Dear Key Clubbers, Kiwanians and Advisors, ! Over the past few months, the Eastern Canada District Board and I have been working hard to plan the 2015 District Convention in Toronto, Canada. The Key Club District Convention is an annual event where over 300 Key Clubbers from Eastern Canada come together to celebrate a wonderful year of service and to learn new ways to change our homes, schools and communities. Over the span of the three days, Key Clubbers will be given opportunities to meet others, share ideas, participate in workshops and recognize the accomplishments of members within the District. There will be a variety of different workshops ranging from Key Club 101, executive-focused workshops and the Eliminate Project. I am positive that there will be something new for everyone. You can take what you learned at DCON and bring positive changes back to your club. ! DCON isn't just business. From my own experience, I can definitely say that District Convention is epitome of fun. You don’t just meet Key Clubbers, but rather you meet your future best-friends. You are able to participate in ice-breakers, games, a dance and free time to explore the diverse city of Toronto. ! This year’s District Convention theme is “Agents of Service”. As we already know, Key Clubbers are very similar to super-heroes; we are risk-takers striving to improve our communities through acts of service. Additionally, from time to time, we enjoy running around with bright tights, capes and masks. The ECD Board and I would like all attendees to bring their best super-hero poses, and to dress-up for the Opening Ceremony and Eliminate Dance (you can definitely expect the Board to go all out). Feel free to dress up as your favourite super-hero or to create your own (e.g. Captain Key Club). ! It’s also important to note that a crucial aspect of District Convention is the election of the next year’s District Board of Trustees. This involves the election of the District Secretary-Treasurer and the District Governor, as well as the appointment of the District Webmaster and District Editor. Electing the future leaders of the Eastern Canada District is vital, and that is why it is so important that each club sends at least two representatives for voting in the House of Delegates. ! TORONTO TORONTO Greetings from District Administrator Dear Advisors, Our convention hotel is the Delta East, located at 401 and Kennedy in Scarborough. The hotel rate will be $139/room/night plus taxes. This year Convention registration will be done the same as last year. We will be using online registration for ALL attendees. You will be responsible for registering all of the students in your Key Club, as well as yourselves and any other chaperones from your club. Please be aware that you and all chaperones are required to have a valid background check. Your Kiwanis Club will need to certify that your chaperones have had a valid background check. A valid background check is whatever your local school board or Kiwanis Club has decided is required to work with the youth in your community. ! The Eastern Canada District Board will not be responsible for transportation to and from District Convention. The location is relatively easy to get to using public transportation. However, if you wish to book buses so that your division can travel together, that is up to you to arrange. The hotel will have parking available for our buses. ! If your club will be flying to Toronto, please indicate this in the online registration form. Be sure to mention the date and time you will be arriving and departing. On the online registration form, you will find a spot to include how many Key Clubbers are attending the Eliminate Dance and how many are not. Our Eliminate Dance will be $10 ($15 at the door), and will go directly towards the Eliminate Project, our District Service Project. Please encourage all of your Key Clubbers to attend the dance, as we only have one dance this year. ! Registration will be $190 per person ($210 after January 30th, 2015) and will cover the costs of the following meals: Friday’s pizza dinner, Saturday breakfast, Saturday evening dinner and Sunday breakfast. We will not be providing lunch on Saturday or Sunday. Any additional meals/snacks may be purchased at the discretion of the individual Key Clubbers. ! The District Key Club Board and District Convention Planning Committee have been working hard to make the Convention out of this world! Convention Rules and Code of Conduct The District Board of Trustees and the Sergeant-at-Arms Committee hopes every delegate and visitor enjoys the convention. To insure the comfort and pleasure of everyone, the following “Convention Rules and Code of Conduct” has been established in which each individual is expected to follow. Every member will respect the authority of the Sergeant-at-Arms committee, Key Club Administrator and designated staff. 1. District and International dues for the current year (2014-15) must be paid for each Key Clubber attending the convention. 2. One adult chaperone for every 10 Key Clubbers in attendance is the mandatory ratio of supervision. Every club that registers for the convention must have adult supervision. 3. Only advisors or chaperones may pick up their club’s registration materials upon arrival. 4. Every member of a club’s delegation will respect the authority of the Sergeant-at-Arms, or other persons so designated by the District Board or District Administrator. 5. No female Key Clubber shall be allowed in the room of any male Key Clubber and no male Key Clubber shall be in the room of any female Key Clubber. 6. A retiring hour of 12:00 Midnight will be observed and enforced. Key Clubbers are expected to be in their own room at this retiring hour and they are expected to remain there. An unnecessary noise at any hour is a violation. All chaperones shall make sure that those Key Clubbers for whom they have assumed responsibility are in their rooms at curfew. 7. No alcoholic beverages or drugs of any nature with the exception of prescribed medication will be permitted in the possession of ANYONE attending this convention. 8. No smoking will be permitted by any Key Clubber at any time during convention. 9. Gambling, use of fire crackers, fireworks, in brief, any action unbecoming a Key Clubber will not be tolerated 10. Care shall be taken not to deface or destroy property, or throw objects from windows or balconies. Balconies are off-limits during the convention. Furniture shall not be removed from any room. Any damages are the responsibility of the person(s) occupying that room. Any misuse of hotel property and other disruptive and distracting behavior will not be tolerated. 11. No Key Clubber may change his/her room assignment without the express consent of the District Administrator. 12. No poster or campaign material is permitted on any cloth or other surface that could be damaged by the tape or other material used to affix it. Only masking tape is allowed when putting materials up in areas approved by the hotel. 13. You must wear your convention name badge at all times in a visible position. 14. Key Clubbers will not leave the hotel un-chaperoned at any time. All Key Clubbers are expected to conduct themselves as responsible young adults and are expected to attend all sessions and activities. Pending a decision by the District Board, gross misconduct on the part of an individual or group of individuals could possibly result in disciplinary action leading to the suspension of that club’s rights to function as a Key Club. Violations involving destruction of property, possession, consumption or use of alcoholic beverages or controlled substances, vandalism, theft, gross insubordination, violence or sleeping room violations (boys in girls room/girls in boys room) will result in immediate dismissal from the event. Infractions of the Convention Rules will be reported by the Sergeant-At-Arms Committee to the District Board and Adult Advisors. Appropriate action will be taken for any infraction including the immediate dismissal of any delegate or visitor. Anyone dismissed from the convention should understand that they must pay their own expense home and a letter will be sent to his/her parents, school authorities, and the President of their sponsoring Kiwanis Club detailing the reason(s) for dismissal. If you have an idea that you want to share, or think you would run an interactive workshop, please consider sending the District Board a proposal. If approved, you will have the opportunity to run a workshop during one of our workshop blocks on Saturday! ! This is an excellent way to share some of your ideas with a group of motivated leaders and to practice public speaking skills. We want this convention to be about you: the members. ! Steps to running a workshop at DCON 2015 1. Think of an idea! Be creative! What do YOU want to tell over 300 Key Clubbers from all around Eastern Canada? What would YOU want to learn? How can you help Key Clubbers? ! 2. Pick your team! Who would you want to run this workshop with? The Avengers? The Justice League? You may decide to run your workshop alone or in a group of up to 5 people. Once again, as it is your workshop, pick people who you feel comfortable with! ! 3. Create an outline for you workshop! You must present a workshop that is approximately 30 minutes long. The outline should be an overview of your workshop. Start off with the 5 Ws (Who, What, When, Where and Why) and include information about the main points of your workshop. This must be submitted to District Governor Mona Adib ([email protected]) no later than February 1st, 2015. If you workshop is approved, you will be notified no later than February 15th, 2014. ! 4. Create your presentation! If your workshop is approved, you must submit a copy of your presentation (PPT, Prezi, PDF, etc.) no later than March 5, 2015. You presentation must be final (minor adjustments are allowed). ! 5. Run a professional workshop at DCON 2015!
