Protect yourself and ensure transparency by never depositing Girl Scout money into your personal account. We strongly encourage all troops to hold a meeting with the parents/guardians of the girls in their troop. The troop’s cookie sale will go more smoothly and gain better parent support if clear expectations are shared with all families, which will help them understand their role in supporting the troop’s goals. Before the Meeting (with the Troop Leader) • Set a date, time, and location for this meeting. • Discuss what to cover and who will take each part. • Prepare the materials for each family: o Parent/Guardian Permission Slip (G-4) o Girl Order Card (G-2), o Money Envelope. As the Families Arrive • Greet everyone, have a simple activity for the girls as they wait • Have adults confirm important information (on the troop roster). • Adults complete and sign the Parent/Guardian Permission Slip (G-4) – be sure to use the Girl Scout’s full name. • Have girls indicate their recognition choices on the Parent/Guardian Permission Slip Meeting Suggestions • Introduce all eight varieties of cookies selling at $4.00 per package – sample the Cranberry Citrus Crisp • Discuss the 5 skills that girls learn by doing during the cookie program: Goal Setting, Decision Making, Money Management, People Skills, and Business Ethics. • Share the troop goals and have the girl share their personal goals • Order cards o Girl’s first name and phone number only, in case it gets lost. Caution about sharing too much personal information. o No pre-orders. All families are “On Their Honor” to not sell or take orders prior to February 8 o Order cards can be used to track customer preferences or take orders if you run of a variety when selling. • Discuss How the Cookie Crumbles (p.8) and Troop Proceeds (p.12) and Troop Bonus (p.27). • Discuss the Recognitions and explain Cookie Dough and talk about the Adventure Points. • Plan what to do in the event the troop has unsold cookies – ALL agree to carry out plans – Team Work! • Remind families that all money, earned by members of the troop, belongs to the whole troop and are not available to any individual girl. Instead, the girls decide as a troop on how to spend all money earned. Be sure to explain the following so all families are aware of expectations and deadlines: o o o o o o o o Dates of the sale. What to do if they have too many of a variety or if they run out; whom to call. Cookie share – who will we donate to? (See p.21) Will the troop accept returns/exchanges between families? We want to make sure they stay safe while having fun. Please share these guidelines with your troop to help make sure your girls’ online activities are fair and smart. Online Selling is collecting orders and money for Girl Scout Cookies via the Internet. GSUSA does not allow us to sell cookies online. Online Marketing is using the Internet to inform friends and family that you are selling a product. They choose to let you know if they are interested in purchasing from you. Delivery and payment still happen in person. ***NO ***NO cookie money may be exchanged online. All Girls Must Do: • Ask their parent/guardian for permission. Explain all online marketing activities they intend to do. • Younger girls should work in partnership with a parent/guardian. Parents of older girls may allow their daughter to do certain online activities on her own, but should always be aware. • Read and sign the Girl Scout Internet Safety Pledge with a parent/guardian: http://www.gslakesandpines.org/files/2021.pdf Girl Scouts & Parents CANNOT DO: ∅ Receive payment for cookies via the Internet. For example, customers may not e-mail a credit card number or pay using PayPal. ∅ To be fair to Girl Scouts in other councils, relatives are the only people from outside our council who can buy cookies from our girls. Please refer other customers to www.girlscoutcookies.org. Online Marketing Options: • Use vendor e-mail/messaging tools, approved by GSUSA, to inform friends within council zip codes and family (which can go beyond council’s zip codes) that they are selling Girl Scout cookies. This is a safe way for girls to communicate with customers while keeping their information private. • Use a group e-mail address overseen by an adult, a parent/guardian’s e-mail (with permission, of course) for sending e-mails to friends and family, and/or a group web page for marketing. • All girls can manage an online database of customers on the vendor’s site. You can also create your own database, as long as the privacy of customers is respected. • Girls thirteen and older can use Facebook to market cookies, as long as they have a parent/guardian’s permission, are under adult supervision, and follow council and GSUSA guidelines. Girls Can Tell Customers: • Who you are (Girl Scout, relative, friend, or daughter of…). • What you are selling. • Why you are selling (share troop goals). • How much the cookies cost. • Explain about the option of Cookie Share. How to Ask for an Order Commitment: • Ask for a callback number and delivery address. • Share when cookies will be delivered. • Ask when you may deliver (with adult supervision). • Explain when and where your Cookie Booths are scheduled. Recognition plan (Grades K-12) Cash plan (Grades 6-12 ONLY) Girls, with their parents, should indicate choices of items or optional Cookie Dough on the G-4 Parent/Guardian Permission Slip. • Troop Proceeds = $.60 per package. • Recognitions are cumulative. • Category selections can be mixed, so girls may pick the item under one level and optional Cookie Dough in another level. • Girls earn Cookie Dough starting at 25 packages. • Girls in grades 6 and up can choose the Cash Plan. • Troop Proceeds = $.65 per package—opt out of recognitions to earn higher troop proceeds. • Girls DO NOT earn recognitions beyond the theme, goal getter, and super seller, (if achieved), • Girls are eligible for Top Service Unit and/or Top Program Level Sellers rewards. • Girls earn Cookie Dough starting at 25 packages. Top Sellers: All girls can to be top sellers! Service Unit Top Seller: One girl from each service unit who sells the most cookies will receive the Journal and a certificate congratulating her on her accomplishments, one award to each of the Council’s 29 Service Units. ANY unused points will be no longer be valid after after September 30, 2014 These points empower you to choose your own adventure from a menu of options listed below, including old favorites like Camp and Valleyfair tickets, plus all-new selections. The Cookie Dough is mailed to the registered 01 Troop Leader It is “Girl Scout Money” earned by every girl who sells 25 or more packages of Girl Scout Cookies during the sale from February 8 through March 9. Because each girl earns her Cookie Dough individually, it is very important to GIVE IT TO EACH FAMILY PROMPTLY. They may choose to use it for something that supports the whole troop, but need to have the chance to make that decision themselves. Some girls have a special cookie sale goal that includes camp or another individual purchase. ALWAYS check with the girl and her parents before making plans for the troop to use the Cookie Dough. A girl may choose to share her Cookie Dough with another Girl Scout. Again, it is important for the girl and her family to be a part of that decision. Please contact your Product Sales & Finance Specialist if you have girls who will be sharing Cookie Dough. Cookie Dough is for GIRLS ONLY, not adults. Include the girls in deciding how to spend it, and remember it is not to pay for adults to attend programs or camp. Cookie Dough earned by one girl is NOT available for sale to anyone else. The cookies are ordered in full-case quantities – a case is 12 packages, regardless of the variety. You will pick them up from your community’s delivery site a few days before the cookie sale begins. Worried about placing too large of an Initial Order? Here’s some data from the past year’s sale to guide our recommendations for the 2014 cookie sales In 2013’s cookie sale… The initial order is what your troop will be able to sell (you can always get more), not what they sold last year. Nobody can take or ask for orders before February 8. We’re all Sisters in Girl Scouting and need to help each other succeed! Build ENTHUSIASM for the Cookie Sale “I’ll have Girl Scout cookies on Feb. 8 – can’t wait!” or “May I stop by in early February to collect your order? I’ll have cookies then.” Girls may start a contact list and send out reminders to get customers excited, but no early order taking. PLEASE DO NOT Sell Early – it hurts everyone! Troop’s Initial Order average was 95.5 packages per girl selling By the End of the Sale, 75% of troops (including Juliettes) had achieved an average of 120+ packages per girl selling Council average was 175 packages per girl selling! The council goal for 2014 is 184 packages per girl selling. Based on the data above, we are encouraging troops to place an initial order of at least 120 packages per girl selling. It is important to order enough cookies in your initial order to get you through the first couple weekends of sales and cookie booths. Most troops sell the majority of their cookies at the beginning of the sale – don’t run out and let the girls lose steam early on! Getting Your Initial Case Order An adult must pick up cookies from delivery site on date . Storage is not available after such date. Be sure to count carefully and sign a receipt for the order to protect both parties. 2014 Girl Scout Cookie Sale 18 | P a g e How to Estimate Your Troop Initial Case Order 1. You Must place an Initial Order in Snap by January 13 An average of 120 packages per girl selling in order to Return full unopened/sealed cases. 2. If the Troop orders at least 120 packages per girl selling, the troop can return ONE FACTORY SEALED/UNMARKED SEALED/UNMARKED case per girl selling. 3. Please order carefully. Troops may order more or less depending on comfort level. 4. You do not need to order all eight varieties on the initial order; small quantities will be available from your local cookie cupboard. Use the Troop Initial Order Estimate at www.gslakesandpines.org to help calculate the amounts for your Troop. a. Enter the number of girls selling (the sheet will calculate by variety at the 120 package average) b. You can see how many packages the troop will need to sell to reach the council’s end-of-sale goal of 184 packages per girl selling. c. Donate to a local organization chosen by girls If you decide to donate locally, DO NOT enter the cookies in Snap Record Cookie Share donations on the Girl Order Form Families should verify Cookie Share quantities with the Troop Product Sales Manager, so all packages are accounted for. 2014 Girl Scout Cookie Sale 21 | P a g e There are 3 types of Cookie Cupboards To best manage inventory, cupboards will be consolidated to fewer, more centrally located cupboards as the sale progresses. A complete list of Cookie Cupboards will be available on the Lakes and Pines council website. Home Cupboards: A Volunteer operated pick-up site that has cookies available to troops within a specific service unit/region. Express Cupboards (Planned Orders Only): Receives cookies to fill planned orders placed by troops. If troops in the area of service do not place planned orders, this cupboard will not have any product on hand for troops to pick up. Express Cupboards have limited hours of operation. Schedule is dependent on the needs of the community. Limited time commitment. Express cupboards will NOT have extra product on hand to fill last-minute needs. Only receive enough cookies to fill planned orders placed in Snap. Troops cannot do exchanges at an Express Cupboard as they have NO EXTRA cookies. Troops are strongly encouraged to place planned orders, so cupboards have the correct inventory on hand. Home Cupboards may have limited excess quantities on hand; excess quantities are subject to council discretion. Home Cupboards will be closed as the sale progresses. Near the end of the sale, troops in need of additional product are encouraged to call the regional Product Sales Specialist for options. Schedule is up to the person running it. Remember, they are a volunteer and have personal time too! Council will provide a stock of cookies, with the largest inventory in the first two weeks. Complement the schedule of Council Cupboards by providing evening hours. Council Cupboards o In Waite Park and Duluth, near council offices. See hours listed. ⇒ Note: Council Cupboards will be CLOSED on Monday’s and Tuesday’s this year. o These are our largest cupboards and provide the most flexibility for those with unexpected cookie needs. During the last couple of weeks of the sale, most of the remaining cookies will be at Council Cupboards. o Planned Orders are highly encouraged (it helps the council control inventory) o Staffing is by council staff and/or volunteers. Duluth and Waite Park Cupboard Hours February & March Wed, Thurs, Fri 8:30 a.m. – 5:30 p.m. (Both locations will be closed on Monday’s & Tuesday’s) Saturday’s 9:00 – 12:00 p.m. • Each type of transaction that happens at a Cookie Cupboard will require filling out a Cupboard Receipt. • Before the sale begins, decide who from the troop is able to pick up cookies and/or make exchanges and do returns from the cookie cupboard and set a procedure for collecting these receipts for troop records. • Troops can get both FULL CASES and/or SINGLE PACKAGES from a Cookie Cupboard. • If you have damaged packages (crushed, not completely filled, or missing from the case), please take them to your local cupboard for replacement. These are not deducted from the troop inventory. • Troops may return ONE CASE per girl selling of FACTORY SEALED/UNMARKED FULL CASES to a Cookie Cupboard ONE TIME ONLY March 10-March 11 only if they placed an initial order with a minimum 120 package average per girl selling by January 13. 2014 Girl Scout Cookie Sale 22 | P a g e Cookie Booths: **Cookie Booths are a Troop activity involving selling cookies at a local business with the manager’s approval Cookie Booths begin on Friday, February 14 and continue through March 9. 1. If your troop (outside of the St. Cloud Metro area) is interested in participating in a Cookie Booth, please contact your Community Product Sales Manager for available locations, dates, and times. *St. Cloud area troops we will again manage the larger locations and implement the Snap lottery for those sites. 2. Enter your booth sale information in Snap (this is how our Booth Sales get on the GirlScoutcookies.org website). 3. Troops without Cookie Booth history can refer back to the Percentage Sold by Variety table found on p. 19 to estimate an order. 4. You do not need to order all varieties for a Cookie Booth 5. For example; you could bring the top three sellers and take orders for other varieties to deliver at a later date. 6. To reduce the risk of taking NSF checks, troops are encouraged to accept payment in cash only. To protect your troop, we also recommend not accepting bills larger than $20.00. 7. If a troop has a large amount of product to sell, clean-up sales can be scheduled for March 14 – 30. The idea behind the clean-up sale is to have NO COOKIES LEFTOVER! Please contact product sales staff to make arrangements if you want to have a Cookie Booth after March 30. For safety, remember to deposit all money earned from a Cookie Booth into the troop account by Tuesday of the following week. • National Cookie Booths Agreement between Wal-Mart/Sam’s Club and Girl Scouts of the USA GSUSA and Wal-Mart Corporate have again reached an Agreement for Girl Scouts to hold cookie booths outside both Wal-Mart and Sam’s Club stores. Holding a cookie booth at these locations requires the troop, girls and adults and staff, to adhere to guidelines set forth. 1. Please download the 2014 WALMART Volunteer one-page document prior to contacting your local WalMart or Sam’s Club (outside the St. Cloud Metro area), at www.gslakesandpines.org /cookies for volunteers, bring this document with you when you are setting dates with the local store. 2. Notify your Product Sales and Finance Specialist – which store you, troop or community, will be working with – we need to send them a Council Agreement, we will need a Fax Number for each location. 3. Adhere to the dates set forth – Wal-Mart block out dates – February 10-14, overlaps with our Booth Sale start date; and April 14-20, is outside of our booth sale window – important for troops who have excess inventory at the end of the sale. 4. KEEP good records! We all need to report to GSUSA the number of stores we worked with, Troops selling/girls present AND total packages sold at your local Wal-Mart or Sam’s Club location. o There is a limit to 6 girls per door per time slot. Cookie Booth Etiquette • Two non-related adults must be present. • Girls and adults should wear Girl Scout uniforms or apparel and should be dressed for the weather, as some locations are outside or near an entrance. • Decorate the Cookie Booth – use the cookie cases as displays, hang the Girl Scout logo & posters. • Ensure your Cookie Booth DOES NOT interfere with the store’s business activity, including the flow of customers. • Be pleasant and polite. Let the girls do the talking and make the sale – it’s their learning experience! • Use an Order Card as a guest register – follow up with customers who haven’t had a Girl Scout visit them… • Provide adequate supervision at all times and never leave the Cookie Booth unattended. • Thank the store manager before you leave. Consider following up with a thank-you card. • Leave the area clean and take empty cases with you. Remember, you are representing Girl Scouts. What kind of impression are you giving the public? 2014 Girl Scout Cookie Sale 23 | P a g e Planned Orders: How to Get More Cookies Make sure to place your planned orders to Guarantee your Troop’s cookies. No Guarantee of cookies if you just stop by the cupboard/call in/email. As your troop sells through the initial order of cookies, you may find that you need more! How do you get what you need in a timely manner? Enter/Modify your planned order until 10:00 p.m. on one of these Saturdays to pick up the following Friday: February 8, 15, & 22; March 1 (as needed). Troops cannot cancel order after that time. How to place a planned order in Snap: 1. Click on the Cookies icon and choose Planned Order. 2. Select a cupboard from the drop-down box. 3. Select a pickup date. 4. Enter the PACKAGE QUANTITY for each variety you want to pick up (see table below). UNIT OF MEASURE IS PACKAGES (same as cupboard-totroop transfers). Mar. 10-11 Return Policy Troops may do a ONE-TIME return of FACTORY SEALED/UNMARKED FULL CASES to a Cookie Cupboard, between March 10 and March 11 only. ► Troops can return cookies ONLY if they placed an initial order in January of a minimum 120 package average per girl selling. Print a copy of the Troop Balance Summary from Snap, Snap and bring it to the cupboard to show the number of packages ordered initially and the number of girls selling. ► Quantity returnable: ONE CASE per girl selling in your troop (ex. if you have 10 girls selling, you can return up to 10 cases from your troop’s inventory.) You will need to transfer packages to the girls prior to your return. ► Troops whose initial order is less than 120 packages per girl selling can exchange (see below,) but cannot return cookies. ► Troops that do not place an initial order by January 13 can exchange (see below,) but cannot return cookies. Exchanges Troops will be able to make EXCHANGES of FACTORY SEALED/ UNMARKED CASES for different varieties without penalty at a Cookie Cupboard – this option will not be available at Express Cupboards Example: Your troop has 3 unopened cases of Shortbreads. You can visit a cupboard and EXCHANGE those 3 cases for 2 cases Thin Mints and 1 case Caramel deLites (or any other variety). 2014 Girl Scout Cookie Sale 24 | P a g e Handling Cookie Money and Working with Banks Know how much you have deposited throughout the cookie sale • To be prepared for ACH Payments Count deposit carefully • So you know if the troop has collected all of their proceeds Collecting Money Collect Money WEEKLY Deposit all product sales money into the troop checking or savings account as soon as possible If you are experiencing difficulty collecting funds from your families, be sure to communicate this to your Product Sales and Finance Specialist ASAP Please fill out the T-10 Outstanding Money Report form, available on the council website at http://www.gslakesandpines.org/files/26 29.pdf to notify us of families still owing. We need to receive this form prior to the ACH debit date in order to ensure we can make the adjustment to your troop’s payment amount. Fill out deposit slip BEFORE getting in line (write down totals to verify against the teller’s count) Hints for receiving good cooperation from banks: Avoid bank rush hours (give yourself extra time) DO NOT use driveup windows Check receipt for accuracy and SAVE with the troop’s records To the Bank Weekly Organize and Count Money and Checks: Currency: o Coins: o Checks: Add: Total all Currency Sort and arrange bills facing the same direction Total all coins Sort and write total on each coin pouch Total all checks using an adding machine (or manual list) o Arrange all checks payable to GSMWLP o Put all checks and adding machine tape together Total all Currency, Coins, and Checks o Provide an adding machine tape or manual list for all money collected. Non-Sufficient Funds The council will absorb the liability for checks from your customers that bounce due to non-sufficient funds (NSF). If the bank attempts to process the check a second time, 5-7 days or more may pass before you receive notification. If you receive notice of an NSF check that you deposited into your troop account, please follow the procedures below: o To be reimbursed, please fill out the Product Sales Returned Check Notification Form found at http://www.gslakesandpines.org/pages/CookiesforVolunteers/. Then send this form, the canceled check or legal copy provided by the bank, plus documentation from your bank showing the fee for the NSF check to the Waite Park Regional Center. o Please consider asking your bank to waive fees for NSF checks. NSF Received BEFORE ACH debit: Upon verification, we will reduce your ACH debit by the amount of the NSF check plus any additional fees not waived by your bank. NSF Received AFTER ACH debit: • Upon verification, we will send an electronic credit to your troop account on our next ACH date for the amount of the NSF check plus any additional fees not waived by your bank or issue a check to the Troop. Theft or loss loss of products or money: Contact the police p olice IMMEDIATELY! Also notify your Community Product Sales Manager and your Product Sales and Finance Specialist at (320)-252-2952 or Toll Free at (800) 955-6032. Individual is still held accountable for payment to the council. 2014 Girl Scout Cookie Sale 25 | P a g e ACH Authorization Jan. 8 Troops are REQUIRED to enter their bank account and routing number on their Troop Information page in Snap by January 8, 2014. (Please see example below for help locating these numbers on your checks). By January 21, if this information is missing in Snap, troops will have their initial order held and will not be allowed to pick up cookies from a Cookie Cupboard until this information is provided to the council. ACH Debits Troops are responsible to ensure that they have sufficient funds available in their accounts on the days listed for ACH debits. Bank info goes here If not enough money is in the account, the ACH will not go through and the troop will be responsible for any resulting bank fees. Council Proceeds: Proceeds The amount of money owed to the council: Recognition Plan = $3.35 per package; Cash Plan = $3.40 Troop Proceeds: Amount of proceeds kept by the troop: Recognition Plan = $.60; Cash Plan = $.65 per package sold. NOTE: All money, earned by members of the troop for any purpose, belong to the whole troop and are not available to any individual girl. Instead, the girls decide as a troop on how to spend all money earned. Money due in Troop Account: (All ACH debits are for council proceeds only. Your troop’s proceeds stay in your account). (If it doesn’t open, try updating to the most recent version of Acrobat – it’s free!) 2014 Girl Scout Cookie Sale 26 | P a g e ACH Credits • See p.25 for customer NSF check reimbursement procedures. • After the final ACH debit, we will determine which troops earned the troop bonus, and that those troops are paid in full. GSMWLP will credit troops earning troop bonus via ACH in late April or early May. Troop Bonus All troops, including those on the Cash Plan, are eligible for the troop bonus of an additional $.05 for each package of cookies sold (owned) by the troop provided the troop meets the following requirements: Requirements: • Achieve a 190+ package average per girl registered by March 9. Girls who do not sell cookies affect this average. • The Council’s final ACH debit will be on April 9. 9 Troops are responsible to ensure the funds are available for withdrawal. If the ACH is returned for NSF and the troop has an outstanding balance on April 10, the troop will forfeit their troop bonus. Credits to troop accounts will be issued in April/May for troops meeting these requirements. TROOP BONUS NOTE: NOTE o In most cases, it is true that ALL cookie money must be turned in before you will receive your troop bonus. o In the case of uncollected money from a family, there is an exception. o If you fill out an Outstanding Money Report and it is received at the Waite Park office by April 1, you will receive a portion of the troop bonus. You will receive the additional $.05 for each package of cookies for which your troop paid the council. Here is an example: Total troop order Troop bonus earned Total packages paid Amount of troop bonus received 1300 packages of cookies $65.00 1200 packages (Girl has not paid for 100 packages) $60.00 When the additional packages are paid for by the parent/guardian, your troop will receive the additional $.05 per package, (i.e. $5.00 difference in the example above). 2014 Girl Scout Cookie Sale 27 | P a g e Record Keeping: Suggestions for Tracking Each Girl’s Packages Sold Reviewing what cookies your troop owns throughout the sale and having a system to accurately track each girl’s sales and payments is essential for a successful cookie sale Why is this important? You’ll know how many packages to transfer to each girl, so you can create the recognition order. You will be confident all of the payments are accounted for and deposited in the troop account. You will be able to get as close as possible to your goal of having just the right number of cookies…as many as you can sell, with none left over! T-2: Assist with tracking the number of packages sold by each girl. Form has room to track sixteen girls and the number of packages, in four categories • Issued – what the girls start with • Blank – recommended to be used for what the troop takes back from the girl &/or Cookie Booth quantities • Sold – what the girl sold independently • Total – total to be transferred to girl in Snap Example Initial Order: This troop has 8 girls and their initial order has 80 cases, which qualifies them to return cookies (if needed) since their initial order has a 120 package average per girl selling. Each girl started with: • 12 packages TAL, CCC, LEM, PBS • 6 packages SB • 24 packages, TM, CD • 18 packages PBP T-3: Assist the Troop Product Sales Manager (TPSM) with tracking the troop inventory by girl on a weekly basis. • Families should report weekly the number of packages they have by variety • Helps determine if cookies can be swapped between girls OR if more cookies are needed o Planned Orders should be placed as more cookies are needed, especially if the troop has a Booth Sale coming up and is running out of cookies. • This form does not track money owed, just package inventory (use the T-2 form to help with money collected/owed) • Goal is to have no cookies leftover! Week 1: All families reported inventory and still had decent quantities on hand. Week 2: All families reported, and a few girls have sold out of a couple of varieties. These girls have orders to fill. In addition, the troop is doing a two-hour Cookie Booth on Friday, February 22. With three weeks of the sale left, the troop will want to place a planned order on Saturday, February 15 to ensure they have cookies in time for their Cookie Booth (refer to p.23 for suggested Cookie Booth quantities). NOTE: Towards the end of the sale, if one girl can fulfill the needs of another girl in the troop, then consider transferring the packages from one girl to the other to help reduce the troop inventory. Please have the families sign the M-3 Receipt to show the transfer of packages. The ultimate goal is to have no cookies left in the troop inventory! 2014 Girl Scout Cookie Sale 28 | P a g e Transfer Cookies to Girls Prior to Creating the Recognition Order After you have the final package count for each girl, you will need to “Transfer” cookies to each girl. Alternately, you may transfer packages from your troop inventory to individual girls throughout the sale and verify at the end that Snap shows the correct package total for each girl. Under the My Troop icon: • Click on Add/Edit/Delete Troop Girls to open the girl info table. • Verify all girls registered are listed. All girls selling should be registered Girl Scouts! • NEW you are able to enter a shirt size for each girl – this information will pre-populate shirt sizes in the recognition order. Under the Cookies icon: 1. Click on Transfer Order. 2. Select Troop to Girl Transfer. 3. Select the girl. 4. Enter the total number of packages sold by that girl, click Save & Go to Manage. Manage 5. You will have the ability to enter packages as Quantity or Booth – “booth” packages do not impact the Girl amount due. • Repeat steps 1-5 – until all girls selling have packages assigned. • Waiting until March 8 to transfer cookies to girls will prevent the need to record returned cookies. ***You can only transfer as many packages as you own in the *** troop – do not force the system into negative packages available in the troop by transferring packages to girls before you get them from the cupboard. Preventing Leftovers: What if you have too many cookies? Good communication with all of the families in your troop – throughout the entire sale – is the best way to ensure that your troop doesn’t get stuck with too many cookies near the end. Parents are encouraged to “return” unsold cookies to the troop no later than March 1 to allow time for troop strategies to be implemented. If you find your troop has more cookies than you think you will sell, here are some suggestions: Be creative! • Ask all your customers to buy an extra package for Cookie Share (see p.21). • Brainstorm with the girls for unique ideas for Cookie Booths. Does your community have an upcoming event? Anywhere lots of people will be together may be a potential Cookie Booth site. Or, perhaps the event organizers might buy cookies in advance to serve as refreshments. • Brainstorm with the girls’ ways to attract more customers to your booths. Could the troop post flyers in advance so customers can plan to attend? Could you bake a dessert using cookies, and then offer customers a sample and copies of cookie recipes? Could you offer customers added value, such as a hand-made thank you card if they buy six or more packages? • Troop-to-troop transfers can be done through March 7. Can you find another troop that could sell some of those extra cookies? • Important: contact your Community Product Sales Manager and your Product Sales & Finance Specialist…the sooner, the better! 2014 Girl Scout Cookie Sale 29 | P a g e Creating Your Troop Recognitions Order ALL TROOPS After you have transferred the total packages sold to each girl, here’s how to create the recognition order: • Click the Recognitions icon • Select “Create Recognition Order” • Select Main or Cash Plan. Plan ► If the main or cash plan is not available, verify that a plan is selected on your troop info page under the My Troop icon. • You may see a black screen with a message while Snap generates your troop’s order. • Once created you can VIEW your order under the Recognitions icon. Must create recognition orders in Snap! This is the only way your girls will receive their earned recognitions and Cookie Dough. Late orders – those not placed in Snap – cannot be guaranteed. • Under “Cookie Dough, Dough in the field marked “Quantity,” type the DOLLAR AMOUNT (90 for $90.00) of the “Earned Cookie Dough” as listed on p.15. Do not include dollar sign, decimal points or cents— cents—amounts will not save (see screenshot). • Select the girl’s choices of optional Cookie Dough or items, items as her family indicated on her G-4 Permission Slip. Double – check t-shirt and hoodie sizes – no returns or exchanges are available for incorrect sizes. • Click “Save and Exit” Exit” promptly – remember, Snap logs out after 30 minutes and any unsaved changes will be lost. • Once Created – Click View Recognition Order to edit! ***If *** you transfer additional additiona packages to girls or change their quantities sold after saving a recognition order, order remember to go back and update the recognition order! order Click the Recognitions icon and select View All Recognition Orders. Verify that your Cookie Dough/items selections from the dropdowns are still correct. • Be sure to turn all Super Sister forms in to your Community Product Sales Manager by March 12 to forward on to the Waite Park Office. This is the only way your Super Sisters get their Super Seller patches & Adventure Points. • Your CPSM should receive the recognitions in mid – late April, watch for communication that they have arrived.
