Office Coordinator Department of Public Works PURPOSE OF POSITION The purpose of this position is to purchase supplies, materials and fuel; maintain department records; prepare billing statements; and perform other recordkeeping and clerical functions. The work is performed under the supervision of the Superintendent of Public Works. ESSENTIAL DUTIES AND RESPONSIBILITIES The following duties are normal for this position. These are not to be construed as exclusive or allinclusive. Other duties may be required and assigned. Performs employee work time records and assigns to appropriate account(s). Performs reception duties. Provides information to callers and visitors or refers to appropriate person or agency. Greets, screens and directs visitors. Provides direction to work crews in absence of Supervisor. Orders materials, supplies and fuel for construction projects and City Garage. Maintains related inventory records. Operates two-way radio base station. Takes and relays messages to field personnel. Processes inventory billing statements and assigns job number. Signs for deliveries. Prepares projects and statistical reports as directed. Types correspondence, forms, reports and other materials. Maintains project and Department activity files and records. Prepares billing statements for street opening permits. Records fuel use for all Departments. Computes Public Works employees’ vacation, sick leave and compensatory time. Contacts Diggers Hotline for routine and emergency repairs. ADDITIONAL TASKS AND RESPONSIBILITIES While the following tasks are necessary for the work of the unit, they are not an essential part of the purpose of this position and may also be performed by other unit members. Closes offices and building at day’s end. Replenishes restroom paper supplies. Repairs barricade flashers. Prepares traffic and street signs. MINIMUM TRAINING AND EXPERIENCE REQUIRED TO PERFORM ESSENTIAL JOB FUNCTIONS High School diploma or equivalent, vocational/technical training in public works recordkeeping, purchasing and accounting; two years construction office experience preferably in a public agency; or any combination of education and experience that provides equivalent knowledge, skills and abilities. PHYSICAL AND MENTAL ABILITIES REQUIRED TO PERFORM ESSENTIAL JOB FUNCTIONS Language Ability and Interpersonal Communication: Ability to classify, compute and tabulate data and information, following a prescribed plan requiring the exercise of some judgment. Ability to compare, count, differentiate, measure and sort information. Ability to assemble, copy, record, and transcribe data and information. Ability to explain, demonstrate and clarify to others within well established policies, procedures and standards. Ability to follow specific instructions and respond to requests from others. Ability to utilize a variety of advisory and design data and information such as billing invoices, budgets, maps, personnel policies, union contracts, technical operating manuals, material slips, catalogs, fuel records, time sheets, payroll records, attendance records, computer software operating manuals, safety regulations, ordinances, statutes, procedures, guidelines and nonroutine correspondence. Ability to communicate orally and in writing with Department personnel, City Manager, law enforcement personnel, land owners, vendor representatives and the general public. Mathematical Ability: Ability to calculate percentages, fractions, decimals, volumes, ratios, present values and spatial relationships. Ability to interpret basic descriptive statistical reports. Judgment and Situational Reasoning Ability: Ability to use functional reasoning and apply rational judgment in performing diversified work activities. Ability to exercise the judgment, decisiveness and creativity required in situations involving the evaluation of information against measurable criteria. Physical Requirements: Ability to operate a variety of office equipment including computer terminal, typewriter, telephone, fax machine, calculator/adding machine, two-way radio, computer printer and photocopier. Ability to coordinate eyes, hands, feet and limbs in performing movements requiring skill and training such as data entry. Ability to exert very moderate physical effort in sedentary to light work, typically involving some combination of stooping, lifting, carrying, pushing and pulling. Ability to recognize and identify similarities or differences between characteristics of color, shapes and sounds associated with job-related objects, materials and tasks. Environmental Adaptability: Ability to work under safe and comfortable conditions where exposure to environmental factors such as repetitive computer keyboard use and irate individuals poses a very limited risk of injury.
