Thank you for booking a stand at the Do What You Want Derby event.
Disability Direct hold the Do What You Want (DWYW) events in Derby and
Nottingham in order to let local people know what services are in their area.
Promoting local businesses, charities and other organisations in the process is
very important to us. We are very proud of what we have achieved in Derby
and Nottingham and we hope you will find the Derby event very rewarding
this year.

Venue

The main entrance for visitors is located just off Royal Way.
Unloading/Loading
Exhibitors can use the drop off points at the front of the building to unload small items but must
move the vehicle to the car park once finished. A larger unloading area is available at the back of
the building near entrance C. Please park in the yellow marked spaces near to the gates of the
wooden fenced area in the back car park where you will have access to the tunnel leading into
the arena. Once unloaded please move your vehicle to the car park.
Parking
Parking is free of charge for 3 hours and £3 after.

Stand Allocation
As this is our first event at the venue we are unsure where tables will be set up until the day
before. A plan will be supplied to exhibitors and customers on the day and DD staff will be
available to take you to your table.
Staff and volunteers will be available during the day and will be easily identified by their black
and orange sweatshirts and T-shirts.
Stall Facilities
You will be provided with a 6’x2’6” table, table cloth, and 2 chairs.
If requested you will also have:

Set up and Break down
The Derby Arena will be open from 8am on the day of the event to allow stall holders to setup. If
you have any complicated equipment that may take longer to set up, please contact the event
coordinator.
Doors open to the public at 10am, please make sure your stall is set up by this time and any
boxes/storage removed from sight. Passageways, stairways and fire exits must be kept free of
obstruction; all loose packaging must be removed to keep walkways free from tripping hazards.
We ask that you do not start packing up your stall until 3.15pm and that you vacate the building
by 5pm. Please ensure no promotional materials or empty boxes are left behind.
WIFI settings
The Wi-Fi service is called "Derby Arena Public WiFi" and users can get instant access through
their Wi-Fi setting. No password is necessary.

Electrical Equipment
If you have requested access to power you will be situated next to a power point. We advise
you to bring an extension cable as we cannot guarantee the power point will be directly by
your table. Derby Arena cannot supply leads if you have forgotten yours.
Confirmation on Portable Appliance Test (PAT) will be needed on all electrical equipment and
extension leads. All electrical fittings, wiring and appliances
shall be constructed and maintained in a safe condition. Any
appliance that fails to carry a valid Portable Appliance Test will
not be allowed to be used at the Arena.
Please keep all wires safely out of the reach of children and
ensure they do not cause a tripping hazard.
Managing your Stall
Remember, this event is aimed at disabled/older people with a variety of impairments,
please consider this when marketing your stall.

The stall needs to be staffed between 10am and 3.30pm

Do not restrict access to yours or any other stall

For health and safety reasons, keep your area tidy

Place pull up banners behind or beside your stall, not in front

Do not leave displays involving equipment or moving parts unattended

If you have been allocated extra space for equipment, please respect your neighbours
and do not encroach into their area
Insurance
The stall holder must ensure they have sufficient insurance to cover any and all losses they
may incur during the event, including public liability/indemnity insurance. Remember, Derby
Arena is open to the public: neither Disability Direct or Derby Arena can be held responsible.
Risk Assessments
The majority of stand holders will NOT have to produce a risk assessment as you will only be
manning a table, but if equipment/stands are required to be built or used by the public you
will have to produce a risk assessment and method statement for the safe erection and
dismantling of the stand. Documents must be sent to the event coordinator 7 days prior to
the event.
Risk Assessments will also need to be carried out by organisations providing an activity that
visitors can access.

Fire Procedures
Please familiarise with the layout of the building when you arrive, taking particular notice of
the fire exits and alarm points.
Upon hearing the fire alarm, you must evacuate the building via the nearest available exit
and make your way to the Fire Assembly point in the ipro stadium car park.
If you find a fire or suspect a fire, raise the alarm by pressing the alarm button at the fire
points. You should not attempt to re-enter the building until you are instructed to do so by a
member of Derby Arena staff.
If you need additional assistance to vacate the building, please inform a member of Disability
Direct staff.
Please note, no candles naked flames or gas cylinders are permitted in the Arena.
First Aid/Accidents/Incidents
In the event of emergency first aid being required, please go to the First Aid point at the
Disability Direct stand where 2 first aid trained staff will treat/evaluate the injury/illness.
Smoking
Derby Arena is a non-smoking venue. Please do not smoke outside the main
entrance and move away from the building.
Flooring
Please be aware heeled shoes are not permitted on the courts in the Arena. The majority of
the floor will be covered with protective flooring apart from an area reserved for Wheelchair
Basketballs and Adapted Cycles. Please wear appropriate shoes if you will be using this area
or remove heels if necessary.
Refreshments
Refreshments will not be provided by Disability Direct. Drinks, snacks and lunch can be
purchased from Café 42. The Arena’s licensed café serves a range of hot and cold
refreshments, including Costa coffee. Café 42 is located on the ground floor within the
reception area, and is open to all from 8am till 7pm. Alternatively you may wish to bring your
own packed lunch to eat on your stand. Only food purchased on the premises may be

Promotional Material
A PDF of the leaflet and poster will be emailed to you so you are able to promote the event.
A printed version of the leaflet is available and can be collected from the Disability Direct (20
Royal Scot Rd, Pride Park, Derby, DE24 8AJ) please call Sally Austin to arrange collection.

DWYW Directory—Important Information
There have been some changes to the DWYW online Directory, including the fact that it is now
national and will no longer only have Derby services. The listing form has been simplified and
you also have the option of uploading your logo or an image to your listing.
Your old log in details will no longer work and you will be required to find your listings and
‘Claim’ them. The DWYW Team will then verify your claim and allow you access to make
changes.
If you are unable to find your listing, we do apologise, it has not been simple moving over 1000
listings to a new format and some may have got lost on the way. You can add a new listing by
going to the ‘Organisation Area’ and clicking on ‘add you organisation’. The listing will need to be
approved by the DWYW Team after which you can log in at anytime to make changes.
If you have any problems or if you have an opinion about the way the new Directory works,
please let us know, we can still make changes.
Disability Direct Staff
Staff and volunteers will be circulating during the day and will do all they can to ensure your stall
runs smoothly and you meet visitors for whom your services will be most appropriate. Staff will
be easily identifiable by their black T-Shirts/hoodies that will feature the DWYW logo on the
front and Event Staff on the back.
Enjoy the Event
We hope you get everything you want out of the event. Your feedback is important, so we will
be supplying all stall holders with feedback forms at the end of the day. Staff and volunteers will
be around to collect them at 3.30pm.
