MINNESOTA ALLIANCE WITH YOUTH PROGRAM ASSOCIATE Title: Placement Site: Supervisor: Program Associate Minnesota Alliance With Youth – www.mnyouth.net Julie Muklebust, Vice President of Finance & Operations, [email protected] Position Overview The mission of the Minnesota Alliance With Youth is to ignite the spark in all young people to become actively engaged, develop strong voices, and acquire the skills needed for success in school, work, and life. The essential role of this position is to support a statewide organization serving youth and communities. The Program Associate will provide office support for the St. Paul office. The ideal candidate will have professional communication skills, high attention to detail, excellent computer skills, strong organizational skills, and an ability to work effectively both independently and as part of a team. Position Responsibilities Essential Function: Program & Office Support Assists staff in securing resources and locations for trainings and meetings Provides clerical support to staff including correspondence, scheduling meetings, organizing training and other materials, and obtaining signatures for various contracts, etc. Provides support to the Minnesota Youth Council, GradMinnesota, and Promise Fellow teams Schedules and organizes materials for recruitment/job fairs Provides program documentation, note taker, etc. Works with individuals at all levels of the organizational structure from youth, Promise Fellows, Host Site Supervisors, staff, board of directors, ServeMinnesota, and Federal Grant Managers Event Coordination both as the lead and support person and ensures that all necessary supplies are ordered and organized to support all events Additional Responsibilities All other duties as assigned by supervisor Requirements Associates or Bachelor’s Degree in communications, human resources, organizational management, or related field Minimum of 3 years of experience in the nonprofit sector, education, youth development, or related field Knowledge of basic and general fundamentals and functions of office administrative support, customer service principles, basic computer operation, software and applications, general office equipment and their operation including computers, printers, copy machines, fax machines, telecommunication equipment, record keeping functions and activities work experience; or an equivalent combination of education, training and/or experience to successfully perform the essential functions of the work Qualifications Attention to detail is a high priority; able to juggle multiple projects and deadlines concurrently with strong client-centered service is key Excellent interpersonal skills: able to interact in person, over phone and by email with Alliance constituents, including youth, parents/guardians, legislators, and community partners Adaptable: able to shift focus in response to evolving organizational needs Pro-active: able to anticipate tasks/needs and plan accordingly Strong written and oral communication skills Able to present oneself in a highly professional manner and be an ambassador of the program Access to reliable transportation is preferred Ability to maintain accurate records, tracking systems, files, etc. Able to deal effectively with ambiguity of tasks and able to take initiative Ability to collaborate and communicate well with others from a variety of backgrounds Experience with CMS (ex. WordPress) and comfortable working across various software programs including Word, Excel, Powerpoint, Access, and Office Outlook Self-motivated, able to work independently without daily supervision—strong organizational skills a must Strong problem assessment and problem solving skills Experience organizing and implementing events Desirable Characteristics A Volunteer experience and desire to develop a strong ethic of service Experience working collaboratively with youth and adults Commitment to positive youth development Typical Work Environment Able to work at a computer for up to 8 hours per day Able to work in environment that is quiet but with many people demanding attention Able to work independently without much direction Work setting may include working in a cubicle and/or sharing office and computer with other members/staff Able to work some nights and weekends throughout the year to assist with events and trainings Salary range is from $30,000 - $33,000 plus excellent benefit package. 40 hours per week/52 weeks per year.
