Directions to the Business Design Centre
By Bus: The following bus routes all stop near to the Business Design Centre in Upper Street: 4,
19, 30, 73, 43, 38, 56 and 341
By Rail: Euston and King’s Cross Stations & St Pancras International for Eurostar are a short
distance away.
By Underground: A regular underground train service (Northern Line) runs to and from the
Angel Station. Angel station is one stop from London King’s Cross and St Pancras International
and two stops from Euston Station, on the Northern line. From Heathrow Airport: take Heathrow
Express train to Paddington Station, which is a 20 minute ride. From Paddington you can either
take a taxi to the Business Design Centre, or take the Circle, Hammersmith or Metropolitan
underground lines to King's Cross, then the Northern line to Angel.

IMPORTANT DEADLINES
Task
Retail Connections 2014 aims to provide a “turnkey’ exhibit stand for the exhibitor’s use.
Exhibit stands are intended to provide a uniform look. Exhibitors can not provide their
own custom booth for this programme. There are three primary stand types.

Design Centre is being held. The ICSC group rate is £179 plus VAT for standard room
and £209 plus VAT for deluxe room.

AUDIO VISUAL RENTALS
AVC Productions is the approved Audio Visual & Event Product partner of the Business
Design Centre, offering a total event solution that covers everything from advance
planning and design to AV hire, live production, on-site management and post
production services. Please call +020 7388 2068 for additional information.
CATERING
Retail Connections will provide continuous catering service and light beverage service
(water, tea, etc.) during the event. A buffet lunch will be served between 12:00 and 13:30
in the networking area at the back of the exhibition hall, and it's free of charge for all
attendees. Should you require specific items for your stand, please contact:

ELECTRICAL AND LIGHTING
Each stand is supplied with overhead lighting and one general outlet. The general outlet
will be placed near the reception counter. Additional outlets can be ordered, at the
exhibitor’s expense, by using the Business Design Centre’s “Lighting and Electrics”
order form provided in the “FORMS” section of this manual.

ICSC works with DePrez Travel Bureau Inc. to assist in your travel needs.
FURNITURE
Exhibitors can substitute the provided furniture package with their own furniture or rent
furniture from GES Exposition. No credit will be issued for unused furniture provided in

Floral arraignments can be ordered directly from Angel Flowers by visiting their website

GRAPHICS
All exhibits are provided with a company ID sign which is part of the exhibit packages.
Exhibitors may NOT customize the company ID sign which is part of the package.
Exhibitors can utilize the interior walls of the stands to display custom graphics and
literature. Light weight graphics can be affixed to the panels using Velcro fastener or
tacky adhesive. The show contractor, GES, can create your graphics to custom fit your
stand. Please refer to the graphics order form in this manual.
Interior Graphics
Exhibitors can display custom graphics on the interior of their stand. The width of
the graphics depends on the method used to construct the graphic. Due to the
vertical uprights between the panels, a safe graphic width of 841mm should be
considered. Panels created with materials such as foamcore can however be as
wide as 945mm. The look of a graphic this wide may be impacted due to the
uprights. Graphics can be up to 2340mm high.
Interior Graphic Summary:
 Interior graphics can be as tall as 2340mm
 Interior graphics produced on materials such as foamcore can be as wide as
945mm
 To safely fit the entire graphic on a panel with space around it, a width of
841mm is suggested
Exterior Graphics
Exterior graphics are not allowed.
SECURITY
Show Management provides general, perimeter security on the day of the event. The
Business Design Centre provides general venue security on a 24-hour basis. While
Show Management will exercise reasonable care in safe guarding your property, neither
ICSC, the facility nor the show’s contractor will be held liable for such property.
Exhibitors are advised to take precautions to safe guard their own property. Please bear
in mind that your exhibit merchandise and displays are your prime selling tools. It is
therefore of utmost importance that you take every precaution to protect your materials.

EXHIBITOR BADGE REGISTRATION
Your booth package includes day passes for your key leasing staff at the event. These
names can be submitted through the online exhibitor portal.
 Using the password provided in your exhibit confirmation letter, please log on to:

 Click on the “Edit” button under “Booth Personnel”
 Here you can choose from the drop down menu or enter a new staff name.
SHIPPING
GES will assist in handling your shipping needs for this event. Material handling includes
unloading your exhibit materials, accepting shipment of materials and storing up to 15
days in advance at the warehouse, delivery to your booth, moving empty containers to
and from storage, and the removal of repacked materials to the GES warehouse for
reloading onto outbound carriers. GES services do not include the cost to transport your
exhibit materials to and from their warehouse. Exhibitors are advised to work with GES
to ensure their shipments are handled correctly. Please refer to the shipping order forms
located in this manual.
Shipping to the GES Logistics Warehouse
GES will accept freight beginning 9 February 2014. The last day shipments will be
accepted at the warehouse is 27 February 2014. The warehouse will accept shipments
Monday – Friday, 09:00 – 16:00.

GES Important Shipping Information:
 A copy of all Airway bills and documentation should be faxed to Steve Tait as
they are available. Also include a copy of pro forma invoices, stand contact name
and delivery date to the stand.
 If you wish to send a courier shipment to the show, please arrange it to be sent to
the GES Logistics depot prior to the show to ensure delivery to the show at your
preferred date and time. Please remember – a majority of courier companies do
not deliver on weekend.
 A pro forma invoice is required for HM Customs and Excise in order to clear
customers and must contact the following information:

Shipping directly to the Business Design Centre:
Exhibitors may ship materials directly to the Business Design Centre. Shipments will not
be accepted prior to venue tenancy. Therefore, all shipments must arrive on 3 March
2014 between the hours of 08:00 and 16:00. Shipments sent directly to the
Business Design Centre will not be accepted prior or after 3 March 2014. Someone
from your company must be available to receive and sign for the package.

SHELL SCHEME EXTRAS
Exhibitors can purchase additional items for the exhibit at their own expense. The
Business Design Centre offers a variety of products to enhance the appearance of your
exhibit. Please refer to the “Shell Scheme Extras” order form in this exhibit manual.
Payment of Charges
Unless freight is routed via one of the appointed agents we will require payment of all
charges, as advised by GES, prior to the last day of the show. Personal or foreign
cheques are not acceptable. Settlement can be made in advance by bank transfer or
alternatively on site by cash or credit card.

Event / Stand Catering Details
• All catering details, final costings etc should be arranged directly through the Good Eating Company office ten (10)
working days prior to the date of the event or stand catering requirements. These details, in the case of Exhibitor Stand
Catering, are to be entered into this form and forwarded to our office for confirmation. Please refer to our methods of prepayment. Minimum food order for 10 persons applies.
Please Note
• Our policy, as exclusive caterers to the Business Design Centre does not allow for food and beverage to be brought onto
the premises. This applies to organisers, exhibition stands, guests and other persons.
• Food and beverage remains the property of the Good Eating Company – here at the Business Design Centre and cannot
be removed from the premises without prior approval.
• Menu prices are effective to December 2013. However the Good Eating Company’s management reserves the right to
change prices due to market conditions.
• All prices are quoted in Pounds Sterling and are exclusive of vat.
NB Deliveries to stands can only be made once a day, unless food is ordered.

TERMS, CONDITIONS AND RULES AGREEMENT TO TERMS, CONDITIONS AND RULES
Exhibitor agrees that these Terms, Conditions and Rules are an integral part of this Agreement and that it is bound to observe and abide by the provisions of the following paragraphs and by
such additional Terms, Conditions and Rules made ICSC and communicated to the Exhibitor from time to time, including but not limited to, those contained in the exhibitor service manual
(“Exhibitor Manual”) which ICSC will provide to Exhibitor in print or electronically, all of which are hereby incorporated in this Agreement.
1. COST OF MEETING SPACE
The Pavilion is a Package A Stand: 6 x 6m carpeted business suite a maximum of 5 meeting tables, each with 4 chairs, and a reception desk for the use of the National Council or Committee.
2. FURNITURE
Each stand package will come inclusive of the furniture mentioned above. Pavilion co-exhibitors may order alternative furniture, at co-exhibitors cost. All costs can be found in the exhibitor
manual which ICSC will provide to co-exhibitor electronically.
3. RETAILER GUESTS AND REQUESTS
In order to assist with the retailer invitation process must send a maximum of nine (9), retailer requests to ICSC within 4 weeks of your registration and ICSC will invite them on your behalf.
All exhibitors will share their retailer contact details with ICSC in order to improve the event and number of retailers attending the event.
4. PAYMENT OF EXHIBIT SPACE
ICSC’s payment policy requires all Exhibit Space requests to be paid in full and submitted with this application, or by the deadline date of 27 September 2013 in order to qualify for the
advanced registration fees. Exhibit Spaces will not be reserved or assigned without the appropriate payment.
5. CANCELLATION OF MEETING SPACE
At no time or under no additional conditions will Meeting Space deposit be refunded.
6. ASSIGNMENT OF EXHIBIT SPACE
ICSC shall assign the Meeting Space to Exhibitor for the period of the event. Such assignment is made for the period of this event only and does not imply that the same or similar space will be
held or offered for future events. ICSC reserves the right to terminate this Agreement, close the exhibit or remove the Exhibitor’s property from the Meeting Space if ICSC determines in its sole
discretion that the Exhibitor has violated any part of these Terms, Conditions and Rules.
7. EVENT HOURS AND DATES
Hours and dates for installing, showing and dismantling exhibits shall be those specified by ICSC in the Exhibitor Manual. No boxes, cases or exhibit materials shall be brought into or out of the
Meeting Space during event hours and no dismantling or packing maybe started before the official close of the event. All exhibits must be open for business during event hours and appropriate
representatives of Exhibitor must be present in the Meeting Space at all times during the open hours of the event. After hours Receptions in the Exhibitor’s Space are permitted provided ICSC
receives written notification of the event. All food and beverage for your event must be ordered through The Good Eating Company, exclusive caterers to the Business Design Centre, London.
8. RISK ASSESSMENT
An exhibition stand is a workplace covered by health and safety legislation. As the exhibitor it is the exhibitor's responsibility to ensure that a suitable and sufficient risk assessment is completed
and you have read and understood your responsibilities as laid out in the Health & Safety at Work Act 1974, and taken note of the most common areas of risk as laid out in this Act and all
relevant legislation covering the Business Design Centre, London. Failure to do so could lead to delays or ultimately the closure of your stand.
9. FORCE MAJEURE
Should any circumstance beyond the control of, and not the fault of ICSC prevent or materially affect the event from being held as scheduled, or the exhibit space not being available for uses
herein specified due to war, governmental action or order, act of God, fire, strikes, labor disputes or any other cause beyond the control of ICSC, this Agreement shall immediately terminate and
no fees shall be returned.
10. NON-ASSIGNMENT
An Exhibitor may neither assign to a third party any rights under this Agreement or any rights here under to or permit any party to use the Meeting Space or any portion thereof without the
written consent of ICSC which ICSC may withhold in its sole discretion and subject to ICSC’s right set forth in Paragraph 5.
11. SALES OR TRANSFER OF EXHIBITOR’S BUSINESS
Exhibitor agrees to promptly notify ICSC if there is a sale or transfer of a substantial portion of the assets of Exhibitor’s business, or a transfer of a controlling equity interest in the Exhibitor’s
business, or if Exhibitor makes an assignment of its business for the benefit of creditors, or if Exhibitor admits in writing its inability to pay its debts as they come due, or if Exhibitor files a
voluntary petition in bankruptcy, or if Exhibitor is adjudicated as bankrupt or insolvent. If any of the foregoing events occur, ICSC may, at its option, terminate this Agreement.
12. COMPLIANCE WITH LAWS
Exhibitors shall bear responsibility for the compliance with any and all local, city, and national safety, fire and health laws, ordinances and regulations, including Policies, Rules and Regulations of
the Business Design Centre, regarding installation, dismantle and operation of the exhibit.
13. COPYRIGHTED WORKS
Exhibitor acknowledges and agrees that it shall be solely responsible for obtaining any licenses, permits, etc which may be required for it to broadcast, perform or display any copyrighted
materials including but not limited to music, video, software. Exhibitor shall indemnify, defend and hold harmless ICSC, its directors, officers, employees and agents and each of them, from and
against any and all claims and expenses, including legal fees and costs, arising out of or related to Exhibitor’s breach of this provision. The terms of this provision shall survive the termination or
expiration of this Agreement.
14. LIABILITY
Whilst the Organiser will endeavor to protect exhibition property whilst on display at the event it must be clearly understood that the management of the Premises, the Company and the
Organisers cannot accept liability for any loss or damage sustained or occasioned from any cause whatsoever save that nothing in this Contract shall be deemed to limit the liability of any
person for death or personal injury caused by negligence. Exhibitors will be responsible for all damage to property and for any loss or injury caused by them or their employees, agents or
contractors and will indemnify the Organisers and the Company against all claims and expenses arising therefrom.
15. EXHIBITOR CONDUCT
Neither Exhibitor nor any of its representatives shall conduct themselves in a manner offensive to standards of decency or good taste. Further, ICSC shall have the right to remove and ban
Exhibitor and/or any of its individual representatives from the event building if ICSC, in its sole discretion, determines that Exhibitor or any of its representatives are not able to conduct
themselves in a professional manner towards fellow exhibitors and/or the staffs of ICSC, the Business Design Centre, and Melville or any of their respective officers, agents, employees or other
representatives.
16. SERVING OF ALCOHOLIC BEVERAGES
Exhibitors will not be permitted to sell, serve, or give away alcoholic beverages at the event without prior written approval from ICSC. All food and beverage for your event must be ordered
through The Good Eating Company, exclusive caterers to the Business Design Centre, London.
17. GENERAL CONDITIONS
The Organisers are responsible for the control of the event areas. Exhibitors are responsible for the control of their own stands. The decision of the Organisers is final and decisive on any
question not covered in the foregoing regulations. Exhibitors must comply in all respects with the requirements of every competent authority the Terms of Agreement by which the Organisers
may occupy the Premises and with policies of insurance effected by the Organisers so far as they relate to the activities of the Exhibitor under this contract and where any of them conflict with
those regulations they shall override those regulations. (In compliance with English Law).
