Oak Heights NEEDS You!
We need volunteers for each position.
Executive Board Members: These positions are key to operation of PTA. Without volunteers
able to hold these elected positions, we cannot have many of the beneficial programs PTA
provides at Oak Heights Elementary.
President –
 Coordinate the work of officers and committees by delegating responsibilities.
 Preside at all PTA meetings (1hr ea.).
 Collaborate to prepare and present budget to the membership in May
 Meet as needed with the school principal/administrative support.
 Assist with setting up the PTA school calendar.
 Provide support as needed to chairs of PTA committees.
Vice President –
 Meet regularly with PTA President and serve as his/her primary aide.
 Attend meetings, as needed, with the school principal and PTA President.
 Attend PTA meetings (1hr ea.).
Treasurer –
 Collaborate to prepare the budget in May.
 Keep accurate records of income and expenditures.
 Maintain PTA bank accounts; write checks to cover PTA expenses.
 Prepare financial reports for PTA meetings.
 File taxes, Charitable Solicitation Form, and Incorporation Form.
 Follow local and national PTA guidelines and procedures.
 Attend PTA meetings (1hr ea.).
Secretary –
 Attend PTA meetings (1hr ea.).
 Record, prepare and distribute minutes on a timely basis.
 Keep copies of PTA meeting minutes and treasurer's reports.
These roles ease the duties of the Executive Council, can be handled as a team or
individually, are flexible in the time commitment required, and are offer options volunteers
can complete from home/outside of school hours.
Fundraising Work with school administration to select a fundraiser and set a schedule.
 With executive board and school administration set fundraising goals.
 Establish incentives.
 Communicate with administration, staff, and community.
 Work with a team/committee to handle duties in a timely manner.
Membership –
 Run membership drives and input names into the Membership Database.
Volunteer Coordinator –
 Organize willing volunteers via email or PTA website.
 Work with Committee Chair(s) to coordinate volunteer needs.
Communications –
 Change the notifications on the school reader board announcing upcoming events.
 Assist in photocopying of event fliers and distributing them into the teacher boxes.
 Update website with upcoming and/or key information.
Yearbook –
 Work with the online template to place class photos, event photos and candid photos into the yearbook layout.
 Advertise and track Yearbook pre- sales (February).
 Coordinate distribution of yearbooks the last week of school.
 Recruit help with taking candid photos throughout the year.
AquaSox Reading Program –
 Using AquaSox provided program materials organize month-of-March reading program.
 Communicate program goals to staff and community.
 Collect reading logs and distribute weekly incentives.
 Collect funds for family purchased tickets, organize and distribute tickets.
Committees: Without volunteers not all events/activities will be planned. If you could help
with – ONE – event our school community will thrive. Much committee planning can be
handled via email, or outside of school hours. Each committee opts when/where/how often
to meet in person, if at all.
Teacher & Staff Appreciation Committee –
 Chairperson creates menus/themes and selects dates to offer (monthly, or bi-monthly) lunch, breakfast, or endof-day snacks to our hardworking Oak Heights Staff.
 Committee members prepare or purchase menu items for donation.
 Coordinate any special events for Staff Appreciation Week.
Carnival Committee –
 Select a date in October with the help of the PTA President.
 Plan the booths, food and prizes.
 Coordinate volunteers to bring cakewalk items and work 60-90 minutes in a booth.
 Most time commitments are during the evening/outside of school hours.
Science Fair Committee –
 Select a date in February with the help of the PTA President, and the School Principal
 Secure science fair judges for the Science Fair in February.
 Provide entry information and science fair notebooks for all interested students.
 Plan and organize Science Fair Night for family viewing of completed projects and award distribution.
School Dance Committee –
 Select a Spring date with the PTA President.
 Coordinate volunteers to help the night of the dance.
 Select a theme, create a photo booth, hire a DJ and purchase the food and drinks to be sold.
Movie Night Committee –
 Select date(s) with the PTA President.
 Select movie(s) for viewing.
 Plan, purchase and handle sales of any desired concessions.
Dessert Social Committee –
 Coordinate volunteers to donate and sell desserts during the school's May Open House.
