All the covers containing tenders sealed and clearly Superscribed Tenders for supply of Uniform Kit Articles and should be addressed to the Officer In-charge, India Reserve Battalion, RHQ-cum transit Camp, Lakshadweep Administration office, Indira Gandhi Road, Willingdon Island, Kochi-682 003 and shall be posted well in advance so as to reach him with in the date prescribed. Tenders received after the said date and hours will be rejected forth with. The tenders can be received even by hand at India Reserve Battalion, RHQ-cum transit Camp, Lakshadweep Administration office, Indira Gandhi Road, Willingdon Island, Kochi-682 003. 2. The items are required to be supplied at the Office of the Officer In-charge, India Reserve Battalion, RHQ-cum transit Camp, Lakshadweep Administration office, Indira Gandhi Road, Willingdon Island, Kochi-682 003. Out station tenderers also have to arrange for delivery at the office. The offers for delivery at suppliers godown are likely to be rejected. 3. The tenderers are responsible for effecting supply to the entire satisfaction of the undersigned or his authorized representative. Incase any defects in the items supplied are noticed, such items will be rejected. Rejected items should be cleared from our premises by the supplier at their own risk and responsibility with in a week from date of rejections. 4. Samples for items quoted shall accompany the tender. 5. TENDERS SHALL INVARIABLY BE ACCOMPANIED BY MANUFACTURER’S CATALOGUE AND LEAF LETS GIVING FULL SPECIFICATIONS, TECHNICAL PARTICULARS GUARANTEE / WARRANTY PERIODS AND OTHER DETAILS OF THE ITEMS OFFERED. “BRAND MAKE” AND COMPLETE SPECIFICATION OF THE ITEM SHOULD BE MENTIONED IN THE TENDER. IN THE ABSENCE OF FULL DETAILS AND SPECIFICATIONS, TENDERS FOR THE ITEM ARE VERY LIKELY TO BE REJECTED. 6. The undersigned does not bind myself to accept the lowest tender and reserve myself the right of accepting the whole or any part of the tender and the tenderer shall bound to supply the accepted items at the rate quoted. 8. On taxable items of supply sales tax shall be Shown separately and taxes will be paid at the ruling rates applicable to Central Government indentures. The relevant certificate will be issued at the time of payment. 9. No advance payment will be made against the supplies. Tenders demanding advance payment and clearance through the banks will not be accepted. 10. Tenders shall preferably be typed and be submitted in duplicate. 11. The tenderers must pay EARNEST MONEY DEPOSIT (EMD), a sum of Rs.25000/by Demand draft payable at Syndicate Bank Kavaratti drawn in favour of the Commandant India Reserve Battalion, L, D & D, D& NH, U.T. of Lakshadweep, Kavaratti-682 555 and should be attached to the tender. Cash, Cheque or Bank Guarantee should not be sent and deposit made by cheque, will on no account be accepted. The tenders with out E M D or less than for Rs. 25000/- will, in the first instance, be rejected. The E M D will be refunded to the unsuccessful tenders immediately after the tender has been finalized and on receipt of application from them along with advance stamped receipt for the payment Conti… -:: 2 ::(a) when a tender is to be accepted, the tenderer whose tender is under consideration, on being written intimation to him by the Commandant India Reserve Battalion, Lakshadweep, Daman & Diu and Dadra & Nagar Haveli Kavaratti of acceptance of the tender shall make additional security in cash or by demand draft in favour, of “the Commandant India Reserve Battalion, Lakshadweep, Daman & Diu and Dadra & Nagar Haveli, Kavaratti” payable at Syndicate Bank Kavaratti to make up the Security Deposit of 5% (Five Percentage) of the cost of the supply of materials under consideration of the order. Failure to make up the additional Security Deposit as defined above may entail forfeiture of the Ernest Money Deposit. (b) The security of 5% together with the E M D for Rs. 25000/- shall be retained as security deposit for the due fulfillment of the contract. The security deposit and earnest money deposit made by the firms will not bear any interest. (c) After the deposit of security of 5% of the cost of materials to be supplied, a purchase order will be placed on the supplier, which should be duly acknowledged. Failure to acknowledge the receipt of order may entail forfeiture of the total security deposit and cancellation of the purchase order with suitable penalty as may be deemed fit by the Commandant India Reserve Battalion. (d) On completion of the fulfillment of contract by the supplier to the satisfaction of the department, the security and earnest money paid by the tenderer shall be returned to him within a reasonable time after deducting the amount, if any, due to the department.. The rate quoted; by the tenderer shall be inclusive of transportation charges up to the office specified in para 2. Rate quoted by the tenderer shall be valid for a period of one month from the date of opening of the tender. 12. 13. After accepting the Quotation the Supplier should supply the items within 30 days of receipt of supply order. 14. In case the tenderer becomes unable to effect supply within the time limit prescribed by the Department the supply order is likely to be cancelled. The procurement of items of the supply order so cancelled will be arranged by the Department and the Earnest Money Deposit along with Security Deposit collected from the tenderers will be for-feited. 15. The last date of receipt of tender is given in the list of materials. The tenders will be opened by the Committee Constituted for the purpose at the time and the date stipulated in the presence of indenting tenderers, if any, present on the occasion. 16. The tenderer shall sign the tender at the place provided in the tender form including the terms and conditions affixing his office seal and date; otherwise the tender is liable to be rejected. 17. Sales tax registration number shall be quoted in all cases. 18. The rate quoted by the tenderer for the materials is final and no enhancement will be allowed at any circumstances. The enhancement of rate will cause the cancellation of the supply order and Security Deposit will be forfeited. 19. ISI Marked/ DGS & D Specified/ ISO Certified/ Good Quality samples only shall be considered. The Department will give priority to the items available on DGS&D Rate Contract.
