Discount Shopping Authorisation Process Misuse of Staff Discount Scheme Leavers 1. Introduction The Company is pleased to be able to provide a variety of non contractual staff benefits and discounts. Full details of these benefits can be found on the the vhappy website for all employees (vhappypeople.com). The Company reserves the right to amend or remove these benefits at any time. 2. Eligibility On successful completion of their three month probation period, employees will be offered free gym membership and access to the range of employee benefits. Employees are only permitted to consume food and drink in public areas when out of uniform. Employees should ask permission of the General Manager to use hotel facilities, other than in the case of the Velocity Health Club and Starbucks. Any bookings made are subject to availability and are not to replace full paying business. 1 Issued: 08/04/2015 3. Discount scheme i. Food & Beverage On Duty Employees may only use their on duty discount whilst they are on shift during their designated break. Employees will receive 40% discount on food and beverage whilst on duty. Any food and drink must be consumed away from public areas when employees are in uniform. ii. Food & Beverage Off Duty Employees are offered an off duty discount of 20% on food and beverage. Employees should ask permission of the General Manager to use hotel facilities other than in the case of the Velocity Health Club and Starbucks. Any bookings made are subject to availability and are not to replace full paying business. iii. Food & Beverage Off Duty (when staying over in a hotel) When staying in the hotels on a staff discount room rate, employees are offered a 50% discount on food and beverage. To ensure the discount is applied when staying at the hotel, the employee vhappy discounts card should be presented at reception on check out, along with a payslip from the previous month’s pay. Employees will be asked to provide a credit card to authorise the booking and unlock credit on the room. If an employee does not have a credit card and wishes to pay cash or by debit card, he/she should show the receptionist their vhappy benefits card and their payslip from the past month and credit will be made available to be settled on departure. iv. Staff Accommodation Discount The Company offers employees, subject to availability, discounted room rates. The following promo code can be used to book rooms or to check availability for staff rate by going to our website www.VillageUrbanResorts.com and entering ST15 Discounted room rates are available for employees at £32 per room per night on Bed & Breakfast at any Village Urban Resort The rate is based on double occupancy, sharing a standard double room. Up to 5 rooms can be booked on staff rate, no single room rate is available. The rate must be prepaid at time of booking and is non-refundable. The Village Staff Rate booking window is 45 days in advance. All rates are subject to availability. For all hotels there is a standard control that applies to Staff Rate which is for Reception to ask for Staff ID on check-in, if anyone arrives without their ID it is at the hotels discretion to allow check-in. 2 Issued: 08/04/2015 v. Friends and Family Accommodation: Friends and family are entitled to friends and family hotel room rates booked solely through our website. Employees must not give friends and family preferential rates/discounts, such as unauthorised room upgrades, other than with the General Manager’s permission. The following promo code can be used to book rooms or to check availability for Friends and Family rates by going to our website www.VillageUrbanResorts.com and entering FF15 Discounted room rates are available for friends and family at £52 per room per night on Bed & Breakfast at any Village Urban Resort The rate is based on double occupancy, sharing a standard double room; no single room rate is available. The rate must be prepaid at time of booking and is non-refundable. Village Friends & Family rate booking window is 45 days in advance All rates are subject to availability. Food & Beverage: Employees may receive an off duty discount of 20% on food and beverage for up to three friends or family. The employee must dine with the guests and must pay the full amount of the bill to receive the discount. The employee must not be reimbursed for any amount of the bill by their friends/family at any point following the payment. This is a misuse of the discount and will result in withdrawal of the benefit for that employee and may lead to disciplinary action, which may include dismissal. vi. Health & Fitness Membership You can enjoy a complimentary gym membership following the successful completion of your three month probationary period at the Village Urban Resort hotel you work at. At busy times members have priority for gym equipment and class bookings. A discount of 20% is available for any leisure retail purchases on normal price items only and not on promotional offers. A complimentary off peak membership is offered for the partner and children (defined as up to age 16) at employee’s hotel club. Off peak membership terms may vary from club to club. Partner/children memberships are only available where the employee is a member already and their partner lives at same address, a utility bill is required for proof. Partner is defined as spouse/common law partner, NOT those who might share lodgings with single staff. Zero Hours staff are eligible on a solo basis only [no partners] Discounted membership ceases on leaving the Company. 3 Issued: 08/04/2015 vii. Viva Urban Spa Discount You can enjoy a 25% discount on spa treatments Sunday to Thursday between 9am and 5pm and a 20% discount on spa retail products. In order to demonstrate your eligibility to receive this benefit please show your VHappy Rota Horizon card as proof of identity. viii. Discount Shopping We would like to introduce you to the new discount shopping website. Authorisation process For discounts on goods purchased in the hotel, employees will be required to produce their employee vhappy benefits card to ensure the discount is applied, unless when staying at the hotel, when the card should be presented at reception on check out along with a payslip from the previous month’s pay. Any booking by an employee on the employee discount scheme is subject to availability. It should be noted that certain discounts such as staff rate at hotels are subject to availability and on a first come first served basis. Availability of the discount scheme is at the Company's discretion. The Company reserves the right at any time to vary or withdraw the staff discount scheme with reasonable notice of any change. It is not to be used in conjunction with any other offers. All employees can also obtain discounts/cash back through our benefits website operated by Personal Group. To obtain a discount on their website accessed through the vhappy website, employees will be required to login using the code on their vhappy benefits card. 5. Misuse of Staff Discount Scheme 4 Issued: 08/04/2015 Employees should ensure that they are the only user of their gym card, and they act appropriately when using the facilities. Employees are only entitled to use their gym membership when off duty. Misuse of the card or discount arrangements or any reports of unsatisfactory conduct by employees or their guests when visiting a hotel, will result in withdrawal of the benefit for that employee and may lead to disciplinary action which may include dismissal. Employees should ensure that they are the sole user of their benefits card and they should not share this detail with anyone else. They may only claim staff discount on their own purchases and not those of others. Employees are prohibited from buying goods through the staff discount scheme and then selling them on through any means. 6. Leavers On leaving employment with Village Urban Resorts, the benefits card must be surrendered to the HOD, GM or FC. If an employee encounters difficulties in obtaining a staff discount, he/she should contact their People Development Manager, who will attempt to resolve the situation. 5
