By Underground: A regular underground train service (Northern Line) runs to and from the Angel Station. Angel station is one stop from London King’s Cross and St Pancras International and two stops from Euston Station, on the Northern line. From Heathrow Airport: take Heathrow Express train to Paddington Station, which is a 20 minute ride. FURNITURE Exhibitors can substitute the provided furniture package with their own furniture or rent furniture from GES Exposition. No credit will be issued for unused furniture provided in the packages. If you have any questions, please call +44 20 7704 6312. GRAPHICS All exhibits are provided with a company ID sign which is part of the exhibit packages. Exhibitors may NOT customize the company ID sign which is part of the package. Exhibitors can utilize the interior walls of the stands to display custom graphics and literature. Light weight graphics can be affixed to the panels using Velcro fastener or tacky adhesive. The show contractor, GES, can create your graphics to custom fit your stand. Please refer to the graphics order form in this manual. Interior Graphics Exhibitors can display custom graphics on the interior of their stand. The width of the graphics depends on the method used to construct the graphic. Due to the vertical uprights between the panels, a safe graphic width of 841mm should be considered. Panels created with materials such as foamcore can however be as wide as 945mm. The look of a graphic this wide may be impacted due to the uprights. Graphics can be up to 2340mm high. Interior Graphic Summary: Interior graphics can be as tall as 2340mm Interior graphics produced on materials such as foamcore can be as wide as 945mm To safely fit the entire graphic on a panel with space around it, a width of 841mm is suggested Exterior Graphics Exterior graphics are not allowed. SECURITY Show Management provides general, perimeter security on the day of the event. The Business Design Centre provides general venue security on a 24-hour basis. While Show Management will exercise reasonable care in safe guarding your property, neither ICSC, the facility nor the show’s contractor will be held liable for such property. Exhibitors are advised to take precautions to safe guard their own property. Please bear in mind that your exhibit merchandise and displays are your prime selling tools. It is therefore of utmost importance that you take every precaution to protect your materials. 10 SERVICES EXHIBITOR BADGE REGISTRATION Your booth package includes day passes for your key leasing staff at the event. These names can be submitted through the online exhibitor portal. Using the password provided in your exhibit confirmation letter, please log on to: http://exhibits.icsc.org/2014lrc/public/e_login.aspx Click on the “Edit” button under “Booth Personnel” Here you can choose from the drop down menu or enter a new staff name. SHIPPING GES will assist in handling your shipping needs for this event. Material handling includes unloading your exhibit materials, accepting shipment of materials and storing up to 15 days in advance at the warehouse, delivery to your booth, moving empty containers to and from storage, and the removal of repacked materials to the GES warehouse for reloading onto outbound carriers. GES services do not include the cost to transport your exhibit materials to and from their warehouse. Exhibitors are advised to work with GES to ensure their shipments are handled correctly. CANCELLATION OF MEETING SPACE At no time or under no additional conditions will Meeting Space deposit be refunded. 6. ASSIGNMENT OF EXHIBIT SPACE ICSC shall assign the Meeting Space to Exhibitor for the period of the event. Such assignment is made for the period of this event only and does not imply that the same or similar space will be held or offered for future events. ICSC reserves the right to terminate this Agreement, close the exhibit or remove the Exhibitor’s property from the Meeting Space if ICSC determines in its sole discretion that the Exhibitor has violated any part of these Terms, Conditions and Rules. 7. EVENT HOURS AND DATES Hours and dates for installing, showing and dismantling exhibits shall be those specified by ICSC in the Exhibitor Manual. No boxes, cases or exhibit materials shall be brought into or out of the Meeting Space during event hours and no dismantling or packing maybe started before the official close of the event. All exhibits must be open for business during event hours and appropriate representatives of Exhibitor must be present in the Meeting Space at all times during the open hours of the event. After hours Receptions in the Exhibitor’s Space are permitted provided ICSC receives written notification of the event. All food and beverage for your event must be ordered through The Good Eating Company, exclusive caterers to the Business Design Centre, London. 8. RISK ASSESSMENT An exhibition stand is a workplace covered by health and safety legislation. As the exhibitor it is the exhibitor's responsibility to ensure that a suitable and sufficient risk assessment is completed and you have read and understood your responsibilities as laid out in the Health & Safety at Work Act 1974, and taken note of the most common areas of risk as laid out in this Act and all relevant legislation covering the Business Design Centre, London. Failure to do so could lead to delays or ultimately the closure of your stand. 9. FORCE MAJEURE Should any circumstance beyond the control of, and not the fault of ICSC prevent or materially affect the event from being held as scheduled, or the exhibit space not being available for uses herein specified due to war, governmental action or order, act of God, fire, strikes, labor disputes or any other cause beyond the control of ICSC, this Agreement shall immediately terminate and no fees shall be returned. 10. NON-ASSIGNMENT An Exhibitor may neither assign to a third party any rights under this Agreement or any rights here under to or permit any party to use the Meeting Space or any portion thereof without the written consent of ICSC which ICSC may withhold in its sole discretion and subject to ICSC’s right set forth in Paragraph 5. 11. SALES OR TRANSFER OF EXHIBITOR’S BUSINESS Exhibitor agrees to promptly notify ICSC if there is a sale or transfer of a substantial portion of the assets of Exhibitor’s business, or a transfer of a controlling equity interest in the Exhibitor’s business, or if Exhibitor makes an assignment of its business for the benefit of creditors, or if Exhibitor admits in writing its inability to pay its debts as they come due, or if Exhibitor files a voluntary petition in bankruptcy, or if Exhibitor is adjudicated as bankrupt or insolvent. If any of the foregoing events occur, ICSC may, at its option, terminate this Agreement. 12. COMPLIANCE WITH LAWS Exhibitors shall bear responsibility for the compliance with any and all local, city, and national safety, fire and health laws, ordinances and regulations, including Policies, Rules and Regulations of the Business Design Centre, regarding installation, dismantle and operation of the exhibit. 13. COPYRIGHTED WORKS Exhibitor acknowledges and agrees that it shall be solely responsible for obtaining any licenses, permits, etc which may be required for it to broadcast, perform or display any copyrighted materials including but not limited to music, video, software. Exhibitor shall indemnify, defend and hold harmless ICSC, its directors, officers, employees and agents and each of them, from and against any and all claims and expenses, including legal fees and costs, arising out of or related to Exhibitor’s breach of this provision. The terms of this provision shall survive the termination or expiration of this Agreement. 14. LIABILITY Whilst the Organiser will endeavor to protect exhibition property whilst on display at the event it must be clearly understood that the management of the Premises, the Company and the Organisers cannot accept liability for any loss or damage sustained or occasioned from any cause whatsoever save that nothing in this Contract shall be deemed to limit the liability of any person for death or personal injury caused by negligence. Exhibitors will be responsible for all damage to property and for any loss or injury caused by them or their employees, agents or contractors and will indemnify the Organisers and the Company against all claims and expenses arising therefrom. 15. EXHIBITOR CONDUCT Neither Exhibitor nor any of its representatives shall conduct themselves in a manner offensive to standards of decency or good taste. Further, ICSC shall have the right to remove and ban Exhibitor and/or any of its individual representatives from the event building if ICSC, in its sole discretion, determines that Exhibitor or any of its representatives are not able to conduct themselves in a professional manner towards fellow exhibitors and/or the staffs of ICSC, the Business Design Centre, and Melville or any of their respective officers, agents, employees or other representatives. 16. SERVING OF ALCOHOLIC BEVERAGES Exhibitors will not be permitted to sell, serve, or give away alcoholic beverages at the event without prior written approval from ICSC. All food and beverage for your event must be ordered through The Good Eating Company, exclusive caterers to the Business Design Centre, London. 17. GENERAL CONDITIONS The Organisers are responsible for the control of the event areas. Exhibitors are responsible for the control of their own stands. The decision of the Organisers is final and decisive on any question not covered in the foregoing regulations. Exhibitors must comply in all respects with the requirements of every competent authority the Terms of Agreement by which the Organisers may occupy the Premises and with policies of insurance effected by the Organisers so far as they relate to the activities of the Exhibitor under this contract and where any of them conflict with those regulations they shall override those regulations.
