Position Description for Center Coordinator
This is a non-exempt, “at-will” position
Position Parameters
This position is supervised by the Program Manager. Approved travel expenses are
reimbursed and benefits are provided according to NICIL’s current Personnel Policy
manual.
General Statement of Duties
The Center Coordinator supports management and Direct Services Team staff by
coordinating Center efforts, including intake, referral, file and resource management,
and supervision of volunteer services. This position oversees and ensures excellent
customer service at NICIL’s reception desk and provides information on services and
referrals to callers and visitors, as indicated.
Position Responsibilities
The following list is a good representation of daily, weekly, monthly, quarterly,
semiannual, and annual duties that the Center Coordinator is responsible for but is not
exclusive and covers other duties as assigned to fulfill the mission of the NICIL team:
 Answer all incoming telephone calls by the second ring and record all message on
the appropriate message medium
 Answer all incoming TTY machine calls and respond accordingly
 Complete goals, objectives, assignments and tasks as directed
 Promptly answer all incoming telephone calls and appropriately record all messages
 Immediately greet all who enter NICIL offices, determine then address their needs
 Promptly notify team members of appointment arrivals and escort guest to the
proper area
 Process incoming mail immediately upon arrival
 Coordinate and manage all volunteer efforts at NICIL
 Solicit new volunteers on an ongoing basis
 Interview, assess and accept potential volunteers, completing all necessary
paperwork
 Conduct or oversee volunteer orientation and further training
 Schedule volunteers and accurately maintain volunteer records
 Work with volunteers on assigned tasks, as necessary; record in proper work log.
 Support volunteer efforts when they are on duty; encourage learning new skills
 Work with volunteers to support their efforts when they are on duty while
encouraging the learning of new skills

Attend and participate in weekly team and all-staff meetings
Attend and complete all mandatory trainings
Maintain, at all times, a neat, tidy, and clean front desk area, lobby, entryway,
kitchen, conference and training rooms.
Physical upkeep on Board room, team lounge, front desk storage area, and front
lobby
Complete the Goals and Objectives as directed by one’s supervisor
Work with team members to support NICIL approved actives both on and off site
Maintain and update outreach packets and folders, show box/marketing bags, as
necessary
Participate in fundraising efforts, as directed
Other duties as assigned to fulfill the mission of NICIL
Inventory
 Maintain complete and orderly office files for both inventory and supply replacement
purposes (working with the Fiscal Manager)
 Maintains a database of current inventory records and reference library materials,

Outreach
 Market NICIL
 Develop as needed NICIL newsletters
 Maintaining current newsletters and distribution per schedule
 Active participant in NICIL’s fundraising efforts
Other duties as assigned to fulfill the mission of NICIL
Travel
 Travel is a regular requirement for this position which may include within the
NICIL five (5) county service area or outside our service area
 Occasional overnight travel is involved for training or meetings
 Travel reimbursement at approved rate is per our Personnel Policies
Minimum Qualifications:
 Associates degree or higher
 Prefer (but not required) Professional Designations of:
o Qualified Mental Retardation Professional (QMRP)
o Qualified Intellectual Disabilities Professional (QIDP)
o Qualified Developmental Disabilities Professional (QDDP)
o Qualified Mental Health Professional (QMHP)
o Or other similar qualifications

Proof of certificates and degrees will be required at time of hire
Previous experience with working with people with disabilities and/or in a nonprofit
organization is preferred, but will train the right candidate.
Minimum of two (2) years prior office experience and/or volunteer coordination
experience
Work both independently and within a team
Excellent written/oral communication skills
Ability to communicate both to large groups and in one-on-one situations
Effective organizational skills
Self-motivated with creative problem-solving skills
Ability to meet deadlines
Pleasing demeanor
Ability to manage a fast-paced office
Ability to maintain records and usable filing system
Ability to operate various office machines, including multi-line telephones and
computer software such as Word, Excel, PowerPoint and Publisher
Reliable transportation and a willingness to work evenings, weekends and over-night
as required
Professional manner in dress and decorum, when interacting with co-workers,
consumers and the general public
Other Requirements





Valid Illinois driver’s license
Reliable transportation available daily
Current automobile insurance with minimum of $100,000 per person, $300,000 all
persons and $50,000 property damage policy
Successful completion of a background check
Presentation or teaching demo during the interview
Position requirements may change as legislation or regulation impact NICIL’s contract.

for full- and part-time staff; a specific list of benefits available to invited candidates
during the hiring process.
The beginning pay rate for this position is between $10.00 to 12.00 per hour. This is a
full time position.
