How to schedule an Appointment and Sign your Loan Agreement Form For your convenience we have reconstructed the appointment system. Please make sure that you have already registered before you continue with the new appointment system. Before you can schedule an appointment you have to give account of your costs for 2013. This is done by selecting the relevant information from our drop down menus. Please go to our Student Portal and log in with your credentials. You can only make an appointment once and you can only make the appointment for yourself and not for any other student. You will only be allowed to make an appointment if you are a NSFAS approved student for 2013. Should you be able to make an appointment and sing a loan agreement with NSFAS when you are not an approved NSFAS student, the University Of Johannesburg reserves the right to cancel your loan agreement and you will be responsible for your own fees in 2013. This document will help you to firstly select your Accommodation for the year (if any), as well as your Books allocation and your Tuition. If you are a Final Year student for the first time, you will be able to select a Meals allocation. Secondly, only after you have checked your personal detail and selected and submitted your allocations for this year, you will be able to schedule your appointment to sign your Loan Agreement Form (LAF) Please read through this document carefully that you can familiarize yourself with our new system. It is advisable that you print this document if you can so that it makes the appointment process more effective for you. Wednesday, 23 January 2013 1|Page Some helpful information for selecting your allocation follows: Accommodation: On this screen you will have drop down menus to select your accommodation. UJ Residences: If you are registered in UJ accommodation please select the relevant accommodation from the drop down menu. Your fee will automatically be generated by the system if you are registered. If you are not registered you will not be allowed to tick this block UJ Accredited off-campus residences: If you have secured a place in an approved offcampus residence you should select this from the drop down menu. Please note that you will be required to submit a pro-form invoice during your appointment. A deposit of R2500 will automatically form part of this allocation. If you previously paid a deposit only the difference between your previous and current deposit will be deducted. Other: If you do not stay in UJ or Accredited UJ Off-campus residences please tick this option. Books: An amount of R3500 is allocated for Books for all NSFAS approved Students. If you will need a book allocation please tick this block Meals: Meals are only awarded to Final Year students who did not previously receive the final year bursary. You will only be allowed to tick this block if you are approved for the final year bursary. Tuition: If your tick this block the system will automatically calculate your tuition amount for 2013 minus the fees you have paid already. It will not take into account your 2012 outstanding balance. Wednesday, 23 January 2013 2|Page Your Appointment Step 1 Start by logging in to the Student Portal using your log in credentials you got when you registered. https://student.uj.ac.za/ Wednesday, 23 January 2013 3|Page Step 2 Please click on the link on the left hand side that says “Online Registration & E-Payments” A new window will open up that looks like this. Please click on the link on the left hand side that says Financial Aid (NSFAS) Wednesday, 23 January 2013 4|Page The following is needed for you to be able to make an appointment and the system will test these and give the relevant message. In order to accept the Bursary Allocations you need to go to Financial Aid Allocations. Step 3 – View the Family Structures and make sure they are correct. Step 4 – Accept the allocation amount Wednesday, 23 January 2013 5|Page Step 5 Choose the type of accommodation you will use in your year of study. Step 6 Submit the allocations Wednesday, 23 January 2013 6|Page You may now proceed to make your appointment. Make a note of your appointment date, time and venue. Please do not be late as your appointment will be cancelled and you cannot reschedule until all appointments are completed and funding is still available. Please bring along two clear certified copies of your identity document (compulsory) and 2 pro forma invoices of the accredited off-campus residence establishment (if applicable). It is advisable that you arrive 10 minutes prior to your appointment time. During your appointment you will sign a pre agreement and loan agreement form. You will receive copies of these forms as well as a NSFAS regulation booklet. Your Edu-Xtra card will be loaded within 2 – 5 working days with your allocations for the year loaded. If it is your first time using the Edu-Xtra card, please make sure that you only go and activate your card with a certified copy of your ID at the nearest Eduloan kiosk or office after you have received an SMS of you card being loaded. If you do not sign pre-agreement and loan agreement forms your UJ account will not be paid and your NSFAS loan will be cancelled Step 7 Select your type of appointment and on which campus and search for an available slot. Wednesday, 23 January 2013 7|Page The days are colour coded regarding availability When you choose the day you want to make the appointment on, the available time slots will appear according to the colour codes mentioned on the bottom part of the screen. Wednesday, 23 January 2013 8|Page After choosing the timeslot you want, you need to accept or reject the appointment. After accepting the appointment, the colour of your date of appointment changes to DARK BLUE Wednesday, 23 January 2013 9|Page If you click on the dark blue then you can see the information of what time your appointment is. When you click on the Already booked you can then see the detail of the appointment Wednesday, 23 January 2013 10 | P a g e Congratulations, you will now be finished with all your LAF setups and appointment scheduling. Please remember to go to your appointment with 2 certified copies of your ID and 2 pro forma invoices of your accommodations if applicable. 10 minutes prior to your appointment.
