Accessing Trent University Email
For Environmental and Resource Studies Program Instructors
This document describes how to access your Trent University email. It is assumed you have a functional
Trent email account, and know your Trent account username (Trent ID) and password. Your Trent email
address is your Trent username followed by: @trentu.ca

There are three ways to access your Trent email:
• via your usual email software
• via the web
• by having your email forwarded to another email account automatically
1) Via the Email Software You Normally Use On Your Computer/Device
This method is the most recommended. It allows you to access your Trent email via the email interface
you are used to, and gives you access to all the email software features and abilities you are familiar with.
It does require a one-time set up of a Trent account in your email software.
The exact menu commands for your email setup depends on your email software, but the Trent email
account settings will be the same (table 1).
Account Set Up:
1. In your email software, choose to add a new email account.
2. Name the account (e.g., Trent email) and choose the account type (IMAP, POP, or SOAP).
IMAP is generally recommended, but some prefer POP; it depends on your preference. Visit

3. From table 1, enter the incoming mail server information (server that receives new email coming to
your account). Be sure to enter the secure port information.
4. From table 1, enter the outgoing mail server information (server that sends out email you compose).

Once the email account is set up in your computer’s email software, your Trent inbox should show any
new messages, and you can then use this account as you do your other email accounts. Note there can be a
delay in receiving emails through IMAP and POP (normally at most a few minutes).
2) Via the Web
This method is best for when you are on the go or on a public computer. It allows you to access your
Trent email using any computer, anywhere you have web access, and requires no advance set up.
However, this method provides a limited interface with fewer features, and there can be issues with the
composing of long email messages and the system timing out (losing what you have written). Ultimately

this method is best suited for accessing your Trent email when you lack access to your typical email
software (e.g., at a public computer).
Access Instructions:
You can use a web browser to access Groupwise on the web via MyTrent or via a direct web site.
•
To access it via MyTrent, go to the MyTrent web site and log in using your Trent username and password.
Then, in the window that appears, choose Email from the menu at the top.

To access it directly, go to the web address http://www.trentu.ca/groupwise. You will be presented
with a login screen. Enter your Trent username in the Username field, your Trent password in the
Password field, select your Connection Speed (click Settings if this is not visible), and click the Login
button. The Groupwise Web Client window will appear, showing the current contents of your Trent email
inbox.
The Groupwise Web Client window has a toolbar across the top, shows your mailboxes on the left side,
and emails in your currently selected mailbox on the right (with its own toolbar across the top). There is
also Help, Options, and Logout menu items on the top right.
3) By Forwarding Trent Email to Another Email Account Automatically
If you have a different email account which you prefer to use, you can set up Trent email to be
automatically forwarded to this account.
This has the advantage of placing all your email in one account, but can sometimes delay the receipt of
email and can increase the chance for losing email, because it has to pass through an additional email
server. Also, this only redirects email received via your Trent account; it does not allow you to send email
from your Trent account. Trent strongly recommends Trent email addresses be used for all Trent
business, so use this option with caution.
Set up for this option is done within Groupwise on the web:
1. Visit the web address http://www.trentu.ca/groupwise. You will be presented with a login screen.
2. Enter your Trent username in the Username field, your Trent password in the Password field, select
your Connection Speed (click Settings if this is not visible), and click the Login button. The
Groupwise Web Client window will appear.
3. Click on Options (upper right). A new Options window will appear.
4. Select the Rules tab. Click on the Type: pop-up menu and select Forward. Then click on the Create
button. The window will refresh with the Create Rule – Forward options.
5. Give the rule a name (e.g., forward email to personal account). Ignore the optional condition (since
we are setting this rule up to forward all Trent email). Enter the email address to which you are
forwarding your Trent email in the To: field, and ignore the other fields. Click Save to save your new
rule. The window will return to the Options window, showing your new rule.
Notice your new rule is by default enabled (checkmark in the box to left of the rule). You can turn on and
off this rule at any time by clicking that box (toggle on/off). As long as the rule is activated, all email sent
to your Trent account will be forwarded automatically to the email address you entered in the rule.
