The California Audiovisual Preservation Project (CAVPP)
Metadata Guidelines
Data Entry Instructions
The CAVPP creates records in the PBCore metadata schema, a standard for audiovisual media that
was developed by the public broadcasting community. The digitization service provider will format
descriptive, rights and administrative metadata, and include technical metadata regarding the
condition of the original material and transfer details as a master PBCore metadata file to be
“wrapped” with the digital object. The metadata record for each recording will comprise descriptive,
rights and technical information relating to the original source as well as to the master digital file, in
addition to references to their associated sets of derivative digital files.

If unknown, please leave field(s) blank (in the case that the field is required enter “Unknown”). If your
data is a guess, use brackets. Please separate repeatable data with semicolons.
You have server administration rights to edit metadata, set access rights, run reports, export
metadata, and setup the collection profile and collection online landing page - basically all rights

To add new records:
• Go to the ContentDM Administration page
•
After you login, click on the 'items' tab then click 'add'.
•
Please click the 'Add URL' button and use http://archive.org/details/ as a placeholder.
•
Please add the note “nomination” in the Object Identifier field.
• Only fields marked with an asterisk are required: Object Identifier, Name of Institution, Media
Type (Moving Image/Sound), Generation (Copy/Master/Submaster/Original/ Print/ Unknown), Title,
Creator, and Why the recording is significant to California or local history.
• If known, we prefer you include Country of Creation, Date Created (YYYY-MM-DD), Copyright
Statement (Public Domain/Copyrighted/Copyright Status Unknown – please refer to CAVPP
Permission Guidelines document for suggested statements). If currently unknown, use 'Unknown' as
a placeholder.
•
Please leave the default 'Use ContentDM thumbnail' at the bottom of the form.
•
Click 'add' at the bottom of the form.
• Please use controlled vocabulary if applicable. If your term is not listed, email the CAVPP
([email protected]) and they will add it.
• After you have submitted all new records, email the CAVPP ([email protected]). They
will index the collection so you can see your new records (and make changes if you like). They can
also send a copy of your submissions if requested.
To augment existing records:
• Go to the ContentDM Administration page (https://server15972.ContentDM.oclc.org/cgibin/admin/start.exe)
• After you login, click on the 'items' tab then click 'edit'. You can search for specific records or click
‘browse collection’ to see a list of all records.

Click ‘metadata’ to edit fields per record.
•
Don’t forget to click on the ‘save changes’ button at the bottom of each record.

Collection Guide Title
We have the capability to include additional descriptive metadata on a collection-level that adds rich
contextual information about the digital objects and enhances discovery of collections. California
Digital Library prefers collection-level records for all items in the Online Archive of California. The
collection does not need to be processed and the Guide can be very basic.
This year, CDL came out with a new online tool to make it easier to contribute collection guides called
RecordEXPRESS, which you can access through your Contributor Dashboard
