The Exhibition will be held in conjunction with the 7th International Conference on Advanced Technologies & Treatments for Diabetes, which will be held in Vienna, Austria, February 5 – 8, 2014. Please read all of the information in this manual. It will take you very little time now and could save you a great deal of time later. The floor plan has been designed to maximize the exhibitor’s exposure to the delegates with lunches and coffee breaks taking place in the Exhibition area. Specific participant names will not appear on the badge in order that they may be interchanged between exhibitors. Exhibitor badges allow access to the Exhibition area only and shall be used by company staff only. Two exhibitor badges will be given for the first 9 square meters booked and one additional badge for each 9 square meters booked thereafter. Any additional exhibitors will be charged an exhibitor registration fee of €230 Incl. VAT. Companies can purchase a maximum no. of Exhibitor Registrations as follows: Booths of up to 60 sqm – 15 Exhibitor Registrations Booths larger than 60 sqm – 25 Exhibitor Registrations **We are happy to inform you that for ATTD 2014, company staff (only) will be entitled to upgrade their Exhibitor’s badge to a Full Registration at a reduced fee of €200 Incl. VAT. Service passes are free of charge and may be collected from the Exhibition Manager Desk onsite. 6 Lead Retrieval Wireless Barcode Reader Lead Retrieval Wireless Barcode Readers are a helpful tool for receiving contact information about participants who visit your booth or attend your symposium. Barcode readers may be rented in advance at the rate of €350 Inc. VAT per system for the duration of the Conference. Further information about barcode readers, please follow the following link. The system may be picked up onsite at the Exhibition Manager Desk. Earliest pick up time is on Tuesday, February 4, 2014, after 14:00. The lead retrieval system needs to be returned to the Exhibition Manager Desk no later than Saturday, February 8, 2014, at 15:00. Floor The floor in the exhibition hall is a Parquet Floor. No trolleys/pallet lifters are allowed. No connection to the water system of the building. Shell Scheme Stands Shell scheme stands include: Light grey laminated shell scheme (H 250cm). Fascia panel, one per open side 20 characters maximum. Please contact our stand building company representative directly at: [email protected] . Build-Up Height The maximum building height for the top of all elements in the booth is 3 meters. Exhibitors who have stands higher than the maximum permitted height will not be allowed to set up their stands. If you have a platform, please note that if its height is higher than 4.5 cm, you are required to provide a ramp for handicap access. Ceiling Suspensions Suspension from the ceiling is not permitted. Stand Design Exhibitors who build their own stands are required to submit a scale drawing, including elevation views, to the exhibition management for approval by Friday, December 20, 2013. The Organizers will not approve stands that do not comply with the accepted standards until the necessary changes have been made. Exhibitors who use their own shipping facilities to the venue are requested to coordinate a time schedule with Hermes-Merkur for unloading their cargo into the venue. Advertising material and signs may not be distributed or displayed outside the exhibitor’s stands. Sound equipment must be regulated and directed into the stand so that it does not disturb neighboring exhibits. Exhibition Management reserves the right to require the exhibitor to discontinue any activity, noise or music that is deemed objectionable. Special Effects Special effects lighting, live music, smoke and laser projection may not be used in the stands. No permission will be given for projection in the aisles or on the walls of the hall. General Fire Regulations Stand material and fittings must be of non-inflammable materials or impregnated with fire-retardant chemicals. As a general rule, easily inflammable synthetic substances, foam polyester, and nonfireproof straw and reeds are prohibited. Damage to the Premises Exhibitors are liable for all damage caused to floors, walls and pillars during the installation, exhibition and dismantling periods. No adhesive stickers and fixtures of any kind are allowed on floors, walls and pillars. Disposal of Material It is obligatory to collect and dispose of all material during the breakdown or dismantling of the event. When the dismantling period is over, the exhibitor loses any right to claim for losses or damage to property left behind and any costs incurred by the venue in removing this property will be charged to the exhibitor. Hanging of Posters, Banners etc. Hanging of posters, banners or decals, stickers or similar things, on the walls, floors, ceilings or columns within or outside the installations of the venue are not allowed without a prior written authorization. Insurance (compulsory) Neither the organizers nor the Messe Wien Exhibition and Congress Center, their representatives or agents will be held responsible for any loss or damage to exhibitor’s property. Exhibitors must take precautions to protect their property against pilferage. The organizers do not provide insurance for exhibitors and their property. The exhibitor is responsible for his property and person and for the property and persons of his employees through full and comprehensive insurance, and shall hold harmless the organizers for any and all damage claims arising from theft and those perils usually covered by a fire and extended-coverage policy. Therefore, you are obliged to have a public liability insurance that covers all injuries to persons and damages that might cover in connection with the exhibition. We also recommended that you have additional coverage against loss or damage to exhibition material during transport and during exhibition times. Please make arrangements for insurance coverage through your company’s insurer. 61 Fire Insurance (compulsory) Exhibitors must be insured against fire. Participation by exhibitors is dependent upon compliance with all rules, regulations and conditions stated herein. Section 7: Messe Wien Exhibition and Congress Center Rules and Regulations 61 Messe Wien Exhibition & Congress Center Anything goes Richtlinien RICHTLINIEN FÜR STANDBAU BZW. AUFBAUTEN JEDER ART IM CONGRESS CENTER Unten angeführte Vorgaben sind bei der Nutzung des Congress Centers als Ausstellungsfläche bzw. bei Aufbauten jeder Art im Bereich des Congress Centers zwingend einzuhalten. Der Veranstalter ist verpflichtet, diese Richtlinien den von ihm beauftragten Firmen (Standbaufirmen, etc.) zur Kenntnis zu bringen, und für deren Einhaltung zu sorgen. Ein Zuwiderhandeln bzw. eine Nichtbeachtung berechtigt den Hallenmeister zum Abbruch der Arbeiten. Weiters haftet der Veranstalter für Schäden am Mietobjekt (insbes. bei Beschädigungen des Bodens und der Wände) und alle anderen Schäden, die aus der Verletzung einer oder mehrerer der im Folgenden angeführten Vorgaben erwachsen. » Pkt. 1 Bei der Anlieferung über die Tore ist auf die Zufahrtswege für Einsatzfahrzeuge Bedacht zu nehmen, bzw sind die dafür vorgesehenen Zonen unbedingt frei zu halten. » Pkt. 2 Die Einbringung von Gegenständen jeder Art (u.a. Standbau- und Dekorationsmaterial, technische Ausrüstungsgegenstände etc.) ins Congress Center darf, sofern diese Gegenstände nicht getragen werden können, nur unter Zuhilfenahme von Beförderungsmitteln mit Gummirädern erfolgen. Sowohl beim Transport als auch für den Aufbau ist auf die maximale Traglast von 500kg/m² Bedacht zu nehmen. » Pkt. 3 Im Ausstellungsareal sind alle Standbauten mit Teppich zu unterlegen. Einzeln stehende Ausstellungsobjekte oder -stände, die nicht im Rahmen einer Ausstellung aufgestellt werden, müssen an der Unterseite abgestoppelt bzw. unterlegt werden. » Pkt. 4 Für den Boden darf ausschließlich rückstandfreies Klebevlies verwendet werden. Der Einsatz von doppelseitigem Klebeband ist untersagt. » Pkt. 5 Während der Aufbau-/Abbauarbeiten sowie während der Veranstaltung ist darauf zu achten, dass der Parkettboden nicht durch Kratzen mit scharfkantigen Gegenständen beschädigt wird. » Pkt. 6 Im gesamten Congress Center dürfen keine lösungsmittelhaltigen Klebstoffe oder Lacke verwendet werden. » Pkt. 7 Beim Einsatz von Reinigungsmitteln ist darauf zu achten, dass diese die Versiegelung des Parkettbodens nicht zerstören. » Pkt. 8 Die Überschreitung der örtlich zugelassenen Standbauhöhe über das Normalmaß von 2,50m durch Überbauten, Beschriftungen und Dekorationen jeder Art bedarf einer schriftlichen Genehmigung durch RMW. Die Errichtung von Stockständen ist ausnahmslos nicht gestattet. Guidelines RULES FOR STAND ASSEMBLY AND ASSEMBLIES OF ALL KINDS AT THE CONGRESS CENTER The rules set out below are binding for all tenants using the Congress Center as exhibition space, or erecting assemblies of any kinds on the premises. Event organisers are obliged to notify their contractors (stand assembly firms, etc.) of these rules and to ensure that they are observed. In the event of the infringement of, or non-observance of these rules the chief hall technician is entitled to suspend the assembly work in question. The event organisers are liable for any damage to the building (particularly to the floor and walls) and any other damage arising from the infringement of one or more of the following rules. » Rule 1 When delivering goods to the doors the access routes for emergency vehicles and the areas reserved for them must be kept free. » Rule 2 When bringing objects of any kind (e.g. stand components and decorations, or technical equipment) which cannot be carried into the Congress Center, only handling aids with rubber tyres/castors may be used. The maximum weight for goods transportation and stationary assemblies is 500kg per sqm. » Rule 3 Carpeting must be laid under all stands. Separate exhibits or displays which do not form part of an exhibition must stand on rubber stoppers or underlay material. » Rule 4 Only residue free adhesive felt may be laid on the floor. The use of double-sided adhesive tape is prohibited. » Rule 5 During the assembly and dismantling work, and the event itself, care must be taken to prevent scratching of the parquet flooring by sharp objects. » Rule 6 No adhesives or paints containing solvents may be used anywhere in the Congress Center. » Rule 7 When using cleaning materials care must be taken to avoid damage to the coating of the parquet flooring. » Rule 8 Lettering, constructions and decoration of any kind which render the stand higher than the locally permitted limit of 2,50m require written approval from RMW.
