IGNITE BUSINESS EVENT EXPO REQUIRED FORMS:
INSURANCE CERTIFICATE
All exhibitors are required to forward a copy of their insurance certificate to Rose Filice,
[email protected] by March 7, 2014, and also have a copy of their insurance certificate in their
own possession on-site during the show.
Exhibitors are responsible for the placement and cost of a Commercial General Liability
Insurance Policy with a per occurrence limit of not less than $2,000,000. Additional insured
companies, including Ignite Magazine and the Direct Energy Centre, must also be listed on the
insurance certificate. We also recommend that you secure an all risk rider for merchandise and
equipment from the point of shipment to the return.

apply online. The preferred after-tax rate of required insurance is $159.00. Insurance coverage
is required from Monday, April 7 at 6:00 a.m. through Wednesday, April 9 at midnight. Click

Neither the Ignite Business Event Expo, Show Management, Direct Energy Centre, nor any show
contractor can be responsible for injury to persons, loss of or damage to products, exhibits,
equipment, or decorations, by fire, accident, theft or any other cause while in the building or on
the grounds.
We recommend that exhibitors review their company insurance coverage prior to the show.
Most insurance companies will provide additional riders if extra coverage is desired.

If you have selected Option #3—“I have hired a company (other than Stronco Show Services –
the iBE Official Show Services company) to set up our booth” when completing the Appointed
Contractor Form portion of your form, please note ANY LABOUR USED MUST BE UNION.

iBE BOOTH INFORMATION
Each iBE exhibitor booth is 10 feet by 9 feet 6 inches wide and consists of an attractive brushed
aluminum structure made of a black Bur-Fab fabric that is velcro compatible with brushed silver
poles. Black carpeting is provided for all exhibitors and runs throughout the entire show floor.
To add any additional design elements, not included with your booth, please see the pages that
follow for information and order forms to help you make your iBE booth experience paramount.

CHECKLIST
R Move-in Day and Times: April 7, 2014 is move-in day from 12 p.m. through 8 p.m. As there
are sufficient loading docks available for use, exhibitors are not limited to specific move-in
times during this 12 p.m. through 8 p.m. timeframe. All exhibitors will be marshalled onto
the loading docks on a first come, first serve basis.
R Shipping and Material Handling: Make arrangements for shipping and material handling of
your booth materials. Materials shipped directly to the Direct Energy Centre WILL ONLY BE
RECEIVED ON APRIL 7, 2014 BETWEEN 12 P.M. AND 8 P.M.
R Exhibitor Profiles: Help attendees find your products and services by ensuring your
company information (including any logo) is uploaded into the registration system.
These exhibitor profiles will be posted in the system for all registered exhibitors and
attendees to view on February 17. Appointment scheduling is available February 20
through April 4, 2014.
R Booth Regulations: Review and comply with the Booth Regulations.
R Union Labour: Adhere to the collective union agreements in place between the Direct
Energy Centre, Exhibition Place and their unions (e.g., IATSE, carpentry, painting, electrical,
general labour, etc.).
R Service Order Forms: Submit service order forms to appropriate suppliers by their
deadlines to take advantage of advance discount pricing. (For example, order electrical,
lighting, internet access from the Direct Energy Centre by March 21. Order carpet, furniture,
material handling from Stronco by March 24.)
R Parking Passes: Order discounted parking passes for use during Show days by submitting
the parking pass order form by March 21 to the Direct Energy Centre.
R Exhibitor Badges: Register your exhibitor staff on-line in order that they have exhibitor
badges ready and available for pick up on move-in day and/or at the show.
R Booth Insurance: Make arrangements for a minimum of $2,000,000 commercial general
liability insurance.
R Workplace Safety: Read and adhere to the information included in this manual under the
Occupational Health and Safety section.
R Sponsorship Opportunities: Maximize your participation at iBE 2014 by taking advantage
of the many sponsorship opportunities that can be customized for you. Please contact
Show Management.
R Exhibitor Promotional Materials: Have promotional materials ready for distribution at

Complimentary shuttle buses will run frequently between the Westin Harbour Castle Hotel
and the Direct Energy Centre throughout all show days and hours. The buses will begin
approximately 2 hours prior to show opening and end 1 hour after show closing each day.

ADMISSION TO THE EXHIBIT FLOOR
Show Management reserves the right to refuse admission to the show building to any visitor,
exhibitor, or contractor who, in the opinion of Show Management, is unfit, intoxicated, or in any
way creating a disruption to the show. Absolutely no persons under the age of 16 (including
infants) will be permitted into the show. This rule will be strictly enforced. All persons on the
exhibit floor must have proper registration credentials.
AISLES
All aisle space belongs to Show Management. No exhibit or advertisement will be allowed to
extend beyond the space assigned to the exhibitor. Distribution of literature or other exhibit
material is forbidden outside the immediate exhibit area.
AUDIO VISUAL
The official audiovisual equipment supplier is AV-CANADA. To order audio visual services,
please complete the order form.

Audio Visual equipment must be kept at sound levels which do not interfere with other exhibitors.
Large screen audio visual presentations must be designed and regulated such that the viewing
audience is contained within the confines of the rented exhibit space only. All large screen audio visual
presentations must be approved in advance by Show Management and require union labour (IATSE).
BALLOONS
No helium-filled balloons are allowed in the show, only air filled can be used. Exceptions will be
made if submitted in advance to the Show Manager and plans are approved in writing. Approvals
may be granted to companies accepting costs to remove any balloons released into the ceilings.

Electricity and lighting are not included in your booth. Your space is determined by your creativity.

All booths must be in keeping with the environment of iBE 2014 as a whole. Any exhibit deemed
unprofessional in appearance, at the sole discretion of Show Management, will not be permitted.

*For all exhibitors placing online orders with the Direct Energy Centre, follow the directions outlined in the Exhibitor Order Form and kindly use default booth #1234.
**For all exhibitors placing online orders with Stronco, you will be asked to enter your Show
Code and booth number as outlined on the Stronco Online Ordering Information Page. Kindly
use “TBD” and/or “000” for your booth number should you be placing your Stronco order prior
to communication of your booth number from iBE Show Management.
BOOTH REGULATIONS
1. All exhibits must conform to standard regulations.
Height: Exhibit fixtures and components will be permitted to a maximum height of 8’0”.
Sidewalls may extend 4’0” or 1/3 the depth (whichever is greater) from the back line at a height
of 8’0”, but then must drop to a 4’0” height.
Depth: All display fixtures over 4’0” in height and placed within 10 lineal feet of an adjoining
exhibit, must be confined to that area of the exhibitor’s space that is within 4’0” of the back
line.
2. Booth design/concepts must be approved by Show Management. Drawings need not be
professionally done, but should show a “birds-eye view” and an elevation of your exhibit area.
Be sure to indicate the heights and widths of product and display materials as well as other
appropriate dimensions or placements of equipment. This drawing should be submitted no later
than 60 days prior to show opening.
3. iBE Show Management encourages the use of creative, innovative exhibits, however, Show
Management does reserve the right to decline or prohibit any activity, exhibit or component
which, in its opinion, is either not suitable or not contractually permitted in the show. This
reservation concerns persons, objects, decorations, conduct, printed matter, advertising,
souvenirs, catalogues and all other items that affect the character of the show.
4. Exhibits must be set up and staffed during all open hours of the show. Exhibit removal prior
to the final day’s close of the show is strictly forbidden. Exhibitors that do not comply with
these regulations will not be offered renewal of their space in the following year’s show.
5. Exhibitors have the right to distribute their catalogues and other approved printed matter
(i.e., only information related to items displayed), but only within their space(s), not in the aisles
or lobby.
6. Exhibitors are not permitted to use or distribute any device(s) which contributes to a
disruptive atmosphere, some of which may include public address systems, raised dais, stagetype lighting, flashing lights, beacons, loud machinery, helium balloons, ribbons, inflated signs,
alarms, horns, bells (whether part of boat equipment or separate components), etc. If you are
considering one of these elements in your exhibit, please contact iBE Show Management for
approval.
7. Video or audio equipment is permitted, but must be operated so as not to create a
disturbance.
8. Drawings, guessing games and prize contests of any kind must be sponsored by individual
exhibitors and must also adhere to local lottery laws.

9. Alcohol must be ordered through Ovations Food Services. Bartenders must be Smart
Serve certified and booth must have pipe and drape or something that helps contain people
consuming alcohol. No alcoholic beverages or food may be served on the show floor without
facility concessionaire (see Food Sales and Sampling Application Form attached).
Should you wish to serve alcohol in your exhibitor booth, in accordance with the rules and
regulations of iBE Expo, you must obtain a Special Occasion Permit. Upon approval by the
Alcohol and Gaming Commission, please submit your Special Occasion Permit to Bradley
Fletcher at [email protected] and iBE Expo management requesting final
approval.
10. iBE Show Management will arrange for the sweeping of aisles, but exhibitors must, at their
own expense, keep their space clean: carpet vacuumed and exhibits in good order.
11. Exhibits are required to maintain the theme of the show and should be set up in a
professional manner. Exhibit spaces should be inviting to attendees, free of clutter and garbage.
Boxes may not be visibly stored within the display and should be stored under skirted tables or
behind partitions.
BUSINESS CENTRE
A full service business centre, the JM Exhibitor Support Centre, is located in the Galleria,
adjacent to Hall B. The business centre offers a wide range of services including: photocopying,
facsimile, word processing, office supplies, electrical and hardware supplies, computer/internet
usage, and courier services (FedEx, Purolator & UPS).

CANCELLATION/REFUND POLICY
You may cancel your exhibit space at the Ignite Business Event Expo (iBE) by providing
written notice on or before January 6, 2014, in which case 75% of the contract price will be
refunded. If cancellation occurs after January 6, 2014 the exhibitor is responsible for full
payment of allocated exhibit space. In the event the Exhibitor fails to make payment or fails
to comply with the terms of the Exhibit Contract, iBE management reserve the right to cancel
the Exhibit Contract without notice and all rights of the Exhibitor will cease and be terminated.
Any payment made by the Exhibitor on account thereof will be retained by iBE as liquidated
damages for breach of contract and iBE management may thereupon rent said space. Failure
to appear at the show does not release Exhibitor from responsibility for payment of the full cost
of the space rented.

CARE OF EXHIBIT HALL FLOOR & WALLS
No signs or other articles are to be fastened to ceilings, walls, pipes, or electrical fixtures. The
building regulations state that exhibitors handing out adhesive-backed promotional material will
be charged for removal of this material from any building surface.
Building Management strictly prohibits the following:
• The fastening of material to concrete floors by means of ramset fasteners or masonry nails.
• The fastening of nailing strips to any of the building walls, by any means.
• The painting of floors or walls in any part of the building.
NOTE: Upon removal of each booth, Direct Energy Centre and Show Management will inspect
each space for any damages incurred by the exhibitor and check that all materials, including
tape residue left on the floor, are properly removed. Any charges to return the exhibit space to
its original condition will be passed on to the exhibitor.
CATERING/FOOD & BEVERAGE, INCLUDING ALCOHOL
Ovations Food Services has exclusive food, beverage and liquor distribution rights within the
Direct Energy Centre. All food and beverage used to generate traffic to a specific booth must
be purchased through Ovations.
Any exhibitor planning to conduct food or beverage sampling (including alcohol) in their exhibit
must first notify and receive written approval from Show Management and Ovations prior to
March 7, 2014.
No food, alcoholic or non-alcoholic beverages may be served on the show floor without the
con- sent of Show Management and Ovation, the facility’s exclusive Food and Beverage
provider. Please see attached food and beverage sampling program forms or contact Bradley
Fletcher at [email protected] or 416-263-3526 for further information.
Should you wish to serve alcohol in your exhibitor booth, in accordance with the rules and
regulations of iBE Expo, you must obtain a Special Occasion Permit. Upon approval by the
Alcohol and Gaming Commission, please submit your Special Occasion Permit to Bradley Fletcher
at [email protected] and iBE Expo management requesting final approval.
CLEANING—COMMON AREAS AND BOOTHS
Aisles and common areas within the show will be cleaned daily.
Booth cleaning will not be provided by iBE Show Management. Exhibitors are strongly
encouraged to vacuum their space themselves with their own equipment in order to keep costs
minimal. Outside cleaning companies will not be allowed to vacuum exhibit space unless they
have an agreement with Union Local 506. Booth cleaning (carpet shampooing, vacuuming,
dusting, and garbage removal) can be provided by the Direct Energy Centre; please refer to the
Booth Cleaning Services order form (PDF).
At the end of the show, exhibitors are responsible for removing all garbage and debris from
their booth upon moving out of the Direct Energy Centre. There will be a bulk garbage removal
fee, charged to the exhibiting company, if any garbage is left in your exhibit space.

CUSTOMS
Show Management strongly encourages exhibitors from outside of Canada to use the show’s
official Customs Broker, Stronco. As the official customs broker they will have a representative
on-site during move-in for assistance with customs clearance. Please refer to the enclosed
order form for more information.
DEMONSTRATIONS
This includes any part of the exhibitor’s presentation involving the interaction of exhibit
personnel and their audience through demonstrations, corporate presentations, or sampling.
Demonstration areas must be organized within the exhibitor’s space so as not to interfere with
any aisle traffic. Sampling or demonstration tables must be placed a minimum of 2’0” from

request that the presentation or sampling be stopped or the exhibit rearranged to contain the

DISMANTLING/MOVE-OUT PROCEDURES
Immediately after the show closes at 5:00 p.m. on Wednesday, April 9, exhibitors will be
permitted to begin dismantling their displays. Remember to order your dismantling labour early
to avoid waiting for dismantling assistance.
Product is most vulnerable to loss during dismantling, so never leave valuables unattended. The
show’s general security is merely a presence to inhibit theft.
Every item, whether exhibit material, brochures or trash, belonging to exhibitors must be
removed entirely from the Direct Energy Centre by 7:00 p.m. on Wednesday, April 9. Should
any exhibitor, its agent or contractor fail to remove all property by the time stipulated, then
the exhibitor shall indemnify Show Management in respect to any claim thereby occasioned.
Show Management shall be entitled, but not obliged, to remove such materials belonging to
the exhibitor, who shall be liable for all loss and costs incurred. Show Management reserves the
right to specify the time at which individual booths and exhibits shall be removed.
DISPLAY VEHICLES
Cars, trucks and machinery for display must be thoroughly cleaned before entering the
building, and a protective sheet of plastic placed underneath to prevent staining the floor. In
addition, the following must be adhered to:
• the car’s gasoline tank should be filled as close to the 3/4 mark as possible;
• the battery terminal needs to be disconnected;
• the car must have a lockable gasoline tank cover.
DRAWS, GIVEAWAYS AND PROMOTIONS
Exhibitors are encouraged to offer promotional prizes. Programs of this nature must be
“free
entry” or offered as “added value” in conjunction with an immediate product or service
purchase. Contests requiring a “payment to win” or for “fundraising” purposes are not permitted without the expressed written permission of Show Management.
DRESS CODE
Dress has been designated as business casual for all exhibitors and attendees.

ELECTRICAL SAFETY CODE REQUIREMENTS
i)The Electrical Safety Code, Ontario Regulations 794/80, requires that all electrical
equipment must be approved before it may lawfully be advertised, displayed, offered for
sale, sold, or otherwise disposed or used in the Province of Ontario.
ii)It is therefore the responsibility of each exhibitor to ensure that all electrical equipment
in, on, or about his or her booth comply with the above regulation. This includes electrical
merchandise, extension cords, lighting and display equipment.
iii)Electrical equipment for which approval is sought must be submitted to the Canadian
Standards Association, 5060 Spectrum Way, Mississauga, Ontario, L4W 5N6, 1-800-4636727 or http://www.csa.ca/. The approval of this Association is acceptable to all electrical
inspection authorities in Canada. You are referred to them for details of procedure.
iv)One of the fundamental requirements for Canadian Standards Association certification is
that appropriate approval markings (C.S.A. monogram or label) appear on each devise.
If such markings are missing, the device must be considered unapproved and, therefore,
subject to special inspection and possible removal from the exhibit.
v)If you wish to display, offer for sale, or use any electrical equipment which is not now
certified by the Canadian Standards Association, it is first necessary to submit the
equipment to the Electrical Safety Authority.
vi)Should any of this equipment not conform, it is recommended that you require temporary
“permission to show” while the necessary electrical approval certification is being sought.

vii)Failure to comply could result in the equipment being refused connection to the electrical
supply, and/or ordered removed from the exhibit.
ELECTRICAL SERVICES
All electrical services are provided exclusively by Direct Energy Centre. Exhibitors are responsible
for ordering their own electrical power which should be ordered in advance using the Indoor
Electrical Order Form. Exhibitors are not allowed to install any electrical wiring devices onsite other than regular extension cords. All on-site hard-wiring and connections must be done
by Direct Energy Centre electricians. Extension cords must be of the three-prong type (i.e.,
grounded) and must contain wires of the proper size to carry the electrical load.
Power and telecommunications are supplied to booths via floor ports, located every 30 ft. on
centre throughout the hall. The floor ports are flush metal panels, approximately 18” by 18”. Use
flat wiring to deliver power and telecommunication from the floor port to a specific area of your
display. Ports that house water supply are spaced every 60 ft. on centre.

EXHIBITOR BADGES
For security reasons, all persons working or visiting the show require a badge to enter the
exhibit hall.
There are two badge categories:
Exhibitor Badges
Exhibitor Badges allow free access in and out of the exhibit hall during move-in, show hours,
after hours and move-out.
Move-In Badges
Each person on the show floor during move-in must wear a temporary move-in badge or an
exhibitor badge. Temporary badges are valid only for the day they are issued and can be
picked up at the West Loading Docks.
• In order to provide a safe move-in/out environment, the show floor will be controlled to
ensure only approved exhibit staff have access.
• Entrances to the show floor will be monitored and access denied to those without show
credentials. Security will also be routinely checking the show floor for badges.
• In order to assist you with quick access into the building, please complete the appropriate
badges for people that will provide move-in/out services and staff your booth.
• Please advise all on-site staff and contractors that they must stop by the staging yard trailer
to pick up their show credentials as soon as they arrive on the Exhibition Place grounds.
• Children under the age of 16 are not allowed on the show floor (or in vehicles on the show
floor) during move-in and move-out.
FIRE HOSE CABINETS & FIRE EXITS
It is illegal for access to the fire hose cabinets and exits to be obstructed at any time during
the show. All exhibitors with a fire hose cabinet located within their space are required to leave
a minimum 3’ clearance in front of the cabinet for easy access. If a 3’ clearance cannot be
maintained, either a fire extinguisher will be provided to you by the DEC and it must remain in
view within your booth or a portable fire extinguisher cabinet will be placed in the aisle in the
area of your booth space. The safety inspector will require immediate compliance from any
exhibitor obstructing any of these safety features.
FIRE PREVENTION—FLAMEPROOFING REGULATIONS
All exhibits must conform to the Ontario Fire Marshall’s regulations with regards to fire
proofing. For information, contact: Toronto Fire Prevention Bureau, City Hall, Toronto, (416)
338-9350. There are many companies that provide fireproofing services listed online.
It is the exhibitor’s responsibility to comply with the Fire Regulations and requirements of the
City of Toronto Fire Department. In addition, exhibitors must adhere to the safety requirements
of The Direct Energy Centre, particularly in regard to prohibited types of display materials.
The Ontario Building Code prohibits the use of flammable materials in Styrofoam, and foam
core, in any form, is forbidden. Fire regulations require that all decorating materials (i.e., fabric
and carpeting, etc.) be fire proofed or made of fire retardant material. This does not apply
to displaying your own product. Flame proofing usually lasts from 6 months to 1 year. Once
your display has been flame proofed please make sure you bring the documentation on-site
to show to the fire prevention inspector. This will avoid having to fire-test the exhibit on-site.

The documentation should indicate by whom and when the fireproofing was done, the exact
materials flame proofed, the flame proofing compound used and the approximate period of
effectiveness. The fire prevention inspector will remove equipment and materials considered
hazardous at the exhibitor’s expense.
FIRST AID/MEDICAL EMERGENCIES
All accidents that take place on-site must be reported to Show Management immediately.
FURNITURE & ACCESSORY RENTALS
A selection of furniture is available from Stronco (download the order forms: Display Tables &
Drapery, Counters, Storage & Display Units, Accessories & Office Furnishings, Chairs & Stools,
Tables, Sofas & Chairs, Plants, Signs & Banners, Carpet*).
*Black carpet is included with your exhibitor booth; this carpet order form is provided for
those exhibitors requiring carpet of a different colour, in which case it will be laid on top of the
standard black booth carpeting
INSTALLATION OF BOOTH AND RELATED MATERIALS
Construction and installation of displays must be confined within the exhibitor’s booth space,
and are not permitted in the aisles. Union labour regulations must also be adhered to.
INSURANCE AND LIABILITY
Neither Ignite Business Event Expo, Show Management, Direct Energy Centre, nor any show
contractor can be responsible for injury to persons, loss of or damage to products, exhibits,
equipment, or decorations, by fire, accident, theft or any other cause while in the building or on
the grounds.
Exhibitors are responsible for the placement and cost of a Commercial General Liability
Insurance Policy with a per occurrence limit of not less than $2,000,000. Additional insured
companies, including Ignite Business Event Expo and the Direct Energy Centre, must also be
listed on the insurance certificate. We also recommend that you secure an all risk rider for
merchandise and equipment from the point of shipment to the return.

LIGHTING – HALL AND PORTABLE
Hall lighting will be at a medium-high level for the duration of the show. There is no natural
light in the exhibit hall. Exhibitors may either bring their own lights or rent them from the Direct
Energy Centre; rental lighting can be hung from the exhibit hall ceiling (see form) or attached to
the booth wall (see form).
Clamps on portable spotlights shall be protected from metal to metal contact by having
electrical insulating pads or wrappings permanently attached to the clamps. Spotlights on a
free standing structure (i.e., pole) must be either secured to a structure or placed out of the
way in the booth in such a way as to prevent it from being bumped or knocked over. NOTE:
Lighting on trusses and gel lighting could be subject to IATSE having to install and remove.
MOVE-IN/OUT SCHEDULE

have marshals on site at the loading docks area to ensure your efficient and timely move in on
this day.

IMPORTANT: Exhibitors shipping less than a tractor trailer load of goods to the show are urged
to pre-ship the goods through the Advance Warehouse. By pre-shipping, you will avoid delays
as pre- shipped goods will be consolidated by Stronco and delivered to your booth by your
assigned move-in time. Download the Stronco Advanced Show Receiving Order Form for
more information about shipping in advance. Should you have any questions, please contact

Move-Out
Wednesday, April 9, 2014 – 5:00 p.m.-7:00 p.m.
No dismantling or removal of material is permitted before 5:00 p.m. on Wednesday, April 9,
2014. A penalty will be assessed to any exhibitor dismantling or removing material prior to that
time.
**Exhibitors are urged to remove small cartons and open cases of products from the
building
immediately after 5:00 p.m. on the closing day. While Show Management will take all
reasonable security precautions to safeguard small items, immediate removal of such items will
minimize the possibility of loss or damage.
OCCUPATIONAL HEALTH AND SAFETY
All exhibitors are reminded that workplace and worker safety is everyone’s responsibility. All
participants at iBE 2014 must comply with the legislation contained in the Occupational Health
and Safety Act and its regulations, which is governed by the Ontario Ministry of Labour.
Important Notice: All exhibitor personnel involved with the move-in and/or move-out
process (i.e., material handling, erecting/dismantling exhibits, etc.) MUST wear approved
safety footwear at all times during move-in and move-out regardless of their booth size or
location on the show floor. Approved hard hats must be worn in booths where overhead
work is being done. Show Management will be vigilantly monitoring the show floor to ensure
a safe work environment. It needs to be everyone’s goal to minimize the potential hazards and
reduce the risk of injuries. Should you see a hazard or unsafe work practice on the show floor,
notify Show Management immediately.
Exhibitor Procedures for Worker Safety
We ask that all exhibitors make safety a part of their activities during the show; especially
during set-up and tear-down. Any exhibitor who sees something that is unsafe or presents a
hazard should report it to the show office immediately. By doing so, we can all help make the
show floor safer for all participants. Below are some key procedures for exhibitors to follow
while at the show to enhance overall show safety and to help prevent injuries.
• During move-in and move-out, appropriate attire, including approved safety footwear with
steel-toes and hard soles and hard hats, must be worn at all times. Safety shoes help protect
against potential injuries from debris on the show floor; these types of shoes also limit the
potential for slips and falls. Shoes with heels, flip flops and open-toed shoes are not allowed!
• Ensure that all move-in/out staff has access to approved protective devices/materials and
that these be worn in the appropriate construction situations (e.g., safety glasses, gloves,
etc.).
• Do not stand on chairs, tables or other furniture at any time. Please use a ladder. (Note that
ladders are not to be used as working platforms and should only be used for momentary
access to a higher point. Extended time at a height should be performed on a scaffolding
system. A person performing work at a height greater than 10’ must be wearing a safety
harness and tied off appropriately.)

• Be aware of forklifts and other machinery moving through the aisles and loading dock areas.
Please stay clear of them, especially when they are carrying a load.
• Do not run in the exhibit hall.
• Electrical wires and cords can be hazardous if frayed or stretched over a walkway.
Remember to check all cords for damage. Notify Direct Energy Centre’s service order desk
if you require assistance repairing or removing a damaged cord. Do not overload outlets or
plugs.
• Please keep fire exits clear and report any fires immediately or pull the closest fire alarm.
• If you spill something, or notice a spill, clean it up or report it immediately.
• Dispose of waste properly and keep materials stacked securely within your booth during
move-in and move-out.
• Keep aisles free and clear of any and all debris.
PARKING
Direct Energy Centre: On-site parking is available in either surface/outdoor lots or indoor/
underground lots. Please review the Parking Pass Order Form and take advantage of preordering your parking pass. Passes purchased on-site during move-in will pay the posted
parking rates.
Westin Harbour Castle: Valet parking is available at the Westin Harbour Castle but is expensive.
We recommend you use the Pier 27 parking lot located to the East of the hotel (beside the
Captain John’s Restaurant). Rates vary daily but will generally range from $10.00 to $15.00 per
night with no “in/out” access and vehicles removed by 7:00 a.m. Day rates apply after 7:00am.
The Westin also offers 24 hour parking at $35.00 per day for self parking, one block from the
hotel, and $45.00 per day for valet parking, both with “in/out” privileges. Please let the Westin’s
parking attendant know you are interested in self-parking and they will provide you a pass and
directions to the nearby lot. *Prices subject to change without notice
PROPANE/NATURAL GAS
If any propane or natural gas fired equipment is to be displayed in an exhibitor’s booth, the
exhibitor must contact Show Management, prior to move-in, explaining the nature of the
equipment. Requests will then be submitted to the Direct Energy Centre for approval, rejection
or limitations and all associated costs.
SAFETY AND SECURITY
Show Management will have perimeter guard service in the facility 24 hours a day during movein/move-out and show days. You are reminded, however, that the primary responsibility for
safeguarding your display and your merchandise is yours.
While every precaution is taken to safeguard exhibits, Show Management and the Direct
Energy Centre do not assume responsibility for the safety of exhibits against robbery, fire,
damage, accidents or any cause whatsoever, either during move-in, show hours or move-out. In
all cases, exhibitors must insure their goods and exhibits against such losses. Please report all
incidents of theft to Show Management immediately. We suggest you take anything small such
as lap- tops, cash, etc. with you when you leave.

Entry to and exit from the exhibit area will be possible only through the main Show entrance
and all persons entering and leaving must wear a badge issued by Show Management. During
installation and dismantling periods, no one will be permitted in the exhibit area before
published times. Lost or stolen property must be reported to the Security Office as soon as
possible. Please remember that any claim must be properly documented in order to receive
reimbursement from your insurance company.

Advance Warehouse includes Material Handling Services and charges. Your carrier must pick up
your materials directly from the show site at the conclusion of the event. For more information
please read the Stronco Advanced Show Receiving Order Form and the Stronco Material
Handling Form.
Option 2: Direct Shipping To The Direct Energy Centre
Direct Energy Centre loading docks will ONLY BE RECEIVING DIRECT SHIPMENTS BETWEEN
12:00 P.M. – 8:00 P.M. ON MONDAY, APRIL 7. Every crate or carton should be marked with
appropriate shipping labels. Please try to time your arrival with that of your direct shipment
should you be doing your own booth set up. This will help avoid any delays at the loading
docks.
Please complete the Stronco Material Handling Order Form if you wish Stronco to deliver your
direct shipment to your booth.

Option 3: Handle it Yourself
Exhibitors can hand-carry items themselves or use two-/four-wheel dollies. Any heavy
equipment must be handled by Stronco.
The maximum time allotted for vehicle off-loading is 45 minutes. No mechanical conveyances
will be provided for the movement of display material from the loading dock area to your
booth. If you require assistance with your merchandise, select either Option 1 or Option 2 listed
above for material handling. Exhibitors who plan to off-load themselves might also want to
consider using crates that have wheels to allow for faster unloading.
If an exhibitor’s representative is not present, iBE 2014 reserves the right to order equipment
and/or materials moved from the receiving dock to the exhibitor’s booth area, or to order the
removal of the truck from the receiving dock area. Charges for this service will be invoiced by
Stronco to the exhibitor. Parking at loading bays is prohibited. Trucks must be removed as soon
as unloading is complete. All exhibitors are urged to review their materials handling operations
and requirements with Stronco well in advance of move-in.
Shipments from the Show
You may ship your materials from the show via any carrier. However, Stronco is the preferred
shipper and will be on-site to assist you. Please contact Stronco’s Exhibitor Services at 1-800665-2621.
NOTE: Any exhibitor material not picked up by 7:00 p.m. on Wednesday, April 9, 2014, will
be re-routed at the exhibitor’s expense. International exhibitors’ freight will be forwarded via
Stronco Logistics and Canadian exhibitors will have their freight sent to the Stronco warehouse
at the exhibitor’s expense, no exceptions.

SHOW GUIDE LISTING
Help attendees find the products and services they’re looking for. Please ensure your Company
Profile is updated and complete for all to see when appointment scheduling begins in the
registration system on February 20, 2014. This company profile information will be used to
complete our exhibitor listing in the iBE 2014 Show Guide.
DEADLINE: February 17, 2014
SHOW OFFICE [LOCATION]
The Show Office will open two hours prior to show opening and close one half hour after show
closing each day. Our staff is eager to offer assistance with any questions or problems you have
before, during and after the show. If you need Show Management to come by your display,
please advise the show office.
SHUTTLE BUS SERVICE
Complimentary shuttle buses will run frequently between the Westin Harbour Castle Hotel
and the Direct Energy Centre throughout all show days and hours. The buses will begin
approximately 2 hours prior to show opening and end 1 hour after show closing each day.
Shuttle bus schedules will be posted in the lobby of the Westin Harbour Castle.
SIGNAGE
All exhibitor signage must be confined to the exhibitor’s booth area and must not
inappropriately block views of the rest of the show floor.
SMOKING
Smoking is not permitted within the Direct Energy Centre or inside any buildings within
Exhibition Place. The City of Toronto By-Law #406-79 prohibits smoking within any of the
buildings at Exhibition Place. Persons found smoking are subject to the maximum penalty of
$5,000.
STAFFING EXHIBITS
Exhibitors are required to maintain staff in their exhibits at ALL times during the hours of the
show. Security is an added problem when exhibits are not manned.
SUBLETTING
No exhibitor may sublet any portion of their allocated exhibit space to another company or person without the expressed written consent of Show Management.

UNION LABOUR JURISDICTIONS
The Direct Energy Centre is a facility which operates under collective agreements between six
separate union locals. These agreements impact the way in which work needs to be done onsite and union labour must be hired when work in your space involves these trades.
Direct Energy Centre requires Show Management and their exhibitors to adhere to all collective
agreements in place between Direct Energy Centre, Exhibition Place and the following 6 unions:
1. LABOURERS [exclusive to Local 506]
The role of the Labourers Union Local 506 is to assist in the assembly and dismantling of trade
show exhibits and displays at Direct Energy Centre. The use of exhibit houses which do not
have an agreement with Local 506 is strictly prohibited. The use of exhibitor staff is strictly
limited to preparing systems that are in and of themselves the product being showcased for
sale. You may use some of your personnel to oversee the assembly of your booth, with labour
being provided by Local 506. It is strongly recommended that you seek advice from Show
Management before deciding to use your in-house staff.
• loading and unloading of all trucks
• banner/sign hanging
• assembly and dismantling of prefabricated booths (exhibitors may use some of their own
personnel to oversee the booth assembly but the actual work must be done by Local 506.)
• use of mechanical equipment (i.e., forklifts, pallet-jacks, etc.)
• carpet installation
• cleaning services
A list of labour suppliers can be found here. You may contract any of them to supply the
necessary labour or order directly from Stronco by completing the Labour Order Form.
2. CARPENTERS [exclusive to Local 27]
Any construction/carpentry work done on the grounds must be performed by a member of
Carpenters Union Local 27. All resilient flooring is to be installed and dismantled by Local 27
Resilient Flooring Division. To minimize on-site costs, exhibitors are advised to perform all
cutting, hammering, etc. off-site and leave only the actual assembling via fasteners to be done
on-site. Exhibitors can hire whichever company they want to do this type of work as long as the
carpenter is a member of Local 27. For a selection of companies to choose from, please contact

3. ELECTRICIANS [exclusive to the Direct Energy Centre]
All electrical/wiring work must be done exclusively by Direct Energy Centre’s in-house
electricians. No hard wiring is to be done onsite, other than by Direct Energy Centre staff. All
equipment should be ready to plug in with 3 prong cords and be ESA approved. (Please refer
to this page for more information regarding ESA approval.)
4. PLUMBERS [exclusive to the Direct Energy Centre]
The provision of all water/drain/compressed air sources to booths and including final
connections must be performed by Plumbers Union Local 46. These services are provided
exclusively by Direct Energy Centre’s in-house plumbers. Exhibitors cannot hire anyone but
Direct Energy Centre to perform this work. (Download the Plumbing Order Form).
5. IATSE [exclusive to the Direct Energy Centre]
The provision of all audio/visual work, rigging, theatrical lighting installations and the unloading
and loading of theatrical equipment to booths must be performed by International Alliance
of Theatrical Staging Employees, Local 58. These services are provided exclusively by Direct
Energy Centre’s staff. Exhibitors cannot hire anyone but Direct Energy Centre to perform this
work.
Please note: all contractors providing audio/visual production may provide supervision only.
6. PAINTERS
Any painting, dry wall taping and associated work must be done by members of District
Council 46. Exhibitors can hire whichever company they want to do this type of work as long as
the painter is a member of the above mentioned union.
WATER/PLUMBING
Water line connections or fill and drain service can be ordered by completing Direct Energy
Centre’s Indoor Plumbing order form.
All issues relative to the amount and type of display work exhibitors can perform within the
confines of their booth space must be discussed with Show Management.
