Coming Next Month …….. Take the Terminology Challenge and Win by Priscilla Emery Page 3 ARMA San Antonio Collaborator Interesting Reading Hot Topics in E-Discovery for 2015 By Dr. Gavin W. Manes, CEO of Avansic (Thank you to Melissa Wallis, CRM for suggesting this article and providing the review.) This paper highlighted various topics dealing with e-discovery. They included securing client data, insource vs. outsource question, big data and dark data, cloud preservation, and increased regulation. Obviously in this day and age, keeping data safe is important and uppermost on people’s minds. Included in that data is not only data internal to the organization but email and data sent to vendors and others outside the organization. When looking at e-discovery tasks, it might be more economical to outsource rather than insource, depending on the volume. “Considering the true cost of e-discovery, including overhead, can help legal professionals and their clients determine the most efficient route.” Two (2) definitions to note are: Big Data – “…in general, it can be taken literally. The most common example is tracking information like an individual’s browsing or shopping history. As applied to the legal industry, big data is large, uncategorized, difficult-to-process swaths of information that may exist in discrete forms.” Dark Data – “…a subset of big data; it is generated by regular computer processes (such as log files) and is not by the deliberate action of a user (such as creating a new Word document).” Given the shift of data storage to cloud based solutions, e-discovery becomes more complicated as it “may require coordination with the owner of the cloud solution and that person may have to be trusted with providing accurate and comprehensive information regarding security, access to the data and activity logs.” In addition, new regulations are complicating the e-discovery process. One thing to remember is that “When engaging an e-discovery firm, be sure to ask if they are aware of the regulations and ask to see procedures they have in place for addressing them.” The article was interesting, and if you have a chance please take the time to read it. It’s fairly short, 2 pages, but certainly worth the time. Editor’s note: The full text of the article is available on the ARMA SA website on the 2014-2015 newsletter page. Page 4 ARMA San Antonio Collaborator Shred Day April 18, 2015 By DuWayne Headrick As tax day slowly approaches we can only be thankful that it comes once a year. We also know that shred day is also just around the corner. This is the 13th year the San Antonio ARMA chapter will again partner with SACU to offer a free Shred Day for the community on the first Saturday after tax day. This year shredding is scheduled for April 18th from 9:00 AM to 12:00 PM, or until trucks are full. As in past years, I do not expect this year to be any different as to the number of customers and the quantity of documents that are shredded. Shred Day, April 18, 2015, 9:00 am – 12:00 noon or unless the truck is full before noon. Volunteers Needed for Annual Shred Day! Volunteers are needed to help greet the public and carry their boxes and bags of records to the onsite shred trucks at various SACU locations. Volunteers also hand out brochures on preventing identity theft and accept donations. Donations received go to ARMA’s education fund and to Credit Union for Kids, which helps hospitalized children. For more information and to volunteer, contact DuWayne Headrick, [email protected]. Sign up sheets for volunteers will also be available at the March meeting. Shred trucks will be at these five SACU locations: Main – 6061 IH 10 West Bandera – 8889 Bandera Rd Ingram – 6171 NW Loop 410 281 & 1604 – 1717 N Loop 1604 Windsor – 8047 Midcrown Flyers can be downloaded for distribution from the ARMA San Antonio website as either large flier or a small flier. Page 5 ARMA San Antonio Collaborator Silent Auction Items Needed for Golf Tournament By Mellisa Wallis ARMA San Antonio’s 12th Annual Swing and “Bear” It Golf Tournament benefiting the San Antonio Police Department’s Special Victims Unit and the San Antonio Chapter of ARMA’s educational and scholarship fund will be held on Monday, May 11, 2015 at Silverhorn Golf Club beginning with a shotgun start at 8:00 a.m. While San Antonio has hundreds of golf tournament fundraisers each year, only a few tournaments have the opportunity to generate charitable revenue for children and to educate upcoming professionals. The Swing and “Bear” It tournament is such an event. For over 20 years, the San Antonio Chapter of ARMA has supported the San Antonio Police Department’s Care Bear Program. The program was established to help children who are victims of sex crimes and family violence. Police officers keep a supply of stuffed bears in their patrol cars. When the officer is called to a scene where a child is a victim of abuse, a stuffed bear is given to the child to help relieve the trauma he or she experiences. In the last five (5) years, ARMA has donated over 11,775 stuffed animals to the SAPD and provided the Special Victims Unit with items such as polygraph machines, specialized training on how to conduct interviews, cameras, portable scanners and other technology items. The San Antonio Chapter of ARMA is also interested in providing education and scholarship opportunities to individuals who are interested in learning more about or obtaining a career in records management. A portion of the proceeds from this tournament will be donated to ARMA for educational activities and scholarship funds. ARMA is asking for your support of two worthy organizations by donating a silent auction, raffle or door price item. This tournament will generate much needed revenue for a program that provides a great service to the abused and mistreated children of our community as well as educational and scholarship opportunities for upcoming professionals. If you have any questions, require additional information, or would like us to pick up a donation. please contact Melissa Wallis at 210-317-1815 or [email protected].
