SHIPPING INSTRUCTION
Introduction
The Official organizer has appointed APT Showfreight Shanghai Co., Ltd. (APT) the official freight
forwarding(international department), site handling, and customs clearance agent for the overseas
exhibitors of the above-mentioned exhibition. Controlling the flow of all exhibits of the international
exhibitors of the said exhibition is APT’s responsibility under the Chinese Authorities’ requirements.
When making forwarding arrangement of exhibits, please be reminded that only the official freight
forwarding is entitled to the exhibits handling after they have arrived at PRC.
Full information and instructions are enclosed here into help you ensure the correct dispatch of goods
and associated documents to this show. Kindly read these carefully and comply with them accordingly.
Non-compliance will cause unnecessary delay in customs clearance and additional expenses.

Remarks:
1.
It is mandatory to have all exhibits containing wooden materials (internal or external packing or for
stuffing or fixing purpose) and materials as minor as wooden chip, beams, etc. fumigated before
importing to China by the Chinese authorities. All treated wooden materials must bear the officially
recognized mark “International Plant Protection Convention (IPPC)” up to local authorities' required
standard. Any violation of these rules and regulations will result in late release or being penalized or
being returned to the shipments' originated ports or being confiscated at exhibitors' expenses and
risks. This regulation is applicable for all countries / cities (including Hong Kong SAR, Macau SAR
and Taiwan).
Holiday adjustments during Labor Day, National Day, and Dragon Boat Festival definitely affect the
regular arrangement of customs clearance and collection of cargoes; adhering to our documents
and cargoes receiving period is IMPORTANT to avoid any delays.

Before shipment arrival P.R.C, shipment pre-alert with the following details must be sent to the notify
party as the above mentioned:
- Dimensions and weight of each package;
- Estimate Date of Departure and Arrival;
- Flight No. / Name of Vessel & Voyage No.;
- Master Air waybill No/ Master Ocean B/Lading (NO HOUSE AWB/OBL IS SUGGESTED.);
- Declaration Form for Temporary Import Exhibits.
For AIR shipment, the Declaration form for temporary import exhibits MUST also be attached to air
waybill, as your shipment can only be cleared Customs against this document.
For SEA shipment, ORIGINAL Bill of Lading together with official “Declaration Form for Temporary
Import Exhibits " MUST be dispatched to the APT at least 1 week before the goods arrival PRC port.
Full container loaded sea shipment under through Bill of Lading to PRC, it is essential to specify in B/L
service code at destination is CY/CY.

For break-bulk cargo, they must be unloaded at PRC port AS PER TIME SCHEDULE. When deciding to
use this mode of transportation, the exhibitors must be fully aware of the uncertainty of the duration from
vessel arrival PRC till unloading of cargo at PRC terminal.
Exhibition Documents
Customs Clearance will be preceded according to the "DECLARATION FORM FOR TEMPORARY
IMPORT EXHIBITS", both for exhibition opening and closing. All exhibitors are requested to complete in
both English and Chinese in full the "DECLARATION FORM FOR TEMPORARY IMPORT EXHIBITS"
and return to us according to our TIME SCHEDULE. Description of ALL exhibits, including promotional
materials - catalogues, souvenirs, samples, visual aids - must be declared precisely, such as: including
the DIMENSION of individual package, MODEL NOS., SERIES NOS., BRAND NAMES, MAJOR
COMPONENTS, MATERIALS,QUANTITIES, and VALUE, etc..
On request, we can also have the “Declaration Form for Temporary Import Exhibits” translated into
Chinese at exhibitor’s expenses. However, these documents MUST reach us on time. Hand-carried
exhibits brought to the exhibition must also be declared, but separately.
Temporary Importation
The Chinese Authorities permit exhibits to be imported into China on temporary import basis on approved
trade shows. Temporary import is allowed for 6 months from the date of entry and must be re-exported
unless duties and taxes are paid in the event of conversion to permanent import. Extension of temporary
import is allowed subject to Customs’ approval.
ATA Carnet is also accepted for temporary import in China. Temporary Import Bond is not applicable in
the event of approved trade fairs in China.
Promotional Materials
When Taiwan, Hong Kong, or Macau is mentioned in these promotional materials, the exhibitors should
avoid using any expression of interpreting those places are in the position equivalent to a country.
All requirements of sending these materials to this exhibition could be referred to Form 6C –
Acknowledgement of Customs Clearance Formalities.
Quarantine Inspection and Fumigation
Please refer to FORM 6D--Acknowledgement of Quarantine Inspection & Fumigation Formalities
and notice of Quarantine Inspection and Fumigation – for details.
Dangerous Goods
Exhibitors need to complete and send to APT a special form for dangerous goods. The completed form
should reach
APT before shipment is dispatched. Such form will be provided upon request.
The surcharge for handling of dangerous cargo will be given upon request and this charge will be
charged at exhibitors’ account.
For your information, no cargo having dangerous nature will be accepted by the Rail in PRC; airlines &

ocean carriers only accept those shipments to the limited extent. Exhibitors shall be liable for the
consequences of re-exporting such items to out of China without consulting APT in advance.
PACKING OF EXHIBITS
Exhibitors shall be responsible for the consequences of improper packing
A. Protection against Damage and Rain
As the exhibits are repeatedly loaded and unloaded during transportation, shocking/bumping will
sometimes be inevitable. Moreover, exhibits will be placed outdoors many times, including open-air
storage at the exhibition centre before and after the exhibition. Therefore, exhibitors must take necessary
precautions against damage and rain, since we cannot assume any responsibility for the damage,
especially when the return exhibits are to be packed with used-packing materials (the case as well as
aluminium foil, plastic covers, etc., very often would have been damaged already during unpacking).
B. The Case
The case must be strong enough to avoid damage during transportation as well as unpacking, and in
particular, be suitable for repacking and for sale for return movement after the exhibition. Packing in
cartons is not considered suitable for repeated handling, especially for valuable or delicate equipment.
Heavy And Oversize Exhibit
If you have heavy and oversize exhibits, you must be on-site early to direct the operation of uncrating
and positioning. If crane of forklift is required for installation of equipment, please send your requirement
to us as early as possible so that we could arrange contracting such equipment in advance. A quote will
be given after receiving your enquiry.
This Form 6E will be provided upon request.

Customs Clearance, Unpacking & Repacking of Exhibits
Clearance and inspection, for both inbound and outbound movement, in Chongqing will be undertaken
on behalf exhibitors by APT. However, exhibitors’ representative(s) must be present to supervise the
unpacking, assembling, positioning, dismantling, and repacking. APT will not be responsible for any
delay in these procedures due to the representatives’ late arrival or the absence of exhibitors’ advance
explicit instructions. To remain the close contact, representative’s contact details must be provided to us
in advance.

No exhibits are allowed to unpack on or take away from the show ground without Authorities’ approval
through APT as they are imported to China on the basis of temporary importation permission.
Hand-Carry Exhibit
Exhibitors are strongly advised not to hand-carry goods for this exhibition as it could be detained by the
Chinese Customs at the airport, Exhibitors should immediately hand over the detention receipt and the
duly filled List of Exhibits to our staff at the fairground to load the goods from the airport. These exhibits
will then have to be returned as a shipment.
The handling charges for the hand-carry items will be the same as our inbound airfreight charge, plus
late arrival surcharges as applicable.
Insurance
It is the responsibility of each exhibitor to arrange Marine (Transport) Insurance covering transport to the
exhibition, during the exhibition, till the return of the exhibits to domicile/ exhibits sold locally, including the
period the exhibits are handled by APT Showfreight Shanghai Co., Ltd. Our tariff is computed on the
basis of volume and weight and has no correlation with the value of exhibits which means the cost of
insurance cover is not included in our charges.
APT Showfreight Shanghai Co., Ltd can offer the exhibitor insurance coverage at competitive premiums
upon receiving request.
Late Arrivals
A late arrival surcharge, 30% based on basic handling rate, will be applicable if the shipment arrives after
the stipulated deadline.
In the event of late arrivals, APT Showfreight will make all reasonable efforts to ensure delivery before the
show opens; however, no guarantee can be given. The surcharge will apply regardless of delivery date to
the show site. APT Showfreight also reserves the right to reject handling any cargo that arrives at the
Shanghai seaport / airport only 7 days prior to the show open date. All additional charges incurred due to
the late arrivals shall be borne by the exhibitors.
Customs Procedure at Close of Exhibition
Prior to the move-out days, exhibitors will be given a 'Return Shipping Instructions' to fill in based on the
List of Exhibits given at time of entry of goods into China. Exhibitors are required to advise APT
Showfrieght if the goods will be re-exported, sold or disposed, as applicable.
During move-out days, representatives of APT Showfreight will be on-site to help exhibitors with return of
empty cases, repacking, re-export, etc. as applicable. In order to ensure the closing of the exhibition can
be operated smoothly, those exhibitors having heavy and oversized exhibits may be required to repack
their exhibits on the next day. Our on-site operational staff will inform exhibitors the exact arrangements.
In the event of non-compliance of return instructions, all goods left at the exhibition venue shall be
subject to disposal by the Chinese Customs and all charges relating to the disposal including duties and

taxes if any, shall be borne by the exhibitor.
Exhibitors must pay special attention to the following regulations:
- items other than those declared exhibits (e.g. personal effects, souvenir bought in China) are absolutely
not allowed to be returned together with exhibits.
- Violations of these regulations will result in confiscation and heavy fines imposed by the Chinese
Customs.
- Battery is controlled item by airline. If exhibitors cannot provide certificate for safe transport of chemical
goods, please take out batteries before re-pack.
Return of Exhibits
The re-export formality will require about 2 weeks prior to the re-export shipment out of China. If the
exhibitor needs the goods to be re-exported urgently, please advise representatives of APT
Showfreight on-site of your request as applicable.
Terms Of Payment
Inward : Upon uplift of goods, prior to delivery to stand.
Outward : Upon presentation of invoice/prior to delivery to premises.
All payments must be made without any deduction or deferment on account of any
claim,counterclaim or offset.

If ATA Carnet is used for temporary import, an ATA Carnet handling fee is applicable to exhibitor at
CNY350.00 per Carnet per entry or exit endorsement.
Please note that the individual MAWB or B/L must be issued for cargo which is sent under ATA Carnet.
Kindly consult APT Showfreight for the detailed consignment instruction for issuing the individual MAWB
or B/L and showing the ATA Carnet No. on the MAWB or B/L in the shipping mark & Notify party.
CUSTOMS BOND FEE
Customs Bond Fee as 100% CIF value will be levied for temporary import shipment without ATA Carnet
and refund after all shipment re-export from China. It may take 3 -4 months after re-export and customs
data file closed.
If customs bond is arranged by APT on behalf of the exhibitor as per exhibitor’s written request for
temporary import, a customs bond handling fee is applicable to exhibitor at 5% of CIF value with
minimum of CNY 1000.00/consignment/exhibitor..

INSPECTION AND QUARANTINE IN CHINA
Effective Date:
January 01, 2006 (Date of Shipments Arrival China)
Applied Countries, Cities, and Districts:
All countries / Cities (Including Hong Kong SAR, Macau SAR and Taiwan)
Applied Scopes:
All non-processed wooden packing materials used to carry, pack, pad and support, and reinforce the
goods, such as, but not limit to, wooden case, crate, pallet, frame, beam, skid, wedge, sleeper and pad.
Exempted Scopes:
1.
Being heated and pressed wooden packing materials, such as:plywood, particleboard, fiberboard,
etc.
2.
Veneer core, saw dust, wood fiber and particle and other wood materials with its thickness equal or
less than 6mm.
Treatment / Fumigation Standard:
Wooden packing materials must be treated by Heat Treatment (HT) or Methyl Bromide (MB) fumigation
at the export countries, cities, or districts, and marked with “IPPC” (sample shown as below) on two
opposite sides.
The Mark should contain the valid symbol approved by IPPC, country code, unique number of producer /
treatment designated by the National Plant Protection Organization (NPPO) in exporting countries and
treatment methods (HT, or MB)
If the wooden packing materials without the official mark of “IPPC” or with the mark but in unqualified
treatment, the Authorities will destroy the cargoes or return them to the port of origin.

Acknowledgement of Customs Clearance Formalities
Dear Exhibitor,
We, APT SHOWFREIGHT SHANGHAI CO.,LTD. are pleased to announce that APT has been appointed the
official freight forwarder, site handling and customs clearance agent for the above exhibition. This is our honor
to provide our quality forwarding services to you. For your information, all overseas exhibits are only allowed to
PR China under temporary customs bond, and all of them will be kept under surveillance by the Chinese
Authorities.Therefore, strictly abiding by the below formalities will keep you free from facing serious
consequences on violating related rules and regulations.

Return of Exhibits
Please provide disposal instructions for all of your exhibits, regardless of disposal nature, to APT
before the closing of exhibition. For any emergency needs in return shipments, your instructions MUST
reach APT before the opening of exhibition.
Sold
Without prior approval of the Chinese Authorities, exhibits are prohibited from being sold by retail to
visitors on spot. Any sales, irrespective of value, is mandatory to go through official procedures –
packed and returned to the customs bonded warehouse after the fair pending till the completion of import
formalities, and clearance of tax and duties, local transportation, as well as bonded warehouse storage
charges by the exhibitor, buyer or official importer.
Consumed Exhibits
Promotional Materials: Publicities, Souvenirs, Samples, Visual Aids, or etc.
If an exhibitor has an intent of using visual aids and distribution of promotional materials on site,
accompanied with completed Declaration Form for Temporary Import Exhibits, please hand over or
courier all visual aids – CD, VCD, DVD, film, photograph, map, etc. – and two samples of publicities –
catalogue, leaflet, etc. – and souvenirs, etc. to APT on or before the date stipulated in the Time Schedule.
APT will on forward them to the Chinese Authorities for censorship. The grant of this intent is subject to
the Authorities’ approval and levies. The censorship usually takes 3 – 4 working days; and criteria for
approval and assessment of tax and duties are the nature of commodity, value, and quantity. Late
approval is the result of late submission. Please pay attention.

According to the current practice, the allowed distribution quantity of Videotape/CD/VCD/DVD,
combination, is limited to 199 pieces, which is subject to the change of the customs regulations.
Exhibitor is strongly advised to get the update from APT before it arranges its shipment.)

Distribution of periodicals in the exhibition is strictly prohibited.
Give-away to Domestic Company
Give-away items means the exhibitor provides its agent, sub-company, and corporate partners in PR
China with its exhibits free for the purpose of business development. The clearance procedures are same
as Sold exhibits – packed and returned to the customs bonded warehouse after the fair pending till the
completion of import formalities, and clearance of tax and duties, local transportation, as well as bonded
warehouse storage charges by the exhibitor, receiver or official importer.
Abandoned Exhibits
Under the Customs’ rules and regulations, no abandoned exhibits are allowed to be disposed by
exhibitor’s own arrangement. They must be re-packed and handed over to the Customs’ disposal via APT.
Transportation to bonded warehouse, Storage, Customs duty/VAT imposed by customs and the related
Customs formalities charges are at the exhibitor’s account. It is also subject to the Authorities’ approval
for abandoned that will cost more storage. You are suggested NOT to abandon the exhibits due to the
more high charges will be incurred. The final decision should be determined by the customs after its
assessment of the abandoned exhibits. Despite of abandoned exhibits, any violation of these official rules
and regulations will also drag you into the possibilities of fine and penalties.
In view of the above facts, we highly suggest that returning those exhibits which you intend to abandon
would be the best and most economy way.
After the submission of declaration, no change is accepted by the Authorities.
