NVF Project Name: CoreAlign Position: Program Assistant (two openings) Location: Oakland, CA Reports to: Director of Operations or Director of Programs Status: Full Time, Exempt Application deadline: March 20, 2015 Position Summary CoreAlign seeks two Program Assistants to provide support and administrative coordination to our main programs (field-building, fellowships, building political power, and 30-year strategy), as well as the development, evaluation, and communications activities that support our programs. Together, these two positions will be responsible for: scheduling; coordinating travel for staff and consultants; organizing, planning, and tracking logistics and data for meetings, multiple events, retreats, and conferences; general office support; managing evaluation systems; and coordinating programmatic social media communications. The specific set of responsibilities for each position will be determined by the skills and experience of the successful applicants. We are looking for proven multi-taskers with strong attention to detail and high levels of flexibility and professionalism. Essential Responsibilities and Tasks • General Administrative Support for Program Staff (20%) o Coordinate team meetings and take notes as needed. o Set up and provide technical assistance for webinars, conference calls, and online meetings. o Assist with ongoing communication with program participants. o Ensure that all contact information is accurately recorded and managed in Salesforce. o Track consultant expenditures and review and submit all invoices for approval. o Manage the organization of electronic files. o Manage staff calendars as needed. • Event Support and Coordination (40%) o With program staff, create and implement overall timelines and logistics planning for each event from start to finish. o Setup and manage all online resources related to each event. o Track supply levels and order supplies as needed, and ensure that all materials have been printed and shipped to site as needed. o o o Travel arrangements and reimbursements for staff, program participants, and consultants. Set up and manage contracts and purchase orders for events and work with onsite staff to coordinate logistics. Manage all retreat logistics (retreat center contract; participant, consultant and staff travel; supplies; on site logistical and tech support). • Evaluation (20%) o Setup online surveys and distribute manual surveys. o Troubleshot online surveys and collect and enter manual surveys. o Ensure that evaluation protocols are followed, data is collected in a timely manner, and data is accurate and secure. o Support evaluation consultant(s) as needed. • Communications (20%) o Maintain website on WordPress and assist with content. o Work with Communications consultant to support communications work. o Coordinate maintenance and posting on all social media platforms (twitter, Facebook, Instagram, LinkedIn). o Track analytics of all communication platforms. o Manage editorial calendar. Required Education, Experience, Knowledge, Skills, and Ability • • • • • • • • 2-3 years’ professional experience. Experience in two or more of the following areas: o Events support. o WordPress or similar CMS and Salesforce or similar CRM. o Managing social media in a professional setting. o Grant coordination or other development support. o Evaluation management. o Executive assistance, including arranging travel and managing calendars. Intermediate to advanced Microsoft Excel and Word skills. Strong attention to detail. Good written and verbal communication skills. Ability to juggle multiple tasks and work in a fast-paced environment. Ability to work in a team as well as take initiative when needed. Commitment to reproductive health, rights, and justice. Valued and Non-Essential Education, Experience, Knowledge, Skills, and Ability • • Experience with political or grassroots organizing databases. Experience working in a social justice organization.
