SHORT TENDER NOTICE
Sealed price quotations are invited from the Original Equipment Manufacturer (OEM)/ Authorised
Distributors/Authorised Dealers for supply of 2 nos. of 5 KVA On-line UPS with batteries capable of
providing back-up for 4-5 hours at N.U., Hqrs. Lumami.
Interested Firms/Parties can download details and form from NU website www.nagauniv.org.in
and submit the sealed tender addressed to the Registrar, Nagaland University, Hqrs. Lumami on or before
19th May 2015. However, Nagaland University reserves the right to accept or reject any tenders without
assigning any reason.

The bidders (OEMs / Authorised Distributors / Authorised Dealers) must submit their bids in two
parts i.e. (i) Technical Bid and (ii) Price Bid. Both the Technical Bid and the Price Bid should be submitted
in two separate sealed covers duly super scribed as TECHNICAL BID (COVER 'A') and PRICE BID
(COVER 'B') and both the bids should be put into a third cover superscripting as "TENDER FOR SUPPLY
OF 2 Nos. of 5 KVA On-Line UPS, Tender Notice No. ____ and Date______ , Last Date of Submission of
Tender____ , Name and Address of the Firm" addressed to "The Registrar, Nagaland University, Lumami.”
The TECHNICAL BID (COVER "A") should contain the following documents.
(a) Tender Cost of Rs.500/- (non-refundable) in shape of Demand Draft drawn in favour of "The
Registrar, Nagaland University,Lumami" from any nationalized bank.
(b) Demand Draft towards EMD i.e 2% of the total quoted amount.
(c) Copy of valid VAT Registration Certificate
(d) Copy of PAN Card
(e) Copy of S.T. Clearance Certificate of the Assessment Year 2014-2015
(f) Data Sheet showing the specification of Online UPS
(g) Forwarding Letter / Self Declaration Form (Annexure - I)
(h) Bidder's Profile & Pre-Qualification Form (Annexure-II)

PRICE BID (COVER "B") should contain the following documents.

Nationalised Bank, drawn in favour of "The Registrar, Nagaland University, Lumami."
payable at Lumami and submitted along with the Technical Bid(Cover-A).
The bidder should write the organization name at the back side of the DD.
Bids without EMD will be rejected.
No exemption from submission of EMD is allowed.
The EMD of successful bidder is liable to be forfeited if the tenderer revokes any terms of the
tender within the validity period.
EMDs given by unsuccessful bidders will be refunded after placing of work order to the
successful bidder.
EMD of the successful bidder will be forfeited in case the successful bidder fails to
accept/executes the order within the prescribed time period.
EMD of successful bidder will be returned after the performance security is deducted from the
final bill.
EMD shall not carry any interest.
PERFORMANCE SECURITY
(a) Performance Security @ 8% will be deducted from the final bill.
(b) The Performance Security will be released after the warranty period of the On-line UPSs.
WARRANTY/SUPPORT
(a) The warranty (Comprehensive)/ support shall remain valid as per the technical specification at
Annexure-IV i.e. for 5 years. The warranty for the said period must be certified by OEM.
(b) Any replacement or repair required within the warranty period shall be provided by the supplier
free of cost. No travelling allowances or transportation cost will be paid by the purchaser during
warranty period.
(c) The Supplier is required to give warranty that the Goods supplied are new, unused, of the most
recent or current models and they incorporate all recent improvements in design and materials
(even if the advanced facilities are not mentioned in our product specification) .
(d) Any claims arising under this warranty period will be notified to the Supplier through e-Mail /
Telephone / Fax and upon receipt of such notice, the Supplier will repair / replace the defective
goods or any part thereof without cost with immediate effect.
ANNUAL MAINTENANCE CONTRACT(AMC)
After the expiry of warranty period, the firm should be willing for entering into an AMC if so
desires by the Nagaland University.
PRICES, DELIVERY, INSPECTION & INSTALLATION
(a) Rates are FOR destination.
(b) The Supplier shall deliver and install the On-line UPSs at Nagaland University, Lumami within 2
weeks from the date of issue of Purchase Order.
(c) Installation report should be prepared and signed and submitted to the Registrar, Nagaland
University, Lumami by the bidder.
(d) If the successful bidder fails to supply the UPS within the stipulated time period, the Purchase
Order will be cancelled.
(e) No extra cost shall be made for installation and commissioning.
PAYMENT TERMS
The payment will be made after successful delivery and installation of the On-Line UPS at
Nagaland University, Lumami. No advance payment will be made for the supply.
PENALTY FOR FAILURE TO MAINTAIN DURING THE WARRANTY PERIOD
If the Supplier fails to attend the complaints / fails to rectify the defects within 2 days after logging of
complaints during the warranty period, remedial action shall be taken such as forfeiture of security deposit
deducted from the final bill.
