ULLENS SCHOOL STUDENT ADMISSION POLICY CORE POLICY: The mission statement of Ullens School commits to the promotion and respect of student diversity in the school community, therefore, Ullens School admits students of any race, color, religion, and/or ethnic origin. The School does not discriminate against a student on the basis of race, color, religion, national or ethnic origin in the administration of its educational policies. The following details of the policy is for admission of students to Grades 1- 9 ( primary and middle school), Higher Secondary Education Board (HSEB – grade 11 and 12) and International Baccalaureate Diploma Programme (IBDP – grade 11 and 12). ADMISSION TIMELINE Grade 1: February – March Grade 2 – 9: March (No new admission in grade 10) HSEB grade 11: June – July IBDP grade 11: April – June Admission open announcement will be published in various media ( newspaper, website, radio etc) prior to opening for admission. For the IB diploma programme, there is a separate orientation session held in April during the admission time for prospective students and parents. ENTRANCE TEST AND INTERVIEW Grade 1: A short written test and games for students, followed by a brief interview with the parents Grades 2- 9: A short written test followed by a short interview of the student and parents IBDP and HSEB: Written test in Maths and English followed by a short interview of the students APPLICATION FORM AND DOCUMENTS REQUIRED Candidates are required to fill out an application form and submit the following documents along with it. Application Form is available at www.ullens.edu.np Grade 1 – 9: Copy of child’s birth registration certificate Four recent passport size photographs Copy of child’s original report card of the last grade/exam attended Copies of parents’ citizenship certificates/passports (for foreign nationals, passport copy with valid visa) Location Map APPLICATION PROCEDURE Parents/guardians who wish to admit their child or students who wish to apply to Ullens School must follow the admission procedures described below: Step 1: Contact the Admission’s Office to find out about the academic programme and may be set an appointment for a meeting and a school tour. Step 2: If you find Ullens School to be the right choice, please collect the application package/form from the school reception. Application form is also available in the school’s website: www.ullens.edu.np Step 3: Fill out the Admission form and submit it to the Admission Office. The Admission Office will set the date and time for a written test and an interview. Both the parents/guardians and the student will be interviewed. Step 4: Parents/guardians/students will be notified by the telephone/email if the student is accepted. Step 5: Parents/guardians/students then come to the school to receive the acceptance letter and a voucher to make a deposit which covers admission fee, security deposit and the annual charge. The deposit confirms the admission of the student at Ullens School. Step 6: Parents/guardians must deposit admission fee, annual charges and security deposit by a given date. If the amount is not deposited by the given date, the student will be placed on the waiting list. Step 7: Parents/guardians are required to attend a parent orientation meeting. Parents/guardians will be provided with a Parent’s and a Student’s Handbook at this meeting. POST HIGH SCHOOL PROGRAMS IBDP and HSEB: Results of ten final exam ( eg. SLC, IGCSE, CBSE etc); Recommendation letter from previous school principal/teacher. Other documents of merit and achievements. ACADEMIC PREREQUISITE FOR IBDP AND HSEB Students applying to IBPD or HSEB must have passed grade 10 ( any academic curriculum) with an average score of at least 50%. Good performance in entrance written test and interview Previous school’s Principal’s recommendation letter is required. STUDENTS WITH SPECIAL EDUCATION NEEDS Students with Special Education Needs (SEN) will be admitted on case by case basis as per the SEN policy of the school. The school counselor will also hold a special session with both the student and the parents. As the school is not well equipped for special education needs, unfortunately, only a few students with special education needs can be admitted in one academic year. TRANSFER STUDENTS Grades 2- 9: Transfer students from other schools in Nepal and abroad are accepted in Ullens School provided that they fulfill the academic requirement for admission, if the seat is available. IBDP/HSEB: Ullens School accepts students who started the IBDP/HSEB programme at other school on conditions that Ullens School currently offers the subjects they studied in their previous school for the same academic programme. HSEB or other academic programme students cannot transfer to IBDP or vice versa. The transfer students need to submit academic performance reports and a letter from the previous school which confirms that he/she was enrolled in the IBDP/HSEB programme. ACCEPTANCE LETTER Parents/students are notified by phone or email if the student is accepted to Ullens School. A letter of acceptance will be issued by the school principal. If student is not accepted, the student will also be notified by phone. CHOICE OF IBDP OR HSEB Ullens School will recommend an appropriate programme, IBDP or HSEB, to each student based on the previous school results and individual counseling session with parents and student. The entrance test results, interview and financial resource is also taken into consideration to make this decision. Students accepted to IBDP will start with the full diploma programme but upon reviewing the first semester results students could be advised to follow the IB course programme that is tailored to their needs and ability. SCHOLARSHIP POLICY Ullens School provides financial subsidy to students on the basis of need and merit. The financial subsidy funds of Ullens School are limited and competitive. It is very important that parents/guardians seeking financial subsidy for their child comply with providing supplemental materials and additional information when requested by the school administration office. All parents/guardians must submit the financial subsidy application form. Parents/guardians may be asked to attend interviews at the discretion of the Scholarship Committee. Ullens School is nonprofit school hence the Scholarship fund is generated from the school fees collected from the fee paying students. About 15 – 20% of the total revenue generated from the school fee is put aside for the scholarship fund. The financial subsidy is granted to the deserving students from this fund only. The Scholarship Committee will examine all applications to determine if the applicant is eligible for a financial subsidy. The Committee’s recommendations will be submitted to the Board of Trustees for approval. The decision of the Board on whether to grant financial subsidy to any student is final. The information you provide below shall be kept extremely confidential and be used exclusively for the purpose of granting financial subsidy to your child. Ullens School has established clear confidential and privacy policies to ensure that all financial subsidy information is kept within the work of the Scholarship Committee and the Board of Trustees.
