SPECIFICATIONS FOR THE PRODUCTION OF
TOURISM MALAYSIA'S
"SHOPPING MALAYSIA FUN MAP"
(KUALA LUMPUR & SELANGOR) BROCHURE
1.
Introduction
Registered Design Agencies are invited to submit their creative proposals for the production of
Tourism Malaysia's "SHOPPING MALAYSIA FUN MAP", (KUALA LUMPUR & SELANGOR)
which will be used as a promotional item for Secretariat Shopping Malaysia.
2. Concept
A destination-based approach, to represent every shopping mall in Kuala Lumpur and Selangor
by featuring shopping segmentations. The segmentations include new shopping product,
shopping experience such as Indoor Theme-Park Fun, Adventure, historic place, modern
architecture etc. Additionally, the Agency can propose other special or creative segments
that would give added-value to the brochure. The map brochure must comprise the
following:

Agency is to provide copywriting and editing work on all texts & captions.
Images & Copyright
i)
The appointed agency must provide potential images for the map. However, some images
of shopping malls will be provided by Secretariat Shopping Malaysia.
Images used in the brochure must be surrendered to Tourism Malaysia with colour

separations and proofs upon completion of production works. These images will be the sole
property of Tourism Malaysia. Tourism Malaysia shall reserve full and absolute rights henceforth,
for unlimited use of the said images for all its tourism promotional activities, including advertising
and public relations as well as promotional materials and shall be indemnified by the Agency from
any legal proceedings arising from the use of the images submitted by the Agency.
Images submitted to Tourism Malaysia shall be in digital format — Hi-res Digital at least

A3 size (300 dpi). All images must be saved in Adobe Photoshop (tiff format). Tourism Malaysia
has the right to reject images of unacceptable quality. All images submitted must be accompanied
with a simple caption which describes the image; i.e. location, name of product, etc. Agency is
strictly not allowed to utilise any image used in the booklet for other purposes without the written
consent from Tourism Malaysia.
Usage of third party images: Any hidden and additional costs submitted by the appointed

agency after this project is awarded will not be entertained. It is the responsibility of the agency
to obtain consent from third party or from the owner of the images (copy of consent letter must
be submitted to Tourism Malaysia). Agency is advised not to propose the use of images which
have limited usage or time frame.
6.
Mock-up for Pitching
Agency is required to forward a mock-up comprising the following:

a) Open Size : 76cm (width) 51cm (height)
b) Close Size : 9.5cm (width) 25.5cm (height)

7 zig zag folded (accordion), 1 fold
(Transverse) with 32 panel sized
9.5cm x 25.5cm each panel.
Production Schedule
The time frame for the completion of the "SHOPPING MALAYSIA FUN MAP" BROCHURE
i)
from the date of appointment until delivery of CD and progressive colour proof is 10 days
(including weekends and public holidays).
Agency must complete the first mock-up within 7 days (including weekends and public
ii)
holidays) from the date of appointment. Upon completion and approval, agency must submit the
Final Artwork and Digital Proof within 3 days (including weekends and public holidays) from the
date the final mock-up is approved. Penalty will be imposed if agency fails to abide to the time
frame given.
If the first mock-up is not approved, Agency is to provide the revised mock-up within 2

days (including weekends and public holidays) from the time Tourism Malaysia provides its
feedback.
Additionally, the Agency is required to submit a Contact Report each time a client- agency
iv)
meeting is held.
Tourism Malaysia has the right to amend any part of the calendar specification without
v)
prior notice to the Agency, taking into consideration current domestic/international developments
and tourism-related trends.
The Agency is required to submit a Production Schedule detailing every stage of the
vi)
production, including reasonable time for approval by client. Production schedule is to be strictly
adhered to and will form the basis for subsequent appraisal of the agency's performance for
payment purposes.
Storage Medium
8.
i)
The final artwork for output of colour separations, including contents and high
resolution images, shall be stored in CD or DVD and shall be surrendered to Tourism
Malaysia within 7 (seven) days of the completion of production works. Tourism
Malaysia shall assume full ownership of copyright of the Desk Calendar, whether in
printed or digital medium.
Agency must submit the following items in CD or DVD:
The contents of the booklet must be saved in QuarkExpress (Version 7) or Adobe

InDesign CS5 with typeface.
Photoshop - Flattened (tiff format) and Layered File (psd format)

(Please save flattened file in one folder and layered file in a separate folder)
Illustrator - Create Outline and Without Create Outline — with typeface
(Please save Create Outline file in one folder and Without Create Outline file in a separate folder)
•
Whole Leaflet - in pdf file regardless of the software.
•
All CD or DVD must be labeled clearly in proper plastic casing.
Payment
9.
Payment will only be made after Tourism Malaysia is thoroughly satisfied that all publishing tasks
have been carried out according to the guidelines and conditions stated above.
Penalty
10.
In the event the Agency fails to execute the tasks that it has been assigned with, then Tourism
Malaysia reserves the right to penalise or take appropriate action against the Agency.
11.
Cancellation of Offer
In the event the appointed Agency rejects the offer, Tourism Malaysia will cancel the

tender and the Agency's rejection will be recorded. The Agency is to return all materials obtained
from Tourism Malaysia within three (3) days from the date of the cancellation.
In the event the fourth/final mock-up is not approved, then this offer will automatically
ii)
be deemed as null and void and subject to further instructions from Tourism Malaysia. The Agency
is required to return all materials that have been obtained from Tourism Malaysia within three (3)
days from the date of the cancellation.
Tourism Malaysia reserves the right to terminate or cancel the offer to any Agency that
iii)
does not abide by the conditions that have been stated above.
Other Matters
12.
Acceptance of the offer by the Agency for the production of the said calendar will imply that the
appointed agency has agreed to comply with the terms and conditions set forth in the Letter of
Offer and the specifications contained herein.
The appointed Agency is legally bound by the terms and conditions as stipulated in the
specifications.
