dogs or other animals are allowed, except guide-‐dogs for blind people. Videos and photos are allowed by previous agreement with the organisation,that has the right to take photos for its archive and on documentary basis. The organisation is not responsible for eventual copies of displayed products. The organisation may authorise advertising signs or other forms of advertising(previous payment), on condition that they will not put at risk the success of the exhibition. ART. 6 INSURANCE Exhibitors must be insured against all risks and third parties. The organisation can’t be held liable for any damage to people or\and goods of any kind,not even for any expense regarding legal actions deriving from the assigned space. ART. 7 RECESS When an application has already been accepted, if an exhibitor wants to resign he\she must send a written communication by registered mail -‐ return receipt requested -‐ within 20th march,2015 and must declare his\her reasons; in any case the account is taken. Shouldn’t the renounce be sent in written words or shouldn’t the reasons be accepted by the organisation, the exhibitors will be asked to pay in full. The organisation,on its part,will cancel the contract and inform the exhibitors about it,10 days before the beginning of the exhibition and, due to the planning and\or developing of the exhibition,will inform about the cancellation on the very first day,giving the money back to each exhibitor. The organisation will not pay for any indemnity. ART. 8 CANCELLATION, REDUCTION, SUSPENSION If, for whatsoever reason, the exhibition cannot take place the applications are automatically cancelled and the organisation shall give back to the applicants all the money already paid. No indemnity or compensation for damages shall be recognized. In case of suspension after the opening for “force majeure”, no indemnity is due to the exhibitors;if the suspension ( or reduced opening times) is due to different causes,the exhibitors shall be entitled to a refund based on the real times. ART. 9 PUBBLICATIONS At any time and extent either in Italy and abroad, the organisation has the right to publish directly ,or by specialised firms,printed promotional materials regarding the exhibition and any useful publication which can help carry out the exhibition. The organisation cannot be held liable for the date of the publications, nor for any misprint or omission. The proceeds of any advertisements allowed to the exhibitors or to any third parties shall be reserved to the organisation. ART. 10 MORE RULES TO BE RESPECTED The exhibitor,in addition to the obligations by contract, has to comply strictly with all the rules and regulations regarding the market-‐exhibition – safety rules and regulations to prevent any sort of accidents; in addition, he has to relieve the association of any responsibility as a consequence of his\her disrespect of the rules. Any violation may entitle the organisation to terminate the contract without the need of any judicial action,only by giving a written note to the exhibitor at his\her stand. Any complaint regarding the organisation and the arrangements of the exhibition will be taken into consideration only when it is written down. The decision of the organisation shall be uncensurable. The use of trade names and graphic symbols of the exhibition is allowed only when previously authorised. At any time the organisation has the right to modifie the lasting,the opening times and any arrangements in order to carry out the exhibition in the best possible way and to decide the cost of the admission ticket (entrance fee for the public). No indemnity is allowed on any circumstances. Any relation among organisation,exhibitors or third parties shall be ruled by the contract,by the general conditions and by the measures issued by the organisation itself exclusively in the text written in Italian. No importance has to be given to any other translation,even when made by the organisation. The legal representant of the organisation is entitled to treat personal data and is responsible for them. Legal actions may be addressed to his office. ART. 12 REGISTERED DOMICILE -‐ COURTS What is not included in the contract and in the “General Conditions” is to be found in the Italian Civil Code. The exhibitor names his\her registered domicile by the association and recognizes and respects the Italian law and Rimini Courts.
