Dear MMSA Members,
The MMSA Board of the Directors 2015-2016 is eager to start working for the
upcoming term. Therefore we would like to issue a call for Secretaries,
Assistants and other roles within the MMSA. Below please find a
description for the available posts.
Any interested applicants are to send a motivational letter coupled with
previous MMSA involvement, to the current VPi on [email protected]. All
applications will be subsequently passed on to the respective standing
committee or office heads. Deadline for applications is Monday 20th April
2015 23:59pm.
Candidates for the post will be chosen by the respective heads and approved
by the Board of Directors based on their previous MMSA work, their
motivation and their skills related to the respective post. For more
information, please do not hesitate to contact me or the respective
SC/Office heads directly.
Kindly note that another call for coordinators and teams will be issued
towards the start of summer.

The Projects Support Team
The Projects Support Team will be chosen by the Vice President for Internal Affairs
and approved with a two-thirds majority by a Board of Director vote.
The Project Support Team, constructed from three members, must ensure that
only quality projects are undertaken and that standards are maintained at all
times.
The primary role of the Projects Support Team will be to determine the events
within the MMSA Calendar. Towards the start of term, a meeting will be held
between the Executive Board, the Projects Support Team and Standing
Committee Heads to streamline the quantity of projects. Throughout the year,
the Project’s Coordinator will also be solely responsible for adding events to the
calendar, and ensuring that focus is given to the quality, as opposed to the
quantity.
Preference will be given to applicants who have an extensive experience within
the MMSA.
The Project Coordinator
The Project Coordinator will be responsible to ensure that the quality of the
projects undertaken is maintained throughout the term. The Project’s Coordinator
will also be expected to abide by the current bylaws pertaining to his/her role as
described in section 7.2.2.3.
The Project Support Person
The Project Support Person will be responsible to provide support to the Standing
Committee heads and coordinators in the running of events
The Project Promoter
The Project Promoter will be responsible to promote all events in collaboration
with the Vice President for Internal Affairs and the class representatives.

Finance Office
Finance Secretary
The financial secretary will help the financial officer in both the internal and
external aspects of the financial sector. The secretory shall be involved in all
aspects of finance and be responsible in the absence of the financial officer. The
assistant will also help out drafting the marketing plan of the year alongside the
financial officer.
Internal Finance Assistant
The internal Finance assistant is responsible to help the treasurer with all MMSA
work related to the internal budgeting, finance, merchandise and bookkeeping of
the MMSA. The assistant will make sure that all MMSA events take place within
the budget allocated per event. S/he will also be responsible with the treasurer in
drafting the quarterly and annual budgets and reports.
Merchandise Assistant
The merchandise assistant will give his/her input in the new merchandise as well
as give and outline any potential ideas on merchandise which MMSA could issue.
The merchandise assistant is expected to discuss such ideas as to how MMSA can
increase revenue by.
Internal Finance Secretary Assistant
The internal finance assistant will be responsible of collecting any cash given to
Subcommittees as well as distributing cash to them. This is to ensure that there is
a person from the finance team responsible for collecting hard cash from
Subcommittees.
External Finance secretary
The external Finance assistant is responsible to help the treasurer with all MMSA
work related to the external representation and marketing of the MMSA like
sponsorships, contracts and grants. The assistant will also make sure that all
MMSA events that have been agreed on with sponsors are taking place with the
agreed times and the sponsors are well represented. The assistant will also help
out drafting the marketing plan.
Sponsorship Assistant
The sponsorship assistant will be required to work with the finance officer to get
sponsorships for MMSA as well as to look up potential sponsorship deal from
which MMSA can benefit from, as well as coming up with potential sponsorship
packages which are sustainable in the long run.
Fundraising Assistant
A fundraising assistant will help out the external finance secretary in identifying
platforms that can be developed to increase base earnings.

Public Relations Office
PR Secretary
The PR Secretary will work with the PRO on each project of the PR Team to varying
degrees. The secretary is expected to take minutes of meetings when required and
give advice and opinions regarding the PRO’s plans. Along with the PRO, the PR
Secretary will also co-ordinate with members of the PR Team to ensure the quality
of the work produced by the PR Team and refer them to the PRO for any help.
The PR Secretary should also take over the role of the PRO when the PRO is not
available (particularly during the month of August 2015).
IT Officer
The IT Officer is required to manage the MMSA Facebook pages and Website. The
IT Officer will also correct any issues that might crop up with the Website or
Facebook pages and help update the Website and add new features with help
from the Public Relations Officer. The IT Officer will also help in the addition of a
new feature to the MMSA App.

Leisure Team
After an extremely successful year the leisure team has decided to expand by
opening a call for anyone interested in joining #theleisureteam.
MMSA-Leisure now faces a new term ahead, a term in which we aim to take the
events to the next level and raise the bar even higher than it already is! As a team
we have the responsibility of coming up with the very best events on campusnothing less than our dearest MMSA members deserve to have on the event
calendar for the coming months.
As part of the leisure team, one is not only required to help out on the day of the
event and promote the event itself, but also to come up with innovative and
creative ideas and work together with the team to make them happen!
As a team we do look forward to welcoming new members! If you happen to have
experience within this sector please do mention it while applying!

Standing Committee on Medical Education
SCOME Secretary
The SCOME Secretary is responsible for liaising with Medical Students and the
Medical Education Officer. He/she ought to be a very organised, diligent and
passionate student, with MEDIK-T and preferably even TNT/NPET experience.
The main roles of the SCOME Secretary will include:
• Attending all SCOME Team meetings as well as meetings with externals
• Taking down the meeting minutes
• Acting as the SCOME head whenever the Medical Education Officer is
abroad, by attending any meetings, ensuring the smooth running of events
and keeping the Medical Education Officer up to date with ongoing events
The Medical Education Officer and the SCOME Secretary will brainstorm on each
SCOME event during the summer months and coordinate MEDIK-T and the
SCOME sessions for TRD together. Together, they will also work to form an
outstanding team of SCOMEdians for the upcoming term!
Put in simple terms. The SCOME Secretary will be involved in everything the
Standing Committee has to do; helping the Medical Education Officer and the
SCOME Team achieve all of SCOME’s aims, and ensure that we have a great term,
and make a difference for the student body.

Standing Committee on Reproductive Health including AIDS
SCORA Secretary
The SCORA secretary will be working hand in hand with the SRHO to ensure that
all the members of the SCORA team are being involved in decisions regarding the
different SC campaigns. This post is not just an administrative position but it is of
utmost importance that the applicants are also willing to contribute to new ideas
to share with the rest of the team. The secretary will also have the following
roles:
1. Attending team meetings alongside with the SRHO, as well as taking down
minutes during the meeting.
2. Chairing any meetings in the absence of the SRHO
3. Relaying any feedback gathered from MMSA members regarding any SCORA
campaigns to the SRHO and the whole SCORA team
4. Helping the SRHO with instilling a mentality of effective teamwork and
communication within the SCORA team.
5. Liaising with other standing committees in order to have better promotion of
SCORA events as well as participation in events led by other standing
committees.
Experience within SCORA is considered a valuable asset to this post, but all
applicants must show passion and motivation towards this standing committee.
Determination and commitment is key.

MMSA Sexual Health and Reproductive Health Officer
Standing Committee on Public Health
SCOPH Secretary
The SCOPH Team will include a SCOPH Secretary. The main roles of the SCOPH
Secretary will include:
• Attending all SCOPH meetings with the SCOPH Team and with other externals.
The SCOPH Secretary will be expected to take down meeting minutes during such
events as well as making them available for all members of the SCOPH Team.
• Acting as the SCOPH head whenever the Public Health Officer is abroad by
attending any meetings, ensuring the smooth running of events and keeping the
Public Health Officer up to date with ongoing events.
• Coordinating HealthFest 2016, at the end of the term, together with the Public
Health Officer.
• Assisting the Public Health Officer in the coordination of the SCOPH workshops
and SCOPH in TRD.
• Assisting the Public Health Officer with any administrative work.
• Working hand in hand with the rest of the SCOPH team to ensure that the aims
of this standing committee are met during the term.
• Together with the Public Health Officer, the SCOPH Secretary will also be
involved in the planning of the SCOPH calendar for the upcoming term as well s
discussing the applications of the members who would like to form part of the
SCOPH Team.
The SCOPH Secretary must be motivated and passionate towards the Standing
Committee on Public Health. Preference will be given to anyone who has helped
out in any SCOPH events.
Beat the Burn (2 coordinators required)
Beat the Burn is a SCOPH campaign which started three years ago and focuses
on the importance of proper sun protection. This campaign involves travelling to
different localities in Malta and Gozo and summer schools to create
awareness. Furthermore, a number of different projects have been carried out to
boost this campaign, such as a video, a magazine publication, and most recently, a
song.
This project is highly successful and has been the joint recipient of the IFMSA Dr.
Melhim Bou Alwan award.
We are looking for two highly motivated and hard working individuals who are
willing to coordinate this campaign in summer. The coordinators are required to:

Be available throughout the whole summer (therefore not going abroad for
a long time, such as an exchange).
Be innovative and creative in order to come up with new ideas to further
expand
this
campaign
and
build
upon the previous Beat the Burn Campaigns.
To continue our efforts for other medical student associations overseas to
adopt the Beat the Burn Campaign as one of their campaigns, especially
after the newly-enacted IFMSA Programs.
SCOPH Goes Local Coordinator (2 coordinators required)
This post entails the coordination of all the health checks (blood pressure,
blood glucose and BMI testing) that the MMSA will be carrying out throughout
the year. It includes contacting the local council/company and setting up a
date and time for the health checks, recruiting MMSA members to help out,
making sure that all the equipment needed for the health check is available
and attending the event itself. There will be approximately one health check
event per month. The coordinators must have good leadership and
communication skills. This post entails a lot of work all year round, therefore
the chosen coordinators must be available most of the time and fully
committed to the post.

Standing Committee on Human Rights and Peace
SCORP Secretary
Applicants for the post of SCORP Secretary must be motivated to attain the
targets of the Standing Committee on Human Rights & Peace. This will involve
close liaison with the Human Rights & Peace Officer. The main roles of the SCORP
secretary will include:
• Attending SCORP event preparatory meetings
• Take meeting minutes
• Assisting the Human Rights & Peace Officer in the coordination of the
SCORP workshops and SCORP in TRD.
• Organisation of SCORP Weekend, together with the Human Rights & Peace
Officer
• Assisting the Human Rights & Peace Officer with any administrative work
• Ensuring the smooth running of the campaigns

Amigo Coordinators
There will be a total of 2 Amigo coordinators during the year, but only one call is
being released for now, in view of starting up the campaign during summer.
Therefore summer availabilities will be given great importance. The role of the
Amigo coordinator will involve:
• Communication with voluntary organisations to develop opportunities for
medical students to carry out voluntary work
• Set up a regular volunteering program to be carried out throughout the
year
• Provide international voluntary opportunities

MMSA Human Rights & Peace Officer
Standing Committee on Peer Education and Training
SCOPET Secretary
Previously called the Peer Education Coordinator, the SCOPET Secretary will now
fulfill a similar role as in other standing committees. This will involve close liaison
with the Peer Education & Training Officer in the general running of SCOPET, in
terms of:
• General administrative tasks, such as production and processing of Event
Reports & Points Forms
• Taking meeting minutes where necessary
• Booking sessions with institutions around the island
• Organization of Peer Education Weekend
• Organization of TNT (if already TNT Certified)
• Various workshops and external events organized throughout the year
For this reason, it is of utmost importance that the SCOPET Secretary is willing to
work closely with the Peer Education & Training Officer throughout the year and
has very good teamwork skills.
It is mandatory for the SCOPET Secretary to have a certification in Peer
Education (as obtained from MMSA’s Peer Education Weekends) and preferably
an IFMSA-Certified Trainer.
It is important to note that due consideration will be given to applicants who have
substantial experience in SCOPET and who are available to work in summer. Your
experience and availability in the summer months must be clearly stated in the
application letter.
Session Manager
There will be a total of 2 Session Managers during the year, but only one call is
being released for now, in view of giving the potential opportunity to a first year
to join the team when the new academic year commences. The session managers
will work alternately, taking it in turns to:
• Issue calls for sessions
• Recruit medical students to deliver the sessions
• Produce an Event Report for the sessions
Your experience and availability in the summer months must be clearly stated in the
application letter.
Teddy Bear Hospital Coordinators
There will be a total of 3 Teddy Bear Hospital Coordinators during the year, but
only two calls are being released for now, in view of giving the potential
opportunity to a first year to join the team when the new academic year
commences. These coordinators will have the same roles as the session managers
above, but solely for Teddy Bear Hospital sessions. An alternate roster is not
imposed here, meaning that work will be delegated between the coordinators as
desired by them.
Your experience and availability in the summer months must be clearly stated in the
application letter.

MMSA Peer Education & Training Officer
PREO - Incomings
In order to enhance the smooth running of the exchange program, assistants are
required. These assistants will be in constant communication and will work
together with me as incomings officer. Since most work will take place during
summer please include whether you intend to travel abroad during the summer
months and the duration of your holiday in the motivation letter.
Contact Team (2 assistants required)
Following the success the Buddy system has had over the past years this idea will
also be introduced in the exchange system. The contact team would be
responsible for:
• Sending out calls for exchange buddies, i.e. medical students who will be in
Malta for at least one month during summer in order to act as buddies and meet
up with foreign students to orient them with the University Campus and Mater
Dei.
• Making sure that the exchange buddies address and report any queries or issues
which might arise during the foreign students’ stay and making sure buddies are
keeping in contact with the foreign students.
• Making sure that the Welcome pack has been distributed to the students by the
buddies.
• Ultimately they will also make sure buddies collect feedback from students.
Lodging Team (2 assistants required)
The role of these assistants will be:
• Ensuring students are well established in their apartments and address any
lodging queries or complaints which might arise during their stay.
• Communicate with apartment owners should the need arise e.g. in the case of
appliances not working etc.
• Looking for more student accommodations, if required, which are both close to
each other, making it easier for students to meet up and close to University and
MDH.
Transport Assistant (1 assistant required)
The role of this assistant will be:
• Enacting the pick-up system, thus ensuring students are accompanied from the
Malta International Airport to their apartment.
• Organising transport for leisure activities.
• Looking for transport companies offering optimal service at affordable prices.
Leisure Exchange Team (2 assistants required)
These assistants will work together in order to create a varied calendar of events
thereby ensuring incoming students get a good taste of Maltese culture in an
effort to make their short stay in Malta as memorable as possible.
Research Assistant (1 assistant required)
Seeing the need for extending the SCORE program in Malta, a motivated research
enthusiast would be ideal for this post. This would basically entail contacting
local researchers at the University of Malta and MDH in order to try to increase
research opportunities

MMSA Exchange and Research Officer
Electives Office
Electives officer assistant (2 assistants required)
The role of the Assistant Electives Officer will be to work closely with the Electives
officer for the smooth running of the electives programme. S/he is expected to be
committed, motivated and dedicated to the team all year long and carry out the
duties of the Electives Officer should the Electives Officer be abroad or due to
absence . The job would be to help the Electives Officer with the emails, liaising
with medical school, helping out with the pick-ups of incoming students and with
the accommodation. Moreover s/he should be flexible with regards to time
management, to cater for any problems which might arise
Electives Financial representative
The financial representative role will include sending and receiving invoices
regarding payments for the electives students along with insuring the smooth
running of the programme. He/ she is expected to be committed and dedicated
and be flexible with regards to time management and be around in Malta during
most times of the year.
Electives Accommodation Coordinator
Role includes overseeing and arranging the accommodation placements for the
electives students and resolving any issues which might come up regarding
accommodation. He/ She will be working closely with the electives officer and is
expected to be committed and motivated.
