HOW TO WRITE OFF AN NSF CHECK
Go into TRANS+ADJ
Select CREATE TRANSFERS AND ADJUSTMENTS
The Batch Number field will automatically have the next adjustment number entered for you.
The Batch Type (T/A) field should always be A (for adjustment).
The Batch Date field should always be today’s date.
The Batch Description field is where you will enter A brief description about the NSF check.
 To Write Off the NSF check the Batch Description field should be WO Name #1234. (Where
WO is and abbreviation of “Write Off”, Name is the last name on the check, and #1234 is the
check number of the NSF check.)
The Bank Date field should be The date that the NSF check is to be written off.
You will then be asked Is the above information correct? Double check the information you entered and
enter Y if it is correct or N if it is not correct.
You will now enter $ 0995.00 as the fund and account.
The Description field will will automatically be filled in after the account number is entered.
In the Receipts field You will enter the negative amount of the NSF check. For example, enter “-25.00”
for a $25.00 NSF check. It should display ( 25.00) in the Receipts column using this example.
You will then be asked Is the above information correct? Double check the information you entered and
enter Y if it is correct or N if it is not correct.
You will now enter the fund account to which the NSF check was originally received (General,
Cheesecake Fundraiser, Fee Supported Program, etc.).
The Description field will will automatically be filled in after the account number is entered.
The Receipts field will automatically be filled with the negative amount of the NSF check. For example,
it will display “-25.00” for a $25.00 NSF check. It should display ( 25.00) in the Receipts column
using this example.
You will then be asked Is the above information correct? Double check the information you entered and
enter Y if it is correct or N if it is not correct.
You will then press ESC to complete this adjustment.
You will then be asked Do you want to save this receipt, Abandon this batch or Continue (S/A/C)? Enter S
to Save, A to Abandon or C to Continue. Normally you will enter S.
You will then be asked Do you want to post and print this adjustment? Enter Y for YES.
You will then be asked Do you want to print a voucher for this transfer/adjustment? Enter Y for YES.
You will then have your Principal sign the adjustment voucher and file it in your
Transfers/Adjustments folder for the year. Be sure to record the Write Off on an NSF Control Sheet.
