Returning Logistics Coordinator Supremo Role Description Summary The Caux Interns Leadership Programme provides an opportunity for young people from around the world to contribute to the work of the Caux Conferences and the spirit of Caux, to receive skills training, mentoring and an insight into one facet of the international work of Initiatives of Change… and to develop discipline in chocolate consumption. The Interns Leadership Programme has run in Caux for a number of years in various forms. Since the Caux Review Process in 2008, the Programme has been reviewed and redeveloped, aiming to ensure a broader experience for the interns and also to reinforce the sustainability and continuity of the Programme. For 2015, the Programme is recruiting two returning logistics coordinators (one for each session) to work alongside and train a new logistics coordinator to manage the administration, logistics and scheduling of the programme. The description below gives a point by point run-down of the role, but ultimately the aim is to give every intern the richest experience of Caux we can offer, caring for them individually and working as a tight-knit, super-streamlined, chocolate-eating faculty to make it happen. Tasks and Preparations Phase: responsibilities - Be part of the Registration Team (starting March), which will ensure, in cooperation with the Central Selection Team and the Director of the Interns Programme, that all the selected interns are registered in the Caux system. You will also assist in replacing any dropouts so we have a full programme. - Be the primary point of contact for interns to assist them in obtaining visas and make sure they are prepared as possible for their Caux experience. Interns Management - To ensure all interns are kept up-to-date on last minute changes to scheduling and/or conference needs. - To manage the check-in system for interns, ensuring check-ins with all interns at least twice weekly for feedback in relation to their departmental work. - To coordinate the mentoring system for the interns. House Liaison - To coordinate the gathering of data on needs and expectations as between the Interns Programme and the Department Heads, and develop a constructive and effective working relationship with all Department Heads. - To work with Departmental Heads to fix schedules for the interns that accommodate the training workshops and other elements of the Programme. - To work with Departmental Heads in resolving any issues that arise in relation to an intern. - To develop a clear process for checking in twice-weekly with every Department Head to receive feedback on the interns in that department. - To respond efficiently and promptly to unforeseen needs of the departments and/or conference organisers. Activities - To coordinate logistics for day-to-day interns activities, as well as group outings, ensuring that all service needs within the Conference Centre are covered during the interns’ absence. Interns Coordination Team - Training the new logistics coordinator and gradually transferring responsibilities, whilst still remaining fully engaged with the tasks in a support role. - Logistical support for Trainers, and keeping the Interns room in order. - Coordinate regular meetings with the full Interns Coordination Team (including the two training coordinators) - An end of session evaluation with the full Interns Coordination Team on the Programme as a whole, as well as a written report. Experience and - skills In depth experience in Caux, either as an interns coordinator or in some other operational role within the house. - Fluent English. - Strong organizational skills. - Leadership experience, and experience managing people. - Highly effective communication and negotiation skills, and ability to work in a multicultural team. Availability Ability to work under stressful conditions, take initiative and problem solve.
