Review proposals for implementation of programme activities as per the work plan in line with Country Cooperation Strategy. Ensure compliance of norms/procedures/guidelines and suggest required modifications upon obtaining necessary clarifications from technical units and contract partners. 2. Coordinate with technical units, contractual partners for timely submission of deliverables (reports, financial statements) for release of installments, settlements of outstanding issues. Take up issues for rectification/clarification, wherever deviations are observed. 3. Assist technical units for completed documentation on technical assessment, adjudication report and terms of reference including budgetary estimates and compliance with WHO guidelines. 4. Maintain close liaison with national authorities and various technical and administrative units in SEARO to follow-up and expedite the implementation of the workplans. 5. Obtain supplier data from contractual partners/implementing agencies for creation of new suppliers. Modifying and updating existing data, and submission of updated information in GSM, including Third Party Payment Authorizations wherever necessary. 6. Participate in internal discussions, senior management team meetings and provide inputs on administrative and programme related areas. 7. Prepare and/or Guide, supervise the secretarial support staff on programme, administrative areas; for compliance of WHO correspondence procedures including completed staff work. 8. Supervise fellowships-related work, which includes coordination with fellows for submission of applications, placement action and follow up for submission of post-training reports. 9. Review and processes study tour requests received from SEARO and other country offices. 10. Provide administrative support for conducting meetings, finalizing venue, concluding necessary contracts with the hotel and the event manager, and timely action for travel arrangements for the officials nominated for various WHO-organized events. 11. Prepare a wide variety of correspondence in conformity with the WHO Style Guide. 12. Undertake tasks, as assigned, from time to time, for analytical inputs on information received from various sources including compilation of information available from WHO web pages. Page 2 of 2 13. Any other duties assigned by the supervisor. EDUCATIONAL QUALIFICATIONS, EXPERIENCE, ETC. Competencies - Knowledge & Skills - Thorough Knowledge of WHO Rules, Regulations and Administrative Procedures. - Good knowledge of computer applications and softwares including MS Office applications. - Ability to draft reports, correspondence concisely and clearly. - Ability to make good working relationships. Qualifications Required Teamwork Respecting and promoting individual and cultural differences Communication Knowing and managing yourself Producing results Essential: Completion of secondary school education preferably supplemented by training in administrative matters and office practices and procedures. Desirable: Relevant university degree would be an asset. Experience Essential: At least 7 years of progressive experience in administrative work in an International Organization and preferably in a UN Organization. Desirable: Relevant experience in WHO or another UN agency is an asset. Experience in Oracle-based or other ERP systems an asset. Languages Excellent knowledge of written and spoken English and working knowledge of local language.
