Dear Exhibitors!
We are happy that you have decided to participate in our show. The technical division of
Premier Expo will work hard to ensure you have a successful show. Please do not hesitate to
contact us if you have a query about anything in this manual.
Please note that some of the Forms attached to this manual are obligatory: Form 3 and the
Pro-forma Invoice for equipped space, and, for space only sites, Form 2 and the Pro-forma
Invoice.
Exhibitors who build their stands with the help of other stand builders or on their own must also
provide a drawing of the stand (2D and 3D) and an electrical plan with an indication of kW for
each electricity-consuming item. This documentation must be sent no later than 1 month before
the show.
The rest of the forms only need to be completed if such services are required.
If you need to cancel an order (no later than 1 month before the set-up), you must send an
official letter, signed and stamped. If we do not receive this letter, the order will still be valid and
invoices must be paid.
Please adhere to the deadlines. Late orders are subject to a surcharge, as stated in the
manual.

subject to a 100% surcharge.
Please note that if orders are late, equipment may not be available.
DEADLINES ON-SITE
All stands must be ready for inspection by 18:00, on the last day of the build-up. Therefore, it is essential that
you are present on your stand on the morning of the last day of build-up at the latest to ensure that your stand is
completely equipped and decorated by that time.
Any boxes/cartons which have not been unpacked by 17:00 on the last day of build-up may be removed from your
stand at your expense and can only be re-delivered to your stand after the official opening and the VIP tour.
The exhibition will be closed at 17:00 on the last day so that the forwarding agent can begin with the delivery of
empty packages.
IT IS STRICTLY FORBIDDEN TO PACK THE EXHIBITS BEFORE THE OFFICIAL END OF
THE SHOW – 30 OCTOBER 2014, 17:00!

ACCESS
Exhibitor: Exhibitor Badges allow exhibitors and their personnel to access the exhibition hall. For details, please
refer to the Marketing Manual.
Badges can be collected on-site at the registration desk.
Contractors: Personnel involved in the build-up and dismantling of your stand will only be allowed to access by
security if they hold a work passes (orange badges), which you can collect from the Premier Expo reception on-site.
These passes are free of charge.
WORKING HOURS
The normal working hours during build-up and dismantling are 9:00 till 22:00 each day. Please refer to dates and
deadlines, page 4.
RESTAURANTS / CAFES
There are bars and cafes at the International Exhibition Centre.
SMOKING
PLEASE NOTE!
The International Exhibition Centre is a no-smoking area. Smoking is only allowed in closed offices and in
specially designated places next to the toilets.
FIRST AID
You can make use of the medical room’s services. It is located in the room №103 near the entrance from the
metro Levoberezhnaya side, in the International Exhibition Centre pavilion 1 room 103 and pavilion 3.

EQUIPPED, SHELL SCHEME
Built by Premier Expo
Stands will be built using Octanorm or other systems using of aluminium poles and beams and plastic panels. The
standard size of the wall panels is ~ 100 x 250 cm with a face size of ~ 95 x 238 cm. If you require exact information
about the panels used on your stand, please contact Premier Expo Technical Division.
No additional stand fittings or displays may be attached to the stand shell structure. Wall panels and other
stand material must be returned after the exhibition without any damage caused by nailing, drilling, wallpapering,
inappropriate self-adhesive tape, etc., so please ensure that you have enough chain, hooks, etc., to hang posters and
other displays. The cost of repair or replacement of damaged equipment will be charged to the exhibitor.
Please refer to your space application form to see which equipment is already included in your package. No
financial credit can be given for items included in these packages but not utilised. Additional equipment can be
ordered; please refer to Appendix - 1. Technical forms, Form 4 (page 19). You can find the outlines of additional
equipment in Appendix - 2. Pictures of additional equipment, on page 23.
In order to stabilise the structure, it might be necessary to include additional supporting poles and beams or wall
panels, which are not necessarily shown on our stand layouts.
Should you need to remove these supports temporarily due to the delivery of large exhibits to your stand, you
must have the permission of the stand constructor and must make sure that all possible safety measures are taken.
Please pay attention that your stand has common walls with other companies and thus its partition order may be
different from one indicated in the stand layout.
ELECTRICITY FOR EQUIPPED, SHELL SCHEME
Electrical supply and consumption are included in equipped space (please refer to Appendix - 4. Basic shell
scheme). You may order additional electrical plug sockets on Form 4.3 (page 21) or order an electrical main
supply connection of Form 2 (page 17) (please refer to Appendix - 1. Technical Forms). Please choose the correct
consumption you need on this form.
Electricity will be supplied for the exhibition. During build-up and dismantling, exhibitors or their contractors
should use battery-powered tools or bring an extension cable drum to reach one of the few on-site plug sockets.

ACCREDITATION
IMPORTANT: The IEC - International Exhibition Centre requires an accreditation procedure involving
management and accreditation fees from every stand construction company or self-constructor. These fees
will be debited by IEC to the stand construction companies or self-constructors irrespectively of the contract
between ITE / Premier Expo and you.
We have no influence on this accreditation process and will not be able to assist you with the procedure or
on-site if regulations have not been followed.
Exhibitors that have ordered a space-only site, or are having their stand built independently, must obtain
accreditation before 26 September 2014 in the International Exhibition Centre in order to receive permission
to carry out the work. In the event that the exhibitor does not obtain permission, the Organiser is entitled to
prohibit the construction of the stand.

SPACE ONLY SITES
Indoor and Outdoor
You must send the name of your stand builder incl. contact details to Premier Expo as soon as you receive this
information. Please send this information to Vasiliy Kornienko by fax +38(044) 496-86-46.
A floor covering (e.g., carpet) and rear and side walls of a minimum height of 2.5 m must be provided by the
exhibitor or his stand builder. Construction may exceed a height of 2.5 m, but only with permission in writing from
Premier Expo, prior to the exhibition. The reverse side of your wall/s must be of neat appearance if it overlaps the
height of those on neighbouring stands (2.5 m shell scheme). It is not permitted to display any company logos and/
or lettering on or near the borders of the stand and face neighbouring stands. The outer surface (wall panels 2.5 m
height) must be decorated if visible from the aisles. The sides of your stand which are open in accordance with the
general plan of the exhibition cannot be built up with solid walls without prior approval from Premier Expo’s Technical
Department. No part of the stand structure may extend beyond the boundaries of the site allocated. In the event of
failure to comply with these conditions, Premier Expo reserves the right to suspend the construction of your stand.
Technical stand layouts indicating all measurements including heights must be presented to Premier Expo for
approval at least one month before build-up unless another date is advised. The position of entry points for ordered
electricity, water, telephone connections, etc., must also be clearly marked on the stand layouts. Please also follow
the information about ceiling heights under The Venue page 5.
IMPORTANT!
Before erecting your stand or positioning your outdoor exhibits, the Premier Expo on-site office must be contacted
to ensure that the correct space is being occupied. The final plan of the show will be available from the Management
office on site. If a stand is built in the wrong space and Premier Expo has not been contacted beforehand, you will be
forced to dismantle your stand at your own expense and build it again in the correct space.
Construction may exceed a height of 250 cm, but only with permission in writing from ITE in London, on receipt
of the proposed stand design, prior to the exhibition. The reverse side of your wall/s must be of neat, plain white,
appearance if it overlaps the height of those on neighbouring stands. It is not permitted to display any company logos
and/or lettering on or near the borders of the stand and face neighbouring stands.
Premier Expo does not provide fascia panels for space only sites. The exhibitors and/or their stand constructors
must ensure that the stand prominently displays the name of the exhibitor as well as the stand number.
Exhibitors or their stand builders have to completely remove from the floor any double-sided sticky tape that
has been used for the carpeting. The cost of repair or replacement of damaged pavilion facilities / equipment will be
charged to the exhibitor.

ELECTRICITY FOR SPACE ONLY SITES
Electrical supply and consumption are not included in space only sites. You may order an electrical main
supply connection of Form 2 (page 17) (please refer to Appendix - 1. Technical Forms). Please choose the correct
consumption you need on this form. Exhibitors with space only sites need to order a fuse switchbox and cabling to
the main supplies if they are not providing their own.
Electricity will be supplied for the exhibition. During build-up and dismantling, exhibitors or their contractors
should use battery-powered tools or bring an extension cable drum to reach one of the few on-site plug sockets.
FIRE CERTIFICATES
Fire Certificates issued by the producer/s of all stand materials used confirming that these materials are nonflammable or fire resistant/flameproof must be available on-site for presentation upon request in English along with
a translation into the local language. You must also be in possession of a certificate confirming that all your wooden
materials have been soaked.
DOUBLE-DECKER STANDS
There is a surcharge on the space occupied by double-decker stand constructions. If this has not been booked
already through the space application form, it must be paid in full before the start of the exhibition. Please refer to
Appendix - 1. Technical forms. PROFORMA-INVOICE - page 22.
Double-decker stands must be fitted with a sprinkler system and with fire extinguishers. In addition, they must
display the static certificate of the construction, which the exhibitor or his stand builder must also present to the local
exhibition management at least one month before the exhibition.
LOCATION
Columns, pillars, fire points and/or utility connection points may not always be conveniently located with regards
to the stands allocated. This may result in longer lengths of cables and pipes being visible, possibly across your
stand.
EXHIBITS
Please note that the maximum weight of your exhibits must not exceed the maximum load allowed in the pavilions.
Please refer to page 5 (Floor loading).
HEALTH & SAFETY
Exhibitors and their stand contractors have a duty of care to other exhibitors, visitors and public at large in so far
as health & safety issues.
Exhibitors and stand contractors should have a valid policy with a reputable insurance company to a minimum
limit of $3,000,000 in respect of their liability for injury to third parties or damage to third party property.
INSURANCE
The Organisers have valid employers’ & public liability insurance in respect of their liability to their employees
for death or injury and in respect of injury to third parties or damage to third party property.
Included under the Organisers’ insurance arrangement is the provision of contingent public liability cover with a
limit of £2,500,000 for any one occurrence, and contingent products liability cover with a limit of £2,500,000 for any
one occurrence and for all occurrences for the duration of the insurance.
The contingent public/products liability operates as cover for the Organiser over and above your existing public/
products liability insurance in the event of any shortfall in indemnity limit or if your policy fails to operate.
Evidence of your public/products liability insurance may be requested.
In the event of an incident which may give rise to a claim, you should immediately contact the Organisers’
representative on site to report the matter, who will provide you with the relevant documentation for you to complete.
You must co-operate with the Organiser in any such claim and provide any information that it may request.
Exhibitors are responsible for arranging any other insurance, such as cover for loss of expenses
caused by cancellation/abandonment and loss of or damage to exhibits and other items.

YOUR STAND
PROTECTIVE HELMETS
IMPORTANT!
By the rules of the International Exhibition Centre according to the world security practice any mounting/
dismounting works must be performed with protective helmets on. Make sure you (in case of self-building) or your
building company comply with this rules.
FIRE EXTINGUISHERS
Any exhibitors who require special extinguishers or fire-fighting equipment, owing to the nature of their exhibits,
should make their own arrangements to provide such items. Any exhibitors particularly concerned about the
flammable nature of their exhibits are strongly advised to bring their own fire extinguishers.
MACHINES / MACHINERY IN PAVILIONS
If you are exhibiting machines / machinery or any fuel-operated equipment, please make sure its fuel level at the
time of arrival in the pavilion is minimum and does not exceed 5% of the tank’s capacity (in any case, not more than
10 litres). It is compulsory to have means of extinguishing fires if exhibiting such equipment.
NOISE LEVELS
If noise levels from exhibitors’ promotional videos and displays exceed 75 decibels, please be advised that
Premier Expo reserves the right to close down the noise source after a verbal warning.
VARNISHING, PAINTING AND SAWING WORKS
IMPORTANT!
Please be aware that any varnishing, painting or sawing works or any other work that may result in dust within
the exhibition centre ARE STRICTLY FORBIDDEN!
AISLE WIDTH DURING BUILD-UP AND DISMANTLING
IMPORTANT!
Please be aware that it is strictly forbidden to pile up goods and equipment in the aisles between stands.
You may leave your equipment or exhibits within your stand area only or as close to its boundaries as possible.
The minimum width of the aisles between stands according to fire-fighting regulations is 2 m. In order to avoid
penalties please maintain the aisle width stated above.
STORAGE FACILITIES
Please note that Premier Expo does not provide any storage facilities for packing materials or exhibits. Each
exhibitor is responsible for removing packaging materials or providing storage on their stand. If necessary, storage
facilities could be provided by the International Exhibition Centre. If this is required, please contact IEC directly on:
+38(044) 201-11-47.
BANNERS, FLAGS, BALLOONS, CEILING SUSPENSIONS
No suspension may be made from the ceiling of the exhibition hall or to the floor, walls or any other part of the
building without the prior approval of the Premier Expo Management. Please refer to the Appendix-6 (suspension)
Form.

GENERAL & ADDITIONAL SERVICES
CLEANING AND REFUSE
General cleaning of the aisles will be carried out every morning prior to opening as well as the removal of small
amounts of refuse, provided that they are placed in plastic bags or cartons in front of the stand in the evening.
To have individual daily cleaning for your stand, please place an order using Form 1 (page 16).
Exhibitors are advised that their stand areas should be completely cleared before they leave. Exhibitors will be
charged for the removal of any refuse left behind.
SECURITY
Security in the venue is maintained by the Security guard.
The pavilions will be locked at 22:00 and during the exhibition usually no later than 18:30. Overnight security will
be maintained by guards for the duration of the exhibition. The doors will be unlocked at 9:00 each day. It is the sole
responsibility of the exhibitor to ensure that all exhibits and stand equipment is properly manned when the doors are
opened.
The Security for the exhibition area is provided within in the following timetable:
- during the daytime:
- from the 28 October 2014 till 29 October 2014 from 9:00 till 18:30 Exhibitors are responsible for
ensuring that their exhibits and stand equipment is manned; the onsite Security guards will ensure
that the general public will be protected and will also be responsible for the entry and exit points of the
venue.
- from the 30 October 2014 from 9:00 till 22:00 Exhibitors are responsible for ensuring that their exhibits
and stand equipment is manned; the onsite Security guards will ensure that the general public will be
protected and will also be responsible for the entry and exit points of the venue.
- overnight:
- during the set-up which takes place from 26 October 2014 till 27 October 2014 between the hours of
22:00 of the current day and 9:00 of the next day the Security will not allow any unauthorised persons
admittance into the exhibition area;
- during the show from 28 October 2014 till 29 October 2014 from 18:30 of the current day till 9:00 of the
next day the Security will not allow any unauthorised persons admittance into the exhibition area and
will ensure that all exhibition stands are safely guarded;
- during the dismantling 30 October 2014 overnight security is not maintained.
For individual security for your stand during the opening hours and/or overnight, please place an order using
Form 1 (page 16).
The removal of exhibits or equipment that is under the organisers guard is only possible if the item list has been
signed in writing by the Organisers. The approval forms to remove exhibits from the pavilion can be signed at the
management office of the Organisers.
TEMPORARY PERSONNEL
Interpreters, stand attendants and security guards for your stand can be ordered using Form 1 (page 16) .
If you bring your own personnel, please make sure that you provide them with an exhibitor badge. Any security
personnel of your own are not allowed to stay in the pavilion overnight.
Premier Expo does not provide labour for the handling of goods and other items. Please contact the official freight
forwarding and handling agents for these services. See the section ‘freight, HANDLING, customs’.
CAR PARKING PASSES
Car passes allow access to the VIP parking area adjacent to the exhibition hall during the exhibition. Please order
your car passes for outdoor parking on Form 1 (page 16).
Pre-ordered car passes can be collected the day before the show starts from the management office.
If you need to enter the venue for unloading or loading local goods, you must also follow the procedure described
under The Venue.
WATER AND DRAINAGE
Please place your order on Form 2 (page 17). Items such as sinks, etc., must be ordered separately on Form 4
(page 21).
If pipes for your water connection will seriously affect the safety or image of other stands, we reserve the right to
cancel your order on-site. Therefore, we do not recommend you to order a water connection if you need the water
only for making coffee or washing dishes. Please use plastic tableware and order clearwater for a special supply of
drinking water on Form 4 (page 21).

GENERAL & ADDITIONAL SERVICES
TELEPHONES / INTERNET
You can order a telephone with an international line and/or an Internet connection for your stand using Form 2
(page 17).
ATTENTION!
Companies that have ordered Internet connection and installing radio-emitting equipment (Wi-Fi).
Installing of any radio-emitting equipment (except for GSM) must be confirmed by technical department on-site
in order to eliminate interference in the radio frequency range.
To perform such set-up you must know your equipment login and password.
All Internet connections ordered with us will be given as cabled line.
FASCIA NAMES AND GRAPHIC WORKS
Please indicate the company name to be shown on your fascia panel on Form 3 (page 18). You can also order
your company logo at an extra charge. If you need other graphic works for wall panels, etc., please specify these

FURNITURE, KITCHEN EQUIPMENT, ELECTRICAL APPLIANCES AND FITTINGS
Please refer to your space application form and to the stand layout sent with this manual to see what is included
in your package.
Additional furniture, lights, kitchen equipment, etc., can be ordered using Form 4 (page 19). Examples of the
furniture are in “Appendix -2. Pictures of additional equipment” (page 23). The organiser reserves the right not to
accept the order if it is late.
Please indicate the positions of all ordered items on your stand layout “Appendix - 3. STAND SCHEME”, ((page
27) and return it with your order forms.
Furniture, etc., for outdoor space is unavailable.
If you are interested in ordering special items not listed on Form 4, please do not hesitate to contact Premier Expo
Technical Division for information about availability and cost.
ORDER FORMS PROFORMA INVOICE
The Proforma-invoice must be returned, together with the order forms, fully completed and signed. Without the accompanying
completed Proforma-invoice your orders cannot be processed.
Please tick the yes/no boxes under “Form returned” on the Proforma-invoice to avoid confusion about missing order forms.
The deadline for returning all forms is shown on page 22.
PAYMENT
All service requirements are payable in the currency shown on the Proforma-invoice and are due no later than
one week after the invoice is received but no later than: 19 October 2014.
None of the prices in the manual include VAT.
LATE ORDERS. ORDERS DURING THE BUILD-UP
Orders received between 5 October 2014 and 25 October 2014 are subject to a 50% surcharge.
Orders received during the build-up or during the show from 26 October 2014 and 30 October 2014 are
subject to a 100% surcharge.
Please note that if orders are late, equipment may not be available.

FREIGHT, HANDLING, CUSTOMS
FREIGHT FORWARDING & HANDLING ON-SITE
The official on-site freight forwarding and handling contractor is BTG Expo. Exhibitors are advised that BTG Expo
has sole rights to on-site handling, regardless of the exhibitor’s transport agent.
Please contact their office nearest to you for further details about their tariffs, shipping deadlines and customs
regulations. If your country is not listed overleaf, please contact the BTG Expo head office in Germany.
SHIPPING DEADLINES
• BTG Expo Messen requires 4 working days for all services connected with pick up at the airport, customs clearance and
delivery to the stand. In order to avoid unnecessary storage please arrange the airfreight consignment arrival in accordance
with the above information.
• For customs clearance of truck shipments BTG Expo requires 1 working day.
• Ocean freight consignments should arrive in Hamburg at the latest 16 days prior to delivery to the stand. Please do not
ship any consignments to Hamburg without confirmation from BTG Expo and get the consignee instruction for ocean freight
from BTG Expo by contacting them directly.
• For information about consolidation truck from terminal Germany, please contact BTG Expo.
• BTG Expo does not handle railway shipments.
• Please send copies (drafts) of the pro-forma invoices by e-mail to BTG Expo at the latest one week before despatch for
checking and (if necessary) a translation into Ukrainian/Russian language.
CUSTOMS CLEARANCE
Please follow the instructions of the official freight forwarder/customs clearance agent, BTG Expo.
Every exhibition centre has official customs offices. Any client sending goods with any agent other than BTG
Expo or its appointed agents must have their goods cleared by that office. If shipping exhibition goods directly, please
get the address and sender’s instructions from BTG Expo. If a shipment is addressed incorrectly, the exhibitor risks
not to receive their goods due to impossibility of customs clearance.
Do not send any goods by Courier
In order to avoid problems or delays in delivery, all shipments have to be advised to the BTG Expo office in your
country or directly to the BTG Expo head office in Germany as early as possible in advance.
If, at the end of the exhibition, items are not accounted for either by return transport or appropriate import
customs clearance, the exhibitor is responsible for any duties, VAT and luxury taxes that may be imposed by customs
authorities.
In order to avoid this, we urge all exhibitors not to hand over sold goods to the buyer directly. Arrange storage with
BTG Expo to be sure customs clearance has been arranged by the buyer. BTG Expo will hand over the goods to the
buyer you name only upon presentation of the definitive customs declaration.
You have to take into account that storage must be effected no later than the last day of the dismantling period.
Please inform the BTG Expo on-site office which is responsible for the storage charges (buyer or seller).
