Graduate School USA’s (GSUSA) Training and Program Management team is seeking a Program
Specialist who possesses strong customer service and communication skills, is able to work independently
and effectively multitask, and maintains a positive can-do attitude. The Program Specialist will administer
the delivery and execution of assigned program areas, courses, or set of courses for educational trainings
and/or seminars.
DUTIES AND RESPONSIBILITIES










Administer and coordinate programs and courses from the initiation stage to the final delivery
stage and closeout to ensure high customer satisfaction. Activities typically include registration,
participant and student coordination, instructor contracts, classroom logistics, updating and
tracking information using the learning management system, and feedback evaluations.
Plan and administer the classroom training delivery for assigned curriculum areas, including onsite and open enrollment classes.
Identify requests requiring specialization or customization and exculpate these to the appropriate
staff member(s). Work with Business Development or the curriculum staff to develop customized
solutions.
Assess and determine when and where programs will be offered; coordinate course schedules and
room assignments for optimum use of building spaces and equipment; manage logistics.
Using the learning management system, select and assign approved instructors to administer the
programs and/or courses they are eligible to perform.
Initiate and finalize instructor contracts; communicate the School’s policies and procedures to the
instructors to ensure proper delivery of courses/programs; communicate the School’s policies and
procedures to participants and students to ensure understanding of conduct and participation
guidelines while attending courses and programs.
Liaise with instructors, participants, and/or students throughout the duration of the
courses/programs and resolve any issues and problems that may arise.
Manage logistics for non-local programs and courses (e.g., acquire meeting spaces, hotel
accommodations, AV equipment, etc.).
Build and maintain lasting business relationships with customers through close interactions and
establishing regular communication.
Assist in resolving billing issues, collecting receivables, and providing documentation.

Submit course and program billing documents; administer purchase orders; process various forms
of payments (e.g., credit card charges, checks, money orders, purchase orders, etc.).
MINIMUM QUALIFICATIONS










High school diploma or associate degree required. Bachelor’s degree and PMP preferred.
Minimum 3 years of experience in a college, university, or other educational and/or training
organization.
Experience working with the federal government and dealing with government officials is
preferred.
Must have the ability to work with a moderate degree of independence and to confer (when
needed) with a member of supervision on complex issues.
Must have strong computer skills and proficiency with MS Office applications, particularly
Outlook, Word, Excel, and PowerPoint.
Exposure to a learning management system (LMS) is preferred.
Must have excellent communication skills and the ability to professionally communicate with
people of all levels.
Strong customer service skills with the ability to problem-solve with positive results is required.
Must have good organizational skills and the ability to multitask.
Must be able to lift a minimum of 25 pounds.
