VIDYA INTERNATIONAL CHARITABLE TRUST
(Promoter of Vidya Academy of Science and Technology)
Vidya International Charitable Trust (VIDYA) is a non-profit charitable trust formed by a
group of philanthropic non-resident Indians (NRI) from all over the world and registered
at Thiruvananthapuram in December 2000. Trustees are NRls from different countries,
from USA to Singapore. The vision of the Trust is to serve and contribute to society through
the pursuit of higher education. In order to realise this vision, Trustees who are well
placed outside
the country have planned, as a gesture of gratitude to their mother
country, to provide world-class educational and research centres. VIDYA ACADEMY OF
SCIENCE & TECHNOLOGY is the culmination of their long-cherished dream. Under
the provisions of the Trust Deed of Vidya International Charitable Trust, the Board of
Trustees is the custodian of the Trust and all its properties. The Board, in turn, vests the
management and control of VIDYA ACADEMY OF SCIENCE & TECHNOLOGY and
other ventures of the Trust on an Executive Committee of eleven Trustees elected from the
Board of Trustees.

GENERAL GUIDELINES TO STUDENTS
1. The students are to develop self- discipline and not to look up to the authorities to impose the
same on them. What is self-generated is many times preferable to what is enforced
externally.
2. Each student is attached to a staff adviser who will be his/her college guardian in all
aspects of his/her campus life. Students are requested to keep the staff adviser informed
on all their deeds and seek his/her advice.
3. The College functions from 9 am to 4.30 pm on 5 days a week as per the Kerala University
Regulations.First and third Saturdays will be working days with special timetable.
4. Late entry in to classes and abstaining from individual classes or laboratory sessions will not be
entertained.
5. Abstaining from class “en-masse” is considered as a serious offence for which
disciplinary actions will be taken.
6. 100% attendance will be appreciated and leave will be granted only with the prior
permission from the staff advisor and the parents of the students concerned. Genuine and
timely sanctioned leave will only be recommended for condonation purpose.
7. Students should maintain decorum, discipline and good behaviour during any type of
meetings or celebrations in the campus. Strict disciplinary action will be taken against
students for violation of the same.
8. Students should pay their fees, other dues etc. on their own or when informed to do so in
time and proper receipts should be obtained for the same.
9. Students should co-operate in all aspects with the management, staff and fellow
students and achieve self-sufficiency and satisfaction.
10. Students should keep the class rooms and the campus neat and tidy. No littering is allowed.
11. Habitual neglect of class work, assignments, homework etc. should be totally avoided.
12. Student should actively participate in all curricular/ extra-curricular activities arranged by the
college.
13. Mobile phones are not permitted inside the campus.
14. Every student shall provide himself/herself with the entire prescribed textbooks, drawing
instruments and accessories and other such articles required for the classroom work.

DRESS CODE
The college has prescribed a uniform for the students and they are expected to be in the
campus only in the prescribed uniform except on special occasions such as Fresher‟s Day, Arts
Festival, College Day, Farewell Day, Onam and Christmas Celebrations. Dress code has to
be strictly adhered to. Identity tag should be properly displayed always when they are in the
campus. Maroon coloured over coats are to be worn during workshop classes.
CONDUCT
1. Students should not get involved in any nefarious activities.
2. Students should not involve themselves in ragging or any such anti-social activities.
Ragging is strictly banned by State legislation and by the order of the Supreme Court. It is
a non-bailable offence and those who indulge in such activities, will be immediately
handed over to the police If found guilty, they may be given 2 years rigorous
imprisonment and dismissed from the college.
Ragging is legally defined as follows: “Display of noisy, disorderly conduct, doing any
act which causes or is likely to cause physical or psychological harm or raise
apprehension or fear, shame or embarrassment to a student in any academic
institution and includes:- teasing, abusing, playing practical jokes on or causing hurt to
such student, or asking the student to do any act or perform something which such student
will not in the ordinary course be willing to do”
Some of the directives of the Hon'ble Supreme court of India in respect of ragging
in Educational Institutions:Head of the institution (Vice chancellor/Director/ Principal) should take immediate
action on receipt of the recommendation of the disciplinary committee. He can also
take action suo motto if the circumstances so demand. Freshers should be
encouraged to report incidents of ragging. Those who do not do so, even being
victims/witness should also be punished suitably. When the person committing or
abetting the crime of ragging is not identified, collective punishment could be
resorted to as a possible deterrent measure as it would ensure community pressure
on the potential students not to indulge in ragging.
3. Smoking and using drugs/ alcohol in the college campus are totally prohibited.
4. Students should not roam on the verandas or corridors or anywhere else in the campus

during class hours.
5. Students should not indulge in any political or any other union activities not recognized by
the college in the college campus.
6. Students shall refrain from organizing or attending meetings on their own without the
express permission from the Principal and from distributing notices or collecting
money for the same on any occasion.
7. Leaving the campus during working hours is permitted only with the out pass from the
respective heads of the departments.
8. All students should be in possession of their identity cards at all times and shall hand
over the same to the college authorities/security personnel on demand.
9. Using of 4/2 wheelers by students including hostellers
is restricted to “ parking area”
only.
Considering the requirement of energy saving, all lights and fans in the classroom should be
switched off when not in use.
RULES AND REGULATIONS FOR HOSTEL RESIDENTS
The College campus is designed to develop as a residential educational township. The
hostel has warden and resident tutors (RT) for educational and personal guidance. A homely
ambience with rich academic environment is provided in the hostel. Hostel is a place where
students can learn socially acceptable and harmonious living. The inmates of the hostel
should treat the hostel staff with courtesy and kindness. Inmates have to treat other inmates as
their brothers / sisters. Any tendency to hurt others, especially the freshers, by word or by
deed, will invite stern disciplinary action, which may include expulsion from the hostel and
from the college. Students should note that „Ragging‟ is a criminal offence under law.
Inmates should keep the rooms and premises neat and tidy and should cooperate to keep
the common areas clean. They should not throw waste outside but leave it in the waste bins
provided outside. They are responsible for the furniture in their rooms and other hostel
properties.
1. Hostel Management
1. The following officers constitute the hostel management.

c) Resident Tutors
d) Sergeant/Matron
2. Each hostel is managed by a sergeant/matron who is resident in the hostel. The
resident tutors will supervise the academic activities of the inmates.
3. The students can approach any of the aforesaid officers for help, guidance and
grievance redressal.

HOSTEL ACCOMODATION
Hostel accommodation is available to students, only during working semesters. No
student will have a right to occupy a room during vacation. But he/she may be permitted
to stay on request, if he/she has to be present in the campus for academic purposes.
1. At the time of admission to the hostel, each student is required to submit a duly
filled application form. The parent/guardian of the student should apply in person
at the time of admission for the first time. The list of approved visitors also must
be supplemented by the parent.
2. The hostel management will generally provide minimum furniture and fittings for
each room.
3. The hostel management reserves the right to allot students in a room and rooms
once allotted to the students for an academic year will not be changed except on
special situations.
4. If the status of any student changes during the period of stay in the hostel, he/she is
required to inform the Sergeant/matron and should vacate the hostel if the hostel
management finds that he/she is not eligible for hostel accommodation.
5. The students are entitled for accommodation in the hostel as long as they are full
time registered students. Accommodation will not be provided to any student
whose registration is cancelled. Any student who is removed from the rolls of
the institution will automatically cease to be a member of the hostel.
6. Rooms are allotted to each resident on his/her personal responsibility. They shall
bring to the notice of the Sergeant/matron all routine maintenance work to be
carried out in their rooms. The Sergeant/matron will bring it to the notice of the
department concerned.
7. The inmates are not allowed to use mobile phone and laptops inside the rooms.

8.
Procedure to be followed for the safe keep of mobile phones in the hostel

A letter should be obtained from the parent enclosing the specifications of the
mobile phone sent through their wards to be used during travel.

On arrival, the mobile phones should be switched off, kept in a cover with the
name of the student and handed over to the Resident Tutor in charge of that floor.

Request should be made in advance for the release of the mobile phone. The
phones will be given to the students, on the day in which they are travelling.
Mobile phone will be released during the holidays, if they are leaving the
campus.

After receiving the mobile phones, if the student is not leaving the hostel, he /
she should return the same.
9.
Before vacating the room, the students should handover the electrical fittings and
furniture in good shape. No student can vacate the hostel before the completion of a
course unless the parent/guardian requests in person to this effect.
Code of Conduct
a. All residents are required to maintain standards of behaviour expected out of
students of our institution. They are expected to behave courteously and fairly
with everyone both inside and outside the campus.
b. All residents should carry their valid identity cards issued to them by the
institution.
c. All rooms, common area and surroundings should be kept clean and hygienic.
d. Ragging of students admitted to the institution/hostel is totally banned. Any
violation of this will be dealt with very severely. Ragging which is a criminal and
non-bailable offence.
e. Smoking and consumption of alcoholic drinks, narcotics etc are strictly
prohibited.
f. The residents should not screen pirated / unauthorized/ unlicensed movies in their
computer in common rooms. Any violation to this will be dealt with severely. The
internet facility provided should be used for learning purpose only.
g. Residents are expected to be in the hostel before 7.30 PM (for gents hostel) and
before 6.00 PM (for ladies hostel). Any resident who wishes to go home during
the weekend, holidays or other days, he/she has to take prior permission from

the warden.
h. Employing unauthorized persons for personal work such as washing clothes etc.
is not permitted.
i. Residents who are desirous of going for special coaching, part time courses etc on
holidays shall get prior sanction from the Principal, for which the parents should
personally make the request.
j. Residents are responsible for the safe keeping of their personal belongings. They
are advised to keep under lock all valuable items such as money, text books,
calculators, etc and lock the room even when they are out for a short period. Do
not keep costly items or enormous amount of money during your stay in the
hostel.
k. The use of electrical appliances such as electrical stoves/heater/iron etc is
forbidden in any of the rooms allotted. For ironing, the residents must make use
of the ironing table in the common room.
10. Collective Responsibilities
a. The residents of a room are responsible for any damage to the property in the room
during their stay and will be required to make good the damage, if any.
b. The resident shall not remove any fittings from any other room and get them fitted in
their room.
c. The use of audio – system which may cause inconvenience to other occupants is
not allowed. The use of personal TV, VCR, and VCD / DVD etc is prohibited.
d. Inmates should keep their belongings' under their own safe custody and avoid
bringing costly gadgets, ornaments, excess money in the hostel. College will not be
responsible for loss of items due to your carelessness
e. When the students go out of their room, they should switch off all the electrical/
electronic appliances and keep t h e s e locked. Violation of this will attract
suitable penalty and punishment as decided by the authorities
f. General damage to the hostel property will be the collective responsibility of all
the residents and they will be required to make good such damages, if the students
who caused the damage could not be identified.
g. Residents should not arrange any function or meeting within the hostel or outside
or within the campus without specific permission of the authorities concerned.

h. Students are permitted to use the common room and the facilities available there
from 5PM to 7PM.
i. Residents should not indulge in practices/activities which may endanger their own
personal safety as well as that of others.
j. Residents should not arrange for picnic or any such activities without specific
permission of the authorities.
k. Residents are duly bound to report to the Sergeant/matron / warden in case they
notice any unwanted incident or undesirable activity going on in the hostel or in the
campus.
l. Notices shall not be pasted on the walls nor the walls be scribbled on.
11. Visitors
a. List of approved visitors must be supplied by parents at the time of admission.
No other visitors will be permitted to enter the hostel.
b. All visitors to the hostel including parents/guardian will have to make necessary
entries in the visitor‟s book with the security guard.
c. Visit of men students to the women's hostel and vice versa is not allowed.
d. Day scholars are not permitted to enter the hostel.
12.
Mess Policy
i.
No student is allowed to stay in the hostel without being a member of the
mess
ii. Absence from the mess will be permitted only by the warden on request for valid
reasons, for a maximum period of 10 days only from the date of reopening of the
college. Afterwards they will be charged as per rules. Such permission should
be obtained and the hostel management intimated well in advance.
vi. Mess timings are as follows:
Breakfast
: 7.00 AM to 8.50 AM
Lunch
: 12.30 Noon to 1.4 0 PM
Snacks
: 4.30 PM to 5.30 PM
Dinner
: 7.00 PM to 8.30 PM
vii. The mess rates will be calculated on a fixed daily rate basis. viii. Residents will

be entitled for mess reduction only if the number of days absent for the mess
is 4 days or more and the absence is with prior permission.
ix. Mess reduction is admissible to the residents of the hostels on the following
grounds:
a) Approved study holidays and semester v a c a t i o n declared by the Principal
b) Such period as recommended by the head of the department and availed
by the students for purposes of participation in sports, competitions, seminars,
educational tours, etc
c)
Periods availed by students for attending interviews and trainings on the
recommendation of the Training and placement cell.
d) Period of absence due to serious illness requiring hospitalization, subject
to the production of the medical certificates, in genuine cases.

No student can claim mess reduction unless he /she has intimated his/her
absence

Students are not permitted to enter the kitchen and store room unless otherwise
entrusted by the authorities
xii. All diners shall interact with the mess staff in the dining hall in a courteous
manner
Any breech of these rules will invite an enquiry that will be conducted by the hostel
management. If the student is found guilty, the hostel management will take disciplinary
action that it deems fit.
The hostel management reserves its right to amend, add or delete any of these rules from
time to time keeping the students informed through general circulars displayed on the
hostel notice board.
VAST will do its utmost to protect the interests of the residents as long as they are on the
right side of the law. They are advised not to overstep their limits.
