Job Summary:
Our Program Manager provides a continual source of support to our client schools, parents and
travelers throughout the tour planning process, working to ensure that each group enjoys the highest
quality travel experience on their Friendship Tour. The Program Manager is knowledgeable and
passionate about our programs and dedicated to our client schools, teachers and students. S/he works
together with our Sales Team to prepare, manage, and confirm every aspect of the final itinerary for
each client school group, keeping in constant communication with teachers leading up to, during, and
after the tour. Program Manager also maintains strong, positive relationships with vendors and
suppliers, coordinating contracts and confirming negotiations related to travel arrangements.
Specific competencies include
 Superior organization of internal file maintenance
 Invoicing of client schools and travelers
 Bi-monthly communication of accounts receivable / payable to the bookkeeper
 Updating trip budget spreadsheets
 Verification and quality control of trip documentation and logistics
 Timely correspondence to client school teachers
 Manages assembly of trip binders and travel packages
 Learns and improves internal operations using applications of ZoHO CRM

Job Description: PROGRAM MANAGER
Essential Duties and Responsibilities:
50% Internal Operations Support: Track invoices, accounts payable and
student enrollment. Communicates with parents and teachers to ensure full registration and
payment deadlines are met. Maintains master spreadsheets for each trip ensuring all information is
up to date and accurate with pricing and traveler information. Prepares MOUs for client schools for
CEO review and approval. Provides bi-monthly updates on trip projections, deposits and payment
documentation to bookkeeper.
40% Travel Logistics & Vendor Liaison: Manages and updates client school website portal. Extracts
traveler data from website to maintain superior internal file organization. Verifies trip logistics,
interfaces with travel vendors to ensure final itinerary accuracy, flight patterns and trip legs are
sensible. Secures travel insurance for each group. Registers each traveler with the STEP State
Department website Confirms with in-country vendors to ensure everything scheduled on the
itinerary is fulfilled, including extra-curricular and NGO /community service projects. Destination
countries include: Vietnam, Cambodia, Laos, Myanmar, Rwanda, Cuba.
10% Trip Documentation Support: Prepare data for chaperone binders from online travelers’
application, ensuring all information is included and complete for compliance with safety standards.
Supervise chaperone binder assembly, ensuring that student travel packets and chaperone safety
binders are accurate and printed within budget.

Education and Experience:







Bachelor’s degree preferred
Prefer a minimum of 2 years of experience in relevant industry
Ability to handle multiple tasks and prioritize them to meet strict deadlines
Exceptional customer service and organizational skills and abilities
Excellent communication skills, written and verbal
Computer aptitude and abilities; solid foundation in the Microsoft Office suite with
emphasis in Excel; and internet search skills.
Knowledge of ZoHo CRM a plus
Work Environment: Virtual Office

Compensation:



35 hours per week/ $2360.00-$36225.00 per month, DOE
90-day training trial phase as Independent Contractor with bimonthly performance reviews
Salary increase with positive reviews and company sales goal achievement
